Hello and welcome to this week's edition of RecChat. I'm your host Bret Alarcon. So for today's RecChat, Zack is going to talk about tips and tricks for Global Sales. So we're going to be talking about adding payments, the benefits of household sales versus daily sales and other options you can use during Global Sales. So if you have any questions during the presentation, Click that little q&a Button, you'll get a little Window, you can ask your questions, and we'll have answers. If you just like to make a comment during the presentation. There's also that little chat Button at the bottom Click that and ask or sorry, just give you a little comments. All right, so with that, I'm gonna hand it off to you, Zack.
Zach Malloch 1:23
Thank you, Bret. How you doing today?
Bret Alarcon 1:25
Doing all right. It's a good day, a littlerainy. But good inside
Zach Malloch 1:29
We get that every so often, we need a little bit of that in Vermont
Bret Alarcon 1:31
Yeah.
Zach Malloch 1:33
And we're joined by Colin today, who is also helping with all the chat stuff. How's How are you doing today Cullen?
Cullen Barber 1:39
Doing good Yeah. All right. Good to see you guys.
Zach Malloch 1:42
Great. Well, I'll lean on both you guys to add a lot of it, you know, Global Sales is pretty central place. As far as RecTrac goes, we have a lot of controls that affect it and a lot of things that kind of change the way it behaves, and acts and these are some of the things that we do that are maybe slightly outside of normal ranges, but can be really useful for people. So let me start by sharing my Screen just realizing I haven't done that yet. And I'm going to guess that you guys can see my RecChat, RecTrac is the product RecChat is the show. Okay?
Cullen Barber 2:15
Yeah,
Zach Malloch 2:16
I'm oriented here. Awesome. Okay, so I think maybe one of the parts that I want to start with here is talking about what one of the really common functions that we actually run into. And that is a split payment. So I'm going to get to my payment Screen. And so the only thing I did in Global Sales was get something with a fee into my cart, and then get to the payment Screen. So that's really all I'm doing. And the main Button to call out here is the difference between this add payment Button versus the Process Button. In particularly when we're doing any sort of credit card stuff, if you Click Add payment, it is getting the authorization at that time for whatever the amount here is on that credit card, and then just putting it into this kind of like collected payments area. But until you hit that Process Button, it doesn't complete the sale. And if you don't hit that Process Button, that authorization is is going to be out there, but it's never going to actually complete. So that's really important to understand. If you're using the credit card pay code, if you're adding the payment, you are getting the authorization at that time. And it is possible to back out of here with out generating receipt. And if you did that, then that authorization will eventually expire. I believe that we had a customer that ran into something where they were doing a lot of daily sales, they were getting to the Screen and it was a new clerk and they're clicking Add payment every time they had to do that and calling what was the number something like 200 and some odd transactions
Cullen Barber 3:48
It was almost 300 credit card loss on the same same transaction. They didn't realize they had to get the process to actually finish it. So they ended up with close to 300 credit card sales on one receipt, not likely they did hit process because if they hadn't, then then you're you're looking at a potential out of balance situation right where the car would have already been charged. But it's it's not going to finish and RecTrac.
