In this video, we're going to be going over question management. Question management can be found in our menu by searching for question management. And once you open it, you're going to get to a data DataGrid Screen with all the questions you already have created in your database, if any, most likely there'll be at least some system default ones we start you out with, and then any customized one. So basically, what questions allow you to do is create kind of customized text that you're asking, asking your customer either maybe when they're enrolling for a program or reserving facility, and these can either be used in RecTrac, or online in WebTrac. And just allows you to gather additional information about their purchase maybe or about the reservation, through kind of a customized question. So in order to create a new question, you want to ask you to Click the Add Button.

And in this example, we'll say this is going to be linked to an activity section, and maybe we're asking for their T shirt size. So the question text is really just what you're asking them. So that's the first thing they're going to see. So let's do what is your t shirt size? And then the question Type. So this is on really what Type of transaction do we want this to get prompted on. So the kind of the common ones here would be purchase. So that would be in our list here. So purchase would be for a new, maybe Facility Reservation or an activity enrollment, those would both fall under a purchase. Other things you could use maybe as a cancellation. So if they're canceling their reservation, maybe, or canceling enrollment, you'd want to question a prompt on on that Type of transaction. So you can kind of scroll through the list and see when you would want it to the prompt there but purchases kind of the popular option for an enrollment or reservation.

Interface Type is, do you want your question to show for just WebTrac? Just RecTrac are both? So I'm going to keep mine on both my Field Type. So how do I want them to answer? Are they just filling in an answer? Is it a checkbox a Combo box with multiple options? Or editor box, which is almost a longer freeform answer. So there's a lot of different ways you can do it here. So just pick the best option that applies for what is your t shirt size, I'm going to do a Combo box, so where they can have different answers, and they select the one that applies. So I'm going to also require them for an answer. So if you Toggle that on, then they need to answer it'll be in red, and they can't proceed if they don't answer it. So if you don't want it to be required, and it's optional, leave it on toggled. So I'm going to say this is required.

Including answers from history. So this setting, if you turn it on, if they've answered the same question prior, it would remember their past answer to the question and allow you to use that answer. So depending on what the question is, sometimes this makes sense. And sometimes it doesn't. And then you can also have a Toggle here for do not print on the receipt, if you don't want the question answered to show on the receipt there. The option lists so this really is applying because I chose my Combo box option. So this is what answers to this, what is your t shirt size? Do I want to be available? So let's say maybe extra small, small, medium, large, extra large. Notice I'm putting a comma between each possible answer. So that's the way you would separate each one, comma, then no space, just start typing in, you can put a default value in there, if you wanted to, you know, start on a medium shirt or something like that, or leave it blank. If you just want them to pick a lot more than one answer would just be they can select multiple sizes.

So in this situation, I'm gonna say they just need to pick one answer. And so we're going to Click Save. And that creates my question in the DataGrid. So now I can actually go ahead and have it so I can link it to a program. So I can link it to really any item and RecTrac you can link questions to so you can link up to service items, activities, facilities, tickets, anything that has this Questions tab about show you can link a question to so let's say t shirt size was for my let's see for my little league section here. So I'm going to Click Change. And once our section loads here, you'll see we have a questions tab. And like I said, this goes for all modules. There'll be the question tab up there. So you're hitting link individual question. And then that's going to bring up that same data grid where we created our question from so that what is your t shirt size I can just Search for it. And I can see it's right there. I'm selecting it.

And now whenever I make a new enrollment, I'm gonna get prompted to answer this. What is your t shirt size question. When it comes time to Removing a section from an item or a question from section, you can just hit the delete Button and that would remove the question from the section. The question would still exist to be used in the future in question text management, it would just no longer be linked to the item. So that's how you can set up a question and link it to certain items.
