The Work Order Category Update program allows you to add and update Work Order Category Codes for use with the MainTrac module. Work Order Category Codes are used in the system as a means to sort and prioritize Work Orders. Work Order Categories are subjective, but some common examples might include, "Emergency, Rec Department Requests, City Council Requests, Preventive Maintenance, Inspection Failure, Golf Course Requests, Long Range Planning, etc…..
Note: Field names on the screen with red labels* are required by the screen design you are using. Mandatory fields in the default Vermont Systems design are noted where appropriate. Your design and mandatory fields may vary.
From the bottom of the screen…
Click Save to save your changes. You will return to the Work Order Category Code DataGrid.
Click Cancel to return to the Work Order Category Code DataGrid without saving your changes.
Click Previous or Next to continue to the next tab on this screen. (i.e. If you are on the Core screen, click Next to continue to the Questions DataGrid.)
Core
Category Code (MTWORKORDERCATEGORY_CategoryCode)
If you are creating a new Work Order Category record, then enter your Category Code in this field. Codes may be alpha and/or numeric. Generally speaking Work Order Categories provide a means for you to sort and prioritize Work Orders upon their creation. For Example: Emergency . This is a mandatory field for the standard VSI Design. Your Design may vary.
If you are updating an existing Work Order Category Code then you will not visit this field.
DeleteDescription (MTWORKORDERCATEGORY_Description)
Enter the Description for this Work Order Category Code. For Example: Emergency Repairs.
DeletePriority Code (MTWORKORDERCATEGORY_PriorityCode)
Click the Picklist icon to select the Priority Code you wish to link to this Work Order Category Code, if any. When creating Work Orders and selecting this Category Code, the Priority Code field on the Work Order will populate automatically with the Priority Code you select here. This field allows you to create a default Work Order Category: Priority setting. The Priority Code field on the Work Order, itself, can be updated manually at any time.
Optionally, you can leave this field blank, if desired. In this event, the Priority Code field on the Work Order will remain blank when this Category Code is linked to a Work Order. You will have to update the Priority Code field manually.
Priority Codes are maintained in System Code Management. Type = Work Order Priority.
DeleteUpdate Answers During Combo Log (MTWORKORDERCATEGORY_UpdateAnswers)
Select this option to have the system prompt you for answers to questions when logging Work Orders to which this Work Order Category is linked.
De-select this option to skip the auto-prompt for answers.
Note: If enabling this optionthen be certain to link at least one (1) Question to this Work Order Category. The question(s) linked on the Questions tab are the ones for which you will be prompted.
Questions
Work Order Questions (MTWorkOrderCategoryUpdate_QuestionDataGrid)
The Work Order Category Update Questions DataGrid allows you to see all applicable questions linked to this Work Order Category Code. Questions linked in this DataGrid will pop" when a Work Order linked to this Category Code is logged thus prompting the Staff Member who is logging the Work Order to answer the questions.
By default the DataGrid displays where the Question is linked the Linked Description the Question Text the Question Type Interface Type Answer Required flag setting Special Filters Parent Table and ID. Your set up may vary.

Buttons on the DataGrid…
Click Link Individual Question to continue to the Question Text Management Screen where you may add or change a linked question.
Click Apply Set as Template to continue to the Set Maintenance - Question Set DataGrid where you may select a question set to link as a template if desired. When linked as a template questions in the set can be modified on a case-by-case basis but changes made to the set in Set Management will not filter down.
Click Link Set to continue to the Set Maintenance - Question Set DataGrid where you may select a question Set to link if desired. When linked as a set questions in the set cannot be changed from this screen but any changes made to questions in the set in Set Management will take effect immediately.
Highlight/select a record and click Change to continue to the Question Text Management Screen where you can make changes.
Highlight/select a record and click Delete to remove it from the questions linked to this DataGrid.
Highlight/select an existing record and click Clone to continue to the File Maintenance Clone program where you can clone questions.
Bulk Change is not available from this DataGrid.
Click Preview to continue to the Preview Questions screen where you may review all questions that are visible on the DataGrid.
