So today we have Erik, and he is going to be talking about evaluations, but we're gonna be using evaluations a little differently, because we're gonna be using them along with some certain third party software to get some customer feedback. Yeah, I'm doing good. Thanks for Thanks for having me again, Bret. Glad we Yeah, glad we used to go through some some post. Post activity feedback surveys today. Feel like it's been a more common topic than than ever recently. So hopefully, hopefully, people are gonna kind of enjoy some of this. So get my Screen shared out here so we can start taking a look. Awesome. Yeah. So I'm gonna start things off here by talking a little bit about RecTrac evaluations, the official in software way that we have for customers to answer questions after a program has finished. As I've probably alluded to, just in the way that I've phrased that evaluations are questions, just like the other questions that we asked during an activity like your enrollment purchase, questions, change, cancel questions. Evaluation questions are just a Type of question that can be linked to your items. And in all kind of go through the basic way that we would do that, although I'm sure some folks who are watching along are probably familiar with questions. And that's going to start on, presumably the individual activity level or activity section level. So I'm gonna start off in Section management. And we'll go to our test program here. And then we're gonna go look at our evaluation question.

So on the Questions tab here, you can have all like, kind of mentioned all different types of questions attached. The one that we're really focusing on today is the evaluation Type question. So questions that you have for post feedback surveys will get created and linked as evaluation question types. And I'll go through that real quick. Just linking an individual question with that Type. I've already got a sample question that's in here that I created for just how would you rate an instructor? Whatever questions you guys are asking on those posts, feedback surveys, we have all the different question types and RecTrac. We can do freeform fill ins, prefilled, dropdowns, etc. So there should be a way for your customer? To answer that based on the existing kind of question answer types that are in the system. But when we want to go ahead and link a new question for evaluation, we can go ahead and do that to our individual program here. This is going to bring us to our question text management in our question, text management, we're free to create a new question in here. And as long as the question that we're creating is going to use the question Type of evaluation, that just means that it's going to be saved, it's not going to be asked during the initial sale of the program or the initial, you know, any of the changes that a customer may make along the way, it's going to wait until the program has ended to then be available for to be asked and answered by the the customer. So I can go ahead and create another evaluation evaluation question in here.

How would you rate our facility is and then you can put a little extra information in here about your ranking scale, you probably give a whole talk about ranking scales. I know we did. Internally, a lot of the feedback surveys that we use for things like post case surveys and post implementation surveys, I had a lot of feedback on those about kind of grading scales and what we actually expect customers to give us here. So whether you're using a one through five, one through 10, or some other kind of custom scale to grade those, all of those could be created here just using a RecTrac Combo box question. So we're going to list our options that the customer can choose from and order is absolutely important in here if you're into the psychology of surveys like I am. So I'm gonna put in our options list here for the different options that our customer can select. I probably want them to be able to have to answer this question. So I may set it as required here. And we're gonna just go ahead and save that and link that to our program. Now I've got my How would you rate our instructor? And how would you rate our facilities questions linked here, you guys can have as many of these as you need to fill out to get the information that you want from your customers. Just make sure that those are linked to your program when the program is actually up for sale. So want to make sure that these questions are created when we're initially setting up the program and having people enroll for it that way by the time the program ends. These questions are available for them to then answer the next one work that would be involved in the evaluation questions here. Do you guys want to hop in? Dan are you on mute?

All right. Rachel wants to know, are clients still required to log into the RecTrac system to respond to these surveys?

Yes, evaluation questions and RecTrac are participants specific. So we are looking at only participants who have completed the particular program, which means that it is not truly anonymous feedback, the customer's account still has to we have to check to make sure that they were registered for the program, and that they're the one logged into their WebTrac account to answer these questions. We are going to talk about some external or third party solutions outside of RecTrac that allow for more anonymity later in this talk, though.

Rachel also wants to know, can questions be more generalized and asked across several programs at once? Or even entire program library?

Yeah, absolutely. Just like with all the linking levels that we have available in RecTrac, you can certainly have these evaluation questions linked to something higher like a Type of sub Type of category, or even the entire activity module or an entire season. And if you would rather do something like that. I would imagine if you guys have common questions that are like that, that would certainly be the easiest way to set those up. But if you are looking to do more tailored questions, then you may end up making something on the activity or section level

We are going to talk about that here as well. So I'm gonna go through the customer experience and what that looks like. And then we're going to start talking about some RecConnect options on how we can reach out to our customers to send them information on where to complete the surveys, which can be done automatically.

