The Inspection Form Update program allows you to add and/or update Inspection Form Codes. These are the forms you use when performing inspections on your fixed assets
Note: Field names on the screen with red labels* are required by the screen design you are using. Mandatory fields in the default Vermont Systems design are noted where appropriate. Your design and mandatory fields may vary.
Buttons on the screen…
Click Save to save your changes. You will return to the Inspection Form Management DataGrid.
Click Cancel to return to the Inspection Form Management DataGrid without saving your changes.
Click Previous or Next to continue to the next tab on this screen. (i.e. If you are on the Core screen, click Next to continue to the Inspection Items screen.)
Core
Inspection Form Code (MTINSPECTIONFORM_InspectionFormCode)
If you are creating a new Inspection Form record, then enter your Inspection Form Code in this field. Codes may be alpha and/or numeric. For Example: POTPK SBFLDS. This is a Mandatory field for the standard VSI Design. Your Design may vary.
If you are updating an existing Inspection Form Code then you will not visit this field.
DeleteDescription (MTINSPECTIONFORM_Description)
Enter the Description for this Inspection Form Code. For Example: Potter Park Softball Fields.
DeleteInspection Category (MTINSPECTIONFORM_CategoryCode)
Click the Combo Box icon to select the Inspection Category Code for this Inspection Form, if applicable.
Inspection Category Codes are maintained in System Code Management. Type = Inspection Category.
DeleteAsset Type (MTINSPECTIONFORM_AssetType)
Expand the Drop-down list to select the Asset Type to which you wish to link this Inspection Form Code.

Select your Asset Category. These are Mandatory fields for the default VSI RecTrac Design. Your Design and setup may vary.
Asset Category (MTINSPECTIONFORM_FixedAssetCategory)
Select the Asset Type to which you wish to link this Inspection Form Code.

Click the Combo Box icon to select the Asset Category you wish to use. These are Mandatory fields for the default VSI RecTrac Design. Your Design and setup may vary.
Asset Category Codes are maintained in Asset Category Management.
DeleteAuto Generate Work Orders (MTINSPECTIONFORM_AutoGenerateWO)
Select this option to have the system create a Work Order in the event of an inspection failure.

Address the remaining fields on this tab.
Note: When opting to use this feature remember to select/enable the Auto Generate Work Order on Item Failure toggle option on the applicable individual Inspection Items linked to this Inspection Form.
Approve Work Orders (MTINSPECTIONFORM_ApproveWorkOrders)
This field is applicable only if you are opting to Auto Generate Work Orders for this Inspection Form.
Select this option to have Work Orders generated from this Inspection Form due to an inspection failure set to "Approved" automatically.
De-select this option to leave Work Orders generated from this Inspection Form due to an inspection failure unapproved. In this event the Work Orders will have to be approved manually.
DeleteSeparate Work Orders (MTINSPECTIONFORM_SeparateWorkOrders)
This field is applicable only if you are opting to Auto Generate Work Orders for this Inspection Form.
Select this option to have the system create a separate Work Order for each item failure in the inspection. For Example: Your Softball Field Inspection Form has 10 Inspection Items linked. When inspecting the softball fields at Potter Park three (3) items fail. The system will generate three (3) separate Work Orders one for each failed item.
De-select this option to have the system create one Work Order only when this form is used multiple items fail inspection. For Example: Your Softball Field Inspection Form has 10 Inspection Items linked. When inspecting the softball fields at Potter Park three (3) items fail. The system will generate one (1) Work Orders and all three (3) failed items will appear on it.
DeleteDefault Work Order Category (MTINSPECTIONFORM_DefaultWorkOrderCategory)
This field is applicable only if you are opting to Auto Generate Work Orders for this Inspection Form.
Click the Picklist icon to select the Work Order Category you wish to use when generating Work Orders from this Inspection Form due to an inspection failure if desired.
Work Order Category Codes are maintained in Work Order Category Management.
DeleteDefault Work Order Priority (MTINSPECTIONFORM_DefaultWOPriority)
This field is applicable only if you are opting to Auto Generate Work Orders for this Inspection Form.
Click the Picklist icon to select the Work Order Priority Code you wish to assign to Work Orders generated from this Inspection Form due to an inspection failure if desired.
Work Order Priority Codes are maintained in System Code Management. Type = Work Order Priority.
Note: The system will use whatever is in the field for the Work Order Priority Code regardless of whether your Work Order Category Code already has a Work Order Priority Code linked to it.
Special Instructions (MTINSPECTIONFORM_SpecialInstructions)
Enter any special instructions you want to have included on the Inspection Form in this field.
DeleteInspection Items
Linked Inspection Items (MTInspectionFormUpdate_ItemsDataGrid)
The Linked Inspection Items DataGrid screen lists all the individual inspection items linked to this Inspection Form Code. These are the items the employee must check when performing the inspection for which this form is being used. Scroll up/down to view all the records. Scroll left/right to view the details.
DataGrid column sort options allow you to customize the view as desired. Click here for a full description of RecTrac DataGrids.
Other buttons on the screen…
Click Add to continue to the Inspection Item Update screen to create and link a new Inspection Item to this Inspection Form Code.
Highlight/select an existing record and click Change to continue to the Inspection Item Update screen to update information for an existing Inspection Item.
Highlight/select an existing record and click Delete to remove it from the database.
