In this video, we're going to review the topic of credit balance restrictions. In RecTrac, you have the ability to create household credits and by default, those credits are available for you system-wide. So any credit can be applied to any payment in any module should the need arise where you want credits to exist with certain restrictions on them to only apply to certain modules or maybe more specific restrictions. That's where the Credit Balance restrictions are actually going to come into play. The first step in creating those restrictions is going to be a system code. So on my menu, I'm gonna Type in the word system. And I'm gonna select system code management. And I'll just filter down to my credit restriction Type. And I see they don't have any my database by default, so I'm just going to add at the bottom. And I'll create my first restriction. So in my example, I'm gonna set up a summer camp snacks restrictions, I have a scenario where I've got summer camp and parents are coming in making pre payments, so their kids can then take that money and apply it to the snack bar that we have.

So I'm gonna call it summer camp snacks. The restriction, the Type is going to be credit restriction. And I'll use the code as my description as well. On the right-hand side, you see you have the module filter. So by default, it's set to All modules, I'm gonna restrict this down to just inventory purchases. For my example, you can see I can make it more specific below there. If I only want to have it apply to a certain category Type or subtype. within that module, I can use those settings. And you can even get as specific as certain items themselves within that module. In my case, I'm just going to hit save on this restriction. And now I can continue on to the next step, which is applying that restriction to my payment profiles. So I'm going to jump over to Profile assignments in my database. And I'll expand my payment Type Profile. So I only have one for RecTrac. You might have multiple depending on your setup. But I'll go ahead and hit update at the bottom.

And under the credit balance settings area on this Profile, you'll see I have a prompt for credit restrictions options listed here. So if you're going to be using credit restrictions, you'll want this setting turned on, that'll activate the allowed credit restrictions Field, so you can go ahead and pick the credit restrictions that are going to be applicable for this payment Profile. And I'll go ahead and choose my one example that I have built at this point. And then below there, you have another option if you want to basically allow custom credit restrictions on the fly. So you have your pre-built restrictions, but maybe on the fly, there's a need to do your own custom restriction. By turning this Toggle on, you'll see that'll display my prompt options as well, anytime a credit is created. So I'll go and hit save. So now that I've created my restriction and made it available on my payment Profile, now it's actually available for use in processing.

So I'm gonna jump to global sales, I already have a household selected, and I'm just going to Click on the payment Screen. And we're going to create a brand new credit for this household. So we'll create a $20 credit. I'll pay with cash. And I'll just hit the Add payment Button right below here. I'm going to the challenge question do I want to create a credit. So I'm going to do that. And now I get my prompt for my restriction. So this is something because I turned on that Toggle. This is what's actually displaying. By default, it's set up with no restrictions. So in the need, where you actually want to have this apply to the new restriction we just created our summer camp snacks, you can choose that selection. And you'll see that also the Add Custom restriction option is there as well, because of that other setting I turned on, on that payment Profile. So summer camp snacks is what I'm going to hit go ahead and choose I hit Continue. That'll create the credit in my top payments area. And you can see it's actually tagged to that restricted module. So I've just created a credit on this household is now tied to that specific module. And now I can't be accidentally used for other purposes in RecTrac Unless that's really what I'm looking for. So that's a quick walkthrough on household credit restrictions in RecTrac.
