What Multiple Internal Households Provide
RecTrac allows you the option of creating/identifying multiple "Internal Households," if desired, as opposed to having all in-house activity linked to a single, hard-coded "Daily/Guest Household." Having multiple "internal households" allows you to report and track sales and usage by individual locations or departments within your organization. This is a good option if tracking such information as daily sales and internal reservations by location and/or department is important in your organization.
The Internal Household to which daily sales and internal reservations and etc… are linked is determined by the Household identified in the Internal Household field on the User's Daily Processing profile.
For Example: Your organization has an ice rink, a golf course, a pool, and a rec center. Each facility has its own "Internal Household" in RecTrac (i.e. Internal Household First/Last Name = Potter Park Ice Rink HH #1940), Internal Household First/Last Name = Bushwood GC (HH #1980), etc…. Clerks and Concessions employees at the Ice Rink have the Potter Park Ice Rink household linked as their Internal Household on their Daily Processing profile. Pro Shop and Restaurant/Bar employees at the golf course have the Bushwood GC household linked as their Internal Household on their Daily Processing profile, etc….
When making internal reservations (For Example: when reserving the ice rink for your Junior Hockey League or for your Figure Skating classes) the reservations can be linked to the facility's or department's "internal household." Likewise, any daily sales (For Example: food/beverage sales from the concession stand at the ice rink) could be linked to the facility's "internal household" as well. Using the example above, any reports, receipts, and inquiries for daily processing activity (as applicable) at the ice rink would show "Potter Park Ice Rink" as the reservee/household as opposed to whatever First/Last Name you're using for the single default RecTrac Internal Household, such as "Internal Household."
Using multiple internal households is an option only and simply allows for more specific reporting and tracking sales and usage throughout your organization if desired. If opting to use multiple "Internal Households," each new "Internal Household" must be created/added to your system and then linked accordingly on Daily Processing profiles. These, essentially, will be "regular" households created for "Internal-Only" use. VSI recommends denoting this on the Household by use of a household Category and/or Feature.
Optionally, you can choose to use one (1) Daily Processing profile only and therefore have one (1) Internal Household only. In this event, all internal household sales, internal reservations and etc… will be linked to the one household and whatever you use for the Internal Household's First and Last Name will appear on reports, receipts and inquiries as the reservee/household.
Note: The Internal Household field is mandatory and CANNOT contain the '999999999 Internal/Guest Household. It MUST be a different household.
Impact of Multiple Internal Households on Global Sales Buttons
RecTrac Global Sales provides two (2) buttons for Internal Household/Daily/Guest Household:
- Internal Household
- Daily/Guest Household
The functionality of these buttons is independent of whether you are using multiple Internal Housholds.
- Internal Household - When this button is used, daily sales will be linked to whatever household is linked as the Internal Household on the User's Daily Processing profile. Using the example above, if the Potter Park Ice Rink household is linked to the Daily Processing profile as the Internal Household, any daily sales will be linked to the "Potter Park Ice Rink" as the internal household.
- Daily/Guest Household- When this button is used, the system bypasses the Daily Processing profile and links all daily sales to the default RecTrac "Daily/Guest Household."
Note: VS recommends using the Internal Household for internal reservations, daily POS sales, and etc… whereever possible, as system-mandated restrictions hard-coded on the Daily/Guest '999999999' household may cause unexpected results, such as prompts for free-form household names when making an internal reservation, etc….
