The Golf profile defines View/Book Parameters for tee times at your golf courses. This profile determines which golf courses users can see and book tee times on, WebTrac tee time booking parameters, Tee Sheet color display, Tee Sheet settings, and Tee Time credit card settings.

Courses Available For Reservations (SAProfileDetails_ReserveGolfCourses)
Use the Dual Selection List to add or remove Golf Course Codes from the Selected field as needed. Users linked to this profile will be allowed to reserve tee times for the golf courses listed in the right-hand column.

Use the Courses Initially Visible in Tee Time Processing Dual Selection List to determine which of the golf courses you select here will be available upon initial entry into a Tee Sheet.
- Golf courses appear on Tee Sheets in the order they are listed top to bottom in the Dual Select List.
- If you have an 18-hole golf course and if you allow golfers to start from the 10th Tee, then be sure to include <Golf Course Name> - 18 Holes (Back) in the Selected column.
- If you have an 18-hole golf course and if you do not allow golfer to start from the 10th Tee, then don't include <Golf Course Name> - 18 Holes (Back) in the Selected column.
Courses Initially Visible in Tee Time Processing (SAProfileDetails_DisplayedGolfCourses)
Use the Dual Selection List to add or remove Golf Course Codes from the Selected field as needed. Courses listed in the Selected column will be visible upon initial entry into a Tee Sheet.
- Golf courses appear on Tee Sheets in the order they are listed top to bottom in the Dual Select List.
- If you opt not to include all your golf courses in the Selected column, you can navigate to them during Tee Time Processing/Inquiry by clicking on the Golf Course Name header on the Tee Sheet. This results in a Drop-down list that includes all golf courses listed in the Selected column of the Courses Available for Reservations Dual Select List.
Notes: In order for a golf course to be visible for Tee Time Processing/Inquiry it must be included in the Selected column of the Courses Available for Reservations Dual Select List regardless of whether it is initially viewable or stored in the Drop-down list.
For best results Save changes and then Clear All Menu Cache for changes to take effect.
Squeeze Time Interval (SAProfileDetails_SqueezeTimeInterval)
Enter a value in this field. The value you enter is the amount of time, in minutes, you want to use for the interval in the event you click Squeeze on the Tee Sheet to add a tee time slot. This time value you enter here must be less than your regular tee time interval and is typically around ½ of your tee time interval (i.e., if your tee times are 8 minutes apart, you would enter 4" in this field).
Notes: Tee time intervals are established when you Generate Tee Times.
The Squeeze button on Tee Sheets allows you to insert a tee time between two existing tee times. The tee time you create will be the original tee time you select plus the number of minutes in this field. For example your value here is "4." You select the 7:27 tee time. The squeeze tee time you create will be for 7:31.
Tee Sheet Refresh Interval (SAProfileDetails_RefreshInterval)
Enter a value in this field. The value you enter is the amount of time, in seconds, you want to use as the automatic screen refresh interval
You can refresh the Tee Sheet manually at any time by clicking either the Refresh button or the Current Time button on the Tee Sheet.
DeleteAutocreate Visits for Greens Fee Purchase (SAProfileDetails_GreensFeeAutoCreateVisits)
Select this option to create pass visit records automatically at your default golf course when selling greens fees via Touch POS or Global Sales. De-select this option to skip the pass visit creation when selling greens fees via Touch POS or Global Sales.
When selected, this option allows you to skip the Tee Sheet and/or Golf tab in Global Sales and create visit records when Greens Fees Service Items are sold from Touch POS or Global Sales. This option assumes you do not use a Tee Sheet to track tee times nor to check-in golfers.
To utilize this option you must:
- Have a golf course listed in the Default Golf Course field on your Daily Processing profile.
- Ensure that the golf course on your Daily Processing profile is linked to the same Location that is listed in your Visit Processing profile.
- Link the Greens Fees Service Items to the golf course in Golf Course update.
- Ensure that fees rules and criteria on your Service Items are valid in the event you charge different rates for different scenarios.
