The Auto Schedule Generator screen creates a league schedule based off number of games per team per day and per week.
RecTrac looks at the following when generating a schedule and creates the most balanced schedule possible. Once a schedule has been created, schedule maintenance allows you to alter/switch games as desired. When creating a season schedule, RecTrac looks at the following:
- Number of Teams in the League and, if odd, your Bye-Fill Game option.
- Whether games are Double Headers.
- Number of Total Games each team will play, practice and regular.
- Total Game Time, game minutes and set up minutes.
- The open and close times of the linked facility/facilities.
- Linked exemptions. Remember: you increase the probability for scheduling conflicts whenever you add an exemption to your League. If scheduling conflicts cannot be avoided, the scheduling software will ignore the exemptions in favor of completing the schedule.

Begin Date (LeagueSchedulesAuto_BeginDate)
Accept the default value (league's begin date), or change it as needed. The Auto Generator will generate game slots as dictated by the times allotted on your linked facility/facilities over the entire date range entered. If your date range is too broad, the Auto Generator will simply schedule the last game and stop. If your date range is too narrow, the Auto Generator will complete the schedule to the last date in your range and then assign games dates of 12/31/2099 for all remaining games, unless you enable the Automatically Extend League End Date option.
Dates assigned to the Facility Links will override this date range. If you assign a date range when linking a facility, RecTrac will use those dates for that facility when generating the schedule.
Note: Unlike the Matrix Schedule Generator you cannot add extra days at the end to schedule to accommodate rain dates and postponements when using the Auto Schedule Generator. Use the Maintain Schedule program to add extra dates and/or reschedule games.
End Date (LeagueSchedulesAuto_EndDate)
Accept the default value (league's end date), or change it as needed. The Auto Generator will generate game slots as dictated by the times allotted on your linked facility/facilities over the entire date range entered. If your date range is too broad, the Auto Generator will simply schedule the last game and stop. If your date range is too narrow, the Auto Generator will complete the schedule to the last date in your range and then assign games dates of 12/31/2099 for all remaining games, unless you enable the Automatically Extend League End Date option.

Maximum Games per Team per Week (LeagueSchedulesAuto_MaxGamesPerTeamPerWeek)
Accept the default value 1" in the Maximum Games per Team per Week field or overwrite it as necessary. The system will attempt to meet the threshold value you enter.
Maximum Games per Team per Day (LeagueSchedulesAuto_MaxGamesPerTeamPerDay)
Accept the default value 1" in the Maximum Games per Team per Day field or overwrite it as necessary. The system will attempt to meet the threshold value you enter.
Scan Option To Balance Games With No Home Facility Involved (LeagueSchedulesAuto_ScanOption)
Expand the Drop-down list to select how multiple facilities are scheduled. If you have only one (1) facility for this League, accept the default. If you have multiple facilities linked to this League, choose accordingly.
- 0 = First Available (No Scan): If you want the system to take the first facility slot available and link this game to it.
- 1 = Sequential Assignment by Time: If you want the system to fill up game slots sequentially by earliest time slot to latest time slot within a week, no matter what the facility.
- 2 = Next Facility Same Day of Week: If you want the system to fill up game slots sequentially by day of week, using up all time slots and facility slots on one day before moving to the next day.
- 3 = Same Facility Next Day of Week: If you want the system to fill up game slots sequentially by facility, using up all slots at one facility within the week, before moving to the next facility.
- 4 = Next Facility next Day of Week: If you want the system to fill up game slots alternately by day of week and facility, moving from one facility on one day to another facility on the next day, until all slots for the week are used up.
Balance Referee Assignments (LeagueSchedulesAuto_BalanceRefs)
When enabled, RecTrac will attempt to schedule an equal number of games to each referee available. Any referee linked to at least one (1) of the Referee Qualifications you included for this League will be schedulable.
Note: If the Balance Referee Assignments option is deselected the system will schedule the first available qualifying referee until that referee is no longer available and then continue in this manner until all qualifying referees have been scheduled.
Schedule Refs To (LeagueSchedulesAuto_ScheduleRefsTo)
Enter the date through which you wish to Schedule Referees, if applicable (this date may differ from the league schedule's ending date).
Override Facility Warning Messages (LeagueSchedulesAuto_OverrideFRWarnings)
Select to complete your league schedule regardless of any facility conflicts that might occur.
Use a Bye-Fill Game for Odd Team Leagues (LeagueSchedulesAuto_UseByeFillGame)
Applies when you have an odd number of teams within your League. Selecting this option schedules one team to play in two games, which ensures every team gets to play at least once. Disable when a team gets a bye for that week.
Automatically Extend League End Date (LeagueSchedulesAuto_AutoExtendEndDate)
Depending on the BEGINNING and ENDING DATES of the league you MAY NOT have enough game slots available to complete the schedule. If this occurs, then the system will assign these games a PLAY DATE of 12/31/2099. Enable this option to automatically extend the end date of this league for enough days to complete the schedule. Disable this option when you do NOT want the system to create additional play dates in order to complete this schedule.
All Games are Double Headers (LeagueSchedulesAuto_DoubleHeaders)
Select when you want the two-paired teams to play two games back-to-back. In most cases, you do not select this option.
Do not schedule games on facility holiday dates (LeagueSchedulesAuto_NoHolidayDates)
Select to skip holidays when scheduling games. For Example: Your facilities might be closed on holidays (i.e., Thanksgiving, Christmas, etc.…). See Holiday Management for more information on maintaining holidays within RecTrac.
Facility Headcount (LeagueSchedulesAuto_FacilityHeadcount)
Enter an estimated headcount for games to update the Facility Module with each Slot that is scheduled. Use when your organization runs the Facility Usage Reports to track patron attendance at your facilities.
Question Place Holder (LeagueSchedulesAuto_ModuleQuestions)
Displays fields when you assign a Question Type of System Reservation to the League Registrations Module through Module Management.
