In this video, we're going to talk through how to customize your search criteria or filters in the new UI. I'm on my current WebTrac page, and on the left hand side I'm going to focus in on activities in this example, but I'm already on my activity search page and you can see on the left hand side my current search criteria.

So on this case most search criteria are actually currently activated. and this is how it kind of came over when I activated my UI. in my database. And some of the things we want to point out is more or less just kind of best practices when it comes to your search criteria. So number one, I'll point out a couple of things that, in this setup that, I guess I would want to immediately kind of change.

So number one is just the number of search criteria. So in my case, I have, again, most of the search criteria that are available are actually turned on, which is never really recommended. Right. You really and in most cases you want to give customers probably maybe the the fewer the better when it comes to filtering. it always depends on the number of programs and what you're trying to do.

But, if you're a typical season or, you know, offerings within a few hundred activities or, even under 500 activities, usually you can break those down into, a couple different search options, that are going to get the customer to, you know, close to what they really want. so number one, I would recommend, reducing the number of search criteria.

definitely. In my case, in addition, you also want to put the kind of the most common, search criteria that you want to maybe encourage folks to use to be your top criteria. So in my case, I have activity number list is the kind of the primary search option. So that's listed at the top. And it's already expanded.

I guess the real question will be if this is truly how you're set up. looked at, is your activity number really the the best way to search? it might be evaluate for search, for people to search if they're using kind of a time log. But, is that really the way we want to encourage people, to, to go as far as, their main way to search.

So putting, the main, option that you want to kind of push people towards as the first search option is what we would typically recommend. So how do you do either of these options. So on my RecTrac screen I'm going to launch my menu and just type in the words screen. And I'm going to pull up my WebTrac management.

Screen management. menu option. So for any. customizing that you're going to do on any of the search pages. So in this case we're just focusing on activities. But of course facilities pass. point of sale. Any of the other modules they would all be under this management. WebTrac management, screen management. menu option. So I only have one custom screen at the moment.

So it's my activity search page. I'm gonna just go ahead and double click on that.

So this screen breaks down into kind of three different areas. The middle part of the screen is basically my my current setup. for my activities. So if I expand on the tree in the middle part, you'll see, the very first option in here, the first row of kind of tree is, my current search criteria. So you'll, you'll notice activity number begin month and month.

I go back in here activity number and month and month. So everything you see in that first part of the screen on the left hand side, should be kind of covered here in my, in my list. So in my example again, step one is really determining which search criteria I really want to show. in my case.

So I am going to remove a number of different options here. And there's different ways you can remove or hide. So depending on your needs you could always go through the individual field status setting on the right so I can highlight begin month. I can go to field status on the right. And I can mark that as hidden.

And when I do that, it's still going to show in the middle part of the screen. But when I go back to my site and refresh it, beginning month is now again, it's now hidden in the background so the customers would not see it. So that is one way you can remove, options. You can also click and drag options off the screen.

So you know, you're not going to need a particular filter because you don't use at all. For example, you could actually click and drag that search criteria from the middle part of the screen to the left part of the screen. You'll notice it turns, green as soon as you get in that left hand box, and you can release it as soon as it turns green, and it'll drop off from the middle.

And just go to the list on the left. So I could do that for, a lot of the options that I just know I currently don't have set up in my database. So I'm going to go through and just remove, a number of my options. So this is going to definitely vary by customer as far as what what criteria makes sense and which ones you want to keep versus which ones you want to remove.

So I'm going to go through my list and just kind of over oversimplify this a little bit. in my case, I don't use keywords.

And a lot of these I just don't have a need for them in my setup. So it goes pretty quick as far as the options you want to remove, you do want to keep your option and display option. in most cases you'd want to keep those in there. So I'm going to leave those and then continue to remove the options that in my case, I don't really want.

Okay. So I've got it down to a shorter list here. So if I go back to the site I don't have to click done here. It automatically kind of updates and sees as I as I change things on the screen. So I'm going to go back to my site and just hit refresh. And you'll see that my list is automatically, trimmed down to only show in this case the three items.

So activity number, age and type are the three. If I go back to RecTrac and I keep kind of flopping back and forth here, I do have the other options are and here are the sort and displaying. Those are actually going to just, you know, show up in the, for example, in the, the display option shows up in the right hand side of the screen so it doesn't show as an actual box on the left.

And the saw option is ends up being a a parameter you could pass so it doesn't show as an actual box. as well.

So now that I've got my simplified version on the left, so that's obviously much better. Look, just that's somebody looking at the screen. It's much simpler and not as busy. So that's always a plus. I also mentioned making the primary sort at the top, again, the one you want to encourage folks to use on my case.

I'm actually going to change the order of these. I want my type to be the primary sort in my database, rather than activity number. So I might still want to give people the ability to do the activity number. But I'm going to encourage them. To see type at the top. So that was me just clicking and dragging the, the options into the order that I want them in.

So you can kind of get those, set up any way you want. So I've gone with type age and activity number as the three search criteria. So again, if I go back to my page and refresh. I now have type as my first box. And now the customers can now easily see, listing of your types and hopefully encourage them to use those if they want.

They can expand age and apply and age criteria. And again, if they want, they can actually type in an individual activity number or, any of the other search criteria you end up, wanting to offer.

So this is the example again with the activity search screen. And in addition it's really the exact same steps for the other modules. Right. So again I'm in activity search here in my website management screen management. But it would be the same concept for like in other modules that you have for WebTrac. So facilities passes.

point of sale or whatever the other modules are. You could go through those individual search screens, make the same type types of edits, same changes to get the look, and the options you really want, on the screen.