- Have valid Pass Codes created.
Allow Non Member Reservations? (SAProfileDetails_AllowNonMemberReservations)
Select this option to allow tee time reservations by any household in your database, including Members, Non-Members and Daily Players. De-select this option to allow tee time reservations by Members and Daily Players only.
When this option is selected, the lookup screen in Tee Time Booking will populate with all names in your database, thus allowing you to link a tee time reservation to family members that are not members at your golf course.
When this option is not selected, the lookup screen in Tee Time Booking will populate only with names in your database who are members at your golf course.
Note: The valid Membership Pass Types for a golf course are determined in Golf Course Update.
Autocreate Green Fees on Visits (SAProfileDetails_AutoGreenFeesonVisits)
Select this option to charge greens fees automatically when processing a Visit for Pass Codes allowed at your default golf course. De-select this option to skip the charging of greens fees when processing Visits for Pass Codes allowed at your default golf course.
When selected, this option allows you to skip the Tee Sheet and/or Golf tab in Global Sales and change applicable greens fees from the Visit Processing screen. This option assumes you do not use a Tee Sheet to track tee times nor to check-in golfers.
To utilize this option you must:
- Have a golf course listed in the Default Golf Course field on your Daily Processing profile.
- Ensure that the golf course on your Daily Processing profile is linked to the same Location that is listed in your Visit Processing profile.
- Link the Greens Fees Service Items to the golf course in Golf Course update.
- Ensure that fees rules and criteria on your Service Items are valid in the event you charge different rates for different scenarios.
- Have valid Pass Codes created.
Field to Focus on after Member Swipe? (SAProfileDetails_TeeTimeMemberSwipeFocusField)
Select the field you want the cursor to move to when a swipe is processed for users linked to this profile. Generally speaking, this field relates to the Tee Time Booking screen and where the cursor goes after you have performed the lookup for slot 1.
- Next Member Lookup - The cursor will go to the Lookup screen for the next tee time slot (i.e. the cursor will go from slot 1 to the lookup for slot 2, from slot 2 to the lookup for slot 3, etc.).
- First Name - After lookup, the cursor will go to the First Name field for the slot you are filling.
- Last Name After lookup, the cursor will go to the First Name field for the slot you are filling.
Allow Move of Checked In Tee Times? (SAProfileDetails_AllowMoveCheckedIn)
By default, tee times cannot be moved once the golfers have checked in. Select this option to allow clerks to move tee times after the golfers have checked in.
The ability to change a booked tee time on the Tee Sheet to another slot for the same day is controlled by the Move button. This option allows you to move a tee time for which check-in has already been processed.
DeleteAllow Tee Off or Show2 of Booked Reservations (SAProfileDetails_AllowNonCheckedTeeOff)
Select this option to skip the check-in" process on the Tee Sheet and change the status of a tee time from "Booked" to either "Tee'd off" or "Show2." (if applicable) by clicking the applicable button and then clicking the tee time. For example while dwelling on the Tee Sheet a user can click the Tee Off button and then click on a tee time. The tee time will go directly from "Booked" status to "Tee'd Off" status without going through the "check in" process.
Leave this option de-selected to process tee times the traditional way going through the Book Times page and running the "check-in" process.
Notes:
- When using this feature fees do not get charged when a tee time's status changes. If you charge fees for check-in those must be done as a separate step such as through a Touch POS sale or other method.
- When using this feature the system runs the "check-in" logic automatically. If you were to go back into a tee time after changing its status you would see the Check In box filled in.
- Show2 logic is controlled by the Show "Show2" Button on Tee Sheet option which is located on the Tee Sheet Settings group of this profile in the Standard VSI Desgin. Your set up may vary.
Default Lookup Option? (SAProfileDetails_TeeTimeMemberDefaultLookup)
Select the default lookup option for your members on the Tee Time Update screen
where you make tee times.
- Member - The default option will be Member/Xref.
- Phone Number - The default option will be the member's first phone number as listed in Household Update • Member Update.
