The SuperGrid profile establishes default view and processing settings for RecTrac SuperGrids (Rental, Facility, Court, Personal Trainer, and League).
Note: SuperGrid profiles are NOT linked in Profile Hierarchy. Rather, they are linked in the Daily Processing profile • SuperGrid Profiles group. Options exist for access to the SuperGrid via a button on the screen or through Global Sales as well as options for "full access" and "read only" access. Multiple profiles may be linked.

Module (SAProfileDetails_ScheduleModule)
Select the Module you'll be working in when processing with this SuperGrid profile.
- Court - Court reservations
- Facility - Facility reservations
- League - League Scheduling
- Personal Trainer - Personal Trainer reservations
- Rental - Rental Item and/or Campsite
- CYMS - CYMS Hourly Care reservations
Model Household (Uses Primary Member) (SAProfileDetails_ModelHousehold)
Select the Household you wish to use as the Model Household" when processing on the SuperGrid. This is a Mandatory field for the default VSI RecTrac Design. Your Design and setup may vary.
Model Households are used to set default search and display parameters in RecTrac in order to increase speed. Once a Model Household is selected the system will base search and display parameters off the settings in various fields on that household based such as (but not limited to) Category Fee Code etc….
For Example: if the household you select is linked to a Resident Fee Code and you have search/display parameters based on Residency the default parameters for the SuperGrid will be set for Residents.
Keep in mind these are default values only and are used to load SuperGrid during processing functions. The household you select can be a bona-fide household in your database or a "dummy" household created specifically for this purpose. Selecting a bona-fide household will have no operational impact on it.
To utilize the Model Household when processing on the SuperGrid set your Rule Option to Model-Household. The Rule Option field is located on the Default Search Values group of this profile in the Standard VSI Design. Your Design may vary.
Note: In the event you change the household selected in this field VSI recommends going to Scheduled Events Management and running the Search Index Build Event manually. The program will rebuild Search Indexes based off the settings of the new household you've selected. In the standard VSI Design Scheduled Events Management is located under Management Ribbon • System Management • Misc Management Group. Your Design and setup may vary.
Controls to Show (SAProfileDetails_ShowControls)
Accept the default entries or select the Control options you want to display on the SuperGrid. Control options appear as Drop Down lists and Combo Boxes across the top of SuperGrid and allow you to quickly filter the SuperGrid to only those options you wish to see.

DeleteControls to Hide (SAProfileDetails_HideControls)
Accept the default entries or select the Control options you want to display in the SuperGrid • Advanced Controls group. Control options appear as Drop Down lists and Combo Boxes within the expandable Advanced Controls group at the top of the SuperGrid and allow you to quickly filter the SuperGrid to only those options you wish to see.

DeleteShow Months instead of Days? (SAProfileDetails_MonthlyDisplay)
Select this option to have the SuperGrid display dates as Months instead of Days.

