The Asset Tasks Update program allows you to add and update Tasks linked to this Fixed Asset Code. Task Codes represent the default standard jobs that can be performed on this Fixed Asset. For Example: If the Fixed Asset is "Potter Park Ball Field," then linked Task Codes might be "Mowing," "Game Prep," "Scoreboard Repair," and "Watering." When working with the Potter Park Ball Field in the Combination Log, the "Mowing, Game Prep, Scoreboard Repair" and "Watering" Tasks will appear as default options because they are linked here, directly to the Fixed Asset.
Note: Field names on the screen with red labels* are required by the screen design you are using. Mandatory fields in the default Vermont Systems design are noted where appropriate. Your design and mandatory fields may vary.
Note: Tasks linked to a Fixed Asset are unique to that Fixed Asset only. However, you can also link Tasks to Asset Category Codes, so they can be a great time saver. Tasks linked to Asset Category Codes apply equally to all Fixed Assets to which the Asset Category Code is linked. For Example: If the Asset Category is "Ball Field," then linked Task Codes might be "Mowing," "Game Prep," "Scoreboard Repair," and "Watering." You link the "Ball Field" Asset Category Code to your little league ball fields in Potter Park and in Bailey Park. When working with the Potter Park ball fields in the Combination Log, the "Mowing, Game Prep, Scoreboard Repair" and "Watering" Tasks will appear as default options because you linked them to the "Ball Field" Asset Category Code which, in turn, is linked to the ball fields in Potter Park. The same is true for all ball fields in Bailey Park.
From the bottom of the screen…
Click Save to save your changes. You will return to the Fixed Asset • Linked Tasks DataGrid for the Fixed Asset with which you are working.
Click Cancel to r return to the Fixed Asset • Linked Tasks DataGrid for the Fixed Asset with which you are working without saving your changes.
Click Previous or Next to continue to the next tab on this screen. (i.e. If you are on the Core screen, click Next to continue to the Questions screen.)
Core
Task Code (MTASSETTASKS_TaskCode)
Click the Picklist icon to select the Task Code you wish to link to this Fixed Asset. This is a Mandatory field for the default VSI RecTrac Design. Your Design and setup may vary.
Task Codes are used to describe the job being performed. For Example: Mowing Fertilizing Painting Snow Removal etc….
Task Codes are maintained in Task Code Management.
DeleteEstimated Time in Hours (MTASSETTASKS_EstTime)
Enter a value in this field, if desired. The value you enter is the time - in hours - that you estimate it will take your Staff Member(s) to perform this Task. This establishes the default hours for this Task and is used in Scheduling and the Estimated Time Report
DeleteMonthly Estimated Time in Hours (MTASSETTASKS_MonthlyEstTime)
Enter a value in this field, if desired. The value you enter is the product of the Estimated Time and the number of hours per month you want to apply to this Task. The value you enter here equates to the time - in hours - that you estimate Staff Member(s) to spend performing this Task each month. This is used in Scheduling and the Estimated Time Report
For Example: You enter 3.00" in the Estimated Time field and calculate 6.00 per month. You would enter "18.00" in this field because 3 x 6 = 18.
DeleteInspection Form (MTASSETTASKS_InspectionFormCode)
Click the Picklist icon to select the Inspection Form Code you wish to link to this Fixed Asset Task, if any. When this Task is logged, the Inspection Form that is linked here will pop" on screen thus prompting the Staff Member who is creating the Log entry to fill out the form.
Inspection Forms are maintained in Inspection Form Management.
Note: If there is specific information you need to gather when this Task is logged but you do not want to use a full-fledged Inspection Form then consider linking Questions to the Task as an alternative. Questions like Inspection Forms will "pop" when the Task is logged.
Notes (MTASSETTASKS_Notes)
Enter any notes that you would like to associate with this Task. This field will accept up to 30,000 characters.
DeleteParentID (MTAssetTasks_ParentID)
You will not visit this field.
This field does not appear on screen in the Standard VSI Design. It contains the Parent ID for this record.
DeleteParent Table (MTAssetTasks_ParentTable)
You will not visit this field.
This field does not appear on screen in the Standard VSI Design. It contains the Parent Table for this record.

Asset Task Questions (MTASSETTASKSUpdate_QuestionDataGrid)
The Fixed Asset Task Update Questions DataGrid allows you to see all applicable questions linked to the Task that is linked to this Fixed Asset. Questions linked in this DataGrid will pop" when this Task is logged thus prompting the Staff Member who is logging the Task to answer the questions.
By default the Asset Update Questions DataGrid displays where the Question is linked the Linked Description the Question Text the Question Type Interface Type Answer Required flag setting Special Filters Parent Table and ID. Your set up may vary.

Buttons on the DataGrid…
Click Link Individual Question to continue to the Question Text Management Screen where you may add or change a linked question.
Click Apply Set as Template to continue to the Set Maintenance - Question Set DataGrid where you may select a question set to link as a template if desired. When linked as a template questions in the set can be modified on a case-by-case basis but changes made to the set in Set Management will not filter down.
Click Link Set to continue to the Set Maintenance - Question Set DataGrid where you may select a question Set to link if desired. When linked as a set questions in the set cannot be changed from this screen but any changes made to questions in the set in Set Management will take effect immediately.
Highlight/select a record and click Change to continue to the Question Text Management Screen where you can make changes.
Highlight/select a record and click Delete to remove it from the questions linked to this DataGrid.
Highlight/select an existing record and click Clone to continue to the File Maintenance Clone program where you can clone questions.
Bulk Change is not available from this DataGrid.
Click Preview to continue to the Preview Questions screen where you may review all questions that are visible on the DataGrid.