Zach Malloch 4:17
Right. And that is actually going to segue nicely into the conversation about daily sales versus household sales. So in that situation, those were mainly daily sales. And if that clerk or if somebody hadn't eventually gone in and hit that process to get the authorizations back for all of those stacked up credit card transactions, essentially, there wouldn't really been any, any way to track people down for that money because daily transactions are attached to the Daily Sales household and that's of course not specific to anybody in the system. The other place that daily sales can sometimes be so the first thing is daily sales you have a lot less tracking if you need to find somebody to get a payment or to give them a refund, or whatever the case is, you can't find them. That's, that's the biggest drawback, I'd say the biggest benefit, it's fast, you don't have to look up a household, you don't have to create a household. But the other area that you can sometimes run into issues with the daily household is if you ever went in there and went into purchase history, because this is kind of the combined purchase history of every daily sale you've ever had in your entire RecTrac database, this can sometimes get a little bit tied up returned up. So going into purchase history to cancel things for daily transactions are generally not ideal things to do. So if there is a case where you might have a return or a refund or a cancellation, that might be another case where looking at doing more household based transactions rather than daily based transactions might be a little bit beneficial for you. And then, just like I said, just going back to that one piece, as I'm looking at my notes here is, is once again, if there is a problem with the authorization if there's a problem with the split payment, if there's a problem with anything, and you need to look up a particular transaction or do something with that, again, at some point or track it down, you have many more resources available if it was a household sale, rather than a daily sale. And just I'm sure that most people have actually let me, I'm just gonna go back into Global Sales from scratch. I'm sure everybody's pretty aware of this. But we have, you can select our so you can search your household or we can completely skip by it and just go directly to daily or guest household and your Global Sales might even default to this probably your touch Point Of Sale defaults to be a daily slash guest household. If you're using that I have a question that comes up when I choose the daily sale. But this is specifically when there's no household attached. So we don't have that extra bit of information. I think I've talked, go ahead Cullen,
Cullen Barber 6:53
Just gonna say Zack backup, kind of on that Add payment Button. We've, we've worked with a few customers, we've actually changed their Screen design and change the name of the Button to be split payment. And we've done it enough where we're considering actually as a default of new new screens that go out in the future, we're thinking about actually changing the name to split payment instead of add payment, because there has been enough confusion for newer clerks that that process is what we want them to do. But yet payment seems so natural, and it's right there. Right? So just kind of a heads up to the, you know, the customers out there that we're kind of weighing that out. And it may be something we do decide to do going forward.
Zach Malloch 7:42
And Bret I saw a question pop up,
Bret Alarcon 7:43
Yes we got a question from Jodi. If that is hidden as a custom Screen, where do I modify that to show guests daily sale?
Zach Malloch 7:52
Alright, so I believe I have a custom Global Sales Screen. So let me turn on my VSI Screen design here and then go into Global Sales. Alright, yeah. So this is what most people will see, when we did the new UI refresh, we added these is kind of like a drop down menu. So when you have the skip Button that gives you the option of choosing the daily or the guest household. Now since Cullen mentioned, the Screen designed to change the wording of that Button, let me just real quick, just dip back into Screen design again. So if we go to Processing Screen Management, this will answer Jodi's question as well. That's not profiling data processing.
Bret Alarcon 8:40
And while you do that, I just want to say that we have a few people chiming in saying that, naming it to split payment sounds like an excellent idea.
Zach Malloch 8:48
Good to know. So we've got our processing Screen start. And so this is all of our different processing screens. If we were looking for the splitting out the buttons, then that would be the Global Sales lookup Screen. So if you don't have a custom design for that, you can go in here and we can go to Global Sales. And there's our lookup, that's the household lookup Screen. And I think I had that already for custom I do. So if I make it for a different design, we can see by default, and then we go all the way down through here, here's all of our Button groups. And there's our skip Button group. And inside of that we have the daily the internal the skip household lookup. So we could just drag one of those out of this group and then that way it is visible outside of that kind of drop down menu. So that is just real briefly the lookup and then if we're doing the payments, leave that that is just its Global Sales payments Screen. There it is Global Sales payment. And once again, we would customize this under whichever code we want to use, I'm going to actually link it to custom because I believe that's my design. Here's the payment tab. Here's our group one with all of the payment types and everything available. If we go below that, there's kind of the center Screen. But here's our add payment Button. That's kind of in this main Global Sales payment group. So I'm in Global Sales. And I'll get to the payment Screen real quick. relatively quickly, go to the Payment Button. And so it's this main tab, back name lookup total do total paid. And so I'm using that to orient myself back name lookup total do total paid, I'm in the right area, I come down to the Add payment Button. And then this is where I could change it to be something else. And maybe this might be too many letters. But now if I turn off this VSI Screen design and relaunch Global Sales, I should be able to jump into the payment Screen. And as long as I have the custom code, I'm pretty sure I do because we're just doing those other pieces of Screen design trainings. Yeah, and there it is. So it did go a little bit off of the Button. If we say add split payment, but we that proves the purpose or the point that we can change the text on that Button. Now, were there a couple other questions that came in?
Bret Alarcon 11:27
Yes. Jodi has a good question. No, sorry, Joy Joy has reading along with. Hi, do you have mope? How do you have multiple Global Sales tab? When someone needs someone? Something urgently? I always have to close out of what I'm working on. Thanks.
