In this video, we're going to review the topic of disabling inactive users in RecTrac. This is a process you can run on demand and ultimately scheduled to help you manage your user list in RecTrac. So first, we're going to jump into user management. So from your menu, you can Type in user, and you can select User management. So this is going to show you all users that currently have access to RecTrac. And any user that is currently active has access unless they're ultimately locked out of the system. And one of the key pieces of information in here is the last logon date. That's what this process is ultimately going to be keying off of. So you can always manually come in Lockout and inactivate users to eliminate their access to the system. But there is a scheduled event process that we can set up and run to initially automatically clean things up, and then ultimately help you manage this list moving forward as users turnover in your system.

I'm going to switch over to scheduled events management at the top. So the first question might be is this already scheduled and set up in your database. So in the scheduled program, filter, I'm gonna just Type in user, and I'm gonna make sure in the filter pulldown that it's contains. So currently, we don't have a scheduled program for this because it's showing me blank results. To add it in, you can go to add miscellaneous event at the bottom. And in the scheduled program Field, you can Type in disabled inactive users. Can you select that if you're out again, for the first time, you can actually use that as the scheduled name is Abell it'll be an active scheduled event that will run what user do you want to run as very often we would schedule these as the system's ZZZ user. And then you can tell it what time you want to run, which I don't think is all all that pertinent for this Type of scheduled event. The next setting down is how many days you want to do this check against and have it actually inactivated. So what policy do you want to put in place, if they haven't logged in X amount of time? Do we automatically inactivated users just as an example, I'll just put 365 as the parameter I'll use my database.

In addition, at the bottom, we have exclude users. So there are system certain system users that you typically would want to exclude. So in most databases, the two accounts are going to be the www or your WebTrac user. And then always these ZZZ user ID as well. Those are two that are often used for scheduled events and obviously for running WebTrac. So they're not typically logged in to as a regular use ID but they are used within the system. So I'll go and select those in this example. At this point, I can hit save and on the next run time, this will run daily to do that check against that parameter. And that will automatically go back and clean up my user management list. If you ever need to adjust it, you can jump back into scheduled events management and hit Change event here on the Screen. And you can adjust those parameters as needed moving forward. And that's how you set up and run the disabled and active users in RecTrac
