I'm Leigha.
Bret Alarcon 0:10
And I'm Bret
Zach Malloch 0:10
welcome to the RecChat Lab. We are live from the symposium. We now have actual live people here. It's kind of like
Leigha Phillips 0:20
a live studio audience.
Zach Malloch 0:24
Live from Vermont.
Leigha Phillips 0:25
Yeah.
Zach Malloch 0:28
And back not not center, there is center.Okay so this edition of RecChat we just wanted to have a brief conversation introduce everybody here in person to the lab that you have been seeing in the new UI of RecTrac. As well as talk a little bit on what EDU has upcomming, what we have been working on and what we will continue to work on, and a little bit about how we do that too.
Leigha Phillips 0:55
Yeah, So to kick things off, let's take a look at the lab itself. Um, so I have a feeling many of you are familiar with what it is we're talking about. But for those of you who are symposium attendees, or for those of you who attended our October symposium, you actually got access to our Demo database or symposium database. So if you're not on the new version of RecTrac, you'll actually be able to access the lab. Currently, it's only accessible through the new UI. But for those of you who are here, you get your special sneak peek and the ability to sort of play around in there before you upgrade. So if I log in, then you'll see a Screen that looks a little bit like this. For those of you who are fairly unfamiliar with the new UI, probably very few of you. If you come over here, right above where your user information is on your sidebar, and Click on the Support life raft icon, you'll have the option to jump into the lab directly from RecTrac. So if I were to Click on this guy, it'll auto navigate me to a page that looks just like this. And you'll see all of our courses that are currently available. So as we create new content, this page is going to update. So currently, we have our first five introductory courses, they give you sort of a general overview of how to use the new UI, how to use some of the basic RecTrac concepts. And so if you were to Click on one of these guys, you'll be navigated to something that looks like this. So when you jump into a course that we've created, you'll see that you have access to a couple of fun videos with some familiar faces, perhaps content, videos, and diagrams. And one of my favorite parts about what we've done is that we've made all of our diagrams downloadable. So if you find any of these screens handy and the information that's on them, you can take them with you as PDFs. And that goes for the very end of the course as well. So let's see, if you were to go through complete each aspect of the course, poop, and then hit Continue, you'll earn a badge in our LMS, which is the lab right here. And you'll be able to download the entire course as well and take it with you. So we currently have five courses up and running. This is a living sort of projects that we're working on. So we're constantly adding new content to them. Some of you jumped in and sort of the past couple of weeks to some of these courses, you might have seen some under construction videos, those are pretty much all filled in at this point. So that leads us to December where we're planning on jumping into new entirely new courses. All right.
Zach Malloch 3:59
Before we talk about what we're doing next, though, I'd like to have Bret talk a little bit about how we make the labs.
Bret Alarcon 4:05
So to bring you what you see here, it all starts with scripting. So we have the videos that play at the very top of every single Demo to give you an idea of what the content is going to be further down the page. So we write a script for that, and then we rewrite it and rewrite it and tell we're finally happy with it. So the idea behind this is trying to make it fun and entertaining, but still educational. We just don't want to like talk to you. We want to add some entertainment value to our production as well. So once we're happy with the script, we go into our little studio, which is probably about the size of that you see here just from this portion. Yeah. And it's pretty small. We have the little green Screen in the back. We have a little teleprompter up front and
Leigha Phillips 4:54
we have a Zach our teleprompter
Bret Alarcon 4:56
genius. And we pretty much have it To set our lines what we want to say, and we record what we want to set. So once we're done recording after we grab a few takes a few ticks that we're happy with, we give that information to Leah, she goes through she does her magic editing to pretty much give you what you see in those videos, right? There will be creation. Yes. So after we're done with the video, we still need to create the page content. So again, it's a lot of writing, rewriting, making sure everything's perfect. And the way we want to give out our information on the topic that we're presenting. And again, we want to make it fun, entertaining, not just some boring document you have to read. So we try and live it up there. And we make it a little make the user interface a little fun to like having different Tabs, having different areas, you can Click on to read more information about the product, and so on.
