Hello, and welcome to this week's edition of RecChat. I'm your host Bret Alarcon. So in today's RecTrac, Zach is going to be talking about how to use past prerequisites in the past module. So before we start, if you remember, there's that little q&a Button down there. That's how you can ask us questions. And we'll give you answers. There's also a little chat Button down there where you can just make a comment if you wish to. And with that, I'm going to hand it over to you, Zach, how you doing today?

I'm doing pretty well, Bret, I just noticed that you said we will answer your questions and not specifically questions about the RecChat. So we'll see how that goes, we'll do our best. And I will invest, I will amend the so we're going to be talking about the past prerequisite, which of course involves the pass module. But we're actually going to use the prerequisite and other modules, you can use activity as the example. But you can expand beyond that, however you want to. And so let me see a move. Before I start sharing, I think I'd like to share the the reason that we're doing this in the scenario that you might run into where this would be a benefit. So there's obviously a lot of ways in RecTrac, with rules and with fees and all the criteria that we can control how the system responds to various people, it can let certain people in not let other people in. So in the past, we've had some situations where you have to be able to provide certain documentation before you're able to sign up for an activity, or maybe you have to do something to fill out limited liability paperwork before you can reserve facilities. And you can certainly go into a household and throw a fee code on or you could put various other like you could put a feature on the people. But the problem with those is that if it's something that has to recur, you have to manually remember to go in, find that fee code, find that feature, whatever it is that you did, and then remove it from the person when they are no longer considered valid. If you have to get an updated set of documentation from them each year. If you need to have an updated physician letter from somebody every six months, you really want ideally something that will automatically expire. And passes are exactly what we have in the system that have expiration dates on and so the benefit of using a pass prerequisite criteria is you can set something up that will let people register as long as it is a valid pass. But then as soon as that pass becomes invalid, it automatically stops the process from working, they can no longer pass those rules. So it's kind of two steps. And the first one I'm going to do is go into the pass and actually create that pass Type. You can do it either direction you want to but if you create the rule before the pass exist, you'd have to go back to the rule and then add the pass to it once you've done so once you've created it. So it's a little bit more efficient to create the pass first. And since this is essentially this is to represent receiving the documentation. So the way that I sometimes describe it to people is imagine that you're we're selling them this pass. And the cost of the pass is the documentation is not actually money. So we don't have to worry about fees or anything like that. And presumably if you're getting the documentation from somebody and giving them this pass, it's because they should have it. So rules shouldn't really be in play. So we're just going to call this let's say day care, PW for paperwork.

And we'll just use that same description across. If we wanted to, we could certainly throw in types and subtypes and categories, maybe we want to describe this as being a paperwork pass. If you have other things that you would need to use this for, you could certainly throw them in here. But really, it's just the code and then the term. So how long is this good for? I think that we saw a write up come through for a help article a couple of weeks ago saying that, you kind of need to sub submit the paperwork for each class. So then you're kind of selling the membership, and you're setting it to expire by the end of whatever class it's good for. Now, obviously, you can certainly do that. And then maybe you just make a daycare pass for for May or for June and we just put in the number of the month in there or something along those lines. But if you can make it so it's good for a certain number of days if this fits with your policy, maybe I only need to do this once every year, I give you a copy of the birth Certificate, I give you a copy of the medical records. And then because you have given those to me, I know that those are valid for a year or maybe you need a physical every six months. So then we would put 180 Whatever in here, but when you sell this membership, it will be good for whatever term we put into play. Let's go and use 180 as our example. So then I'm gonna say this pass and you know It was I didn't go to any of the other Tabs because it's really just here to tie in the code and the term.

