The Stock Room Transfer program allows you to transfer MainTrac Materials from one Stock Room to another. This allows you to account for scenarios where you move Materials from one location at your department to another and want them included in your inventory. Upon Posting Counts, the Stock Units of the Material in the "Source" Stock Room is reduced by the number of Units entered and the Stock Units of the Material in the "Destination" Stock Room is increased by the same value. For Example: You transfer 1.00 pallets of 40 bags of fertilizer from the Potter Park Stock Room to the Walden Park Stock Room. When the transfer is posted, the Stock Units of fertilizer in the Potter Park Stock Room will be "1.00" less than what it was and the Stock Units of fertilizer in the Walden Park Stock Room will be "1.00" more than it was.
The following caveats apply to this program:
- The Unit of Measure Type must be the same between the Materials being transferred. For Example: You are transferring "Grass Seed" from the Potter Park Stock Room to the Walden Park Stock Room. "Grass Seed" is stored and used by the "Bag" at each Stock Room. "Bag" is a Unit Type of "Count." The system will allow you to complete the transfer. If "Grass Seed" were stored and used by the "Bag" (Unit Type = Count) at Potter Park but stored and used by the "Cubic Yard" (Unit Type = Volume) at Walden Park, then the system would not allow you to complete the transfer due to a Unit Type mismatch.
Unit Types are maintained in Unit Management. Materials are maintained in Material Management. - The Material Code does NOT have to match. For Example: The Material Code at Potter Park is "Grass Seed." The Material Code at Walden Park is "Fast Grow Lawn Seed." The system will allow you to complete the transfer. Likewise, if the Material Code at Potter Park is "Oil Filters" and the Material Code at Walden Park is "Fast Grow Lawn Seed," the system will allow you to complete the transfer (provided the Unit of Measure Type is the same), so care must be taken when selecting Materials.
- The Stock Unit does NOT have to match. For Example: You store Grass Seed by the pallet (40 bags per pallet) at Potter Park. You store Grass Seed by the bag at Walden Park. If you transfer ".50 pallets" of Grass Seed from Potter Park to Walden Park, the Stock Units of Grass Seed at Potter Park will be reduced by ".50 pallets" and the Stock Units of Grass Seed at Walden Park will increase by "20 bags."
Main Parts of the Screen.
- The Source Stock Room / Material DataGrid lists all the Stock Rooms (and the Materials stored there) in your database that you have Permissions to view. This is the Stock Room from which Materials will be transferred.
- The Destination Stock Room / Material DataGrid lists all the Stock Rooms (and the Materials stored there) in your database that you have Permissions to view. This is the Stock Room to which Materials will be transferred.
- Quantity and Comment fields and the Add Record button. These fields are used to enter the number of Stock Units being transferred. Clicking Add Record places the Material into the New / Updated Records DataGrid.
- The New / Updated Records DataGrid lists the Material you have chosen to transfer.
To Perform a Stock Room Transfer
- In the Source Stock Room / Material DataGrid, highlight/select the Material you wish to transfer. This is the Material that will be leaving your Stock Room.
- In the Destination Stock Room / Material DataGrid, highlight the corresponding Material. This is the Material that will be received into the selected Stock Room. Refer to the caveats listed above for further information, if needed.
- Enter a value in the Quantity field. This is the number of Stock Units of the Material that you will be transferring.
- Enter a Comment, if desired.
- Click Add Record to transfer the record to the New / Updated Records DataGrid.
- Repeat these steps, as needed, to transfer other Materials.
- Expand the Drop-down list for Post Counts and make your selection to complete the transfer.
Buttons on the screen….
Click Add Record to have the Material transferred to the New / Updated Records DataGrid. In order to complete a Stock Room Transfer, at least one (1) record must be added.
Highlight a record in the New / Updated Records DataGrid and click Remove Record to delete it. If you remove a record from the DataGrid, it will not be included in your Material Post. You would use this option if you added a record by mistake or if you made a data entry error when adding a record and need to revise it.
Expand the Drop-down list for Post Counts and make a selection.
- Post Counts - Use this option to complete your Material Post.
- Post Counts and Generate Report - Use this option to complete your Material Post and have the system create a by-product report that displays what you did. There are no Report Options; the report simply prints.
To exit this program, click 'X' on the title bar. You will be returned to the Main Menu or the previous program.
