The Household Bulk Refund Finance program allows you to process credit balance refunds to qualifying households in Bulk as opposed to processing them individually. The process uses the Refund Finance option, meaning your Finance department ensures the households get refunded. The process removes credit balances from the households in RecTrac, generates receipts (which can be emailed directly from this program or printed from the Document Center), and creates all appropriate general ledger entries. This program does NOT provide a summary report. Individual receipts only are generated.
To Run the Household Bulk Refund Finance Program
- Enter a Date Range and click Display Household Credits. Households with a valid credit balance created within the Date Range entered will display in the DataGrid.
- Review the households in the DataGrid. Use InLine Editing, if desired, to change the Refund Amount.
- Highlight/select the households for whom you wish to process the refunds. Households must be selected individually and refunds will be processed only for those households you select.
- Accept the default entries in the Refund User Name, Refund Cash Drawer, and Refund Date fields or overwrite as needed.
Note: The ability to override these fields is controlled on the Permissions profile • Button/Misc Permissions tab • Miscellaneous Settings Group.
- Determine whether you wish to email receipts. Receipts generated from running this program can be printed from the Document Center as well.
- Click Process Refund Finance when ready. The process runs on the AppServer. The Notification Center will alert you when the process completes.
From the bottom of the screen…

Click Reset to clear the DataGrid and reset the parameters.
To exit this program, click 'X' on the title bar. You will be returned to the Main Menu or the previous program.

Begin Credit Date (HouseholdBulkRefund_BeginDate)
Click the Calendar icon to select a Begin and End Date Range

Note: This program looks for Credits only. It does not look at overall household balance so a household with a debit balance in one module and a credit balance in another module will display in the DataGrid. The Available Amount will be the amount of the Credit only.

Refund User Name (HouseholdBulkRefund_PaymentUser)
Accept the default entry (your User ID) or click the Picklist icon to select an alternate User to link to your refund.
Note: The ability to override the Refund User Name is controlled on the Permissions profile • Button/Misc Permissions tab • Override Permissions Group.
Refund Cash Drawer (HouseholdBulkRefund_PaymentDrawer)
Accept the default entry (your Drawer Number) or overwrite it with an alternate Drawer to link to your refund.
Note: The ability to override the Refund Cash Drawer is controlled on the Permissions profile • Button/Misc Permissions tab • Override Permissions Group.
Refund Date (HouseholdBulkRefund_PaymentDate)
Accept the default entry (today's" date) or click the Date icon to select an alternate Date to link to your refund.

Email Recei/maintenance-To-Do/saprofile_permissions_permissionpts (HouseholdBulkRefund_EmailReceipts)
Select this option to have Receipts sent to Households via email when the process is complete. Receipts generated from running this program can be printed from the Document Center as well.
DeleteHousehold Records (HouseholdBulkRefund_Datagrid)
The Household Records displays households with a valid credit balance generated within the Date Range you selected above. Review the households in the DataGrid. Use InLine Editing, if desired, to change the Refund Amount.
