The Member Details Core Information screen allows you to add a new or update an existing Family Member for the Household you selected. The fields on this screen and the subsequent Tabs (Emergency Contacts, Linked Documents, etc…) allow you to update information pertinent to this Family Member.
Note: Field names on the screen with red labels* are required by the screen design you are using. Mandatory fields in the default Vermont Systems design are noted where appropriate. Your design and mandatory fields may vary.
Click View Photo to continue to the Family Member Photo screen where the member's photo will display, if applicable. A View Photo button is available for each Family Member.
Click Edit Xref to continue to the Cross Reference Management screen where you can add or update a cross reference number (Xref Number) for this family member. Cross reference numbers are used for visit processing and/or member lookup using Key Fobs or ID Cards that were not made/issued in RecTrac and therefore have their own unique number. Enter that unique number into the Xref field and RecTrac will look up this family member when the 3rd party ID Card or Keyfob is swiped/scanned into the system.
Click Profile Print to continue to the Report Options screen for the CYMS Profile Print report.
Note: This button is available only if the following two (2) conditions are met:
- CYMS Module is enabled on your License profile.
- Your User ID is flagged as a CYMS User in User Management.
From the bottom of the screen….
Click Save to save your changes. You will return to the Household Update • Core screen.
Click Cancel to return to the Household Update • Core screen without saving your changes.
Click Previous or Next to continue to the next tab on this screen. (i.e. If you are on the Core screen, click Next to continue to the Emergency Contacts tab.)
Click Household to return to the Household Update • Core screen. No changes will be saved.
Click Delete Family Member to delete the record from the household and your database.
Note: Active enrollments, active pass memberships, etc… must be purged from the Family Member record before the record can be deleted.

Birthday (SAPERSON_Birthday)
Click the Calendar icon to select this Family Member's date of birth.
DeleteAge (SAPerson_Age-YearsMonths)
You will not visit this field.
This is a calculated field that displays the family member's age based on the birth date entered.
DeleteGender (SAPERSON_Gender)
Expand the Drop-down list to select this Family Member's gender.Gender Codes are maintained in System Code Maintenance. Type = Gender.
DeleteRelationship (SALink_Relationship)
Expand the Drop-down list to select the Relationship Code that best matches this Family Member's status in this household.Note about Secondary Guardians/Spouses: If the system finds a match between the Relationship field of any Family Member in a household and the entry in Secondary Guardian/Spouse Relationship Code field on the Static Parameters profile THEN the Family Member found with the matching code will be listed as the Secondary Guardian/Spouse for that household in Household Update and the Secondary Guardian group will populate automatically.
Relationship Codes are maintained in System Code Maintenance.
DeleteFee Code (SAPERSON_FeeCode)
Accept the default value or click in the Combo Box icon to select the Fee Code(s) that you wish to be applied to this family member. Multiple selection is allowed.
You may choose multiple Fee Codes, if desired.
Note: Fee Codes linked to a Family Member override Fee Codes linked on the household level.
For Example: The Fee Code linked to the household is RES (Resident). The Fee Code linked to the family member is NR (Non-Resident). The family member will be charged the Non-Resident rate. when registering for a pass an enrollment a locker etc…
Features (SAPERSON_Features)
Click in the Combo Box icon to select any/all applicable Feature Codes for this Family Member.
RecTrac RecConnect Programs allow you to filter and sort by Family Member and/or Household Feature Codes thus making it easy to target specific groups of people in a quick and efficient manner.
Feature Codes are maintained in System Code Management. Type = Family Member Feature.
Note: Household Feature Codes can be linked on the Miscellaneous Info in the VSI Design. Your setup may vary.
Primary Phone (SAPERSON_PrimaryPhoneNumber)
Enter a phone number for this Family Member in this field. If the main phone number for this Family Member is the same as the Primary Phone Number on the household, you do not have to re-enter it here.
Note: By default the system provides two (2) phone number fields for each Family Member. Up to five (5) phone number fields may be listed here if desired. Additional phone number fields can be added in Management Screen Management Screen Title = Person Update.

Family Member Questions Place Holder (SAPersonUpdate_FMQuestions)
This field displays your linked Family Member questions, if any.
If no questions are linked, this will appear as a Family Member Question Group with no fields.
Questions are maintained in Question Maintenance. Questions are linked as Family Member Questions on the Household and Family Member Questions tab of the Static Parameters profile.
DeleteCategory (SAPERSON_Category)
Click the Picklist icon to select a Category for this Person, if desired.
Household/Family Member/Team Category Codes can be used to identify Residency Status (i.e. RES - Resident and NR - Non-Resident, etc...).
In the event residency status is not a primary concern at your department, Household/Family Member/Team Category Codes also can be used to link like households/family members/teams together for different purposes. Category Codes are searchable and reportable fields.
Category Codes are maintained in System Code Maintenance.
DeleteStatus (SAPERSON_RecordStatus)
Expand the Drop-down list to select the record status for this Family Member.
- Active
- Inactive
- Batch
School Grade (SAPERSON_SchoolGrade)
Enter the Family Member's current grade in school, if applicable.
As a general rule, VSI recommends using the following values:
- 0.10 - Infants and toddlers (generally newborn children through age 2.99)
- 0.25 - Preschoolers (generally children aged 3.00 to 4.99)
- 0.50 - Kindergarteners (generally children aged 5.00 to 5.99)
- Whole numbers 1.00 through 12.00 - School grades 1st through 12th
- 0.00 - Family members who are no longer in school.
Grades do not advance automatically; they must be updated annually. You have two (2) options:
- Use the Grade Bump program to advance the grade of all applicable family members in your database in bulk. The Grade Bump program can be scheduled to run on an annual basis. Family members with no grade (0.00) are skipped.
- Update family member grades individually by overwriting the value in this field and saving your changes.
Lost Card Count (SAPERSON_LostCardCount)
Enter the number of ID cards/Passes/Key Fobs that this Family Member has lost.
This field can also be updated automatically in the event the family member requests a new ID card. Whenever a new ID Card for a current pass is printed, the system prompts the clerk asking whether to update the lost card count." If the clerk answers "Yes this field will increase by one (1) automatically.
In the case of a lost key fob, or other scenarios where a card is not printed, this field must be updated manually.
What is this field used for?
When your ID Swipe profile has been setup to "Use Lost Card" ID cards will include the lost card count in the barcode that is printed on each card. Increasing the lost card count on the ID Card barcode stops people from using original cards after claiming to have lost one.
For Example: When an ID Card is printed the lost card field will have a '0' or '00' encoded in the barcode (depending on the length of the lost card field you choose). Pablo Fanque loses his ID card for the first time and requests a new one. When this field updates to '1' the replacement card will have a '1' or '01' encoded in the barcode. The original lost card will no longer work should someone find it and try to use it. If Pablo loses the replacement card and a third one is printed the number will increment by 1 and again the lost card would no longer work.

