In this video, we'll walk through the topic of making a partial payment and a split payment in RecTrac. And to start out, we're going to go to global sales or have that open here at the top and then select like my household. And once I'm in global sales, I will walk through an example with an activity and doing an activity enrollment and payment.

But this could be the same process that would apply for any module and RecTrac. So I'll highlight what I want to enroll in to the family member. I want to enroll and I'll add to CART. I'm presented with two optional questions and a tick a reminder message for the activity I'm enroll into. So I'm just going to continue through there and I have a $50 fee on this program that drops in my shopping cart and I'm going to advance to the payment screen by clicking on payment in the bottom.
00:00:51:21 - 00:01:12:18
Brian Hatch
Right? It's not on my payment screen. You'll notice the total paid automatically fills in for the total amount from the shopping cart. So this is a setting that can be controlled on your payment profile. Right now it's defaulting in the full amount, assuming that most transactions are going to be full payment. But again, you can switch that setting if you want a different behavior to take place.

If I don't want to make a full payment. So let's just say we want to pay half of it on this receipt in this transaction. I put in $25 for what I actually want to pay. I can select my payment method, I'll choose cash. And at this point I could have process at the bottom and I can information box in this example saying that you're not paying this transaction in full.
00:01:32:18 - 00:01:51:12

Are you sure you want to continue? So this is what I wanted to do. I could say yes. I'd be presented with a receipt that would show the $25 payment for cash with a $25 remaining balance for this activity. And that would be based on the receipt. Or if this isn't what I wanted, you can no one go back and make the adjustments that you need to make.

So it's a walk through of a partial payment in RecTrac. I'm going hit no and I'm going to highlight the distribution, the middle part of the screen, and just reset this by deleting line item to get that where we started back to the full 50 on the left hand side. So what happens if you want to make a payment where there's multiple methods involved?
00:02:11:01 - 00:02:34:05
Brian Hatch
And in this example, let's say we want to make a $3 payment because I know I have a gift card with $3 on it. So we can add that in us, like my gift certificate or gift card pay code, and I can enter in my gift number with that balance and I can add that payment using the add payment split payment button and you see the $3 moves over for that payment type.
00:02:34:11 - 00:02:54:24

It also moves the and links the payment reference that was used. If it was used for that payment type. And on the left hand side, I'm left with whatever is remaining for this scenario. So because I paid $3, I have my $47 on the left that's now remaining and I can make the change or the the next payment distribution that I want to make.
00:02:54:24 - 00:03:09:23
Brian Hatch
So I just keep it simple and say we want to pay the remaining amount for cash, and I want to make sure that I get the full amount. Once you do a split payment, you only get the full amount listed in the middle part of the screen. So now we're at my 47. I'm going to add that in as well.
00:03:09:23 - 00:03:35:19
Brian Hatch
So now zero is left on the left and my $50 is in. That breakdown is going to be in the middle part of the screen again with the references as needed. So this is what I want to do. I can continue through if I want to reset anything, which is saying I want to do something different. I want to double check something on a line item, I can delete it or move it back to the left and you can make the changes as needed and get everything built up for the middle part of the screen.
00:03:35:19 - 00:04:04:20

On the split payment. Once complete, you can process the transactions on paying the full 50. With this distribution, I'm going to have process and we'll pull up the receipt to see what that looks like. So I got my standard enrollment details $50 fee at the bottom. You'll notice the breakdown for whatever the distribution is. So it was a $47 payment for cash and a $3 payment for the gift certificate that was used for a total of $50.
00:04:04:23 - 00:04:08:23

So that is a walk through of a partial payment and then split payment in RecTrac.