Zach Malloch 11:46
Yeah. So you kind of have in the old version, you could right Click, and then say open a new tab. But in this version, where Nope, that was definitely the wrong Button got into my muscle memory. I think it's the regular menu. If we expand that, if I'm right. Yep, right here. So we say open application in new tab. So if we start with Global Sales open, and then I come up to my menu, and I expand it, and then turn on open application, a new tab and then hit Global Sales again, then I get two versions of Global Sales. So I can be in one household on one pass through that Tickler. And then in the other, I can get to a completely different household. So there we go.
Bret Alarcon 12:38
All right. There's one more question. It's not quite Global Sales. But interesting question, a completely high level question. You don't have to answer this live. Is this version of software installed? Or is it browser web based?
Zach Malloch 12:53
So it's kind of a you can say yes, to both pieces of that, potentially, we offer a fully hosted option where we have the software installed on our servers, and then you just hit it with a browser, the only software you need to install on any of your workstations would be VIC. Otherwise, you're installing it on us one server at your environment. And then once again, just installing the VIC executable on the individual workstations. So that helps out we have some documents, we can certainly get you for that.
Bret Alarcon 13:24
A few more questions popped in or do you want to kind of move on a little bit? Okay. Derek, wants to know, oh, no, sorry. Questions are jumbling all over on me. Eddie wants to know, is there any way to move the open application in new tab to just above the notifications box?
Zach Malloch 13:41
So like over on this side, there is not currently a way that we need to be an enhancement, and then go through the review process and everything. So yeah, unfortunately, no way to move that Button right now. Thank you for questions. All right. Perfect. Thank you guys. Yeah, this was going on, we had kind of a short group of things to talk about, because I kind of knew that questions would spiral out. So that's well and good. So I wanted to just also talk about the use of the data grids. So I'm a big proponent of data grids, I think we have a pretty nice lab that goes through how data grids work presented by entertaining and if I might say very attractive people. And there's a lot that you can do with data grids, especially with templates, potentially making those available for front desk staff to really quickly find things. So like when you first come into your activity search and you are your activity DataGrid and Global Sales, you might have a lot of things here, but because of the templates I have set up I can very quickly jumped down and now this is filtered to show me only soccer activities or I jumped to fall and it showed me only activities that start with the number two or I jumped to youth and it's only showing me things with the category of youth defined. So having the The filters for these data grids makes it very, very quickly to find things of particular types that you're looking for. If I was going to do that for something like my passes, so I have some passes that are defined as Rec memberships, I've got some that start with an A for annual passes, I've got some a start with a D for dual passes. So if I go to my options are actually the first thing I want to do is I want to filter down the DataGrid to the results that I want. So let's say I want this to begin with the letter A. So it's everything that has a beginning with code here, or you know, maybe that's not exactly what I want, maybe I want anything that has. An so it contains. So that's anything that has the word annual. So now I've got this filter down, now I go to options and show settings. And if I want to make this available, so everybody that goes to Global Sales can select from it, I turn on this Toggle, if I just want to make it for myself, I don't turn on this Toggle, I am going to make it available for everybody. And then I will call this annual passes. And I will hit this create new template. If I just hit close, it doesn't actually make it. So you have to see it up here in this new template area. So now when I hit close, I can go back to my default. So this is all of my memberships, I dropped down my template, there's annual passes it reapplies, that filter. And I can I have another filter that I had put in place earlier, that was a whole bunch of different things change, like the number of columns and everything is there. The thing to understand about templates is that however the DataGrid looks right now, when you go into that options and show settings, so imagine like being able to look behind this and see what the DataGrid looks like, when you hit Create new template, it's saving it in that state. And then you can have your staff go in and start using any templates that you said make available for everyone pretty immediately from that. The other thing actually, I'll mention real quick, let's say we always wanted to start with annual passes, those are 99%, everything that we're selling. So if I went to my settings, and I highlight this annual pass, and I say Set as default, then that means the next time I go into Global Sales, I can completely exit out of this, actually, I've got those two instances, we'll exit out of both of them. And we'll jump back in. And so it should, and it does already have that, that filter that template applied to it because I said that should be the default that's applied every time this initially loads up. So they can still switch back to see everything in those like 1% of the cases or 2% of the cases where I'm not selling an annual pass in that hypothetical situation. But that's also kind of a nice thing there. The other thing is like just teaching your staff a little bit more about how DataGrid work, particularly with activities. If you want to say just set the beginning date anything beyond today, let's say starting next Monday, I don't have a lot of options. But that certainly narrows down things down very quickly for me, and I know I'm not showing the clerk's or the clerks aren't looking at anything that's happened in the past that staff were, these people wouldn't be able to register for it because of the date and time sort of constraints.