Enter a Number of Days/Months to Display value.
- This option determines whether the SuperGrid will display dates" as days or months.
- The Number of Days/Months to Display field determines the default number of "dates" that will display.
Allow Facility Patterns in Event Details? (SAProfileDetails_AllowFRPatterns)
This option is applicable to the Facility Reservations SuperGrid only.
Select this option to include a Pattern Option field on the Event Details dialog in the SuperGrid. This is a good option for creating Pattern Reservations easily when processing on the Facility SuperGrid.
Leave this option de-selected to omit the Pattern Option Drop-down list from the Event Details dialog.
Notes: To launch the Event Details dialog from the SuperGrid double-click on any existing Reservation.
Having this option enabled or disabled has no impact on SuperGrid processing; it simply expedites the Pattern Reservation process. If you do not allow Pattern Reservations leave this option de-selected. If you allow Pattern Reservations having this option enabled becomes a time-saver.
Super Grid Additional Components (SAProfileDetails_SuperGridComponents)
Accept the default entries or select the Additional Components you wish to display on the SuperGrid, if any.
Additional Components appear as buttons beneath the Control/Additional Controls fields and allow for the following functionality:
- Move - Allows you to move a reservation. This is a good option when Fee changes are a byproduct of the move.
- Search - Launches the Search dialog, from which you can search for and display Reservations in the SuperGrid.
- Refresh - Forces a manual refresh of the SuperGrid.
- Details - Selects the reservation and launches the Details dialog which allows you to make changes, if desired.
- Quick Move (FR/NR Only) - Allows you to move a Facility or Rental Reservation. This is a good option for moving reservations when NO Fee changes are involved.
- Player Move (CR/PT Only) - Allows you to move a Court or Personal Trainer Reservation. This is a good option for moving reservations when NO Fee changes are involved.
- CYMS Inquiry (CYMS Only) - Allows you to see all CYMS facilities (up to your max resources to view) on a single day. This also enables a tooltip for each time block to show which children have reservations. This is a read-only mode and you have to turn it off in order to make any reservations or reservation changes.
- Age Override (CYMS Only) - Places an "Age Override" button on the SuperGrid that allows users to override Age Rule restrictions when making Hourly Reservations in CYMS. For Example: Edward Spruance is a four year-old in Pre-School. Age Override allows you to make an Hourly Reservation for Edward in the Infant Room (Age .10 - .99) provided the CYMS Users has the proper Permissions to override Age Rule restrictions.
- Benefits Inquiry(CYMS Only) - Places a "Benefits Inquiry" button on the SuperGrid that allows users to see the core information about the benefit the patron qualifies for along with their current hours used hours reserved and hours remaining
Search Options (SAProfileDetails_SuperGridSearchOptions)
Accept the default entries or select Search Options, if desired. The option(s) you select here appear in the Drop-down list on the Search Dialog, which you access from the SuperGrid by clicking the Search button.

Last Name - Searches for the Reservation Contact by Last Name, all or partial. This search looks for the name linked to the Reservation. For Example: Entering Buckley" will find all reservations for Reservation Contacts whose last name is Buckley. Entering "B" will find all reservations for Contacts whose last name begins with "B."
In the event a Reservation is linked to a Family Member with a different last name than the Primary Guardian your search must include the Family Member's name. For Example: The Primary Guardian is Paul Renauld. The Reservation Contact is Marthe Daubreuil. When searching for Marthre's reservation you would NOT search for "Renauld." Rather you would search for "Daubreuil." - Email Address - Searches for Households by the Primary Guardian's 1st Email Address. All or partial match through the ampserat (@)and first character required. For Example: buckley@r
- Phone Number - Searches for Households by the Primary Guardian's 1st Phone Number all or partial. For Example: Entering "(802)999-9999" will find all reservations for Households with (802)999-9999 as the Primary Guardian's 1st Phone Number. Entering "(802)" will find all reservations for Households with an 802 Area Code in the Primary Guardian's 1st Phone Number.
- Address 1 - Searches for Households by the Primary Guardian's Address 1 field all or partial. For Example: Entering "270 Main Street" will find all reservations for Households with 270 Main Street in the Primary Guardian's Address 1 field. Entering "27" will find all reservations for Households whose Primary Guardian's Address 1 field begins with 27 including 270 Main Street.
- Transaction Location -Searches for Reservations based on the Facility Location in the Location profile linked to the User running the SuperGrid. For Example: the Facility Location in the Location profile is Walden Park and a Reservation is made for the Pavilion at Potter Park searching for Potter Park will NOT find that reservation but searching for Walden Park will.
- Reservation Number - Searches for Reservations by their unique Reservation Number. Exact match required.
Super Grid Refresh Interval (Seconds) (SAProfileDetails_SuperGridRefreshInterval)
Enter a value in this field. The value you enter is the amount of time, in seconds, you want to use as the automatic screen refresh interval for your SuperGrid. VSI recommends '15.'
Enter '0' to disable the screen refresh feature.
Regardless of the value you enter here, you can refresh the Super Grid manually at any time by clicking either the Refresh button.
DeleteManual Search Super Grid? (SAProfileDetails_ManualSearchSuperGrid)
De-select this option to have the SuperGrid refresh automatically upon making changes to criteria at the top of the screen. This is the default option. When this option is de-selected and you change your search criteria, the system refreshes the SuperGrid immediately.
Select this option to refresh the SuperGrid manually upon making changes to criteria at the top of the screen. When this option is enabled and you change your search criteria, the system places a Refresh button in the middle of the SuperGrid. Click that button to have the system refresh the SuperGrid with your new search criteria.
Note: This option is not available for the League Scheduling SuperGrid.