Leigha Phillips 5:56
If you find it boring, let us know. Our goal is for that not to be the case. So truly, we're always looking for feedback to on anything, videos course content, what you'd like to see next. So please get in touch with us if you need to.
Zach Malloch 6:12
Absolutely. And so Leigha mentioned a little bit about what we're going to be starting to work on as next phase. So right now we have the overview modules to get everybody oriented RecTrac, specifically the new UI, although it's presented as though you're completely new to the system. So it's not translating very much from previous UI to this one, it's just, here's the new one, this is what you got. The next phase is going to be starting a daily processing module. So each of our modules, activities, facility pass Point Of Sale, we're going to have daily processing walkthrough, so you'll be doing registrations, you'll be doing a transfer, you'll be doing cancellations. And then you'll be validating that you can do that we're going to basically Build a Demo within each of these schedule fees lab so that you can actually walk through and Click the same spots with the Screen as you would Click on real RecTrac. And you know what's going to happen before you're actually in there dealing with your database. The phase after that we have this convenience timeline we've been working on subject to change, we are going to start getting into management sort of stuff. So some people have seen lab 42 on VSI Edu Web page, that is our premium level of access to the lab. And that's really going to come online when we start doing the management side of the education. The idea being that if you have more sensitive topics, you might want to be able to restrict who in your organization gets to those topics. So at this level, you can name as many users as you want to, there will be a per license fee. And you'll be able to assign them to specific courses, you'll be able to see which courses they've taken, we can Build in simple quizzes to validate that they understand the information that they've been provided. And then you can run reports and see what they've done. At that level. We're also intending to allow you guys to add your own content. So if you have standard onboarding videos that you have all of your staff watch, and you need some sort of management way of doing that, you can use our LMS. And we're going to when you go to that level, it'll include some management training, so that we teach, you have to upload your own stuff, create your own courses, and assign your own staff to those courses, as well as doing some of the basic reporting things.
Leigha Phillips 8:25
That means that when you jump to this page directly from RecTrac, if you have your own courses, your courses will show up here as well as ours,
Zach Malloch 8:34
right. So so we really get a lot of fine tuned control over who has access to what. And right now this, this is just all of the the overview stuff, all of the daily processing modules, those will be available to everybody uses the new UI for free, just as being a regular RecTrac user, you have that. And these will be updated as well as the new UI, refines itself has new features added or removed, we will be updating the courses to take into account those elements as well. Beyond the management side, we are going to be getting to custom content creation for anybody that is interested in that. The idea with that is that we would take some of our basic courses, let's say Activity Registration, or Facility Reservation ins. And we would then use your database and swap out some of the specifics that your process might diverge from our standard processes. And then we make content that's really specific to the way that your staff uses RecTrac. So there's going to be a couple of different tiers so that that's all stuff, we're still working with sales as far as figuring pricing out with and we're not really looking to that until probably quarter three or four of next year. But just so you have an idea of what's coming up in that range. So that's all lab stuff. There's also this thing that we're at right now. So this symposium is one of the productions that VSI. Edu is very deeply involved. off with. And we want to make it more accessible. We want more people to come to the symposium. So we're going to be bringing it to everybody else. So starting in quarter one of next year, we're working on the pricing and figuring all this stuff out too. But we're going to start offering virtual symposiums, the idea being that a certain number of hours per month will be dedicated to broadcasting more training style information. So the rec chat has always been a little bit more about exposure, get an idea that something is there that this is something that we have to something you can take advantage of. But then the symposium is going to be more like this has been more educational, more specifically getting into areas and having a question and answer in a back and forth Type of thing. So as we are following ideas and suggestions as we get feedback from these surveys, and RecChats and other areas, we're keeping a lot of information about the topics that everybody's interested in, or trying to figure out if they'd make better record chats or symposium topics. So there will be more educational opportunities coming very soon, and will supplement RecChat Chat seems like people enjoy rec chat for the most part. So we're going to keep doing that. Right now. It seems like a weekly pace is good for a lot of people, they kind of just schedule it on Thursdays at two o'clock, and we're good to go. We'll change if we need to. And if we stop having topics, we're not just going to put in fluff or nobody. Okay, we'll do a couple of
Leigha Phillips 11:31
yeah, hard to resist.