And this, of course, can be saved, but then we're saving it with that particular date. So maybe if you're getting ready for a new season, you know what the registration start date is for that season. So let's say it's September 20, for fall classes, then we could make sure that this is set to on or after and save a template, and then call it fall classes. And then anything that we're set up with a date in the future or beyond 9/20 of 2021 would display and anything below that wouldn't display. Right, I saw a couple of chat messages. But anything that would be useful to talk about with the group.
Bret Alarcon 18:53
No, just commenting on the nice features that you have for the separate Tabs
Zach Malloch 18:57
Ah Yes multiple Global Sales can be very useful in multiple cases. Going back to Screen design, for a moment, I did want to talk about something that could also be a potential performance enhancement. So when we initially come in here, and you're like, you know, our my database is nothing compared to most of yours. Many of you will have 1000s and 1000s of different activities potentially. And even maybe more important than on the activity DataGrid. But on the household lookup Screen, we load a certain number, mine are limited to 50. And then I load the next 50 results. By default, a lot of these will come up and be 500 results. So if we wanted to change that, that's a parameter that we can get to in the processing Screen. It's actually on most DataGrid I believe, so we're going to go to processing Screen and manage accessing Screen management. I will go to my Global Sales look up it's my custom design. I already have this one that has all those buttons split out. That's why mine started with them split out. And then if I go into my, actually, it's there it is. So in group three, and if we look at this kind of makes sense. Here's group one is lookup Field, group two are the buttons, group three is the data group, grid and group for these buttons. So group three, there's the DataGrid. What's our first initial max value? So I can just drop this down? If I wanted to adjust it, actually notice that already was 50. So maybe, or was 500. But I was noticing 50. So maybe that's already a little Oh, actually, that's probably what it is. Yeah. So I default to doing my search by family member. So that was already limited to 50. Pardon me, if I were to adjust that back to what we were going to look at, just to kind of see what happens here. Close Global Sales look up and go back in. And so it's fairly subtle, but that took a little bit longer. And because it's loading 500 different households, rather than 50 households, and depending on how much history is there is how many records you have how many other people are in your database, how many other things are happening on the server, or the time of day, the temperature, the orientation of the moon, sometimes, you might get some different performance based on your database loading 500 results versus somebody else's database, leaving 500 results. So if it does feel like going into Global Sales, or any particular data grids take a really long time to load, maybe it's a good idea to limit the initial search or the initial fetch to a smaller number of records. If you think about it is 500 results really useful to anybody anyway. Or should you really ideally be teaching people to narrow down the search by putting in a more concise search term here. Same thing with all the Global Sales, individual Tabs and the like, as well. And then there's two special Tabs that I think are worth worth talking about within Global Sales that are kind of a little bit of a special case. The first one is up to the little bit easier want to talk about, which is this in process. So when we're talking about something being in process, that means it's in the shopping cart for this household, but it's not in the shopping cart on this session, or in this instance of Global Sales. So let's say I had, I'll actually use my purchase history, I'll see I don't think I have anything I still owe money for. Now, if they have a credit on that one, I'll just sell something new real quick. So there's my Service Item that I like to use as my test. Alright, so I've got this in my shopping cart. Now if I use that new feature we just learned about and open up the second session of Global Sales and go in for the same person or the same household. Then if we look at the in Process tab.
