FastTrac: Tee Time Generation and Tee Time Purge

In this video, we'll be covering Tee Time generation. So if you're looking to get ready for your new season, I've got the course in here I haven't made my tee times yet for. So in here tee sheet, this is all blank, I need to create these bookings options for people to purchase online or in house, however you guys are selling your tee times. So the program for this is called Tee Time generation. So on this Screen here, we've got our option here at the very top of the Screen for what kind of tee times are we going to create, the most popular option would be the nine or 18. But there are The 18 holes only or nine holes only options there as well. So depending on what kind of course you have, what options you want to give, you have those different tee time types here at the top. So like I said, most common would be nine or 18 holes, we're going to scroll down, find my course in the list here, I'm going to make it for Mulligan Meadows.

Again, you can select more than one if you wanted to have you know, all of your courses have the same tee times that's fine, you can do them all at once. So then we come down to the bottom of the Screen where we're going to put in our parameters, what Tee times do we want to create. So our date range here I have it set up for my full season April 1 Through October 31. And my course, earliest possible tee times throughout the year is 6am. And latest possible time is 5pm. And you're going to want to watch the tee time pattern if you want to know how to go in and easily block out things like frost delays or anything else like that to adjust your tee sheet throughout the year. So my course here, I have set up with eight minute intervals. So I've got eight in both of these boxes, I want to create the same tee time tee sheet for each day throughout the year.

So I have all of my options turned on here. And then if you did have any skipped dates, days where the course was closed, or a day where you wanted to make your tee sheet differently, for whatever reason, it might be a league, a tournament, whatever, you can put in these skip dates. And so the way I have it set up here, I'm going to stay My course is closed. Here on July 4, we've got a big party going on, we don't want any tee times. So creating a booking for every single day within this date range up top and skipping July 4. And the shotgun ones. Next ones down here, these only come into play. If up at the top, you have selected your shotgun, tee time Type. So otherwise, we can skip over those starters time interval is there if you want to periodically block out a tee time on the tee sheet to space people out, make sure people aren't getting too close together, they're on the course, you can also do that just manually right from the tee sheet whenever you need to. So these ones that are more have started times that you can't really get off of the tee. So just be aware of that.

And then the last one down here at the bottom is if you do allow customers to book their own tee times online, whether it's through your WebTrac site or through golf now, that connects back to your your RecTrac system here, we'd want to turn on this option as well. So people can make those online reservations. So I've got all my settings here, I'm going to Click process, we get our message saying it sent to the server. Okay there. And then back on our Tee sheet, there is our little popup message at the top, it's all complete. So on our Tee sheet here, if we have it open still, we can hit refresh on that, and see any of our Tee times. And today I didn't make a tee time for today, Thursday, March 16. I had mine set to start on April 1. So if I go to April 1 on my calendar, there are all my tee times now.

So on this one here, I did eight minute intervals if I want to. Now after I made them, I realized oh, I really wanted to make those as 10 minute intervals instead of eight minute intervals. That's where we want to use the tee time purge program to get rid of these first and then generate the 10 Minute tee times. If we don't purge these first, and we then just go back to our Tee time generation, we swap our options here from eight to 10. And if I process this, then on my Tee sheet, I'd have a tee time for 6am, one for 608 and then one for 610 616 620 and so on. So if we don't get rid of the ones, eight minute intervals first and then create 10 minutes on top of it. Those get stacked on top it doesn't purge those for us. So what we want to do here It is use our Tee time purge program.

So at the top here, we're going to select our course. So Mulligan meadows in my case, I want to redo my intervals on it. So I'm going to plug in here, my course my dates. So I just generated it from April 1 to 10/31, that's what I want to purge as well. And then my time is on here, I just kind of opened it up. My real times were 6am to 5pm. But I just want to make sure I catch everything. So I opened it up a little bit more, just making sure I do purge every tee time they are for those days. So process that was there. So then back at our tee sheet here again, if I hit refresh, those tee times have gone away now. And now that I've got a clean slate to work with, I can go back and regenerate my Tee times time generation again, same settings, but now I've changed it to 10 minute intervals. And go ahead and process that again. There. So now back on our Tee sheet. If I hit refresh, I get my nice 10 minute intervals with no eight minute ones mixed in there that's going to mess us up.

So that's how you want to use the time generation to create them. Make any mistakes, purge it out first, generate the new ones again, and you should be all set. And stay tuned for the tee time pattern video to help you out with blocking throughout the year.