Seeing Dan's face pop up on my Screen was really what indicated that we had a question there. So Dan, make sure to show your face again so that you get my attention so we can answer those questions. Excellent. All right. So continuing on, then once we have our evaluation questions linked, and we have our participants enrolled in our programs, our participants can then answer those questions. And the way that they do that is through WebTrac. And inside of their WebTrac account underneath the My Account menu, when your customer is logged in, there is a option available on your WebTrac menu called evaluations. If this option is not available on your WebTrac menu, or it has otherwise been hidden or moved, you can edit your WebTrac menu through WebTrac menu management to go ahead and put this item on there. Just a quick recap, then on WebTrac menu management for those kind of trying to try to do this, you know from start to finish in their database and don't want to go dig up more information here, within WebTrac menu management, we're gonna go to our either, depending on if we're on the new web UI, we're gonna go to our Next Gen Account menu. Otherwise, we're just going to go to our default menu in the system. And when we change that item, the default location for it is underneath the update folder within the My Account. And if you need to grab it from the available fields over on the left, it's just called evaluations and that can be dragged into the UPDATE Folder or technically any of the other folders on the customers logged in then you for them to be able to access.

Going back to the customer side. Now, if that is available underneath their update menu clicking on the evaluations, when you have participated in a program that has evaluation question links linked, you will end up on this Screen and see any program or programs that you have participated in that have evaluations questions linked, and that have not yet passed the evaluation and date. Just to quickly talk about this back on the program level. On the Questions tab. Some people with astute eyes might have noticed this that there is an evaluation end date that is at the top of our Screen. The evaluation end date set on here is the last day that evaluation questions will be visible for the customer in this area. And the evaluation questions will automatically start as of the program end date. So you're essentially creating a range here between program end date and evaluation end date during which the customer can answer those questions. After that point, that program will no longer show up in the evaluations area. And the customer would no longer be able to answer those questions, and allows us to keep a relevant timeframe during which the question the customer may remember their experience and may want to provide feedback to us. So they can't go back and rate a program that they took years ago poorly just because of a recent bad experience. On the customer side, then once they've selected their program to evaluate, they can choose to complete an evaluation question and any evaluation questions that are linked to your program, the customer will then be able to select and submit for you. So I've now completed my activity evaluation for that program. If I needed to go back because I forgot to answer a question or wanted to give you more feedback or answer a question differently. The customer can go ahead and do that as well.

Another question for your do they receive a notification by email or phone to or do they have to be looking in their account to see this?

So we're going to talk about this here because the notification that the customer would receive would be a scheduled RecConnect That comes from you. So just like how a customer when they're passing membership is expiring, they're not going to know unless you set up a scheduled RecConnect event that's going to reach out to customers with expiring passes. The same is true for surveys. If the customer doesn't know that the survey is happening, how do they know to actually go in and fill it out? Well, we can set up a scheduled RecConnect in the system that can target programs who were ending and let customers participating in these programs know that there are valuation questions that they can answer on WebTrac. So we're actually going to I think that was probably the best time we're just going to start diving into that aspect of it next, which is the RecConnect portion of things. How do we alert customers that surveys are available for them to complete?

I think that ties in with a pardon five, messed up your name Tremain or Tremain. But they had a question. Can you schedule a RecConnect to remind the patient about their evaluation? And can the RecConnect contain a direct link to the evaluation?

Absolutely. So as far as the link will go through the RecConnect portion, but as far as the link that we're actually looking to go right to provide the customer, your URL bar in your WebTrac has kind of the base information in here about your site and your Customer Identification. But the specific page that we're looking to direct customers to is evaluation dot HTML. So the length that you provide to your customers can just be to this evaluation page. If the customer hits this and they're not logged in, they will then be, they will then be prompted to log in before they can access this page. But at that point, they're really just coming back to this evaluations page here directly to answer those questions. So we're going to get into the RecConnect side of things now and kind of look at what creating an alert for a customer to get to this page might look like. Alright, back on the RecTrac side now, before we can actually go in and run and schedule our RecConnect, there is there's some important Screen design that needs to happen in the system for you to be able to run a rec connect in this way.

