SAProfile_Combination_Log_Combination_Log_Help
For use with the MainTrac module only.
The Combination Log profile establishes default settings for Combination Log processing in MainTrac. The profile allows you to set defaults for "who" gets emailed and "when" when the status of a Work Order changes. The profile also allows you to set access parameters that determine which Work Orders the users linked to this profile can see.

Approve Combination Log (SAProfileDetails_ApproveLog)
Select this option to have the system automatically approve all Combination Log entries upon clicking the Log button. VSI recommends keeping this option enabled.
De-select this option if you wish to approve Combination Log entries manually.
DeleteComplete Log (SAProfileDetails_CompleteLog)
Select this option to have the system automatically complete Combination Log entries upon clicking the Log button. VSI recommends keeping this option enabled.
De-select this option if you wish to set Combination Log entries to 'Complete' manually. If you do not use estimated times for your Tasks, and if you want to set Combination Log entries to 'Complete' only when the work is actually done, then you should leave this option de-selected.
For Example: You estimate the time it takes to mow Bailey Park at one (1) hour. On Monday afternoon, Jerry Speiser starts mowing Bailey Park. He mows for an hour but does not finish. When logging his time for Monday, Jerry would de-select the 'Complete' toggle option for that Task/Asset combination. On Tuesday morning, Jerry goes back to Bailey Park and finishes the mowing. It takes an additional hour. When Jerry logs this time, he sets the toggle option to 'Complete.' This allows the system to know that it really took Jerry two (2) hours to mow Bailey Park. That is the value the system uses to compare actual time (2 hours) to estimated time (1 hour) in the Task Estimated Time Report.
Note: At present there is no 'Complete' toggle option on any of the four (4) Logging screens and the Task Estimated Time Report is not available.
Check Leave Time Availability (SAProfileDetails_CheckLeaveTime)
Select this option to have the system check a Staff Member's accrued Leave Time when logging time off to ensure the employee has the time accrued.
De-select this option to skip the Leave Time check when logging time off for your Staff Members.
DeleteAuto Log Linked Equipment (SAProfileDetails_AutoLogLinkedEquipment)
Select this option to have any Equipment linked to a Staff Member logged automatically when that employee is linked to a Task. For Example: Colin Hay is linked to a Ford F350. On Friday Colin is sent to do Field Prep at Potter Park. When creating the log entry the system will automatically log the usage of the Ford F350 when you log Colin's work.
De-select this option to skip the logging of any linked equipment when creating log entries for Staff Members to whom equipment is linked.
Note: Equipment can be linked to Staff Members on the MainTrac Information tab • Linked Equipment group of Staff Update. When linking Equipment to a Staff Member be sure to enable the Automatically Log Equipment toggle option.
Display Material Reorder Message (SAProfileDetails_ReOrderMessage)
Select this option to have the system prompt you when a Material reaches its reorder point when it is being logged or posted. The reorder point for materials is maintained in Material Update.
De-select this option to skip the Material Reorder prompt.
DeleteLimit Logging to Current User (SAProfileDetails_LimittoCurrentUser)
Select this option to limit logging to the current User logged into RecTrac. When this option is selected, the Staff Resource DataGrid will be filtered to the MainTrac Staff Code linked to the User ID who is logged into RecTrac. This is a good option in the event you allow Staff to log their own work.
De-select this option to skip the filtering of the Staff Resources DataGrid by the User ID logged in. In this event the Staff DataGrid will filter to all MainTrac staff your User ID has Permissions to see. This is a good option if you need to update Logs for multiple employees.
DeletePrompt for Equipment Asset Usage (SAProfileDetails_PromptforAssetUsage)
Select this option to have the system prompt for usage (mileage or hour meter) when you are logging work performed on equipment as a Fixed Asset. For Example: You are logging a Lube, Oil, Filter on a truck. With this option enabled, you can have the system prompt you to enter the current mileage on the vehicle.
De-select this option to skip the prompting for usage on Equipment when logging work on it as a Fixed Asset.
DeletePrompt for Equipment Resource Usage (SAProfileDetails_PromptforResourceUsage)
Select this option to have the system prompt for Equipment usage (mileage or hour meter) when you are logging work performed on a Fixed Asset and you are using a certain piece of equipment. For Example: You are logging Mowing at Bailey Park using Mower-01, which was hauled to the park using Truck-05. With this option enabled, you can have the system prompt you to enter the number of hours for which the mower and truck are being used.
De-select this option to skip the prompting for usage on Equipment when logging work on a Fixed Asset and using a certain piece of equipment.
