The Permissions Code Management program allows you to add, change, delete and clone Permissions Codes in RecTrac that help you dictate which users can see/access/modify information on DataGrids and other areas in the system. When used correctly, Permissions Codes will allow your users to access only those records in the database they need to see to do their jobs.
For Example: You have a Youth Center and a Pool. Clerks at the Youth Center do not need to see the Activities or Passes for the Pool, and the clerks at the Pool don't need to see Activities or Passes for the Youth Center.
Permissions Codes allow you this flexibility. Once you create Permissions Codes, you apply them to DataGrids (Maintenance, Processing, Inquiry, and Reports) and Functions (Record Add, Change, and Delete) on the Table Permissions Tab of the Permissions profile.

Note: Permissions Codes and Override Permissions System Codes are different things. Permission Codes created here allow you to grant view/read/write access to database tables (module DataGrids) in the system. System Codes allow users to bypass Daily Processing warnings/restrictions, such as Age Requirements, Gender Requirements, etc....

Permission Codes (SAPERMISSIONCodeMain_help_DataGrid)
The Permissions Code Management DataGrid lists all the Permissions Code Codes currently established in your system. Scroll up/down to view the Letters or scroll left/right to view additional details.
DataGrid column sort options allow you to customize the view as desired. Click here for a full description of RecTrac DataGrids.
Buttons on the screen…
Click Add to continue to the Permissions Code Update screen to create a new Permissions Code.
Highlight/select an existing record and click Change to continue to the Permissions Code Update screen to edit the selected code.
Highlight/select an existing record and click Delete to remove it from the database.
Highlight/select an existing record and click Clone to continue to the File Maintenance Clone program to clone the selected Letter.
Select/Highlight a record in the DataGrid and click More • Audit Info to continue to the Audit Log Inquiry program for that particular record. The Audit Log Inquiry screen is "read only" and displays all file management updates to the record you selected.
Note: This button is available only on the true File Management Main DataGrid to which it is linked. For example if you are running an activity report and click the Picklist icon to select a range of activity sections you will not see this button on the Activity Section Management DataGrid that appears. However if you go to the actual Activity Section Main File Management DataGrid then you will see it.