It shows us that there's something happening, there's another session of Global Sales open for this household and there is something in their shopping cart. Now in this case, it wouldn't really cause a conflict. But particularly if you're trying to pay off an old balance or something, let's say that I started paying off my car, I put a downpayment down on my summer camp. And then I came in to pay for it at the same time my partner called in on the phone to pay for it. And they got the clerk on the line first and started talking about or started the process, the clerk opened up Global Sales found that they owed the money for the activity, put it in the shopping cart. Meanwhile, I'm at the front desk, maybe 20 feet away, but not knowing that this is happening and looking for that activity to pay off and the clerk at this desk can't find it, because it's in the shopping cart for the other person. So if I then was a savvy clerk, and I knew that sometimes this could happen, I could check this in Process tab and see oh, it looks like this. There's a this is happening right now. So maybe somebody called in maybe it's even on WebTrac that this is happening that it's in process. And then we can end the session right here if we want to or take it over also from this tab if you want to try to do that if it's this was only B if it's an abandoned session, then you know that it's supposed to be either ended or you want to take it over from wherever it was before. And then we'll talk real quickly about purchase history. And I guess just a real quick thing that we wanted to mention is that we've got this reprint option, and we have the option of reprinting the first or reprinting the last. Now most of the time, that is going to do the same thing because most of the time there's only one receipt associated with a particular transaction. But if it's something where you have an installment bill or if it's something where you made a down payment and you made a partial payment, another partial payment and then finally paid it off, where you come into A Facility Reservation and you're editing and making changes, switching the date switching the time recalculating the fees, recalculating the additional things are changing the questions, each time you interact with the transaction and then go through that payment Screen and hit process and generate a new receipt. That's a new receipt that's attached to a particular line on your shopping cart or in your purchase history, your transaction history here. So if I say reprint first, it's going to do the original receipt, that was the very first receipt that started that transaction. So if it was a facility, maybe it's the down payment for the deposit, and nothing else, the last receipt is just the most recent receipt that's been associated with that. And if we look at this current receipts column here, we can see that I don't really have too many things that have more than receipt one receipt number listed, because well, I'm not gonna have anything because it just is the current receipts, the most recent receipt, excuse me. But if we went into some of our database query areas, like DB inquiry or DB edit, we could look up this transaction in SA detail and potentially see a lot of different receipts attached to it. Now most of my stuff is generally going to be a single receipt, because the Type of transactions that I do are pretty simple and pretty straightforward. But let's see if I have anything that I know just off the top of my head I adjusted. Don't know for sure. But you know, we could do something like reprint the first receipt, see what number it is another thing selected here. Turn this off, reprint first. And we'll see if this is 67781. It is so this only has one receipt, otherwise, it would have been the first receipt the different initial one. And Debbie points out that we can add receipt list to the DataGrid, which is absolutely true. So we come down here, and there it is. So now we have that column provided. And this way, let me clear. Well, I've had data, I had DataGrid defaults, which took away that extra column that I just turned on for the receipt lists. So let's do that again. And let's go all the way over and uncheck. I'll just sift through. Yep. So there we go. So that one actually has three, four receipts attached to it. So that's the difference between the reprint versus the reprint last by default, just doing reprint first is most of the time going to get the receipt that you're really looking for. But I wanted to point out that distinction. And looks like maybe we have a couple of questions, questions to bring us home.
Bret Alarcon 27:51
Yes, few questions. And Tom wants to know, is this in process the Button in an updated version of three one, I don't have the option currently on my Screen.
Zach Malloch 28:01
incredibly good point. So in Profile assignments, this is a setting on your daily processing Profile. It was added and I don't think it was turned on by default for people who already had existing customized daily processing profiles. But in your modules and additional components, I believe if we scroll down, the very last option there is in process. So if you turn that on, that turns on that in Process tab for everybody with Global Sales that's attached to that daily processing Profile. So hopefully you're not too many of those you need to update to give access to that. But very, very good question, Tom. Thank you for bringing me back to that point.
Bret Alarcon 28:45
Tracy wants to know, for data grid columns and Global Sales, primarily short description and activity, facility and purchase history, what settings have to be changed in processing Screen management to increase the width of those columns. So more of the description can be seen.