- Household Number - The default lookup option will be Household Number. This is a good option if you swipe ID cards to lookup members.
Check booking rules when updating name on existing reservation? (SAProfileDetails_CheckBookingRulesOnChange)
Select this option to have the system check tee time rules in the event you overwrite an existing tee slot with a new golfer. The system automatically checks tee time rules when you cancel an existing slot and re-book it with a new golfer. However, in the event you simply change the name on the tee slot (as opposed to going through the re-booking procedure), this feature gives you the option to check Rules to ensure the new golfer meets whatever tee time rules you have in place.
De-select this option to skip the checking of tee time rules when you change the name on a tee slot.
DeleteDefault Field to Focus on in Tee Time Update Screen? (SAProfileDetails_TeeTimeDefaultFocusField)
Select the default field for your cursor when entering Tee Time Update from the Tee Sheet.
- Lookup - The Lookup field.
- First Name - The First Name field.
- Last Name - The Last Name field.
Display Members' Tee Times (SAProfileDetails_WebTracDisplayMembers)
Select this option to allow your members to see tee time reservations made for other members when they are booking tee times using WebTrac. De-select this option to allow members to see only those tee times that are available.
Note: When this option in enabled in conjunction with the Show Unavailable Slots in WebTrac option members basically will have their own Tee Sheet in WebTrac because they will be able to see which members have booked tee times as well as all the other slots open or filled.
Show Unavailable Slots (SAProfileDetails_WebTracUnavailable)
Select this option to allow your members to see tee time slots that are reserved/unavailable when they are booking tee times using WebTrac. De-select this option to allow members to see only those tee Ttmes that are available.
Note: When this option in enabled in conjunction with the Display Member's Tee Times option members basically will have their own Tee Sheet in WebTrac because they will be able to see which members have booked tee times as well as all the other slots open or filled.
WebTrac Daily Pass Type (SAProfileDetails_WebTracDailyPass)
This field is applicable only if you allow non-members to book tee times using WebTrac.
Select the Daily Pass Type which will be used for any tee time reservations made by non-members using WebTrac. One (1) Daily Pass only is allowed in this field.
Note: The Daily Pass you select here must also be valid for the Golf Course(s) for which the tee time is being made and on the Visit Processing profile used to check golfer in.
Numbers Of Players To Display (SAProfileDetails_WebTracNumberOfPlayers)
Accept the default value (4) or select an alternate value (1-5), if desired. The value you enter in this field is the number of tee time slots that will appear to golfers looking to book tee times in WebTrac. For example, you could generate four (4) slots per tee time and enter 4" in this field. When booking tee times online golfers will see four (4) slots per tee time. Alternately you could generate five (5) slots per tee time and still enter "4" in this field. Golfers would see four (4) slots only per tee time.

Course Width Percent (SAProfileDetails_CourseWidth)
Enter a value in this screen. The value you enter is the percentage of the screen width that a single Tee Sheet for a single golf course will occupy. If you have multiple golf courses and wish to display Tee Sheets for each course, use a value that will equal the amount of real estate you wish each Tee Sheet to occupy. Courses will appear, left-to-right, in the order they appear in the Courses Available for Reservations Dual Selection list.
Examples/Considerations for this field :
- IF you have one (1) golf course only and if you allow tee times from Hole 1 only, consider entering '100' in this field, so the single course will occupy all the real estate on your Tee Sheet.
- If you have one (1) golf course only and if you allow tee times from Holes 1 and 10, consider entering '50' in this field, so tee times from Hole 1 will occupy the left-hand side of your Tee Sheet, and Tee Times from Hole 10 will occupy the right-hand side of your Tee Sheet.
- If you have two (2) golf courses , consider entering 50" in this field. The Tee Sheet will display both courses.
- If you have three (3) golf courses consider entering "33" in this field. The Tee Sheet will display all three courses.