Now when I go to activity management, I have this daycare class. And I could certainly go into each of the individual sections and set a different roll up so that each section required a different pass code to register for. But if it works, where you submit your paperwork, and then you can register for any daycare class, because we have it on file, so you're good to go, then I would just probably go in directly to the activity level. So that would automatically affect all of the sections at the same time. And so I'm going to start with a blank record. And we'll call this documents required. So you're allowed to purchase this item as long as and then the criteria is going to be a past prerequisite I criteria. And we have prerequisite criteria. For other things, it's just in this case, because of that expiration date pass is probably the best one, it's the most universal one that I have seen. So we can do it as an individual code. And in this case, because I created one particular pass to cover this, I think it caught a daycare paperwork yet, there it is, we're going to select that one particular membership. And it says that the family member has to have this pass and the pass has to be good as of the item beginning date. So once you turn in your paperwork, you can sign up for any daycare classes that happen within 180 days of turning in your paperwork essentially. So that's really all we need to do for this prerequisite. And then I hit Save. And so now if I go to global sales, since that's a new pass, I know nobody in my system owns that membership Type. So we'll just wait for global sales to load. First time in is always a little bit longer. Here we go. And so under the Activity tab, I'll just find one of my daycare sections. So that was activity 101. And these are my active section. So we'll go for June 23. Now that add to cart, this will probably say it's maybe already started. But I can choose individual days, let's just say I want to go for this particular week. And then I hit continue. And this doesn't matter if that it's a by day enrollment, right? Same thing would happen, but you're not getting that rule violation. So at least one unit per family member of the code, daycare paperwork has to be owned, that has to be valid at least through six, five of 2023, since that's the starting date for this activity, and I have not met my document require allowances. So I will go ahead and hit cancel. And I'm going to get this five times unless I hit this copy override. And it can't Oh, I can sorry, cancel all remaining items. That's the one. So instead of going with the activity, first, I'm going to go to my membership tab. And I'm going to get rid of my filter and replace it with this one. So there's my daycare paperwork pass, I add that to my shopping cart. Let's say it's actually the habit girl that's going to be registering for daycare. So she is now registered for this membership. If we were to look at this, let's see update from our or change from cart, we can see the expiration date I must have put in years instead of days or no, it probably is 180 months that would make sense as far as why that is so far in the future. So be careful about the the term that you put into it. I'm just gonna double check that it still will work for this example. But I'm, yeah, it sets a month rather than days. So what I will do is instead of setting that 280 months or 180 days, I'll just set it to six months. And save that. So now if I remove this from my cart, and then re add it

So now it's a six month pass rather than 180 a month pass and so it's good until December of 2023 more reasonable dates for sure there will still give it to girl. And so now immediately after putting it into the shopping cart, she can register for this activity and not run into that same violation because as soon as it's in the cart, it's technically an active and a valid pass as long as her that is registering because we did set the requirement when the family member, if I also tried to register the child, then the girl will get into the class with the child, we'll get some conflicts. So we'll just sign them both up for the same week just illustrate. And then we'll hit continue. So now this is for the child, we're getting that violation. So I'll just say cancel this and all remaining. And for the girl, we were able to get all five of those sections into the shopping cart. And of course, the regular daycare, the past itself is zero fees, because we didn't set up any fees. So that's essentially what you would do. And one of the real reasons that we recommend this is you can turn in the paperwork, in person, but if you're not ready to register for daycare sessions, or maybe you're trying to get the paperwork in early so that you can register for stuff as soon as the registration starts. You can do the daycare paperwork sale, make that available only internally, so they have to come into the office to turn in that paperwork. Or maybe they can even mail it, and then you do something you have one of your clerks go in and sell it to the this person. But once they own this pass, and they can register themselves for things online, because that the pass has a term and a length to it. So in the past, I've seen a lot of people will do this, they'll just validate, maybe they'll have a list in person, but then that means that they have to make it so you can't register for daycare stuff online, because somebody on your staff has to manually validate that they will own the paperwork. So you're checking that every single time that you do a registration. And this is just a way for it to automatically give you the right term once you turn in that paperwork. And as I mentioned, this is using activity as the example. But if I wanted to say let's say it's liability paperwork for facility rentals, using the RecTrac convention facilities fr so we'll say fr paperwork copy that.

Make that is now spelled right, copy that, paste that there. Once again, we would just set how long this is good for. So maybe you have to provide a proof of personal insurance, something along those lines, but this one is good for a year, we hit save on that. And then we can go into any activity that we want or any facility that we want to. And if it was all facilities, we could just go to the facility module level and put this in. But I can just, let's say starting like archery, that makes a lot of sense. So actually, we have a class level. So maybe I'll go to the archery class, and I'll link the rule there. So facility class management, and then we'll go to archery. And on the Rules tab, we'll just do the exact same thing except for we might change the date range just slightly, it's probably going to be reservation date rather than an item begin date. Although technically, it's probably the same thing in this case. So facility paperwork required. And then the same exact criteria of pass prerequisite. Just typing piece instead of a faster see only one that starts with P, we add that and then we'll just choose the FR. Paperwork passcode here. And then we can say, you know, based on the Transaction Date, maybe this is throughout item, if you're making a pattern reservation for the facility, you need to make sure that your paperwork exists or is valid all the way through the pattern. So maybe you don't want people to make a three year reservation if they have to provide their paperwork every year for you. So we can just switch it to that and we hit Save. And then we're kind of good to go. Now this is still per family member. Maybe in this case, it's just as long as one person in the household has given you the pass or giving you the paperwork. So maybe we would change this and say that anybody in the household owns one of these passes and you're good. Just to make it a little bit more consistent with how Facility Reservation is often work. And then we hit Save. And as you can probably imagine, if I went to facility, reservations, and I found any archery range that I wanted to let's move this a few days in the future and 6:15pm to 7:15pm and add to my cart, and we'll answer the question should I? Vote? And then that one did not. Actually give me that error message. Maybe I needed to save this itself. Anybody notice anything that I did wrong there, please let me know. But we'll just remove this one. And we'll just try the exact same thing again. So we still have it selected, add that to the cart.