Zach Malloch 29:02
All right, let's see if we can do this real quickly. Because we can do some stuff with processing screens. And so you're talking activities passes. So that would be Global Sales area one which is the area across the top with all the Tabs. So let's take a look at activity in Global Sales. There's all of our sections and we're looking to increase the size a short description. So if I look at this right now my short description is a decent size but not super long. It's basically it's cutting off this one household on them. I didn't member title of this activity. So if I if I go back to my processing Screen update, I found this one. And so the max length is going to be the length of characters that can be put into that. So I think what we want to do is get into our advanced Field parameters and so on to autocomplete column width. This is our column width right here. So I, let's just try making it obvious and a really big, I'll make both of those up to 400. And then I'll close global sales and relaunch it. And it's always open, I already had it open and that other Tabs, so it took that over. That's not my new version. So let's open this up. And might be going a little bit slower because of some of the settings changes we made. But if we look at activity, there is our longer short description, Field width. And so the autocomplete I think is just how wide is this, and this is roughly 10 pixels wide. So I think it's accounting for that. But the column which would be the best, like that's what I changed the 410. So good question, and luckily, a quick one to change. Another thing to point out, though, is as you're manually changing these settings, if you create a template, let's say short shorts, description. And I'll create that here. So now if I go to my defaults, it has the long short description, but when I recover that template, it remembers that set back I had shrunk it at that point. So you can do it through Screen design. But you can also do it through your DataGrid templates. If you whichever one's more comfortable Screen design, you can preset for everybody DataGrid templates, you can set the templates up, but each person still needs to go in to select the template maybe set it as their own default if they wanted to.
Bret Alarcon 31:49
Ready for another question?
Zach Malloch 31:51
Yeah lets do it.
Bret Alarcon 31:52
All right. Annie wants to know, on the purchase history tab, is there a way to make sure transaction has all of the receipts attached, I ran into a situation where there are only four different payment refunds attached to an Activity Registration. However, only three of the four receipts appeared under purchase history, I had to run a separate report to find the missing fourth receipt.
Zach Malloch 32:13
Interesting, that sounds more like a specific situation they're Cullen, does that ring any pattern Type bills for you? Or is that?
Cullen Barber 32:24
Not as a pattern? No, that sounds like maybe a specific Type of situation support would have to kind of dig into it to suss out.
Zach Malloch 32:34
It feels like it's something where there was a trend, that one that fourth receipt for whatever reason, didn't get the table links attached to it at the end of that transaction. So maybe it is technically in a slightly problems state. But intentionally it's not supposed to. Or we're not supposed to miss any receipt numbers there. There's there's no like, oh, we have a reattach receipts process because it happens frequently or anything.
Bret Alarcon 33:02
She Said, Okay, I mostly want to make sure the receipts list column should list all receipts.
Zach Malloch 33:07
Yes.
Bret Alarcon 33:10
All right Autumn wants to know, is there a benefit over templates, then packages.
Zach Malloch 33:17
Kind of different purposes really. So with your template, so you can really quickly filter down your results. So when you make your individual selections from here, it's it's picking from a smaller group, you're not having to like find this in like needle in a haystack situation, you making a much smaller haystack relative to the needle. When we're talking about packages, that's a way that you can kind of group different items together. And say when you sell these things together, it's actually going to be a different rate than will when you sell these things apart. Or we want to provide a kind of automated process the walk, he walks you through, let's say a 5k registration, a a memorial or a commemorative t shirt and a water bottle. So whenever you Click on this one thing, it adds all three of those things that registration and those two items sales to the shopping cart for you that might be a lower price and if you sold them all individually, so kind of different purpose, although interestingly, you can create templates for your packages DataGrid. So different purposes, somewhat compatible purposes potentially.

Nicole has a question on templates and data grids. If I make changes and want those changes, save to a custom template that already exists. How do I do that?
Zach Malloch 34:35
Alright, so the a easy or a number one easiest way I would recommend doing it is apply the template that you want. That means the data grids in the state that is almost where you want it to be. Make whatever tweaks or changes you want to whether that's the with the short description or options in Show Settings, and then highlight the DataGrid that you want to update and And when you hit save, it saves over, and then updates that setting. So then when I that I accidentally overrode my fault template, so that but that what that means is if I actually Click on soccer, there's my default soccer. But if I Click on fall, there's what I attempted to basically do to update that instance with the longer short description like,
Bret Alarcon 35:24
Tracy kind of has a similar question, where can you make changes to the default DataGrid instead of templates, especially the options?
