The Email Features screen allows you to add or update email notification criteria for the module from which you accessed the program. Email features dictate when an email will be sent (i.e. for an activity enrollment, a facility booking, etc.) and to whom it will go (i.e. to instructors, to facility contacts, etc.).
Note: Field names on the screen with red labels* are required by the screen design you are using. Mandatory fields in the default Vermont Systems design are noted where appropriate. Your design and mandatory fields may vary.
Note: These emails are intended for internal staff.

Click Save to save your changes. You will return to the previous screen.
Click Cancel to return to the previous screen without saving any changes.

Status (SAEmailFeatures_RecordStatus)
Select the status of this email feature.
- Active
- Inactive - This email feature will not apply if it is inactive; email will not be sent.
Transaction Types (SAEmailFeatures_TransactionTypes)
Select the Transaction Type(s) you want to link as criteria for an email to be sent. A transaction of the type(s) selected will trigger the email being sent.
The selections on this list vary by module, so the entries you see when accessing this program from an activity will differ from the list you'll see when accessing this program from a facility or a pass, etc.
DeleteStaff Contact List (SAEmailFeatures_SAStaffContactList)
Select the staff member(s) you want to email when any of the Transaction Type criteria for this email feature are met. Multiple selection is allowed.
Note: This field will display all records listed in Staff Management. For example in the event you wanted to email the facility manager when a facility booking is made or if you wanted to email the Trip director when a trip becomes full then you'd simply have to list these individuals as staff members. Optionally you can use the Free Form Contact List to add email addresses of people not listed as staff members.
Include Program Coordinators in all email correspondence? (SAEmailFeatures_CCCoordinators)
Select this option to have Program Coordinators receive an email whenever the criteria for this email feature is met.
Note: This field is applicable to activities only. It is hidden from view in all other Modules.
Free Form Contact List (SAEmailFeatures_FreeFormContactList)
To send email to individuals not listed as staff members, enter their email address in this field. Separate multiple email addresses by a comma and no space. For example, john@rectrac.com,paul@rectrac.com,george@rectrac.com,ringo@rectrac.com, etc.
DeleteOverride Text (SAEmailFeatures_OverrideText)
Enter text in this field as desired. The text you enter here will be used in lieu of the generic message generated by the system for this email feature.
The system sends an email whenever the criteria for this email feature are met. The generic text of that email varies by the module you are using, but by default, it contains basic information regarding the action performed. Text entered in this field overrides the generic text. This text is intended for internal staff.
DeleteFeature Type (SAEmailFeatures_FeatureType)
Select a Feature Type, if desired. This field works in conjunction with the Feature List field as follows:
- If the Feature List field is populated, then any family member or household with at least one match will be included in the criteria.
For example, the Feature Type you choose is Family Member Category and you list Resident in the Feature List. When the conditions for this feature are met, only those family member records with 'Resident' linked in their Category field are listed in the email sent to those in your specified staff contact list. - If the Feature List field is blank, then everyone in the Staff Contact List field and/or Free Form Contact List field will receive an email when the conditions for this email feature are met.
Feature List (SAEmailFeatures_FeatureList)
Select any Categories/Features as desired. This field works in conjunction with the Feature Type field as follows:
- If the Feature List fields is populated, then any family member or household with at least one match will be included in the criteria.
For example, the Feature Type you choose is Family Member Category and you list Resident in the Feature List. This field displays the system-generated parent ID for this email feature record.