Shooting station 4 Well, let's go into. So our Oh, I chose the wrong one. This is my problem with my database is I have too many codes. So I added the rule to arch but it's actually the archery class that I have links to those facilities. So I was updating the wrong thing. So I'll go ahead and just redo this real quick. Bret, did I see a question come into play?

Yeah. If you remove your daycare paperwork from your cart before completing the transaction, Does it remove the rest? Also?

Good question. So the answer is based upon a setting that you have in global or in your daily processing. Or it's, it might I think it's actually your permission Profile, and the Toggle is allow cancellations with dependencies. So if the reason you're able to get into something else is because of a rule that you qualified for, because you own something else. Or if it is, if you got a discount for something, because you are enrolled in something else, and then you try to enroll the thing that was dependent upon getting the discount, the system will say you're not allowed to cancel that one thing until you cancel the other things as well. And I can show you that in just one moment. So that's a good question. Remind me to come back to that just in case it gets distracted here. Obviously I am because I'm spelling terribly. There we go. So allow the purchase as long as the pass prerequisite set.

So set that to household. Hit save. Save that. So now if I go to global sales, we should have a conflict if I Click to add this to my cart. Yeah, so there's my my conflict message. So now it's actually working. So let's solve a membership first.

I called it facility and the short description fr was just in the code. And there's my Facility Reservation paperwork, it's good until June of next year, I hit Add to Cart. And it doesn't really matter since this is for anybody that is in the household. So we'll just do the daycare paperwork. Nope, that was I must have had, oh, I still had daycare paperwork selected there also, so unselect that I will empty the cart. Let's add just this one thing to the cart. So now we have that pass in the carts. If I go back to the facility tab, I should still have an archery range selected for the same dates and time. So now we'll add that to the cart. And now I should not get any reservations, I still have the questions. Hit Continue. Now the only reason that this is there is because this is there. So now if I try to get rid of this one. Well see to remove both items there. Now if I'd actually completed the transaction, let's do that real quick. So go back to the pass, we'll get that to the guy this time and go back to the facility. Same deal

so there's my sale of the reservation and the pass and let's go to Profile assignments. And I'm in as the Z Z Z user just to confirm that Yep, ZZZ users ZZZ group. So here's my permission that is affecting me database admin. I believe it is on the Miscellaneous tab. So the third tab in this Profile, if I remember correctly.

Button miscellaneous permissions. And then miscellaneous settings override permission cancel with dependencies. So I'm going to say no, do not allow cancellations with dependencies. Go ahead and hit Save. And now if I go back to global sales, back to my same household, and then we'll go to purchase history this time. And because I have to do that permission, it should not allow me to cancel just the just the pass. So if I try to get rid of just the past here. So the following previously purchased item have a role of dependencies. So the shooting station reservation is tied into the fact that you own this. So unless I have a Username that has a permission Profile that allows that cancellation with dependencies, I can't continue with this cancellation. It's an invalid. And if I put in the wrong Username and password to somebody that doesn't have that permission, I would get the same sort of message. And so I can't cancel this, I would have to but there's no issue with canceling the Facility Reservation first. And then I can cancel the membership here. Because now there are no dependencies, because I've already started back or maybe I actually have to complete this cancellation first. So go ahead and do that. And we'll just do a refund now. I'm not sure if I made a difference. Ah, let's see. Sally wants to know, I'm curious. Have you seen any agencies use this as a method to determine households who are approved for residency?

Yes, actually. So if you need your households to prove their residency status, every X number of years, you can absolutely make a residency Type membership and then only sell it in exchange for their proof of residency. Because there's no other way to make a residency status expire. So yes, absolutely. That would work. And we have done. So in the past, the one thing to be aware of is your initial push to get that in place is possibly going to be a big one, you're going to need everybody that's a resident to come in and prove their residency and then sell every one of them a pass. And most likely, you want to do that manually, because otherwise you're not actually validating residencies. There are other ways to do it. If you want to just assume everybody that's currently a resident will be a resident, we could potentially do a household export of only residence households and do an import and automatically assign that pass to it. It's definitely beyond the scope here that would need to be a support call, or potentially even something that you would buy some time with implementation for because it's not a standard thing, but it is certainly a possible thing. But just to complete my example before, now that we cancelled that facility, we should be able to cancel this pass, which we now are able to do. But we were not able to cancel the pass before we could cancel the facility because the only reason we have the facility was because of a pass.

