The Rental Class Update Core screen allows you to add a new or update an existing Rental Class. The fields on this screen and the subsequent Tabs (Fees, Rules, Questions, etc...) allow you to update information pertinent to your Rental Class.
Note: Field names on the screen with red labels* are required by the RecTrac design you are using. Default VSI RecTrac mandatory fields are noted where appropriate in this Help File. Your Design, setup, and mandatory fields may vary. Regardless, they will appear with red labels* on screen.
From the bottom of the screen...
Click Save to save your changes. You will return to the Rental Class Management DataGrid.
Click Cancel to return to the Rental Class Management DataGrid without saving your changes.
Click Previous or Next to continue to the next tab on this screen (i.e. If you are on the Core screen, click Next to continue to the Fees screen.).
To exit this program, click 'X' on the title bar. You will be returned to the Main Menu or the previous program.
Core
Rental Class (RNRENTALCLASS_RentalClass)
If you are creating a new Rental Class, enter your Rental Class Code in this field. Codes may be alpha and/or numeric. This is a mandatory field for the default Vermont Systems design. Your design and setup may vary.
If you are updating an existing Rental Class you will not visit this field.
Note: Rental Classes must be created in the database before you can setup individual Rental Items.
Permissions (RNRENTALCLASS_Permissions)
Click in the Combo Box icon to select the Permissions code(s) you want to apply to this Rental Class Code.
Permissions allow you to control which users can view, add, modify, and/or delete records on browsers and picklists, etc. These are called Access Rights and they are maintained on the Table Permissions tab of the Permissions profile
Note: You can leave this field blank if desired. When this field is blank the system skips the Permissions check for this record. In that event all users will have access to this record provided their Access Rights for the module allow for it.
Long Description (RNRentalClass_LongDescription)
Enter the Long Description of this Rental Class. DataGrids in RecTrac can be sorted by Description, if desired.
This field will accept up to 100 alpha-numeric characters.
DeleteShort Description (RNRentalClass_ShortDescription)
Enter the Short Description for this Rental Class. The Short Description appears on reports, receipts, etc…
DataGrids in RecTrac can be sorted by Description, if desired.
This field will accept up to 30 alpha-numeric characters.
Note: A Short Description is required to display Rental Items linked to this Class on the SuperGrid.
Default Rental Days (RNRENTALCLASS_DefaultRentalDays)
Enter the default length of your rentals in days, where days" equals "overnights." When reserving a rental item linked to this class the default length will the be the number of overnights you enter here. You can override this value when renting an item if needed.
- Enter "0" if the default length is "today only" (i.e. no overnight)
- Enter "1" if the default length is "today and tomorrow" (i.e. one (1) overnight).
- Enter "2" if the default length is two overnights
- Etc…
For Example: You rent roller blades and you also rent campsites. Generally speaking you rent roller blades by the day and campsites by the night though patrons may opt to rent either item for longer periods of time. When setting up your Roller Blade Rental Class you would enter '0' in this field because the typical rental does not go over night. You would enter '1' in this field for your Campsite Rental Class because the shortest rental is at least one overnight.
DeleteAutomatic Returns? (RNRENTALCLASS_AutomaticReturns)
Select this option to have the system automatically check items in (return items) when you run the Rental Detail Status Change program. Doing this saves you from having to process rental returns for individual items.
For Example: Campsite checkout is 11:00am. You select this option for your campsite rental class. You run the Rental End of Day program after 11:00am each day. When you run the program any campsite rentals that end "today" will be checked-in and their status will be set to Available or Ready for Check-out depending on whether the site is booked for new in-coming patrons.
Notes:
- If opting to Use Ready for Checkin? for this Rental Class you will have to set the Rental Item's status to 'Ready for Check In' after running the Rental Detail Status Change program. On the Standard VSI Design the Ready for Check In option for Rental Items is on Miscellaneous Settings group of Rental Item Update.
- The Rental Details Status Change program will NOT process payments for fees due. You can run the program to check in/return items with a balance but the program itself will not process any payments.
Time Blocks (RNRentalClass_TimeBlocks)
Click the Picklist icon to select the Rental Time Block Code you wish to link to items in this Rental Class, if any. Rental Time Block Codes set search/booking parameters for your rentals in WebTrac and on the SuperGrid.
For Example: Rollerblade rentals are available daily from Memorial Day Weekend through Columbus Day Weekend with pickup at 8:00am and return by 6:00pm. With a Time Block code linked to your rollerblade rentals, patrons and staff would see the all day rental blocks and a single Click to Reserve" would book the item.
Note: Time Blocks codes can be used in lieu of Default Event Length settings when processing on the SuperGrid.
Rental Time Block Codes are maintained in System Code Management. Type = Rental Time Blocks.
DeleteDefault Rental Minutes (RNRENTALCLASS_TimeBlock)
Enter the default length of time (in minutes) that a rental lasts. This field only applies if default beginning and end times are not set and/or if there are no time blocks linked to the rental class. This length of time can be adjusted in global sales at the time of purchase.
For Example: You enter 60 in this field. The default begin and end times and/or time blocks are not set. If you sell a rental item linked to this class at 1:05pm then the end time will automatically default to 2:05pm.
DeleteWaiver Code (RNRENTALCLASS_WaiverCode)
Click the Picklist icon to select the Waiver for this Rental Class, if desired.
The Waiver Letter that you select can be printed along with the receipt when a Rental Item linked to this Rental Class is reserved. Waivers also be can linked to Households or individual Family Members, if desired.
Waiver letters are managed in Letter Group Management. Code Type = Rental Waiver.

