Use the Dashboard Chart/Table Maintenance Update screen to create or to change the details of your Dashboard. You link the Dashboard to the Scheduled Task containing its underlying data, and choose the fields on which to base the Chart.You determine how the data displays: line and pie charts, bar graphs, and others. You can define font size, apply labels, and define other related attributes.
Before creating a Chart Record:
- Choose a report and Summary as the Output Type.
- Process that report with the Schedule Only option of Dashboard Chart or Table on the Report Options screen.
- Schedule that report and take note of the Schedule Name on the Schedule Generator screen. You will need the Schedule Name when creating your Chart Record.

Chart Name (Chart_Name)
Enter a name for your chart. You MUST reference this Chart Name when adding it to your Menus through Menu Management.
DeleteChart Data Type (Chart_DataType)
Click the Drop-down List to select Single Series or Multi Series data. A series" is one column of data that you want to plot in a chart or display in a table. For Example: A single series of data might be this year's activity enrollment totaled by month. For Multiple you might have one series containing this year's and another series containing last year's activity enrollment summed by month (to compare this April's sum of activity enrollments against last year's).
Select Single Series Data if you wish to generate a line graph bar and other charts. Only single series data can be displayed in charts.
Select Multi Series Data if you wish to generate a table.
DeleteChart Type (Chart_Type)
Click the Drop-down List to select how to display your data: table format or line, bar, or pie chart format. Options vary depending on your selection in the Chart Data Type Drop-Down List.
DeleteChart Caption (Chart_Caption)
Enter a title to display above the chart/table data. Use to note the chart's purpose or content.
DeleteChart Sub Caption (Chart_SubCaption)
Optional. Enter a secondary title to display above the chart/table data. You might provide an additional line to explain the chart's purpose or content.
DeleteRefresh Interval (Seconds) (Chart_RefreshInterval)
Enter the interval in seconds in which you want your chart to redraw. Refreshing gathers the latest data available within your Scheduled Task, and depends on that Scheduled Task to process on a similar interval. For Example: If you are tracking today's pass swipes on your dashboard, then you might want a refresh every 5 minutes. If you are tracking demographic breakdowns of your patrons then a daily refresh of that data is sufficient.
DeleteChart Font Size (Pixels) (Chart_FontSize)
Accept the default entry (8 pixels) for the chart/table font or enter an alternative, if desired. Allows you to increase or decrease the font size of your chart/table as needed.
DeleteX Axis Label (Chart_XAxisLabel)
This field is applicable for use with a Chart Data Type of Single Series Data.
Optional. Enter a description of the information shown horizontally across the X-axis of your chart.
DeleteY Axis Label (Chart_YAxisLabel)
This field is applicable for use with a Chart Data Type of Single Series Data.
Optional. Enter a description of the information shown vertically across the Y-axis of your chart.
DeleteChart Report Schedule Link (Chart_ScheduleLink)
Click the Drop-down List to select the name of the Scheduled Task containing the underlying data for this table/chart. See the Schedule Generator screen.
DeleteSingle Series Label Field (Chart_LabelField)
This field is applicable for use with a Chart Data Type of Single Series Data.
Click the Drop-down List to select which field to subtotal data for this Dashboard. Depending on the report you are basing your Dashboard you might subtotal based on pass activity section GL or facility codes/types. For Example: If you're producing a Dashboard based on the Pass Membership Report you might be subtotaling based on the pass type/code (PMPass_PassCode) field.
DeleteSingle Series Value Field (Chart_ValueField)
This field is applicable for use with a Chart Data Type of Single Series Data.
Click the Drop-down List to select the report field to use for counting records. Often this is an ID field. Depending on the report this might reference unique IDs of transactions households family members etc…. For Example: If you're producing a Dashboard based on the Pass Membership Report this might be based on the transaction ID (SADetail_ID) field. You might graph the number of unique pass purchases occurring within your chosen date range.
DeleteMax Records to Show? (Chart_TableMaxCount)
This field is applicable for use with a Chart Data Type of Multiple Series Data.
Accept the default entry (10) for the number of records to show within this table or enter an alternative if desired. Increase or decrease the records shown as needed. Within a dashboard area you often want to keep information as short and concise as possible.
DeleteTable Columns (Chart_TableColumns)
This field is applicable for use with a Chart Data Type of Multiple Series Data.
Enables you to select the RecTrac fields that you want as columns within your table. All fields within the report are available for selection. Often you display only several fields within your table. If you select all fields then it will be necessary to scroll horizontally through your table to see all of the field columns.
Click the Plus ("+") icon beside a field to move it from the Available to Selected lists.
Click the Minus ("-") icon beside a field to move it from the Selected to Available lists.
Click the Add All button to move all of the fields from the Available to Selected lists.
Click the Remove All button to move all of the fields from the Available to Selected lists.