All right, Amy wants to know, we use past prerequisite for boat registrations to lists boat name, length, insurance, etc. To sell Jaguar boat slip, Marina tickets for home games. Works great. But my issue is reporting I can't find a way to get to questions from the pass to the ticket sales customer report by ticket date. Is it possible to cross modules for these Type functions?

So you want to run a report for the tickets, but then get the response for the questions that were originally sold on the pass membership sales.

Yeah. Trying to think about so let's go let's take a real quick look. So we obviously need something where we can filter for multiple modules. And the base table I'll just go ahead and tell you is going to be SAdetail. SAdetail is the one that kind of ties the various components of a transaction together. If we weren't just for SAactivity, or I'm sorry, just for a pass report, there's no way we could get to the other module to get that in for me. addition, maybe if we do an SA detail and then go to one of our system reports, that allows us to get multiple things in here, but we'll see reminder household spending transaction by month.

That's, I mean, we, I think we might be able to get that, it would definitely take some custom reporting work. Let's just see, if I run this, what we can get into, we would definitely need to change the output. But if we have this transaction detail report, and it's part of the system module, that means I should be able to tell it, which other modules to run through. And so I might be able to get it to print he, I guess the difficulty would be getting it to print for questions for the past, but getting it to then filter. For only people that purchase tickets throughout a certain date, I'm not gonna say it's impossible, we might be able to get to it through this report option. But we also don't have a lot of time left on this report. But here we have our filters. So maybe I would turn on paths and ticket as my two modules. So then that gives me these extra two Tabs at the top. So ticket code range, then this one doesn't actually have the Transaction Date specifically for the tickets. So if it was a different code for the ticket, you could run a report that would show you all the people that purchased this ticket, and I believe it combines with this and you can say only people that also own this membership. And then I think if we go into output update, tickets slash pass then we could potentially in the essay detail fields, get our question answer all. Obviously, we're having to load some stuff. So we add a row here. So we have some space to put new fields. And then we go down and we find our so there's all of our individual question answers. But if I just do this simply with question, answer all, theoretically, this would pull all of the questions tied to whatever is reporting out. Now the the tricky part could be the filtering piece. And of course, if you're also asking questions during the ticket sale, might be tough to distinguish the questions between the tickets and the passes. But I guess I don't really have anything, this, this would be how I would start this process and see how close I could get just playing around with it. And then I might need to call and get somebody from support to take a deeper look into it. So I don't necessarily know if the I don't believe that there's any way to go from a pass membership report to tie into any filters in the Point Of Sale module, which is really what you're looking for here. So that custom reporting option would be how I would start. But yeah, I think it would need to be a more specific question that come or something that is asked for from support, if you can't get it just from playing around with it a little bit. But I do want to keep going. So Bret, what other questions do we have?

All right. Sue wants to know, does the staff enter the pass prereq once they have the paperwork, I assume the customer just does not choose to purchase the paperwork prereq?

Yes. So that would be my Rec. I mean, you can do whatever you want to it's your database, of course. But I would recommend that you make neither of these available for the web. So actually, that's maybe I think we default to display on the web. So I'd probably set this to just say no. And then that way you have to come in in person to give somebody that item. Now, in the future, we might be able to open that up with something along the line of forms, or potentially some of our question types where you can actually upload a document as part of a question you can make it a required answer to sell this thing. However, the system will not automatically validate the forms to say they needed to upload their birth Certificate. And we know that this is a birth Certificate, they could upload a picture of their cat and the system would see it as a file upload it would satisfy the requirement and then they will be able to purchase the pass. So most likely, you want these not to display on the web. So it is only something that your staff interest because they're the ones that get to that that know how to validate the paperwork

Alyssa wants to know, is there a way to have customers purchase a pass on WebTrac and upload your document with it? You could be a photo of their proof of residency or Certificate of insurance, etc.