DeleteShow Rentals As Full Day? (RNRENTALCLASS_ShowRentalsAsFullDay)
Determine whether you wish the items linked to this rental class to appear as out" for the entire day when rented. When this option is selected the items linked to this Rental Class will display as "booked" in rental inquiries.
For Example: You rent canoes by the day with a return time of 5:00pm. You would select this field for the 'CANOE' class so canoes show as "booked" for the entire day when they're rented whether the reservation is for one (1) day only or for multiple days.
When this option is de-selected the items linked to this class will show as 'available' on the last day of its rental.
For Example: You rent campsites. Check-in time starts at 3:00pm and check out time is 11:00am the next day. You would NOT select this option for the CAMP Rental Class since campsites become available for rental/check-in after 3:00pm on the "last day" of the previous rental.
DeleteDefault Begin Date (RNRENTALCLASS_DefaultBeginDate)
Click the Calendar icon to select the default beginning reservation date used for Rental Items linked to this Rental Class. This is a good option for items with fixed beginning and ending dates, such as (but not limited to) mooring slips at a boat marina and equipment rentals for a college semester.
Leave this field blank to use today's" date as the default beginning date for Rental Items linked to this Class. Generally speaking this is the standard option.
If you enter a date in this field and that date has passed the system will use "today's" date as the beginning date and it will adjust/pro-rate fees accordingly.
DeleteDefault End Date (RNRENTALCLASS_DefaultEndDate)
Click the Calendar icon to select the default ending reservation date used for Rental Items linked to this Rental Class. This is a good option for items with fixed beginning and ending dates, such as (but not limited to) mooring slips at a boat marina and equipment rentals for a college semester.
Leave this field blank to use today's" date plus your Default Rental Days value as the ending date for your Rental Items linked to this Class.
Default Rental Days is located on the Core Settings panel.

Select this option to give patrons the rights to overwrite/alter the default begin/end times of a Rental Item in this Class when using WebTrac to make reservations.
Leave this option de-selected to use your default begin/end times for all Rental Items in this Class when reservations are made using WebTrac.
DeleteUse Time Blocks on WebTrac? (RNRentalClass_WebTimeBlockSearch)
Expand the Drop-down list to select the Time Block option that will be used when patrons search for items linked to this Rental Class in WebTrac.
- None - There will be no searching by Time Blocks in WebTrac for items linked to this Rental Class.

