Problem
Our department has used the CampDoc Application in the past without activating the Integration with RecTrac. Now that we have activated the integration we are seeing duplicate member records being created in CampDoc. How can we update our existing CampDoc member accounts to align with the member accounts created by the integration?
Solution
The member accounts that exist within the CampDoc system require a unique identifier. The RecTrac to CampDoc integration utilizes the RecTrac SAPerson.ID value for this unique identifier. To get the two applications in sync, you will need to provide CampDoc with a Roster Export from your prior season/year's registrations with enough information to the unique identifiers in CampDoc.
Steps For Solution
Assumptions: The CampDoc Integration has been configured. RecTrac Activity Sections configured to integrate with CampDoc have been exported and sent to CampDoc to create the resulting CampDoc Groups.
- Download the CampDocExistingProfiles.xml file from our sFTP site.
- In RecTrac, go to Report Output Management
- Click the More drop-down and select the Import option
- Browse to the CampDocExistingProfiles.xml file from step 1, select the "Overwrite Existing Report Output?" toggle, and click Import.
- Refresh the Report Output Management data grid and enter "CampDoc" in the Description column filter
- Select the CampDoc Existing Profiles record and click Run Report (at the prompt click Continue).
- Use the Activity Roster Report criteria to limit the results to the Activity Sections you used CampDoc for in the previous season. NOTE: Ensure you are including "archived" records if the prior season has been already been archived in RecTrac
- Send the resulting CSV file to your CampDoc rep for review/import.