DeleteSplit Log Prompt for these Resource Types (SAProfileDetails_SplitPromptResourceTypes)
Click the Combo Box icon to select the Resource Types for which you wish to record usage time individually when making Log entries. Multiple selection is allowed. When creating log entries,you will proceed to the Combination Log Resource Split Update screen for each Resource type selected. The screen will allow you to update usage time individually for each Resource.
- Labor - Labor Resources
- Equipment - Equipment Resources
- Material - Material Resources
Leave this field at its default setting ((0)Selected) to skip this check and have the system record the same usage time for each Resource logged.
Note: The Prompt for Equipment Resource Usage option supersedes this field. If the Prompt for Equipment Resource Usage toggle option is enabled then this field is skipped.
Linked Materials (SAProfileDetails_LinkedMaterialsPrompt)
Expand the Drop-down list and select your Linked Materials option. In the event you have a Parts List linked to your Fixed Assets and those Parts are linked to a Task Code, then your setting in this field determines whether and how those Parts will be logged when generating Log entries for those Fixed Assets. For Example: Truck-05 has a Parts List that contains Five Quarts Oil and One Oil Filter. Each part is linked to your Oil Change Task. When logging an Oil Change for Truck-05, the system will use your setting in this field to determine whether the Parts are logged.
- None - The system will not log the parts.
- Log Defaults - The system will auto log the Parts. In the example above, the system would log the Five Quarts Oil and One Oil Filter.
- Prompt - The system will prompt you to select which Parts you wish to log. In the example above, the Five Quarts Oil, the One Oil Filter, both or none.
Limit Tasks to this List (SAProfileDetails_LimitToTaskList)
Click the Picklist icon to select a Task Code or Task Codes. Multiple selection is allowed. When logging work, the Tasks DataGrid will filter to the Task Code(s) you select here.
Leave this field blank to skip this check and have all Task Codes display in the Tasks DataGrid.
DeleteValid Working Days (SAProfileDetails_WorkingDays)
Click the Combo Box icon to select days of the week, if desired. Multiple selection is allowed. When logging work, you will be restricted to dates that fall on the days of the week you select in this field.
Leave this field at its default setting ((0) Selected) to skip this check and grant the ability to log work on any day of the week.
DeleteDefault Log Date (SAProfileDetails_DefaultDate)
Expand the Drop-down list to select your Default Log Date. The selection you choose determines which date appears in the Log Date field by default.
- Current Day - The Log will default to "today's" date.
- Previous Day - The log will default to "yesterday's" date.
- Previous Work Day - The log will default to the last valid work day. For Example: Your Valid Working Days are Monday - Friday. "Today" is Monday April 16. Your last valid work day was Friday 13 April. That is the date to which the log will default.
Allow Logging of these Work Order Statuses (SAProfileDetails_WorkOrderStatusToShow)
Click the Combo Box icon to select a Work Order Status Code or Codes, if desired. Multiple selection is allowed. The Work Order DataGrid will filter to only those Status Codes you have selected.
Leave this field at its default setting ((0) Selected) to skip the filtering of the Work Order DataGrid by status.
DeleteShow Work Orders created in the past X days. (SAProfileDetails_WorkOrderDaysToShow)
Enter a value in this field, 0-999,999,999, if desired. The value you enter represents the number of past days for which you want to see Work Orders that were created.
Leave this field at '0' to skip the past days creation check and view all Work Orders.
DeletePreserve Selections on Combination Log after Log (SAProfileDetails_MTComboLogScreenReset)
Expand the Combo Box icon to select any DataGrids that you do NOT want to reset/initialize after making a Log entry. Multiple selection is allowed. Selections in DataGrids that are NOT reset/initialized will remain selected after the Log entry is made. For Example: You select Staff Resources" in this field. You log five (2) hours of Mowing at Potter Park to Greg Ham using Mower-02. Upon logging the entry the Fixed Asset Tasks and Equipment DataGrids will reset but Greg Ham will remain selected in the Staff DataGrid.
Leave this field at its default setting ((0) Selected) to skip this check and have all DataGrids reset/initialized upon making a log entry.
Note: In the event you select "Tasks" in this field then you must also select "Fixed Assets" as well. "Equipment Resources Fixed Assets Material Resources and "Staff Resources" may be selected individually.
Preserve Selections on Form Log after Log (SAProfileDetails_MTFormLogScreenReset)
Expand the Combo Box icon to select any DataGrids that you do NOT want to reset/initialize after making a Log entry. Multiple selection is allowed. Selections in DataGrids that are NOT reset/initialized will remain selected after the Log entry is made. For Example: You select Staff Resources" in this field.