Fixed Times- Searches in WebTrac for items linked to this Rental Class will be done using Fixed Time Blocks. When selecting this option:
- The Time Blocks field on the Core Settings group (above) needs to populated with at least one (1) Rental Time Block System Code AND the Block Type must be Fixed Time.
- When searching for items linked to this Rental Class in WebTrac patrons will need to change the Time Block Search to Fixed Times.
Start Descriptor (RNRENTALCLASS_StartDescriptor)
Enter the description that will print on receipts when customers start their rental for items in this Class.
For Example: You rent mountain bikes and enter OUT" in this field for the mountain bike rental class. When patrons rent a bike and start the rental the receipt will list the item as being "OUT since the bike was just checked out.
You also rent campsites and enter IN" in this field for the campsite rental class. When patrons reserve a campsite and start their stay the receipt will list them as being "IN since they just checked in to your campground.
DeleteCompleted Descriptor (RNRENTALCLASS_CompletedDescriptor)
Enter the description that will print on receipts when customers complete their rental for items in this Class.
For Example: You rent mountain bikes and enter In" in this field for the mountain bike rental class. When patrons rent a bike and return it at the end the rental the receipt will list the item as being "In since the bike was just checked in.
You also rent campsites and enter OUT" in this field for the campsite rental class. When patrons complete their stay and leave your campground the receipt will list them as being "OUT since they just checked out of your campground.
DeleteBackground Image (RNRENTALCLASS_BackgroundImage)
An image linked in this field will display for all Items linked to this Class unless a specific Rental Item has its own image linked in the Rental Image field on the Rental Item Update screen.
Browse to and select the image you want to associate with this file management record when it is being displayed in WebTrac or when it is printed on reports or in brochures if applicable (i.e. the image you want to use for this section or this pass or this facility etc. Allowed file formats include: .jpg .bmp .png .gif.
Upon selecting the image the system will prepend the file name with \WebTracimages\. For example your image name is MyActivity.jpg and it is stored in C:\temp on your workstation. When you select that image this field will fill with: \WebTracimages\MyActivity.jpg
Leave this field blank if you don't want an image to display in WebTrac or on reports and brochures.
Images used for WebTrac must also be stored in the \images folder on your web server else they will not display in WebTrac. So if you wanted the "MyActivity.jpg" image from the example to display in WebTrac then you would need to have the image in this field and you also would have to copy the "MyActivity.jpg" to the \images folder on your web server as well.
Note for Vermont Systems-Fully Hosted and Vermont Systems-Web Only Hosted Customers: The Vermont Systems Hosted team maintains your web server so any images you want displayed in WebTrac need to be sent to them. Select the image you want to display in this field as outlined above and then email a copy of your WebTrac image to HostedServices@vermontsystems.com. The Vermont Systems Hosted team will place the image in the \images folder on your web server. Contact the Hosted team for further information/instruction if needed.
What Size Should Your Images Be?
By default WebTrac displays thumbnail images at 165 (width) x 110 (height) pixels. Images in the \images folder get resized automatically upon display in WebTrac. Click-able images such as those used for facilities will display at their actual/true/full size when a patron clicks the thumbnail to enlarge the image.
When selecting images for display in WebTrac Vermont Systems recommends the following for best results:
- Pre-size your images to dimensions that are directly proportional to 165x110. When sized proportionately your image will not lose aspect ratio and appear skewed when reduced and displayed in the thumbnail.
- Keep the file size of your images at or below 100kb. When patrons use WebTrac the images linked to your items must be downloaded to the patron's browser. Larger images tax your web server far more than smaller ones and result in longer/slower page loading time on the patron's browser.
Use Ready For Checkin? (RNRENTALCLASS_UseReadyForCheckin)
Select this option to manually determine when an item in this Rental Class is ready/available to be rented again after it has been returned.
IF you select this option, then you should enable the Ready for Check In option for applicable items on the Miscellaneous Settings panel of Rental Item Update whenever items are ready for rental.
De-select this option if you feel items linked to this Rental Class can be rented again as soon as they are returned.
For Example: You rent roller blades (Class = RLRBL) and mountain bikes (Class=MNTBK). When roller blades are returned the clerk makes a brief inspection to ensure they are in working order and if OK (which is most of the time) puts them on the shelf for the next patron. When mountain bikes are returned each bike must be washed dried and fully inspected (air in the tires chain oiled etc…) before it can go out again. When creating the Rental Classes you would de-select this option for the roller blades because they are generally ready to go out again and you would enable this option for the mountain bikes because your staff must attend to them before they can be rented again.
Note: When using "Ready for Check In rental items will carry a status of In Use after they have been returned until such time as the Ready for Check In option is enabled on the item. Using the Mountain Bike example above, if your equipment technician inspected a mountain bike upon its return but failed to enabled the Ready for Check In option for that bike in RecTrac, then that bike would show as In Use even though it is physically ready to be rented again.
Delete
Fees
Auto Refund Deposit? (RNRENTALCLASS_AutoRefundDeposit)
Select this option to have the system refund deposits automatically upon return, if one was charged.
When enabled, the system will refund the full deposit and apply (Refund Apply) it to the household that rented the item(s).
De-select this option if you wish to process deposits manually as part of the rental return/check-in process.
Leave this field at its default setting if you do not require deposits for rental items in this Class.
DeleteRecalcalculate Early Returns? (RNRENTALCLASS_RecalcEarlyReturns)
Select this option if you want the system to recalculate the fees automatically for early returns during the rental return (check-in) process for an item in this Rental Class.
Recalculating Early Returns allows the system to prorate the cost of a rental based on its return date/time within the scope fees to which it is linked and thus determine how much of the original rental price to charge.
Leave this option deselected if you do not want the system to recalculate the fees for early returns. Upon rental return, you have the option to update charges manually, if desired.

