In this video, we'll review the process for sending out push notifications to the WebTrac app. There are two options available. You can send out messages from a RecTrac, RecConnect or you can send up messages through the WebTrac app, cockpit, which is the option we'll show you in this video. I'm currently logged into the cockpit under our test account.
00:00:26:05 - 00:00:51:23

And on the left hand side, I'm under marketing automation. At the top, I have messages and conversations. The first step in the process is going to be creating a conversation record. So I'm going to click on Conversations and I can say I don't have any conversation records listed here. And if I pull up the app under the notification icon in the top right, I don't have any conversation records listed here.
00:00:51:27 - 00:01:21:03
Brian Hatch
So on the left hand side, I'm going to select, create conversation, and we give it a name and a description. And an image is required on conversation records saw went in an image can upload an image through the upload tab and then link it through my conversation image, and then I'll save that record if I refresh on the app.
00:01:21:08 - 00:01:47:08
Brian Hatch
I should now have my conversation record that I can send messages to. You can create multiple conversation records if you want to create multiple threads for different purposes by adding additional conversation records from the app. I can now go to messages on the left hand side and I can choose to add a new message. There are different options for different message or campaign types.
00:01:47:11 - 00:02:10:12
Brian Hatch
One of them is a CSV so you can actually run RecConnect and export out a listing for that can be ingested into the CSV option and that it can be who you communicate out to their selected clubs. So that's where you want to communicate to everybody of a particular club or account for WebTrac. And then there's the in-app campaign.
00:02:10:12 - 00:02:40:21
Brian Hatch
So this is if you want to send out a message based on when a user visits a screen or clicks on a certain module within the app. In this example, we're going to select the selected clubs option and then we're on the message or campaign screen. The first step is naming the message campaign. So and our first example here was to cover a summer camp, summer camp registration notification.
00:02:40:24 - 00:03:03:02
Brian Hatch
Then at the bottom, we can choose your segment of users. So there's an option for a few different options for who is using the current, what track app or club, and you can choose the duration for when they're using it. And then you have an option of choosing selected clubs and then you may only have one club link to your record like I do here.
00:03:03:02 - 00:03:23:01
Brian Hatch
Or you might have multiple clubs and you can determine which ones you want to communicate to. If you're looking to parse this down even more, if you only want to communicate to a certain roster or a certain membership group or anything more targeted, you really be using a RecTrac RecConnect, push notification, which we'll cover in a separate video.
00:03:23:03 - 00:03:43:12
Brian Hatch
Once I felt my who I can go to at the top or I can click next at the bottom and this is the message itself. So the first step is setting what conversation record you want this to go to. So we only have the one conversation record we created in the earlier steps or link that you can then set the layout record.
00:03:43:12 - 00:04:17:22
Brian Hatch
So by default you have one that's laid down, but you can set multiple types or message a title with a message, a message side, or the message and an action button. And other variations are all available here. You can also customize once it's actually laid down to the right of any element, you can see there's a trashcan. So if you want to choose to not use part of a template, you can do that here and you can also add additional elements if you want to create and customize your own individual template.
00:04:17:24 - 00:04:55:00
Brian Hatch
I'm going to click on the message title and give it a name, and then I'll select on the message and then I'll give it an image. The image size is listed here. It's roughly 245 by 170. And then there's the action button. I'm actually going to skip setting the action button just to highlight that. If you do miss any one of these areas, you'll notice as I try to advance to the next tab and just let you know that you do need to go back and revisit something on on the previous as it has an exclamation point there.
00:04:55:02 - 00:05:18:17
Brian Hatch
That means you have to address something on the screen. There's a slight red outline on an action button. So if I go back, I can now set that select my action. So this could be opening an existing module, news, article, info, article or web link. Those are the news. Article and info article are going to be things that are set up within the cockpit.
00:05:18:19 - 00:05:35:11
Brian Hatch
The web link would be an external site that you want to have bring them to. If they click on this. And then the action might be that you want them to call or send you an email. In our example, I actually want to open up a module for our club and this case, I want them to go register for summer camp.
00:05:35:12 - 00:05:53:24
Brian Hatch
So I'm going to select that module that I already have set up and then I'll hit next on the one top. You're either sending this now or scheduling it for later. So in our example, I'll just say now and then there's the final step of activating and reviewing. So it's going to restate everything you did in the previous tab.
00:05:53:24 - 00:06:17:00
Brian Hatch
So you've got the who, so what population you're talking to, the number of users that actually translates into number of clubs, the ones So the notification, if you click on that, it'll just bring you back to view what that looks like under what. And then there's a send test message here. So I think that might be valuable. If you're sending this to a a larger population, you might want to send a test first.
00:06:17:00 - 00:06:41:23
Brian Hatch
If you click on send test message, it's going to ask you for user ID. So this is really the RecTrac family member ID value. So you can find this. If I switch over to my RecTrac database and go to household management and look at my account, every individual family member will have their own ID. So if you're logged into the app under yourself, you can find yourself in household management.
00:06:41:23 - 00:07:08:16
Brian Hatch
If you scroll to the right, you should see a column for ID number, so that's the value you'd want to input into your test from the cockpit and does save it. So once you test at once it'll likely save it to Testing additional messages are pretty, pretty simple. I cannot send test message confirm that that works. Once I'm happy with the review, I can actually choose one or two options at the top.
00:07:08:16 - 00:07:27:01
Brian Hatch
I can either save this as a draft. It's ready to go and I want to send it out at a later time or date. Or I can choose activate. So I'll choose activate in our example not to return me to the main message screen. And at this point it's an active status. It's going through the process of actually sending out that notification.
00:07:27:03 - 00:07:55:11
Brian Hatch
And if I hit refresh on this page, you'll see it switches to a status of none when complete. And then on the right hand side, I can actually click on notifications and I can see it actually has sent that out. And if I'm allowing notifications to the app, that would have been a pop up as well. But I can see my title, my message, my image and my action item, and I can actually test that action item register here, make sure it brings me to the right place.
00:07:55:14 - 00:08:27:05
Brian Hatch
If I go back to the cockpit, I can actually refresh that screen and verify my sent viewed and action items. Once that updates might take a few seconds to actually update once a message is sent out, there's no way to recall it. So I can delete the message within here as a management item. I can archive an item within here as a management item, but this won't impact what's already been pushed out to the notification center for Individual App users.
00:08:27:08 - 00:08:44:05
Brian Hatch
The one option you do have is under conversations. If you wanted to remove your conversation record, that would remove the option for them to view anything underneath that conversation. But that is the process for sending out a WebTrac app notification from the WebTrac app cockpit.