The default via Screen design for the activity enrollment Reports Screen does not contain the begin or end date range filters. But these are filters that you can add to that Screen through custom Screen design. So everybody put on your custom Screen design hats and remember back to when you did your Screen design trainings, because we're going to have to know a little bit about the organization of our Screen designs in our database, and just some Screen design in general in order to actually put the required filters on the Screen for us to use. So, first thing we're going to need is report Screen management. And just reminding everybody that with Screen design, there's four separate Screen design panels that you can get to but since we're designing Screen, that is going to be for running reports, we need report Screen management. Within the report Screen management, we are looking to add or change a Screen designed for the activity enrollment report Screen is the same Screen that things like rosters and Activity Fee reports already run from. So you're probably pretty familiar with the Screen already. But we're looking to add two new filters or at least one new filter with new options. If you're adding one, you probably have reason to add both. But we'll talk about that in just a second. So depending on your Screen design codes that you have in your database, this Screen design change can be made for everybody, it could be made for just individual users. That's where you kind of have to know a little bit about your current setup and the way that your screens are currently made in the system. In this case, I'm changing the custom Screen design, which is going to impact everybody in this test database that I'm running out of. But obviously if you have specific Screen designs tailored towards specific groups of users use those instead.

And once I go into edit this Screen design, well there are there are a couple places that you probably could logically put this, you could probably even create something totally custom, like create a new group or create a new area within the Screen design of the Screen to add these things. Personally, I like adding these extra filters just down at the bottom underneath the existing Toggle box filters that are in the section enrollment Filters area. There's no real reason for that it just kind of feels naturally like where are these filters belong. But the filters that we're looking to add here are the end date and begin date range filters. So you can see you know, if you load up your activity enrollment report Screen, you guys probably have the default filters on here for date, year enrollment date and enroll by Day date. But then afterwards, I have a new filter that's available on here called use end date range that you probably don't unless you've already dove into creating something like this previously, or gotten our assistance with a custom Screen design before you may not even know that this exists. So the other filter that we potentially could add here that is equally as useful but not for post activity surveys. But mostly for things like pre activity reminders is begin date range. So just like end date range, we can have a begin date range set in the system so that we can send out reminders to people that had you know your program is starting next week. Don't forget to show up for the first day of class. Those types of reminders are something that I feel like people also often ask for that may not necessarily be related to today's topic, but that would also come from the activity enrollment report Screen from a rep connect and just by use of adding a filter.

Can we globally set the evaluation date, end date to be dynamic? For example, all evaluations are valid for X weeks after the end date versus having to set the date for each individual section.

So Jut's question is actually specifically, it sounds like tailored to this Screen. And the evaluation end date is a hard date that has to get set on your programs. This date here doesn't allow any dynamic options associated along with it like X number of weeks or month or anything like that. I am not entirely sure how this would work. But you can bulk change this Field through activity Bulk Change. And if you are doing a date bulk change through the activity Bulk Change area, you may be able to do something fancy like replace this with a value that's already being stored somewhere else on a program like an end date or something like that, I'd have to look at the bulk change options to know exactly what goes on in that Screen. But it does have to be set in date format on the activity itself. Alright, moving back over to the report criteria Screen here to continue with our criteria ad. There are so if I scroll down to the bottom of this group, I was kind of mentioning that the section enrollment filters group is where I like to add this extra filter. So down at the bottom of the section of enrollment filters, you can see that I've added four fields to my Screen.

One is the use End Date Range checkbox, then there's a break, and then there's a begin end date and an end date, I'm going to actually add a new filter onto my Screen for begin date range because that's the other filter that again, people are commonly wanting to add for running activity rec connects. And to do that, I'm going to Type correctly in this box right here and go down and find my begin date range, which I believe is under sa detail, begin date to use range. So using the filter that's available on the left, we're going to find the Field, the one for end dates is called sa detail and the date use range. And the one for begin dates is called sa detail begin date use range. So I'm going to grab begin date use range and drag that onto my Screen. Then I'm going to drag the begin date begin and begin date end onto my Screen as well. And then I'm just going to put a break in between those for clarity sake. So begin date, and we'll move that over to here. And then I'll grab a generic break Field might take a while to search. But this is really just for formatting sake, when you Click on the Toggle box, you want the dates to appear below the Toggle box. So I usually just put a generic break in between the use range and the begin an End Date Range boxes just for for Screen designs sake.