Default Status for Facility Reservations (SAProfileDetails_DefaultStatus)
This field is applicable for a Facility SuperGrid only.
Accept the default entry ("Firm") or select an alternate reservation status if desired. The status you select will be used as the default status for Facility reservations made on the SuperGrid using this profile.

Retain Begin/End Time when moving reservations? (SAProfileDetails_SuperGridKeepTimes)
Select this option to have a Reservation retain its default Begin/End times in the event it is moved on the SuperGrid. When this option is enabled, a user can click and drag" a reservation from one day to another "drop" it anywhere on the new day and the system will automatically assign the default Begin/End times to the reservation on the new day. For Example: Your default Campsite reservation is 4:00pm - 10:00am. Johnny Appleseed makes a reservation at the Orchard Campground for Thursday night. When making the reservation the clerk can click anywhere on Thursday and have Johnny's reservation default to begin at 4:00pm. Two days later Johnny calls to have his reservation bumped to Saturday instead of Thursday. When processing the move the clerk and click on Johnny's reservation and then "drag and drop" anywhere on Saturday. Upon "dropping" the reservation it will automatically default to 4:00pm.
De-select this option to have a Reservation adhere to its new Begin/End times in the event it is moved on the SuperGrid. When this option is disabled a user can "click and drag" a reservation. Upon "dropping" the reservation the reservation will retain its default begin/end length but the Begin Time will be whatever the clerk selected. Using the example above if a clerk moved Johnny Appleseed's reservation from Thursday to Saturday and "dropped' the reservation at the 5:00pm slot then Johnny's reservation would begin at 5:00pm and not 4:00pm.
Note: When the Use Fixed Blocks from Resource option is enabled then this field is skipped. By default the Use Fixed Blocks from Resource field is located on the Default Search Values group of this profile.
Rule Option (SAProfileDetails_RuleOption)
Select your default Rule Option. The Rule Option is for display purposes only. Rule Checking is always invoked during the Add to Cart process regardless of the option you select here.
- None - The SuperGrid display will not use any Rule Checking. This is the fastest way to display results on the SuperGrid and generally works best for simple" setups with consistent open/close times and other rules that are easy and obvious to remember.
- Model-Household - The SuperGrid will block out any dates/times where a Rule is in effect that would disallow a Reservation based on the Model Household you selected. (The Model Household field is located on the Core group of this profile in the Standard VSI Design. You design may vary.) For Example: Your Model Household uses the Resident Fee Code. Pavilion reservations for Residents can be made no sooner than 48 hours in advance. With that Rule in place on your Pavilion Facility Class the SuperGrid will show the Rule Warning for "today" and "tomorrow thus disallowing selection for a Reservation. The day after tomorrow" and all subsequent days will how as open for booking.
Rule Processing is the corresponding Control for this field.

DeleteTime Block List (min) (SAProfileDetails_TimeBlockList)
Enter a comma-delimited list of numbers, if desired. The values represent a list of valid time blocks, in minutes, by which you can make reservations on the SuperGrid. When Time Blocks is used a Control/Advanced Control, the values you enter here appear as a Drop-down list on the SuperGrid. The value you select becomes the default length for reservations on the SuperGrid, provided you are not using other controls, such as Default Event Begin / End Times, Fixed Time Blocks from Resource, etc…
For Example: You enter 60,120,180 in this field. When processing on the SuperGrid, you select 120." As long as "120" is selected each reservation your make will default to 120 minutes. If you change the value to "180 the next reservation you make will be 3 hours by default.
Time Blocks is the corresponding Control for this field.

