Discover helpful tips and strategies for avoiding no-shows on your golf tee times, ensuring you make the most of your scheduled rounds on the course.
Use the Tee Time No-Show Processing screen to update the Tee Time No-Show count for a golfer and charge any No-Show fees associated with this Golf Course. No-Shows result in lost revenue, and often a fee is charged to recoup part of that lost revenue (i.e., could be the entire greens fee). Knowing your chronic No-Shows is helpful to your staff.
For Example. On Monday, Friedrich books a Tee Time for Wednesday and his Credit Card is processed but nothing is charged at that time. Wednesday comes and Friedrich does not show up. End of day, you run the Tee Time No-Show program that charges Friedrich your standard No-Show fee and increases his No-Show count.
The Journal Report produced by this operation identifies the No-Show Count for golfers processed, and No-Shows are available as a reference in other areas of the system.
Prerequisites:
- Processing the card at Tee Time Reservation captures a token that your credit card gateway can later use to charge a No-Show fee.
- VSI recommends configuring RecTrac to require processing the credit card at Tee Time Reservation:
- Go to the Management ribbon • System Management • User/Menu/Profile Management group • Profile Assignments.
- Highlight the desired Golf Profile and then click Change.
- Expand the Tee Time Credit Card Settings grouping. Enable the following for RecTrac and WebTrac as is appropriate: Require Credit Card for Member Tee Times, Require Credit Card for Non-Member Tee Times, and Require Credit Card for Guest Tee Times.
- To process a No-Show Fee, you MUST associate an appropriate No-Show fee to the golf course.
- Go to the Management ribbon • Golf Management • Gold Course Management.
- Highlight the desired Golf Course and then click Change.
- Click the Fees tab.
- Click Add • Fee.
- Click the Combo Box icon to select No Show for the Transaction Type field. Multiple selection is allowed.
- Enter the Fee Description, Amount, Revenue GL Code and other fields as required.
- Click Save.
- When you run the Tee Time No-Show Processing, make sure to enable the Add Balance to Household If No CC Info field for situations where no credit card is on file.

Golf Courses (TeeTimeNoShow_GolfCourseDataGrid)
The DataGrid displays the Golf Courses in which you are given permission to view.
Click to select the desired golf course to update no show counts. Only one golf course can be selected/processed at one time.
DeleteBegin Date (TeeTimeNoShow_BeginDate)

Click the Calendar Icon to select the beginning play date for which you wish to update no show counts. For Example: Select today. You might run this operation each night to process that day's no-shows.
DeleteEnd Date (TeeTimeNoShow_EndDate)
Click the Calendar Icon to select the ending play date for which you wish to update no show counts. For Example: Select today. You might run this operation each night to process that day's no-shows.
DeleteBegin Time (TeeTimeNoShow_BeginTime)

Click the Clock Icon to select the beginning playtime for which you wish to update no show counts. For Example. Select the start time of the day's first Tee Time slot.
DeleteEnd Time (TeeTimeNoShow_EndTime)
Click the Clock Icon to select the ending playtime for which you wish to update no show counts. For Example. Select the end time of the day's last Tee Time slot.
DeleteAdd Balance To Household if No CC Info (TeeTimeNoShow_AddBalanceToHousehold)
This option is available when the Process Option is set to Post and Journal. This option is disabled when the Process Option is set to Journal Only.
Enable to update the household balance with the No-Show fee (assigned on the Golf Course's Fees tab) when a credit card is not available.
DeleteUpdate No Show Count on Members (TeeTimeNoShow_UpdateNoShowCount)
This option is available when the Process Option is set to Post and Journal. This option is disabled when the Process Option is set to Journal Only.
Enable to update the player's No-Show count. The No-Show count is shown in the Journal Report produced after processing this operation. The No-Show count is also available for reference in other areas of the system.
DeletePay Code (TeeTimeNoShow_PayCode)
Click the Picklist icon to select the Payment Code for this transaction.
DeleteUser Name (TeeTimeNoShow_UserName)
Accept the default username (i.e., yours) or click the Picklist icon to select an alternative username. This username is associated with the No-Show transaction.
Note: The ability to update the username is determined by your Payment User - Allow Override Permissions (Permissions profile • Button/Misc Permissions tab • Miscellaneous Settings group.)
DeleteProcess Option (TeeTimeNoShow_ProcessOption)
Expand the Drop-down list to select your process option.
- Journal Only - Print a journal report of all selected Tee Time No-Shows without processing the fees. This is a good first run" option as it will let you see which patrons are included when you opt to Process.
- Process and Journal - Process Tee Time No-Shows and print a journal with the results.
Drawer (TeeTimeNoShow_CashDrawer)
Displays your cash drawer Number. The drawer Number listed here is the drawer Number that will be linked to the No-Show transactions. Accept this entry or overwrite with an alternate drawer Number, if needed.
Note: The ability to update this field is determined by your Payment drawer - Allow Override Permissions (Permissions profile • Button/Misc Permissions tab • Miscellaneous Settings group.)
DeleteProcess Date (TeeTimeNoShow_ProcessDate)
Click the Calendar Icon to select the process date for the No-Show transactions.
DeletePayment Reference (TeeTimeNoShow_Reference)
Enter text in this field as needed. The payment reference fields allow you to enter notes regarding this transaction. Payment reference information is stored on the receipt record.
Note: The label for this field can be customized if needed by entering alternate text in the payment reference 1/2 fields on the Payment Code itself.
