FastTrac: Activity Prerequisites and Pass-Fail Processing

In this video, we are going to review the topic of activity prerequisite criteria, when it comes to it restricting enrollments in certain programs and RecTrac, and also the Pass Fail logic that is also available with that option. To highlight this, we're gonna go to activity section management. So I already have that open at the top. And I'm doing I'm using two different sections here to highlight this example. So I have swim lessons level one and level two. And in this scenario, I only want to allow folks that have enrolled in level one and passed into level two. So let's go and open up our level two section. That's the one I want to put this restriction on. And we're going to go to the Rules tab at the top. And I already have a rule in place for this. So I called it must pass from level one to enroll, but I can be labeled for whatever makes sense for your organization, I'm going to hit change on this rule.
So this is an allow rule to purchase on allowing them to purchase if the criteria is met. And the criteria I have listed already on this is the activity prerequisite criteria, and that is available in this lesson. If you're building it on your own, you can add that in. Since I already have it on the right, I'm just gonna double Click on that. And from here, you can choose your activity option. So I've got it narrowed down to a particular activity section code. But this could be a more broad setting for either all sections for an activity or even a higher level of category or Type. I've listed my specific activity section in this list on our example, it's that level one for swim lessons. And from there, I could also make it for a specific season if they want to make it even more specific, or a particular year. In my case, I just want them to be in that program at any year prior. And I've turned on my use Pass Fail logic to enforce the setting that they must have passed the activity above and beyond just being enrolled.
So if you just need the enrollment piece, you can turn this Toggle off and that'll that'll enforce that, if you want that extra step to be taken to be marked as pass and you just need this Toggle ON. Open it save on that. And we'll save the overall rule record and highlight this would switch over to global sales already have that open at the top of the household selected. And if I go to purchase history, we can see for the two family members in this household, they're already enrolled in swim level one. And with if we switch back to the activity tab. Let's see what happens if I try to enroll in swim level two. So Click one of those family members Add to Cart. And right now I'm running into that rule. So it's stating my role description. And it's giving me the details with that. So I am in several levels level one, but I have not yet been graded, right. So I haven't passed or failed. So I'm not meeting that criteria. So that's why it's displaying this. So let's hit cancel and walk through what that looks like.
So from my menu, I'm going to Type in just the word pass. And one of the menu options is activity Pass Fail postings. So let's go ahead and open up that program. So this is pretty simple program where you select the section that you want to post again, so I'll go ahead and pick my swim level one. And it's going to show the enrollments automatically in the data grid below. And then I can choose what my pass fail option will be in the top so I can reset, I can mark people as passed, or I can mark people as failed, depending on what I'm trying to accomplish. Right now the Pass Fail column you can see is blank, I have not yet been graded for anyone that's currently enrolled. So let's go ahead and do the Pass option to want to mark people as pass. I have the option here for current year versus previous year archive record. So you'll be able to choose the one that applies for your scenario.
Enrollments are already showing so it's good and mark a family member has passed. I can do this individually by selecting individuals or I can if everybody did pass, we could just process all not have to select them. But let's just hit process selected, you'll see that pass is now marked on the enrollment. At this point, they should be able to enroll in the program. Let's just go do a quick test to verify that so we'll go back to global sales. Pick that family member and I'm going to add to cart so before we would have gotten that prompt saying that I hadn't been graded yet and I hadn't passed, but now that I have been marked as passed, I'm able to advance through and add that item to my cart.
