The Pass Visit Update program allows you to add/change/delete visit history information for pass memberships. $0.00 / No Charge Visits only can be updated. Visits with fees associated cannot be updated using this program. Updateable information includes Visit Date, Visit Time, Visit Count, Guest Count, and Questions if applicable.
Note: To update/edit Visit Fees, use Global Sales • Purchase History. The Visit Records DataGrid for this program DOES NOT display Visit Records with Fees attached.
To Use the Pass Visit Update Program
- Click the Picklist icon for Pass Number and select the Pass Number for the patron whose visit you want to update. The Pass ID field should auto-fill.
- Enter a Date Range.
- Click Show Visits. The Visit Records DataGrid will populate with all Visits linked to the pass selected.
Notes:
- By default, the Pass ID field lists the most current (i.e. Active) record for the Pass Number selected. If the DataGrid does not populate with the visits you expect to see, you may have to select a different (i.e. Expired) Pass ID record.
- The Visit Records DataGrid for this program DOES NOT display Visit Records with Fees attached. To update/edit Visit Fees, use Global Sales • Purchase History.
- Highlight/select the Visit Record you wish to update and click Change You will continue to the Pass Visit Update Adjust screen.
- Make changes as needed. Updateable fields include Location, User Name, Begin/End Date, Begin/End Time, Visit Count, Guest Count and Question Answers, if applicable.
- Click Process when ready. You will return to the Pass Visit Update screen.
- Repeat these steps as needed or Exit back to the main menu.
From the bottom of the screen…
Click Add to continue to the Pass Visit Update Adjust screen, where you can Add a $0.00 Pass Visit, if desired.
Note: In the event you Add a Pass Visit for a date in the past, the Visit Date will reflect the date you select, but the Transaction Date will use "today's" date. For Example: "Today" is 10 March 20xx. You Add a Visit Record and enter 05 March 20xx as the Begin/End Date. The Visit Date will be recorded as 05 March 20xx, but the Transaction Date will be recorded as 10 March 20xx.
Highlight/select a Visit Record and click Change to continue to the Pass Visit Update Adjust screen where you may update a Visit record as described above.
Highlight/select a Visit Record and click Delete to purge it from the pass visit history for the pass selected.
To exit this program, click 'X' on the title bar. You will be returned to the Main Menu or the previous program.

Pass Number (PassVisitUpdate_PassNumber)

By default, this field lists the most current (i.e. Active) record for the Pass Number selected. If the Visit Records DataGrid does not populate with the visits you expect to see, you may have to select a different (i.e. Expired) Pass ID record here. Expand the Drop-down list to see all pass records linked to the Pass Number selected.
This is a Mandatory field for the default VSI RecTrac Design. Your Design and setup may vary.
DeleteBegin Date (PassVisitUpdate_BeginDate)
Click the Calendar icon to select a Begin and End Date range.

Click Show Visits. The Visit Records DataGrid will populate with all Visits linked to the pass selected over the date range you enter here.

DeleteEnd Date (PassVisitUpdate_EndDate)

The Visit Records DataGrid displays all $0.00 Pass Visit Records for the Pass Number selected over the Date Range entered. By default the Pass ID field at the top of the page lists the most current (i.e. Active) record for the Pass Number selected so if the DataGrid does not populate with the visits you expect to see you may have to select a different (i.e. Expired) Pass ID record.