Zach Malloch 35:24
So that is, well, okay, so there's two answers to that the main place for most of this, like the order of the column, the width of the column, whether you want to hide columns or not, that Screen design, if you want to change it, just as what Global Sales looks like the first time anybody opens it without selecting any templates, the options piece here, we actually control that in a couple of ways through the permissions Profile. So if I look at my permission Profile, it's actually on the third tab, the buttons and miscellaneous stuff. So we're right here. And then on interface settings, or is it? Nope, not there. Nope. could have sworn it was right there. That's not SMS law user, evaluate evaluation VSI, design RecTrac lab VSI. Support product announcements, sure somebody is going to tell me where it is, before I get to it. Over here DataGrid permissions first tab, not the last one, allow users to manage templates for everyone. This just means Do they get that Toggle that says make this for everyone or not. If this turned on, they can only make templates for themselves. Hide the option menu for all data grids that completely hides the option and you cannot Click on it. So you can't you can't select all rows you can't clear selected you can't print the DataGrid as a table or as a document. And then we have this show just the hide show settings. So you can get to options. But you can't get to show settings to reveal columns that have been hidden, or to manage templates, or edit templates or things of that nature. So that's really what we have as controls for the DataGrid. Specifically, on the option side, the control of the DataGrid. The design of the DataGrid is once again through Screen, in this case for Global Sales, processing, Screen management, Global Sales area one. And then you have each tab that you can adjust and kind of control as you want to. So like if I wanted the Type to show up after the category for whatever reason. That's now readjusted those columns, by default when I initially go into well, yeah, when I you look at my DataGrid defaults, it adjusts that, but then any templates will overwrite it. So hopefully that helps out. Anything remaining out there.
Bret Alarcon 38:08
That's it for questions. Oh, actually, couple more just popped in, where would the options Toggle be?
Zach Malloch 38:15
So it's just this in all of your DataGrid. So for in Global Sales, it's right here. This is options. So if I turn that title off from my Profile, I don't have this Button, I would just say templates, the selection Button and then the refresh Button and this would be completely hidden, which means everything underneath it is also completely hidden. The other option is to say show options, but hide Show Settings soon I have access to all of these pieces. But I can't get into this extra piece where I can then turn on and off different columns or change their orientation, or create or delete templates. So hopefully that answers that one.
Bret Alarcon 38:51
And then Kristen wants to know and data grids is there a way to increase the height of rows? In particular when working with set updates fee sets? The curricula or criteria description has multiple lines wraps but gets cut off.
Zach Malloch 39:06
Yeah, I Cullen off the top of your head. I don't think we do have that capability.
Cullen Barber 39:17
Yeah, I don't know that we do either. I haven't seen that being adjusted.
Zach Malloch 39:27
Yeah, cuz like this is the width of the column, which makes sense. But as far as like we're readjusting columns, not rows. And I think that that's the issue is we need to change the row height. And I don't know that that is something that's exposed us
Cullen Barber 39:42
Right.
Zach Malloch 39:44
I would think it would be for the entire DataGrid but for that like it's the height of the DataGrid itself the container that that all fits within. Yeah, I don't see anything about row height. So Unfortunately, I don't think that's something we have access to change. Though I believe that that has been putting in as an enhancement, particularly like the rules and fees where you have multiple criteria, and they can start to stack up. Any other questions?
Bret Alarcon 40:18
Yeah, so pertains to a question that was answered kind of behind the scenes. Is there a way to reorder the Tabs and Global Sales, a purchase history activity facility? We use purchase history a lot and find it frustrating. That's all the way to the right. Also, can Tabs be removed? That we never use? And then Cullen answered Yes. And yes, this is done in the processing Screen design. And then the follow up to that was, I suppose RecTrac admin in my department knows where that is, if there's time, can Zack give us a quick show?
Zach Malloch 40:50
Well, I'm actually in the right place. And I'll add an addendum to that for Cullen two. So this doesn't control the order. But in Profile assignments in our daily processing Profile, if we turn off components in this, in this module in additional components, it hides those Tabs from you. So if I didn't use these modules, or certain people in the department didn't use these modules, I would just turn them off here. And then you don't have to do anything with the Screen design. Now, if you did want to change the order of those Tabs, you actually also have the ability here to define define what the first tab is. Where is that I'm missing it at the moment.