Title Date Format (SAProfileDetails_SuperGridTitleFormat)
Select your Title Date Format for the Tee Sheet. The selection you make here is the way in which the Date will display on the header bar of each golf course displayed on your Tee Sheet. Use the Date Examples in the drop-down as needed.
Note: Date and time format for the tee time slots and the Date field are taken from the Date/Time field on the Static Parameters profile.
Tee Sheet Screen Controls Location (SAProfileDetails_ControlsLocation)
Select the general screen location where you wish to have your Tee Sheet control buttons display when using the Tee Time Processing program. These buttons include but are not limited to the Time buttons you've selected; Days of the Week; action buttons such as Book Move Squeeze Refresh; and etc.
- Top - Buttons will appear across the top of the screen.
- Left - Buttons will appear on the left-hand side of the screen.
- Right - Buttons will appear on the right-hand of the screen. This is the default option.
- Bottom - Buttons will appear across the bottom of the screen.
Note: Regardless of your setting here the Shopping Cart area of the screen remains static on the right-hand panel.
Other Screens Tee Sheet Controls Location (SAProfileDetails_GSControlsLocation)
Select the general screen location where you wish to have your Tee Sheet control buttons display when accessing the Tee Sheet from programs, such as Global Sale and Tee Sheet Inquiry (i.e. from programs other than the Tee Sheet Processing program). These buttons include, but are not limited to, the Time buttons you've selected; Days of the Week; action buttons, such as Book, Move, Squeeze, Refresh; and etc….

Tee Sheet Time Buttons (SAProfileDetails_TimeButtons)
Accept the default entries or select the time buttons you wish to display on your Tee Sheet. Time buttons act like short cut icons and, when clicked, advance the Tee Sheet to the tee times that start on or after the value on the button. For example, you select 08:00am, 10:00am, 12:00pm, 2:00pm, and 4:00pm in this field. The Tee Sheet will contain five (5) buttons, one for each corresponding hour selected. When processing on the Tee Sheet, clicking any of the five buttons will advance the Tee Sheet the time you select. So if you click the 2:00pm button, the Tee Sheet will advance to the Tees Times starting on or after 2 o'clock pm.
DeleteTee Sheet Report Templates (SAProfileDetails_TeeSheetReportTemplates)
This option is applicable only if you print hard copy Tee Sheets from the GUI Tee Sheet in RecTrac using the Print Sheet button.
Select the Tee Time Report template(s) you want to have available for print from the Tee Sheet. Multiple selection is allowed. Additional setup is needed for this feature; see below.
Leave this field blank if you do not print hard copy Tee Sheets from the GUI Tee Sheet in RecTrac.
Additional setup for this feature:
- The Print Sheet button must be displayed on your Tee Sheet. Ensure Print Sheets is located in the Selected DataGrid for Tee Sheet Buttons below.
- You must have at least one (1) Tee Time Report Template. This field lists your Tee Time Report Templates by their Description. If this field is blank then you do not have any Report Templates for your Tee Time Reports OR you have Tee Sheet Report Templates but they lack a Description.
- Search for and go to Tee Time reports.
- Set your Report parameters.
- Click Report Templates • Create New Template.
- Add a Template Code and Description then click Save..
- Repeat as needed to create additional Report Templates.
- Return to your Golf profile. Your Tee Time Report Template(s) will be listed. Select the Tee Time Report template(s) you want to have available for print from the Tee Sheet.
Tee Sheet Display Name (SAProfileDetails_TeeSheetDisplayName)
Select the format you want the members name to display as on the Tee Sheet.
DeleteEmail Player Receipts on Booking? (SAProfileDetails_EmailBookedPlayers)
Select this option to have the system send a confirmation email to golfers whenever a tee time is reserved for them in RecTrac. When this option is selected, golfers will receive one (1) email for each tee time slot reserved.
De-select this option to skip the sending of confirmation emails when reserving tee times.
