Payroll Code Update allows you to add or update Payroll Codes. Payroll Codes are used in daily job planning to assign employee hours for pay purposes. A "Regular" Payroll Code is needed. Along with that, you should enter other Codes for the types of pay/compensation you provide. Typical examples are overtime, sick leave, vacation leave, holiday leave, and compensation time.
Note: Field names on the screen with red labels* are required by the screen design you are using. Mandatory fields in the default Vermont Systems design are noted where appropriate. Your design and mandatory fields may vary.
From the bottom of the screen…
Click Save to save changes. You will return to the previous screen.
Click Cancel to return to the previous screen without saving changes.

Payroll Code (PRPAYROLLCODE_PayrollCode)
If you are creating a new Payroll Code, then enter your Payroll Code in this field. Codes may be alpha and/or numeric. For Example: OT. This is a mandatory field for the standard VSI Design. Your Design may vary.
If you are updating an existing Payroll Code then you will not visit this field.
DeleteDescription (PRPAYROLLCODE_Description)
Enter the Descripton for your Payroll Code. For Example: Overtime.
DeleteRecordType (PRPAYROLLCODE_RecordType)
Expand the Drop-down list and select the Type for this Payroll Code.
- Premium - This Payroll Code is added to base pay and is charged to one (1) GL Code. Regular Pay, Overtime Pay and Doubletime Pay could be Premium Payroll Codes.
- Differential -This Payroll Code is added to base pay. Base pay is charged to one (1) GL Code and the differential is charged to a second GL Code. For Example: Heavy Equipment Operation could be a Differential Payroll Code.
- Leave - This Payroll Code is used to track Leave. When this Payroll Code is used, the number of Time Units entered is subtracted from the employee's accrued Vacation/Leave time. For Example: Sick Leave, Vacation, and Holiday could be Leave Payroll Codes.
Pay Type (PRPAYROLLCODE_MarkupType)
Expand the Drop-down list and select the Pay Type for this Payroll Code.
THEN
Enter the corresponding value in the Pay Amount field. For Example: Overtime Pay is considered Time and a half." You would select "Percent" in this field and enter "150.00" as the Pay Amount.
- Percent - When this Payroll Code is used the value will be a percentage. For Example: If "Regular Pay then the Pay Amount would be 100.00; if Time and a half then the Pay Amount would be 150.00; if Doubletime then the Pay Amount would be 200.00; etc….
- Flat - When this Payroll Code is used, the value will be a flat dollar amount equal to the number in the Pay Amount field.
Pay Amount (PRPAYROLLCODE_MarkUpAmount)
Expand the Drop-down list and select the Pay Type for this Payroll Code.

- Percent - When this Payroll Code is used the value will be a percentage. For Example: If "Regular Pay then the Pay Amount would be 100.00; if Time and a half then the Pay Amount would be 150.00; if Doubletime then the Pay Amount would be 200.00; etc….
- Flat - When this Payroll Code is used, the value will be a flat dollar amount equal to the number in the Pay Amount field.
Accrue Options (PRPAYROLLCODE_AccrueType)
Expand the Drop-down list and select the Accrue Option that corresponds with this Payroll Code.
- Accrue Leave Time - When this Payroll Code is used, Staff will earn Leave Time. For Example: Staff accrue leave time when working under Regulary Pay, Overtime Pay and Doubletime Pay..
- Accrue Comp Time - When this Payroll Code is used, Staff will earn Comp Time." Generally speaking Comp Time is different from "Leave Time" in that the employee is given "free time off" for certain unsalaried/unpaid work performed or hours spent. For Example: You might provide "Comp Time" for staff who volunteer to do routine office maintenance on the weekend.
- Use Comp Time - When this Payroll Code is used Staff will have Comp Time deducted from their Accrued Comp Time. Generally speaking Comp Time is different from "Leave Time" in that the employee is given "free time off" for certain unsalaried/unpaid work performed or hours spent.
- None - When this Payroll Code is used Staff will NOT earn Leave Time. For Example: Staff do not accrue Leave Time when being given Vacation Pay Sick Pay and Holiday Pay becasue you do not want employees earning Leave time while taking it.