Yes, you're going to run into the same caveat I just mentioned, though, so we do now have the ability of creating a document Type question. So if I just Click add here to create a new question, and we say please upload proof of residency. Then we choose our question Type. And we say that's for purchase. And then the Field Type is going to be Document Upload File Upload. And then here we can say that like, we don't want a bitmap, we don't want a comma delimited file, we don't want a Word file, we want either. HBIC is the image format for iPhones nowadays, jpg is a regular image format, PDF would obviously be a fairly common one that you get, but you get to choose what Type of extensions you want to let people upload for you. But once again, they could really love upload any document that has any of these extensions. And as soon as they buy that pass, if it's online, they now are valid to register for everything else. And then if your staff member comes in two days later, and tries to validate this and sees that it is not, in fact, a proof of residency, that it is a cat holding a card that says I'm a resident, you could say, well, that's cute enough that it's okay. Or you might be creating a customer service issue, because then you have to contact the customer and take away the things that they got, even though they were a little bit deceitful. In the beginning, do you want to run into situations like that or not? It's kind of up to you.

So we don't have a way of validating these things, you can get the information from your customers. Maybe it would even be like a three, proof of ID. So you run a report of everybody that purchased the proof of residency that uploaded file, and then you turn around and manually sell them an actual one that would then let them register for things. You know, so that you can certainly do that. Now, if you are going to start doing the whole residency Type pass Type. Then if you have any criteria that are set to the residency standard, then maybe you go back and you update all of those to be passed prerequisites for the residency pass Type. That wasn't directly to this question, it was something else that I jumped into. And I also noticed that Jamie just asked about AI that could identify documents for you. And I am absolutely positive that within the next four or five years, we would have something like that, or somebody out there will have something like that, depending on how much we want to integrate that into RecTrac. And just get over to the new robot overlords. That will be part of the question there. And then Alyssa is asking where the documents are saved to they are uploaded into your document center. So that is something to be aware of. If you're asking for sensitive documentation, anybody that can get to the Document Center could potentially see documents and uploads. So they will jump into here. However, most of the time, the most direct place that you can see it is going into global sales going to purchase history, highlighting the item that had that question attached to it. And then you can update to your question and answers. And then this would show you the file and you have a little View File Button next to it. So it's in the database, it's not putting it in a folder on your servers. So it's not like just a file or something that somebody could grab and take the entire document folder with them at the same time. But it's also not as easy as just looking into a folder and validating everything in there. Especially not if you're trying to tie it back to somebody specifically. So that looks like the last question we had at the moment. Any thing? Oh, here we go. i So David is asking about the ability to delete files after you validate. So if they are sensitive things, maybe you don't want them to hang around. So let's go back to 2020. I don't know actually, I don't think I've ever actually had anybody upload family member documents in this database. So I might not have anything in here. Let's find any file and actually don't like the Code of 2010. So let's just go to Just telling it to look for a way to many files. And this might still I mean, this will still be a large number because all reports all receipts and everything counts as documents that we're storing back here.

And it's still loading. So oh, here we go. So anything here, like it would have the name, it would have the file extension. Like in my case, I have a ton of reports. But if I Click on one of these reports, I can then delete that individual file. So as far as I know, it is still a one at a time deletion for file uploads from those question types. I don't know that there's any bulk way of purging things like that, although now that I see it. Curious what we get in scheduled events management, I know that we did add a couple of miscellaneous events recently, although that might be on the version that is yet just about to come out. Database exchange, inventory valuation and offload receipt.

Yeah, I don't think we have anything that just automatically clears that stuff out. We do have a process that will be of the record clean up. Let's actually see what record cleanup does these days.

All right, actually, Bret, maybe you can make a note of this that the help in the scheduled program, it's probably under the scheduled program. And so if we go down the scheduled program, then we go to record cleanup programmers every minute looks for delete links, records of the down the program runs, especially links, logic cleanup, any extraneous records that result from individual records being deleted, or ranges of records being purged. So that's not actually the one that I was thinking was.

Bret me if so I'm thinking of something that we have. It's a document cleaner, maybe it's not a miscellaneous scheduled events. Document, document purge. And this is something that we can schedule. So in this case, documents, reports, statements, tickets. So I guess this is where I would imagine something like this coming at some place, I don't know for certain that the documents get uploaded under the family member or under the household currently. I mean, that's probably something we could find if we go into the question and work a little bit more in depth into that.

So something about what that actually is, what the extension controls are, and then where those are actually stored. So we can do a test. We don't have time for it right now. Basically, I would set up the document Type, I would upload a document as part of the question and then I'd go into my document center and see what Type of file it's actually listed as. And then that would tell me if the document purge would be able to clear if it counts as a family member document or a household document. But as I mentioned, at some point, I would imagine that we could add like question upload files here and then we have the control as far as when they were uploaded and delete anything older than a certain length of time. So I do apologize, I don't have a definite answer for that at the moment, but we will get help updated so that when we find out that answer, you will also have that answer.

As a tribute to our former Director of Operations, Cullen has left us unfortunately, as of last Friday, so this is our first week without him.