Zach Malloch 11:33
Yes. We nearly have special guests come in.
Leigha Phillips 11:38
Little nervous.
Zach Malloch 11:41
So that's RecChat. That's virtual symposium. It's the live symposium. It's the RecTrac labs get mixed up. Are there any questions right now? No question. Yeah.
Leigha Phillips 11:56
All right.
Zach Malloch 11:58
Any questions from anybody here in the audience? Information? Sorry, no questions.
Leigha Phillips 12:09
I know this is round two, we're putting you guys on the spot.
Zach Malloch 12:12
But I did hit record this time. That's great. It's gonna be very easy. Frequently Asked Questions document free afterwards, though. So appreciate that. Yes.
Symposium Attendee 12:25
How often do you see yourself offering those virtual symposium content?
Zach Malloch 12:30
Okay, so the question just so everybody else can hear it too is how often are we going to be offering virtual symposium content, and honestly, that is still up for determination. I think that a minimum of one or two topics a month, doing something similar to what we do here, the actual symposium doing the discovered version of that topic, maybe on a Tuesday, and then the Explorer version of that topic, maybe on the following Wednesday. Just simple if we want it to be accessible, but also valuable. So the the the other part of this process that we're most likely well, I'm gonna go ahead and say that we're going to do this as soon as reasonably would not, is all of the virtual symposium topics that we present will be recorded, like RecChat, and then post it, and that's going to be free of charge. But it's going to be a very modest fee to sign up for it, we had people say that the subscription method, a yearly rate would probably end up working better. And we would do something fairly modest for that. And then you just get invitations to all of the sessions, and then anybody in your organization that wants to attend can, and they would have the q&a options, they would have the live participation option. I don't know what it is, for me, when I watch a longer video, it doesn't engage me nearly as much as if I'm watching something when it is actually live. And even if I don't ask the question, if I know I could seem to do something different. So that's really the benefit is that interactive portion of it for subscribing to the virtual symposium. So as soon as we get more information about that, we will start posting it and VSI. Edu the webpage under Vermont systems.com is going to be the best place probably to keep in touch with those updates.
Leigha Phillips 14:11
Just in case I can show you guys how to get to this page. So if you're on the Vermont systems homepage, if you hover over services right here, we're the first tab right underneath. So Click on that. It'll bring you to the ability to sign up for read chat, and we'll have something similar for the virtual symposium information as well.
Zach Malloch 14:31
Was there a chat question?
Symposium Attendee 14:33
Yeah, question. Will this Type of training method be available for each individual organization, the virtual symposiums?
Zach Malloch 14:41
Yeah, so I question is just good have access to sign up for virtual symposiums right now, there's no reason to think there would be any limitations at all and that it would just be available. If we're talking about doing a virtual symposium specifically for somebody's request making that more of a focus training thing for their users, that would probably be in a different area. And we would need to talk about that a little bit separately. We can follow up with whoever asked that question. I know we've got them recorded since it's in chat. All right. All right. Are there any questions? lab questions, symposium questions, labcoat questions goggle questions.
Leigha Phillips 15:21
Avatar question.
Symposium Attendee 15:25
Last session, it was saying that the SMS feature would be available in RecTrac.
Zach Malloch 15:34
Well, we actually have a RecChat scheduled for one week from today, all about SMS. And anybody that's been here in person and been working with Jordan, his team kind of heads up all the development on that, and he will be our guest on that. That episode. So next week, we'll answer a lot of SMS questions. Thanks for that little plug there, too.
Leigha Phillips 15:54
Yeah, too. Tune in next week.
Zach Malloch 15:58
Next Tuesday at Two. Okay, so we can keep this session short and sweet like we did with the last one. Thank you all very much for attending on a larger scale. Thank you so much for everybody that came to the symposium personally. Anybody that's viewing that's curious about participating in symposium. We are planning on doing some next year also, probably in August, and in the fall, probably October, more information will be coming about all of that very shortly. And this is where I where I fumble about ending the meeting and all that sort of stuff. loves it. And I'm going to do that.
Leigha Phillips 16:29
Yay. Thank you.
Zach Malloch 16:34
And that's not the right Button.