DeleteStay on the Last Date/Time? (SAProfileDetails_TeeSheetStayDateTime)
Select this option to have the Tee Sheet remain on the Date selected when a reservation has been made for a date in the future. When selected, a user who makes a reservation for a future date, will remain on that date upon completing the transaction. For example, today" is May 08 20xx. A user makes a tee time for June 14 20xx. With this option selected the user will remain on June 14 20xx upon completing the sale on the Payment Screen.
De-select this option to have the Tee Sheet return to "today" upon making a tee time and clicking the "Process" button. When making a tee time and using "Process and Finish with this option de-selected, the user will remain on the future date.
DeleteDwell on the Current Time when Date is Today? (SAProfileDetails_TeeSheetStayTodayTime)
Select this option to have the Tee Sheet default to the tee time closest to the current time of day whenever the Tee Sheet displays today's" tee times.De-select this option to have the Tee Sheet default to the first tee time of the day when displaying "today's" tee times regardless of the current time.
For example your first tee time of the day is 07:00am. With this option de-selected the Tee Sheet will always default to the 07:00am tee time. With this option selected the Tee Sheet will default to the "next" tee time based on the current time. So if looking at the Tee Sheet at 09:34am and you have a 9:37am tee time the Tee Sheet will default to the 9:37am tee time.
DeleteDisplay 9 or 18 on Open Tee Times (SAProfileDetails_Display9or18)
By default, Tee Sheets in RecTrac display the word Open" for all open/un-booked tee time slots. Select this option to have the Tee Sheets display the number of holes on your golf course ("9" or "18") for all open Tee Time slots in lieu of the word "Open."
For example Red Cedar is an 18-hole golf course. You allow four slots per tee time. The 7:07AM Tee Time is wide open. With this option Disabled the word "Open" will appear on all four slots. With option Enabled "18" will appear on all four slots instead.
DeleteAutomatically Finish Cancellations from Tee Sheet? (SAProfileDetails_TeeSheetCancelAutoFinish)
When this option is selected and you Cancel a tee time, then the system will finish the transaction automatically from the Tee Sheet as opposed to having you go through the Shopping Cart • Payment (or Refund) • Process procedure.
De-select this option to perform Tee Time cancellations in the traditional manner using the Shopping Cart • Payment (or Refund) • Process procedure.
DeleteDefault 'Check In' toggle on in Slot Screen? (SAProfileDetails_TeeSheetSlotCheckinNow)
This option is applicable only if you update tee times by individual slot using the Slot button on the Tee Sheet.
Select this option to have the Check In? option enabled/selected by default when updating tee times by individual slot. Additional setup is needed for this feature; see below.
De-select this option if you do not want the Check In? option enabled/selected by default when updating tee times by individual slot OR if you are not using the Slot button on your Tee Sheet.
Additional setup is needed for this feature.
- The Slot button must be displayed on your Tee Sheet. Ensure Slot is located in the Selected DataGrid for Tee Sheet Buttons.
Tee Sheet Label Fields (SAProfileDetails_TeeSheetLabelFields)
The Tee Sheet Label Fields Dual Selection List allows you to determine what information displays on Tee Time slots your Tee Sheet and the order in which it is listed. Accept the default entries, or make adjustments as needed. Here is some basic instruction.
- In the Available Column, highlight/select the field label you want to include on the Tee Sheet and then drag and drop" it into the Selected Column.
- Name - Whatever is listed in the Last Name field on the Tee Time.
- Pass Code - The Pass Code linked to the reservation.
- Reservation Type - "9" or "18." Reservation Type displays "9" only to indicate a 9-Hole reservation. If the reservation is for 18 holes then nothing displays.
- Cart Code - Whatever is listed in the Cart Code field on the Tee Time.
- Interface Type - "RecTrac" or "WebTrac." Interface Type displays "web" only to indicate the reservation was booked in WebTrac. If the reservation was made in RecTrac then nothing displays.
- Member Number - The member's pass number if applicable.
- Optionally you can click All to move all buttons from the Available Column into the Selected Column.
- Next place the labels (top to bottom) in the order (top to bottom) you wish to have them displayed on the Tee Sheet. An example is provided below to show the correlation.
