In this video, we'll walk through the process of linking a question record to a fee record and why you might do that. And to do that, we're going to go through an example so and kind of go over to global sales and already have a household and a facility selected. So I got to add to cart, and I have a optional fee listed here at the bottom.
00:00:21:1 - 00:00:41:7

So how many chairs will I need and a corresponding $2 fee? And all I need to do is choose the fee when needed and select the quantity. So this is great. It is going to automatically calculate my fees correctly. What's a little bit tricky in RecTrac is reporting on this and pulling this out on the different places you might want it either in the super grid or on a report after the fact.
00:00:42:3 - 00:00:59:1

So what we can do is we can actually introduce a question record, which I already have here on the screen, So that matches up with the fee itself. So how many chairs do you need? And it's asking that question. A question record is much easier to report on and pull up in different places in RecTrac, So the downside now I have two places.

I have a question record that answer and a fee that I need to answer. And there's a potential that one gets missed or they get out of sync. So to solve that issue, we're actually going to cancel here and go over to our management side. I'm going to open up the facility we're playing with right now and I'm going to go to the questions tabs.
00:01:15:1 - 00:01:37:0
Brian Hatch
I actually already have my question created and it's already linked to the facilities that's already taken care of. I'm going to switch over to my fees tab and I'm going to click on the fee that represents how many chairs I need them is going to go to change and go to advanced fee change. Let's open up all our fee settings and under the miscellaneous area we'll be able to expand that and see our question link ID
00:01:37:0 - 00:01:53:4
Brian Hatch
So this is where you're going to be able to link that question record to the fee record. So there's my how my question of how many chairs do you need? I select that. And that's now linked to the how many chairs do I need fee. So I'll go ahead and save that. So now that the two are linked, we're going to get a couple of benefits from that.
00:01:53:4 - 00:02:15:1
Brian Hatch
So if I go back to global sales, if I go to RE and my reservation to the car, I'm going to see that my question record for that no longer displays because it's linked to the fee. It now knows not to display it. And now whatever I answer on my fee is going to be automatically the answer for the fee is going to be automatically passed to the as the answer for the question.
00:02:15:4 - 00:02:31:5
Brian Hatch
So if I come in here and say I want two chairs, I can continue and I can process that through and complete the transaction. So what are the benefits from this? So you're obviously going to be able to get this out on the super grid. So if I switch over to the super good, I have a reservation here already.
00:02:31:5 - 00:02:56:7
Brian Hatch
If I hover over it, I can see all the details that I want displaying. And one of those can be your question answers like, let's see, how many chairs do I need? I can clearly see that right in the super grid, so that's one benefit that would be maybe a little trickier to display and pull from that. If it was just a fee total that was listed, an additional amount, you'll likely or might want to put that on a report that maybe is automatically sent out or is given out to different staff.
00:02:56:7 - 00:03:16:6
Brian Hatch
So if I go over report output management, I actually already have a custom report record that I've created and I'm just going to go to update output on that and what you have the ability to do because it is now a question record is you can actually link that question record to your output. So I'll just choose question, answer one.
00:03:16:6 - 00:03:39:0
Brian Hatch
I just drag it over into an open field that I have, and now when I click on the pencil editor, I can actually put my custom label on there. So I'll just call it chairs and I can actually link the question. So how many chairs do you need to this question record? So now I can easily come out and be displayed along with the fee totals on a report so I can save and exit that.
00:03:39:6 - 00:03:59:0
Brian Hatch
And just to give you an example of what that would look like, I can preview this report output and clearly see the all the details that I want for the reservation. And then there's my chair's detail also clearly stated on this report. So if anybody was responsible for setting up the room or or getting those details together, they would now have that information in multiple places.
00:03:59:3 - 00:04:04:1

So a number of different benefits. And that's the process for linking a question record to a fee record.
