The GL Interface program allows you to generate an export file comprised of general ledger/cost center activity from RecTrac that can be imported into various 3rdparty financial software packages, thus eliminating manual entry to two systems. The export file contents (Receipt numbers, GL and Cost Center numbers, Credit Amounts, Debit Amounts, etc…) and the file type (.dat, .txt, .csv, etc…) that gets created is dependent upon the 3rd party financial software platform with which you interface.
The 3-digit G/L Interface Code you enter in the GL Interface Code field on your Static Parameters profile • Financial Settings group determines the GL Interface Export File you will create when running this program.
Custom GL Interface is a billable service. If you are uncertain of your 3-digit code or to obtain a quote, contact Vermont Systems Sales.
To Run the GL Interface Program
- As noted above, ensure you have your 3-digit G/L Interface Code entered in the GL Interface Code field on your Static Parameters profile • Financial Settings group.
- On this program, accept the default GL Code range (All GL Codes) or click the Picklist icons to select an alternate range. Only those GL Codes you select will be interfaced.
- If you use Cost Centers, accept the default Cost Center Code range (All Cost Codes) or click the Picklist icons to select an alternate range. Only those Cost Center Codes you select will be interfaced. If you do not use Cost Center, skip these fields.
- Select a Beginning and Ending Date for GL Interface. If running the Interface for "Today," you can select "Today" and "0" in both fields. If you are running the Interface "today" for "yesterday's" totals, you can select "Today" and "-1" in both fields.
- Enter a time range. If you run the GL Interface daily, it is safe to use 12:00am - 11:59pm as your time range regardless of whether your department is open 24-hours a day.
- Accept the default Drawer range (All Drawers) or click the Picklist icons to select an alternate range. Only those Drawers you select will be interfaced.
- Click the Combo Box icons for Credit Payment Codes and Debit Payment Codes to include. Generally speaking you should include all Payment Codes in both fields, unless you have specific reasons for NOT interfacing certain Payment Code types.
These are mandatory fields in the Standard VSI Design. Your design may vary. - Enter your Export File Name and be sure to include the extension (.dat, .txt, .csv, etc…). For Example: glexport.csv. The file name and extension are specific to your GL Interface. Contact VSI Support if you are uncertain of the file name and extension type you need to enter in this field.
- Fill out the other fields as needed. Use the "i" Help icon for field definitions as needed.
- Click the Additional Settings tab and make additional selections, as needed. Depending on the GL Interface program you're running, you may or may not have Additional Settings.
- Click Process to run the Interface. The process runs on the AppServer. The Notification Center will alert you when the process completes. The Export file is sent to the Document Center. Document Type=GL Interface.
From the bottom of the screen….

Click Last Settings to restore the selection criteria to the last settings you used.

Export Option is specific to the GL Interface you're running and, as such, a standard field definition cannot be provided here. Custom Help can be used if you require a definition specific to your Department and your GL Interface.

DeleteDebit Pay Codes To Include (GLInterface_DebitPayCodes)

DeleteExport File Name (GLInterface_Export_Filename)
Enter the name and file extension for your GL Interface Export File. For example: glexport.csv. Alphanumeric characters only are allowed. This is a Mandatory field in the VSI Design. Your design may vary.
Note: The file name and extension are specific to your GL Interface. Contact VSI Support if you are uncertain of the file name and extension type you need to enter in this field.
Skip Date/Time Stamp In File Name (GLInterface_OverwriteFileName)
Select this option to omit the date/time stamp from the Export File Name when running the Interface. De-select this option to include the date/time stamp on the File Name.
When opting to include the date/time stamp in your File Name, you ensure that each Export you run will have unique name, such as glexport08251840765.xml where 082618 is the date (August 25, 2018) and 40765 is the time measured in seconds from midnight (approximately 11:19am).
When opting to exclude the date/time stamp, the system will overwrite the existing file each time the Export is run.
DeleteShow Previously Posted Transactions (GLInterface_ShowPreviouslyPosted)
Select this option to include previously posted transactions in your current Export file. De-select this option to include only new transactions in your Export file.
For Example: At 12:00pm on 25 April, you run a GL Interface for transactions since 7:00am. At 6:00pm you run another GL Interface for transactions since 7:00am.
- With this option selected, the 6:00pm GL Interface will include all transactions since 7:00am. Because you are including previously posted transactions, the same transactions that appeared on the 12:00pm GL Interface will be included along with all new transactions that were posted after 12:00pm.
- With this option de-selected, the 6:00pm GL Interface will include only the transactions that posted after 12:00pm because you are opting to include new transactions only. The transactions that appeared on the 12:00pm GL Interface will be excluded.
Include Offsets (GLInterface_IncludeOffsets)
Select this option if you wish to include Offset postings in your Interface.
The manner by which Offsets are posted (or whether they're posted at all) is specific to the GL Interface you're running and, as such, a standard field definition cannot be provided here. Custom Help can be used if you require a definition specific to your Department and your GL Interface.

Enter the User ID to the FTP site listed in the field above. The FTP site can be a 3rd party vendor, such as your financial software vendor, or it can a private FTP location.
DeleteFTP Password (GLInterface_FTPPassword)
Enter the Password to the FTP site. The FTP site can be a 3rd party vendor, such as your financial software vendor, or it can a private FTP location.
Passwords are masked in RecTrac. Passwords in RecTrac appear either as a series of pipes" or dots in password fields (i.e. | | | | | or •••••).There is no Permission that allows you to see an actual password. There is no Report in RecTrac that will display a password.
Additionally RecTrac user passwords and WebTrac user passwords are encrypted based on the configuration settings as maintained on your Encryption profile.
DeleteFile Transfer URL (GLInterface_FTPURL)
Enter the full File Transfer URL for the FTP site to which you wish to upload your file. The FTP site can be a 3rd party vendor, such as your financial software vendor, or it can a private FTP location.

Skip Change Back Transactions (GLInterface_SkipChangeBack_QU3)
Select this option to omit 'Change Back' line items from the GL Interface. When this option is selected, a the revenue portion of a sale that includes change back will be included in the interface file, but the change back portion will not. For Example: The sale comes to $3.50. The patron remits with a $5.00 bill. The $3.50 sale will be included on the interface file but the $1.50 change back line item will not.
Deselect this option to include change back line items on the interface file.
DeleteFiscal Month (GLInterface_FiscalMO_MWI)
Enter the Fiscal Month for which you are running the interface. This is a two-digit value. For Example: The Fiscal Month is May. You would enter 05" in this field.
DeleteFiscal Year (GLInterface_FiscalYR_MWI)