- To move labels up and down highlight/select then "drag and drop."
- Click Remove All to place all field label options back into the Available Column. This is a good option in the event you need to start over.
- Click the Combo Box icon for Tee Sheet Label Bold Fields to select which labels if any you want to have displayed in bold type on the Tee Sheet.
- Click Save when done.

Tee Sheet Tooltip Fields (SAProfileDetails_TeeSheetTooltipFields)
The Tee Sheet Tooltip Fields Dual Selection List allows you to determine what information displays as a Tooltip on your Tee Sheet when you mouseover" a tee time slot and the order in which that information is listed. Accept the default entries or make adjustments as needed. Here is some basic instruction.
- In the Available Column highlight/select the field label you want to include on the Tooltip and then "drag and drop" it into the Selected Column.
- Name - Whatever is listed in the Last Name field on the Tee Time.
- Email Address - If the player is a member in your database then this field will display that member's email address if one is linked to the member's household.
- Pass Code - The Pass Code linked to the reservation.
- Cart Code - Whatever is listed in the Cart Code field on the Tee Time.

City - Whatever is listed as the player's City in Household Update either on the Member Details screen or in the City field for the Primary Person.
Note: The city displayed in the tool tip comes from the City field on the household unless there is an address in the Address Line 1 field under the SAPerson (Family Member's) Alternate Address group. Changing the city on the household will NOT change the city in the Alternate Address group. Changes to the City field in Alternate Address must be done manually.
- Member Number - The member's pass number if applicable.
- Phone Number Whatever is listed in the Phone Number field on the tee time.
- Pass Description - Whatever is listed in the Short Description field on the Pass Code linked to the reservation.
- Tee Time Note - Whatever is listed in the Tee Time Note field on the tee time.

Select which labels in the Selected" column of the Tee Sheet Tooltip Fields if any you want to have displayed in bold type on the "mouseover" Tooltip.
DeleteTee Sheet Buttons (SAProfileDetails_TeeSheetButtons)
The Tee Sheet Buttons Dual Selection List allows you to determine what buttons are available on your Tee Sheet and the order in which they will display. Accept the default entries, or make adjustments as needed. Here is some basic instruction.
- In the Available Column, highlight/select the button you want to include on the Tee Sheet and then drag and drop" it into the Selected Column.
- Optionally you can click All to move all buttons from the Available Column into the Selected Column.
- Next place the buttons (top to bottom) in the order (top to bottom) you wish to have them displayed on the Tee Sheet. An example is provided below to show the correlation.
- To move buttons up and down highlight/select then "drag and drop."
- The Spacer <x> buttons act as carriage returns putting a space between the button above and below it. This allows you to group buttons on the Tee Sheet as desired.
- Click Remove All to place all buttons back into the Available Column. This is a good option in the event you need to start over.
- Click Save when done.

Show 2 Label (SAProfileDetails_TeeSheetShow2Label)
Determines the label used for the Show2 button on the Tee Time Processing screen. Accept the default entry of blank/empty and Show2 is used for that button's label. To specify an alternative label, enter a value into this field.
DeleteRequire Credit Card for Member Tee Times (SAProfileDetails_RequireCreditCardMember)
Select the RecTrac Interface(s) for which you wish to require a credit card when making reservations for Members. The system will disallow tee time reservations without a valid credit card.
- RecTrac - When reserving Tee Times through RecTrac
- WebTrac - When patrons are making their own reservations via WebTrac.
Note: The Tee Time No Show Processing program allows you to charge a patron's credit card for the tee time if desired in the event a tee time reservation is made and the golfers do not cancel and do not show up.
Require Credit Card for Non-Member Tee Times (SAProfileDetails_RequireCreditCardNonMember)
Select the RecTrac Interface(s) for which you wish to require a credit card when making reservations for Non-Members. The system will disallow tee time reservations without a valid credit card.

- WebTrac - When patrons are making their own reservations via WebTrac.
