The Audit Log Inquiry allows you to view audited events in your RecTrac database.
Note: The Audit Log Report provides a listing of audited events and can be output to .pdf or .csv. However, unless you have a specific reason for needing a .pdf or a spreadsheet(.csv), then VSI strongly recommends using the Audit Log Inquiry program for queries against your Audit Log. The Audit Log Inquiry is easier and faster to run, and it provides more detailed data. Likewise, if your intent is to determine "who did what and when was it done," then VSI recommends using the Audit Log Inquiry in lieu of the Report.
Accessing the Audit Log Inquiry Program
- On the Standard VSI Design, go to Inquiry Ribbon ⁄ Audit Log Inquiry. The main DataGrid is always clear upon entry into the program from the main icon. Use the information provided below to populate the DataGrid with filtered results.
- From any File Management DataGrid, highlight/select a record and click Audit Info. You will continue to the Audit Log Inquiry for that record. The DataGrid will be pre-populated with all file management updates to the record you selected.

Tips for Filtering and Sorting the Audit Log DataGrid

The following provides a short list of recommendations to consider when using the Audit Log Inquiry.
- Date Column - Sort the Date column in descending order newest records to oldest records (i.e. the arrow on the Date column should be pointing down).
- Sort the Source and Detail 1-9 columns by "Begins With." This is the default option.

Source Column- Use the Source column to filter by Program.
- Examples: Entering "Main" and <Tabbing> out of the field will filter the DataGrid to File Maintenance audit records only.
- Entering "B" and <Tabbing> out of the field will filter the DataGrid to all audited events that begin with "B such as but not limited to: BeautifyFields, BulkChange, BulkUnsoldTicketPrint, etc…
- And so on…

Detail Columns- Detail records are created by the system as part of the audit logging process, so when filtering data in these columns it is best to have some idea of the details you're seeking.
- Examples: Entering Main" as your Source and <Tabbing> out of the field and then entering "SAHousehold" in the Detail 1 column and <Tabbing> out of the field would filter the DataGrid to File Maintenance audit records linked to the SAHousehold table.
- Using the same settings as above but also entering "2" in the Detail 2 column and <Tabbing> out of the field would filter the DataGrid to File Maintenance audit records linked to the SAHousehold table that have a Record ID starting with the number "2."
- Using the same Source setting as above but leaving the Detail 1 column blank and entering "2" in the Detail 2 column and then <Tabbing> out of the field would filter the DataGrid to all File Maintenance audit records linked that have a Record ID starting with the number "2." These could be Household records Family Member records Activity records Pass records etc….
- To find the actual record linked to a Record ID you would use the DB Inquiry program Using the example above once in DBInquiry:
- Table to View = The Table identified in the Detail 1 field such as SAHousehold SAPerson ARSection PMPass etc…
- ID="xxxxxx where xxxxxx" is the Record ID you wish to view.

Highlight/select a record in the DataGrid and click Additional Details to continue to the Audit Log Detail for that record. Audit Log Details displays the changes that were made with columns for "New Value" and "Old Value."
Note: Audit Log events created as a byproduct of a program being run will not have Detail Records associated with them. In this event you will receive a message reading No Audit Log Details. Simply acknowledge the message and return to the Audit Log DataGrid. For Example: An Audit Log Record is created when the Statements program is run. Running Statements does not change an "old' value to a "new" value. Therefore there will be no Details to view.
To exit this program click 'X' on the title bar. You will be returned to the Main Menu or the previous program.