I'm kind of my eyes never liked to see the things that I'm looking most for at the exact moment that I'm looking for them. In misc, it doesn't feel like it would be. But I'm pretty sure that there is a setting in here that lets us define what the first tab we start with is by default, its activity. But you notice when I go into it, actually, it's in my processing Screen, it's also activity. But when I go into Global Sales, my first tab is actually the standard Pass tab. So that's my daily processing Profile has that control turned on that says, This is the first thing to present in Global Sales. But if you wanted to change larger slots, or just say, everybody in our department now falls under this kind of setting, that is processing Screen update, it's still this Global Sales area one. So whatever Screen design, you're using custom, Global Sales area, one each tab is represented here. So if I didn't want activity, I could just drag it off and drop it over here. And then that deletes it, and it deletes everything that is underneath here as well. If I wanted to change the order, then I would just adjust the order move trip up, maybe take purchase history, because I want that to be more prominent, move that up as well. So we'll put that right after Standard pass. didn't drop. Grab it again.
Actually, I think I'm like dropping it underneath somewhere where it doesn't like to
Bret Alarcon 43:14
know she grabbed something than scroll i
Zach Malloch 43:16
That's important. Yeah, I think I might actually up Nope, there it is. It is it did move on. So now if I close Global Sales and relaunch it, it should start or have purchase history a little bit earlier on. Need to change my design and turn down those search settings? So I'm still starting with that standard pass, but then purchase history is the fifth tab over or Yeah, fifth tab, fourth, sixth tab over rather than the 13th or whatever it was before. So yes, definitely possible. Alright, so I if that wraps it up, then I think that we're pretty much where we need to be for this little Global Sales tips and tricks. Any parting thoughts Cullen or Bret?
Cullen Barber 44:15
With a lot of good information out there, I do have some videos that might support some of this right out there.
Zach Malloch 44:21
So I think I'd probably start by talking about the RecTrac lab. And like that's once again, if you have permissions to it, it's right in your support menu in RecTrac. And everybody has access to it. And then we have these navigate to these, these chapters here. So chapter one navigating just orientation to RecTrac. Global Sales, kind of the controls not really super tips and tricks, but select somebody put into your shopping cart pay for it. The data grids, we get a little bit more into the way that data grids work and the way that they're Blind and oriented. So like something like this the anatomy of a DataGrid. If you wanted to show people, what the various areas of the DataGrid were and how they work, you could do something like this. So that's probably the primary one. I'm thinking about. Cullen, although I think we do also have a couple of the older symposium recordings built into the help
Cullen Barber 45:21
Sure. yeah.
Zach Malloch 45:24
All right. So I think that basically brings us in.
Bret Alarcon 45:30
Well, actually, there's a quick question that popped in, is there a way to print a middle receipt from the purchase history rather than the first or last for transaction?
Zach Malloch 45:39
Yeah, so there is not, not from Global Sales. So if swimming, that we have the receipt list turned on, then we would be able to find the receipt number from the middle. So once again, like some of these I have four or five receipts attached to so like, I would just get the number from here. And then I would go into receipt reprint in and do it there, unfortunately, yeah, we don't have. Although maybe it would be easy thing to say like print selected receipt, and then you Click on it, then you get a second pop up, and then you choose the receipt number if there are more than one. So yeah, possible enhancement idea. And actually, yeah, so I see that Eddie posted a response to you. And he so what they recommend doing is going into the household inquiry, I have it kind of outside but also inside this area. And then from here, I have the old inquiry Screen where everything is spread out, you're going to have kind of stacked buttons again, I think. But when you go to transaction history, then we can start filtering down, we can find the activity or the receipt, and then we can just highlight one, and then we can reprint it from there also. So if that's a useful way of doing it. That's also a very good point from Eddie, thank you for that. All right. So we did go a bit over today, which is awesome, because it's all from your questions and the like. And thank you for all your questions. Thank you for everybody for sticking around with us. We'll definitely be posting this before too long on to the RecChat archives. And we're gonna look forward to seeing you guys for the next one. Have a great rest rest of your day and Cullen Bret. Thanks for joining and have a great weekend if I don't talk to you before then.
Cullen Barber 47:32
Thanks, everybody. Thanks for joining.
Zach Malloch 47:34
Thank you. Bye, everybody.