For Example: Gower's Campground has 10 Lean-to's. You enter '5' in this field. When looking at Lean-to's on the SuperGrid, you would see Lean-to's 1-5 by default. Forward/Back Arrows will allow you to scroll to the next block of Resources.

Accept the default entry (Manual Finish) or expand the Drop-down list to select your Auto Finish option. Your selection in this field determines how the reservation processes on the SuperGrid will complete.
- No - Manually Finish Transaction - Upon clicking the Payment button, you will complete the sale process manually, following it all the way through the Payment Screen. This is a good option if you require payment at the time of reservation.
- Yes - Auto Finish Transaction - Upon clicking the Payment button, the system will process through the Payment Screen automatically. Fees will be charged, but no payments will be registered. This is a good option if you do NOT charge fees at the time a reservation is made, but rather collect the fees on the date of the event.
Auto Finish is the corresponding Control for this field.

You click the 10:00am slot on the SuperGrid; the reservation will be placed at 3:00pm and run until 6:00pm.
- If you are using Default Default Event Start Time only, the system will make the reservation at the time entered, and the reservation will run the length of your Default Event Length, in either Minutes, Hours or Days, based on your settings in those fields.
- If you are using Default Event End Time only, the system will make the reservation at the time you choose, and it will run through to your End Time. For Example: Your end time is 6:00pm. You click the 10:00am slot on the SuperGrid; the reservation will run from 10:00am - 6:00pm.
To DISABLE default event start/end times, leave both fields at midnight."

Row Minimum Height (SAProfileDetails_yAxisMinHeight)
Accept the default value (15) or overwrite as needed. The value you enter is the minimum height, in pixels, for Rows on the SuperGrid. Minimum height comes into play when you are looking at Resource Blocks on the SuperGrid. As you increase the number of Resource Blocks you wish to see, the Row Height will shrink automatically to accommodate. The value you enter here dictates the smallest possible height for a Row. If that value is reached, the system will stop shrinking the Row height and will simply display as many Resource Blocks as possible, even if that number does not meet the default number of Blocks you wish to see. In the event you cannot view all Resources at the same time, you can use the Next Block of Resources arrow to scroll to the next set of Blocks.
For Example: Your Row Minimum Height is '15' and the Number of Resources per Block value is '3.' You have 10 Lean-Tos. When processing on the SuperGrid, the system will display the first three (3) Lean-To's in the SuperGrid. The Row height will adjust automatically to fill the screen. You decide to raise the Number of Resources per Block to '10.' You have 10 Lean-To's. Upon your next entry to the SuperGrid, the system will shrink the Row height to 15 pixels to display as many Lean-To's as possible. This may or may not be all 10 (depending on other factors). DeleteY Axis Width (SAProfileDetails_yAxisWidth)
Accept the default value (150) or overwrite as needed. The value you enter is the fixed width, in pixels, for the Y Axis of the SuperGrid (i.e. the grey column running down the left-hand side of the SuperGrid).
- If your Display View is Resource, the Y Axis is the Column which displays the Resources, such as your Facilities, your Rental Items, etc…, and the X Axis the Row that displays the Date and hours of the day./li>

VSI recommends using the same format for all three (3) options.
Note: You cannot set a "default" date size (Large Medium Small) and have the SuperGrid always use it. Rather the system scales the date size automatically based on the block width and number of days being displayed so your date display will change if you add or subtract days to view or change block widths.

The items in this column appear on the Event when it is displayed on the SuperGrid. You can have the same items in this list as you have in the Event Tooltip Selected list or they may be different.

Select this option to use the items in the Label Sort Field Selected column as the Label for your Resources on the SuperGrid. For Example: Pavilion POTPK POTPKPAV05, where Pavilon" is the Facility Class POTPK is the Facility Location and POTPKPAV05 is the Facility Code.
De-select this option to use the Short Description of a Resource as its label. For Example: Potter Park Pavilion 05 where that is the Short Description for the Facility.. This is the default option.
