The SRA Bulk Participation Post program is used to process the enrollments for Special Recreation Association (SRA) programs, where a SRA staff member ran a training program at a district or municipality site. The program performs the following functions:
- It creates as many households and family members as needed, based on the enrollment count entered.
- The household(s) are created with the last name ZZZ-Dist: <district> and the first name "Auto Created," where <district> is the District you select. Family members are created with the last name ZZZ-Dist: <district>and first name "Auto Created-xx," where <district> is the District you select, and "xx" is the incremental family member number (i.e. 01, 02, 03, etc.).
- It posts a maximum of 99 family members per household.
- It creates a roster record and a medical condition record for each family member based on the data entered on this screen.
- The Address and the Comments linked to the household get populated with "Auto SAR Creation," so that you can tell easily that a household and its family members were created outside of the standard Household Creation process.
Note: Field names on the screen with red labels* are required by the screen design you are using. Mandatory fields in the default Vermont Systems design are noted where appropriate. Your design and mandatory fields may vary.
To Run the Bulk SRP Participation Post
- Click the Picklist icon to select the Activity and Section for which you wish to post. One (1) selection only is allowed. If you are posting for more than one training, you will have to run this program multiple times.
- Expand the Drop-down for Residency Option and make your selection. When the Household is created, the Residency Option you select here will be applied to it and each of its family members.
- Enter an Enroll Count. This is the number of people who attended the training for which you are posting. The number you enter here will be the number of family members in the household that gets created as a byproduct of running this posting
Note: By default, the program will create a maximum of 99 members per household. Should the Enroll Count you enter exceed 99, the system will create a second household for this training. For Example: If you enter "60" in the Enroll Count field, the program will create one (1) household with 60 family members. If you enter "110" in the Enroll Count field, the program will create one (1) household with 99 family members and a second household with 11 family members.
- Expand the Drop-down list and select your Marketing Exclusion Code. This should be your "Do Not Contact" Household Feature Code, and it will be linked to the household upon its creation. When running RecConnect reports, you will likely want to exclude any household and family members created as a byproduct of running this program, since they are fictitious.
- Expand the Combo Box icon to select the District for which you are posting. Multiple selection is allowed, but SRA recommends making a single selection only and posting for one District at a time. If you are posting for more than one District, SRA recommends running this program multiple times.
- Click the Combo Box icon to select Medical Condition Code(s). The Code(s) you select will be linked to the family members that get created as a byproduct of running this program.
- Click Process to run the post. The process runs on the AppServer. The Notification Center will alert you when the process completes.
- Repeat these steps as needed to post for other trainings and/or Districts or exit back to the main menu.

Activity/Section (BulkSRAPost_ComboKey)

RecTrac RecConnect Programs allow you to filter and sort by Household and/or Family Member Feature Codes thus making it easy to target specific groups of people in a quick and efficient manner. When running RecConnect reports you will likely want to exclude any household and family members created as a byproduct of running this program since they are fictitious.

Note: The Feature Code you select in this field gets linked to each family member that gets created when the program is run. The Feature Codes you create should be representative of your SRA districts. One (1) selection only per posting is recommended because it is unlikely that you would want multiple Districts represented under one household. For Example: Your enrollment count is '20.' You enter "District A' and "District B' in this field. When you process the posting the system will create one (1) household with 20 family members. Each family member will have both 'District A' and 'District B' linked as Feature Codes. It will be impossible to separate how many trainees were from each District.
Medical Conditions (BulkSRAPost_MedConditionRecordCode)
Select Medical Condition Code(s). The Code(s) you select will be linked to the family members that get created as a byproduct of running this program. This is a Mandatory field for the default Vermont Systems design. Your design and setup may vary.
Medical Detail Records are maintained in Medical Code Management. The Type of Code (Medical Condition Medication Basic Care Allergy or Illness) is dependent upon the tab on which you were dwelling on the previous screen.