But once those are added, that's then going to allow us to go back to our activity enrollment report and then use that that filter or those new filters to start scheduling some RecConnects or manually running some RecConnects Max, I mean, I know that there are people out there who like having individual kind of manual control over the reports that are going out to customers that are coming from their database. But really, if you are looking to kind of set some of these ranges up and stuff like that, you're you're probably looking to set it and forget it. So I am going to go over the kind of scheduling options for RecConnect. In this, in this case, just because probably probably one less thing to think about, if you can get this working automatically, that way, you don't have to remember to manually send out any evaluations. So I'm gonna grab the generic break Field from here and just throw that in between the use range and the Begin and End date range here for formatting. And then we'll say done. And then we're gonna go over to our activity enrollment report Screen. And since I just added some new fields to it, I'm gonna go ahead and refresh just to get those up on the Screen. I already had the end date, obviously, but we just had the begin date. So that should now be an option on here for us as well. And this can take a second since we've made design changes for it to actually show up. But now we've got that showing up.

And then we're going to run our activity RecConnect using one of those new options that's on here. Now if we really are looking to do a scheduled like set it and forget it style with with these RecConnect, I would want to make sure that my activity section range was toggled on, or at least some range of activity sections was toggled on maybe just an individual season or an individual range of codes that was using surveys. For example, in my example, here, we're just going to go with the full range of activities so that any program that's ending will be included in this in this survey going out, but you can certainly tailor that range. Or if you want to tailor the individual programs by selecting over on the left just like you can for any RecConnect that's going out of the system. And the important date range we're going to use is that new one we just added which is the use end date range. And I'm going to set this to some dynamic or variable date component. So I'm probably going to say let's look for programs who ended we'll do this like three days after the program ends. For example. You guys can do this however you want in your system. You can do it on the program end date, you can do it the day before a program ends. You can do it number of days after the program ends, whatever your variable parameter is, you're just going to set in here by using some kind of variable date and modifier to go along with it. So in my case, if I say today minus three, when this RecConnect event runs, it's going to be looking at programs that ended three days ago, and that those are the programs that it's then going to be able to send participants this, this survey reminder for.

So I've got my range selected, I've got my date selected, we're then going to go process this. And there are a couple other custom designs in here, this Screen I know looks different than a lot of customers who are using the RecConnect histories. But this is just a slightly customized version of the report options Screen here. And we're gonna go ahead and create this report to run on a schedule, I could continue to go and just go ahead and do it right now. But if I was going to schedule this to happen, the next thing we would do is go to our schedule Screen. On our schedule generator, we set up our normal kind of schedule options in here like giving this event to name setting a range during which it's going to run and on what particular day is, my event is going to run every day. So we can say this is daily activities serve a reminder. And this is just going to be an indefinitely long scheduled event that happens every day of the week at I don't know, when are my customers up and checking their email gonna say 830 in the morning.

And then we've got our scheduling options for the actual email over here. And this is one of the kind of going back to a question I think that was asked earlier is giving customers a link to actually get to that evaluations page. Well, the evaluations page in here is evaluation.html. So I can use this as the actual link that I provide to customers here, I can also disguise this in the email using the Insert Link Field, if you want to hide it behind text, you know, Click here or something like that, and then just provide the link. If you don't want to include all of the, you know, weird looking tax that's involved in creating URLs, you can certainly do that. But that's the actual page that we're kind of directing customers towards for the activity evaluation. And of course, you can still customize this, like you do any RecConnect. And I'm sure you can go back and watch any of our numerous videos on this series or others about customizing and running RecConnect RecConnect reports in general, but you can do things like add your tags for personalization, add the customers name the the program that they took their kids name, you know, various information of that kind into your into your RecChat X here. But for I'm using the evaluations one, that's the page we're really trying to direct them to, is that evaluation dot HTML page. Bret or Dan, do you guys want to go through I saw there were a couple messages in the chat and q&a is Is there anything that's applicable to answer now before we move on to start talking about some external survey links?

Yeah, I guess we can ask the last one right now. Can you send a general survey to different populations, for instance, like Facility Survey to anyone who is a member of or user of the facility?

You know, that would probably fall into the category of things I want to talk about next, which is external surveys things that we're not answering questions for in RecTrac. You presumably I haven't done this personally yet. But there is the new forms tool and RecTrac. And forms does allow you to have non items sale related questions that customers can answer. So if you are using forms on WebTrac, are you want to use forms on WebTrac? To track that information? you potentially could I could see you creating a form that has a bunch of questions. And you could send that out to a group of participants without it having to be a true evaluation question in the system and just being something that is linked to the form. If you're not using RecTrac forms, or you have some other Type of third party survey software that you're already using, I brought up brought up a couple of common ones that I have personally worked with customers getting integrated to send in their RecConnect emails, Survey Monkey is obvious because it's free. It's anonymous, it's easy to create surveys and create survey questions with and send out. So you can certainly create survey monkey links and include those.