DeleteRecalculate Late Return? (RNRENTALCLASS_RecalcLateReturn)
Select this option if you want the system to recalculate the fees automatically for late returns during the rental return (check-in) process for an item in this Rental Class.
Recalculating Late Returns allows the system to update the cost of a rental based on its return date/time within the scope fees to which it is linked and thus determine how much of a fee increase is required.
Leave this option deselected if you do not want the system to recalculate the fees for late returns. Upon rental return, you have the option to update charges manually, if desired.

DeleteLate Buffer Minutes (RNRENTALCLASS_LateBufferMinutes)
Enter the value that you wish to use as a grace period when recalculating fees for late returns. Items returned (checked in) within the grace period will NOT be subject to late return fees. The value you enter is equal to minutes.
Leave this field at '0' if you do not wish to provide a late return buffer or if you do not charge for late returns.
DeleteFees (RNRentalClassUpdate_FeeDataGrid)
The Rental Class Update Fees DataGrid allows you to see all applicable fees linked to this Rental Class. Fees linked to the Rental Class or to the Rental module will display here.
The Linked To column displays where Fees are linked. Only those Fees linked at the Rental Class can be edited here. Fees linked elsewhere (any Fee linked at a higher level of hierarchy) appear on the DataGrid, but you cannot edit or remove them from this DataGrid. They appear grayed out."
By default the Rental Class Update Fees DataGrid displays where the Fee is linked the Linked Description the Fee Status Amount Order Billing Amount Default Quantity Description Fee Type Transaction Type (linked) Criteria Description (linked) Tax Table (linked) GL Code (linked) Cost Center Total Price Option Fee Required option Use Accrual option (linked) and Fee Group Code Your set up may vary.