DeleteLast Physical (SAPERSON_LastPhysical)
Click the Calendar icon to select the date of this Family Member's most recent sports physical, if desired. By default, sports physicals are considered good/valid for a calendar year from the date on which it was issued.
Note: Rules allow you to make a valid sports physicals a prerequisite for enrollments into an Activity or membership in a Pass etc… if desired.

Last Waiver Date (SAPERSON_LastWaiverDate)
This field displays the most recent Global Waiver date for this Family Member, if applicable. When this Family Member is included on a transaction that meets your Global Waiver criteria, the system looks at this date and compares it to the processing date. If the current Global Waiver has expired, the system will print a new one and update the date in this field.
If you wish to force" a Global Waiver update click the Calendar icon and enter a date in the past far enough back to ensure a new Global Waiver will print.
Global Waiver settings are maintained on the Static Parameters profile.
DeleteScholarship Amount (SAPERSON_ScholarshipAmount)
You will not visit this field.
IF using Scholarships at the Family Member level and if this Family Member has a scholarship the amount will display in this field.

The credit book feature is generally used by private and semi-private golf clubs as a means to track a member's winnings from a pro shop tournament or other event. For Example: The pro shop gives a dollar amount for tournament prizes (i.e. 1st 2nd 3rd place long drive closest to the pin etc…) and these winnings are payable as a credit book credit. The member who wins can then use the credit towards a purchase of pro shop inventory. The credit book is completely separate from the household balance; it is essentially "money" that can be spent only at the golf course and only the family member with the credit book balance can use it for payment.

These are used as alternate contact numbers for the Family Member you selected, and they should not be confused with the Primary Phone Number you entered on the Core Information screen for this Family Member or the Primary Phone number you entered for the Household.

Click Add Existing Contact to select an existing family member in your Database as an Emergency Contact for this Household. You will continue to the Family Member Lookup screen. In the event a child's true Sponsor is NOT in the same household as the child you can Link the child to an Alternate Army Family Covenant (AFC) Benefits Sponsor. This feature addresses scenarios where children reside with one parent but qualify for AFC benefits due to the status of the other parent.
For Example: Mom and Dad are married and have two kids. They divorce but Dad remains the primary sponsor of the children. Mom remarries and you perform a partial merge moving Mom and the kids from the original household to the new step-dad's household. Original Dad gets deployed thus his children become AFC-Eligible. You fill out the AFC Deployment Question Group for Dad and enter his deployment dates. Then go to Family Member Maintenance for the kids click the Alternate AFC Benefits Sponsor button and link the kids (who are in Mom's and Step-Dad's household) back to their dad. DeleteName Title (SAPERSON_NameTitle)
Enter this Family Member's Name Title (i.e. Mr., Mrs., Dr., Ms., Miss, etc...).
DeleteOrganization Name (SAPERSON_OrganizationName)
Enter the Group or Organization with which this Family Member is affiliated, if any.
Note: If you are using the Silver Sneakers Interface program enter this family member's 16-digit Silver Sneakers identifier in this field. For best results separate the number into four (4) sets of four (4) delineated with hash marks between each set (i.e. 1234-5678-9012-3456)

Age Group (SAPerson_AgeGroup)
This field is designed for use with the Child Youth Management System (CYMS). CYMS is used primarily by the US Military to track its child care program needs though some non-military organizations use it too. Generally speaking if you are not licensed for (or using) the CYMS module then you should leave this field at its default setting. Contact Vermont Systems Support with any questions as to whether you should be using this field.
You will not visit this field.
This field displays the family member's Age Group based on the member's age as of "today" relative to the member's date of birth. This field will display "Beyond CYS" in the event the family member is aged 19 years or older or doesn't have a birth date entered.

Shots
Bulk Shot Date (SAPersonUpdate_BulkShotDate)
This field and the Update Shot Date on Selected Shots button allow you to update the Shot Date for any Shot Records that are selected in the DataGrid, if desired.- In the DataGrid, highlight/select the Shot Records that you wish to record as having been given. Multiple selection is allowed.
- Click the Calendar icon to select the date on which the shots were given. This information is typically provided by parents who present you with a valid shot record from their child's pediatrician.
- Click Update Shot Date on Selected Shots. The process will complete.