But particularly neat use case that I've done with Survey Monkey is actually creating custom URLs for surveys, where I had a department that created custom URLs on their, their own internal website that had activity numbers behind them, and each activity number would redirect you to a different SurveyMonkey survey. So it was kind of taking the best of both worlds. We knew what program the customer had taken, but we didn't know who the customer actually was. And that was just done using a little bit of URL trickery in the email body itself. When they sent out this link. They linked to their survey, you know, test survey.com But then as part of the link, they used a rec connect tag for activity code as part of that link. So the actual link to get to their survey included this piece that's being generated by RecTrac. So we know the activity code the customer participated in and that was then used to direct them to a specific SurveyMonkey survey, you know in an external on automates a survey that their marketing department wanted the customers to fill out. The other one that I recently talked to a customer about was jot form, which is just another third party tool. Again, none of these are officially endorsed by Vermont systems or anything like that. But these are just external tools that do generic survey questions that you can create Nast to customers. So if you're looking to use some other Type of tool for getting that survey information, recording it and analyzing it, you can certainly create links through any of these external survey builders that can be included in those emails, and maybe do something fancy like dynamically having that adjust based on one of our RecTrac tags as well. I can think activity Type might be another potential place where you could use that different types of surveys for different programs could be included in those URLs.

Is there a way to skip households that already completed an evaluation?

If the evaluation is within? It's an external evaluation? No, the customers really should only I guess we would only be able to send that to them once because we wouldn't be able to tell if they have or haven't completed those. That being said, even with RecTrac evaluations, I don't know if there's a filter that's on your RecConnect Screen that allows you to do that. I have never seen one for evaluation questions before. I could look through the Screen design at some point, though, and see if there's maybe an advanced filter that's on there that I just haven't run into, but not to my knowledge currently, but my that that might not be entirely true.

Now, also, if we don't use the third party program, would we have to pull the questions report for each program in order to get the answers to the survey?

You could, there are a couple of generic question reports that are in here that you can potentially run if you look through your report output listing, there's just a generic question answers report that's not necessarily program specific that you could use for this. But otherwise, yes, you might want to design a custom report and go reference a lot of our custom report creation materials for how to link questions to reports and have those questions then display on different you know, groups of programs and things like that you could run those through the activity enrollments, just like you would any other Type of question.

Excellent. Well, with that said, I think those were kind of the main things I wanted to show off. I just had another customer example of a RecConnect email that was being sent here something that was including a activity URL here. So I wasn't sure if I'd be able to get to it in my my own database. But But yeah, I think those are those are kind of our primary tools. Here. We went through our evaluation questions, linking those questions, how customers answer those, how to send out RecConnect emails, add those filters through Screen design, to potentially automate some of those and add those links into our RecConnect emails. I don't think I missed anything that I wanted to cover on this one. But Bret or Dan, if you guys have questions that you want to throw my way.

I can't remember if you mentioned it or not. But is it possible for the RecTrac evaluations to be anonymous

RecTrac evaluations are not anonymous at this point, no. All feedback that we collect has to be collected by verifying who the participant was, and that they participated in that activity. And I know that that's a decision that we've made that does sometimes drive people to use other third party solutions. And since those third party solutions are free, I'm all for it. Go ahead and use Survey Monkey, if you want anonymous surveys.

I did just want to add Erik, John chimed in the chat and confirmed that using the activity section Bulk Change for the evaluation date, you do have the ability to add extra days past the end date of the activity there. So you can kind of set that up dynamically.

I was thinking that was probably an option. But thank you for testing that because I didn't want to test that live on stream and be be distracted for too long. But it absolutely would make sense that we would include that in the bulk change options, given how we can dynamically change other dates in the system.

I guess we'll wait around for a little bit longer to see if any more questions come in. But I guess if you have any closing statements, anybody. We just got a question. Are we notified if people answer or do we have to pull the report?

No. You guys would have to pull the reports to see who's been answering those questions. doesn't give you any Type of notification or anything like that and RecTrac. So you can regularly run those reports just to see what your kind of answer percentages if you want to kind of keep track of stats on that and see who's answering and who isn't in that case. But there's nothing automatic that's going to going to notify you that customer has or hasn't completed those questions.

I see that as another opportunity maybe for scheduled report setup after the evaluation end date. So you know that all the evaluations have come in already. And you can have that report kickoff automatically after that.

Dan is thinking thinking ahead there absolutely more cases for scheduled reports that you guys can run. So you don't have to manually pull that data.
