How to copy your Live database over to Demo in RecTrac 3.1

Welcome to this fast track video in which we will cover refreshing the Demo database. To successfully follow along you will need admin access to the RecTrac server, 5 to 30 minutes to monitor the process. And we recommend that we run this outside of busy registration periods. Please note that for hosted customers, this process is automatic and runs on Tuesdays and Thursdays. The process will consist of logging into your RecTrac server, running DB utilities as admin, choosing refresh database and selecting preferences and then verifying the Demo database at the end. To start we'll Type in DB utilities. right Click and choose to run as administrator. This is important if we don't run as administrator the system might not be able to automatically stop and start the services, app servers, and databases that we need it to. Once launching as administrator, we're going to choose to refresh our database. If the next button assuming this is the default server that you installed RecTrac on initially, you will be able to select basically all defaults, it's important to choose whether you want to restore from a backup or make an on demand new copy of your database. Making an on demand new copy will take significantly longer as it is making a backup and then restoring the backup. But if it is a recent change that you're trying to get into your Demo database, this might be the best bet for you. Selecting on demand can take much more resources from your server, so it will potentially impact your staff more. So make sure if you're to do it during a timeframe when you are not busy, you're going to default to using the backup options. So I'm going to choose our structure file. Once again, it should be defaulting to my live database folder. So I can just choose RecTrac.st. This is the file that tells RecTrac how to expand your database. And then our backup file is the copy the automated backup that is occurring. Hopefully every night or more frequently, you might need to look at your backup Profile in RecTrac. To determine exactly where this is stored. If it is not automatically selected then I'll double Click, select that backup file and then hit next, we're going to leave these as default also, this should be automatically choosing your Demo directory. When I hit next, I have the option of initializing the Demo database, we recommend that you do initialize your Demo database and set your passwords to Demo. This will allow you to access the system and be very distinct that you're in the Demo database rather than the live database it will make it look a little bit different and using the Demo password will work whereas your normal password will not work. So that is highly recommended. Initializing your database will also disable and unlink your email and credit card profiles. So you did not accidentally contact customers or charge real cards in the Demo. We hit Next. This confirms all of our settings and then we hit process. Now all we have to do is wait. Assuming that I did start as an administrator, it will automatically try to stop the database and all of the appropriate web speed agents and app servers as we are doing this process and we just have to wait. Once you verify that the process is complete, Click Next. And you can choose no for another utility and you have now refreshed your Demo database. To verify the Demo database, simply add client Demo.wsc to your standard RecTrac login or just use the icon you have on your desktop. And you should see our lovely raspberry color. And you should be able to log in with any user ID and Demo as your password. Other than this it is an exact duplicate of your live database except there are no consequences for testing, processing transactions or messing things up. Have fun
