The User Setup reports allow you to report on users in your database and SMS usage by user.
RecTrac Process and Reporting screens offer numerous fields and widgets that allow you to filter the data for which your process or report is being run. RecTrac Widgets provides definitions and examples to show you how these work.
Other options on the screen…
Core Criteria
User Name (SASecurityFile_UserName_DataGrid)
The User IDs DataGrid displays all User IDs in your database based on the DataGrid filters being used and your Permissions.
Highlight/select individual User IDs, as needed, from the DataGrid. Multiple selection is allowed.
OR
Select the Use User Name Range option.
THEN
Input the range of User IDs you wish to include.
Make selections in the DataGrid or use an User ID Range or Both. Leaving the DataGrid blank and the Use Range option de-selected will result in NO USER IDS being selected.
Click here for a full description of RecTrac DataGrids.
DeleteUse User Name Range (SASecurityFile_UserName_UseRange)
This field appears in numerous programs. Its functionality may vary.
Select this option to limit your selection to a range of User IDs.
THEN
Enter the range of User ID Codes.
OR
Leave this option de-selected to skip the User ID Code Range check and make selections from the DataGrid if applicable.
- If there is a DataGrid for this program - In instances where you have a DataGrid and corresponding Range a selection in one or the other (or both) is required. Selecting nothing from the DataGrid and nothing from the Range yields a blank report or process.
- If there is NOT a DataGrid for this program - In instances where you do NOT have a DataGrid a selection here is NOT required. Leaving this option de-selected skips this filter and results in ALL Codes being included.
Record Status (SASecurityFile_RecordStatus_ComboBox)
Select the status(es) you wish to include in your output.
OR
Leave this field at its default, (0) Selected to include all statuses in your output.
- Active - Active status User Codes
- Inactive - Inactive status User Codes
Begin User Name (SASecurityFile_UserName_Begin)
This field is applicable only if you opt to Use User Name Range.
Select the Beginning and Ending User ID Codes for their respective fields. User ID Codes within the range entered will be included in the process.
DeleteEnd User Name (SASecurityFile_UserName_End)
This field is applicable only if you opt to Use User Name Range.
Select the Beginning and Ending User ID Codes for their respective fields. User ID Codes within the range entered will be included in the process.
DeleteUser Name (SASecurityFile_UserName_Equals)
If opting to Use User Name Range, then click select a single User, if desired to use as a base for your Wildcard selection.
OR
Enter a Wildcard value, if desired
THEN
Select a Wildcard Option. Depending on your selection, wildcard asterisks/periods may be required.
User Name Option (SASecurityFile_UserName_Equals_Option)
Select your Wildcard Option for this process:
- Equals - The process will return a list of all records that equal the value entered. This must be an exact match. For Example: If this was a list of Family Members, entering 'Grace Somersby' would find 'Grace Somersby' because it is an exact match, but it would NOT find 'Grace J. Somersby' because it is not an exact match.
Note: When running Reports you can use a comma-delimited list (with no spaces) in the corresponding Wildcard field when your Wildcard Option is Equals. This applies to Reports only. For Example: Entering "48116 5851 88003" in a Zip Code Wildcard field on a Report and using the Equals Option would yield results from those three separate Zip Codes.
- Begins - The process will return a list of all records that begin with the value entered. Wildcarding asterisks/periods are not needed. For Example: If this was a list of Family Members entering 'Gr' would find all members whose name begins with 'Gr ' such as Grace Somersby but it would NOT find Ginny Weasley because her name begins with 'Gi.'
- Ends - The process will return a list of all records that end with the value entered. Wildcarding asterisks/periods are not needed. For Example: If this was a list of Family Members entering 'by' would find all members whose name ends with 'by ' such as Grace Somersby but it would NOT find Sam McGee because his name ends with 'ee.'
- Matches - The process will return a list of all records where a value match can be found. Wildcarding and asterisks/periods must be used. For Example: If this was a list of Family Members entering '*om*' (asterisks must be included) would find Grace Somersby and Tom Sawyer because "om" appears in both names but it would NOT find Felicity Lemon because "om" does not appear anywhere in her name.

User Group (SASecurityFile_MenuGroups_ComboBox)
Select a User Group(s), if desired to limit your report only to those users within the group(s) selected.
OR
Leave this field at its default, (0) Selected to include all User Groups in your output. If you make a selection in this field, then make a Match Option selection as well.
Match Option (SASecurityFile_MenuGroups_ComboBox_MatchOption)
This field is applicable only if you made a selection/selections in the User Group field.
Select your Match Option. The Match Option determines how Users linked to the User Group(s) you selected will be printed on your report.
-
Match Any - If any User Group is a match then the User will be included.
For Example: You select "ADMIN" and "Rec Center." Any User linked to either "ADMIN" or "Rec Center" (or both) will be included in the report output but a User linked to the "Pool" group only will not. -
Match 1 - 5 - In order to be included on the report output a User must be linked to some (or all) of the User Groups you selected and User must meet (or exceed) the threshold value selected in this field.
For Example: You select "ADMIN Rec Center and Pool." You set the Match Option to "Match 2." In order to be included on the report output a User must be linked to at least two (2) of the three (3) groups. A User with "Rec Center" and "Pool" would be included but a User with "Pool" only (or with "Pool" and "Maintenance") would not. Any User that exceeds the threshold number will be included too so a user linked to all three (3) groups would be included. - Match Exact - Every group must be a match in order for a User to be included. For Example: You select "ADMN" and "Rec Center." In order to appear on the report a User would have to be linked to both (and only to both) the ADMIN and Rec Center groups.
-
Match None - The report will list any Users linked to User Groups that do NOT match your selection criteria.
For Example: You select "ADMIN" and "Rec Center." Any User who is not linked to both ADMIN and Rec Center will be included in the report output. A User linked to "ADMIN" only would be listed too because the linked groups do not match ADMIN and Rec Center.