Buttons on the fee grid…
Click Add and make a selection:
- Add Fee - You will continue to the Fee Detail screen where you may add or change a linked fee using basic options.
- Advanced Fee Add - You will continue to the Fee Update screen where you may add or change a linked fee using advanced options.
Note: Fee Default Record Permissions determine whether or not you receive a Default Record Add pop-up message upon clicking Add Fee and Default Fees by Module determine what default records populate the list.
If you receive the pop-up message asking whether you want to add a --New Blank Record-- then you have Permissions to add "regular" fee records and default fee records to your database. Expand the list and make a selection:
- If you have default fees you may opt to use them if desired.
- If you do not have default fees Vermont Systems recommends choosing --New Blank Record-- as it will create a new fee.
If you do not receive the pop-up you do not have Permissions to add default fee records to your database. You will be adding a new fee record only.
In the standard Vermont Systems design Fee Default Record Permissions are maintained on your Permissions profile • Default Record Permissions group. Default fees are maintained in Fee Management.
The default fees that populate the Drop-down list are maintained in your Rules and Fees profile.
Highlight/select a record click Change and make a selection:
- Change Fee - You will continue to the Fee Detail screen where you may change a linked fee using basic options.
- Advanced Fee Change - You will continue to the Fee Update screen where you may change a linked fee using advanced options.
Click Link Set and make a selection:
- Link Set as Template - You will continue to the Set Maintenance DataGrid where you may select a fee set template to link if desired. When linked as a template any fees in the set can be modified on a case by case basis but changes made to the set in Set Maintenance will not filter down.
- Link Set as Unchangeable - You will continue to the Set Maintenance DataGrid where you may select a fee set to link if desired. When linked as an unchangeable set fees in the set cannot be changed on this screen. However you can make changes to a set in Set Management and those will take effect immediately.
Highlight/select a record and click Delete to remove it from the fees linked to this DataGrid.

Rules (RNRentalClassUpdate_RuleDataGrid)
The Rental Class Update Rules DataGrid allows you to see all applicable rules linked to this Rental Class. Rules linked to the Rental Class or to the Rental Class module will display here.
The Linked To column displays where Rules are linked. Only those rules linked to the Rental Class can be edited here. Rules linked elsewhere (any Rule linked at a higher level of hierarchy) appear on the DataGrid, but you cannot edit or remove them from this DataGrid. They appear grayed out."
By default the Rental Class Update Rules DataGrid displays where the Rule is linked the Linked Description the Allow Option (check mark for allow 'x' for disallow) the Rule Description the Rule Status the Transaction Type the (linked) Rule Group the Rule Override Option the Parent Table and ID the Clone ID and the Record Type. Your set up may vary.

Buttons on the rule grid…
Click Add and make a selection:
- Add Rule - You will continue to the Rule Detail screen where you may add or change a linked rule using basic options.
- Advanced Rule Add - You will continue to the Rule Update screen where you may add or change a linked rule using advanced options.
Note: Rule Default Record Permissions determine whether or not you receive a Default Record Add pop-up message upon clicking Add Rule and Default Rules by Module determine what default records populate the list.
If you receive the pop-up message asking whether you want to add a --New Blank Record-- then you have Permissions to add "regular" rule records and default rule records to your database. Expand the list and make a selection:
- If you have default rules you may opt to use them if desired.
- If you do not have default rules Vermont Systems recommends choosing --New Blank Record-- as it will create a new rule.
If you do not receive the pop-up you do not have Permissions to add default rule records to your database. You will be adding a new rule record only.
In the standard Vermont Systems design Rule Default Record Permissions are maintained on your Permissions profile • Default Record Permissions group. Default rules are maintained in Rule Management.
The default rules that populate the Drop-down list are maintained in your Rules and Fees profile.

When linked as an unchangeable set rules in the set cannot be changed on this screen. However you can make changes to a set in Set Management and those will take effect immediately.

Email Features (RNRentalClassUpdate_EmailFeaturesDataGrid)
The Email Features DataGrid allows you to see all applicable email notification criteria linked to this item. Email features/criteria dictate when an email will be sent (upon a purchase, upon a cancellation/return, etc.) and to whom it will go.
By default, the Email Features DataGrid displays the Transaction Type that will result in an email being sent, the Status, (linked) Feature Type, (linked) Feature List, whether to CC a Coordinator option (as applicable), Free Form Contacts, Staff Contacts, Override Text, and Features. Your set up may vary
