The Payment Code Maintenance program allows you to add, update, delete and/or clone payment codes. This is where you to define payment methods in RecTrac (i.e Cash, Check, Charge, etc.). Each payment method consists of a code and a type. The system allows you to have multiple codes of the same type for purposes of more accurate tracking and reporting. For example, you might have one Credit Card type code for VISA and MasterCard credit cards (3 - MC/VISA) and another for American Express (4 - AMEX) or you might have separate Miscellaneous type pay codes for Instructor pay (38 - INSTRT) and Referee pay (39- Ref), etc.
By default, the system includes five (5) VSI - payment codes. These cannot be deleted.
Important! Payment codes must be listed on your Payment profile • Allowed Pay Codes field in order to be used when processing transactions in RecTrac.

The Payment Code Management DataGrid lists all the payment codes currently established in your system that you have permission to view. Scroll up/down to view the payment codes or scroll left/right to view additional details.
DataGrid column sort options allow you to customize the view as desired. Click here for a full description of RecTrac DataGrids.

Click Add to continue to the Payment Code Update screen to create a new Payment Code.
Highlight/select an existing record and click Change to continue to the Payment Code Update screen to edit the selected Payment Code.
Highlight/select an existing record and click Delete to remove it from the database.
Note: Financial information for the Payment Code must be purged.
Highlight/select an existing record and click Clone to continue to the File Maintenance Clone program to clone the selected Payment Code.
Click More • Export to continue to the File Maintenance Export screen where you can select records in the DataGrid to export. The export creates an XML file which can be viewed/saved from the Document Center.
The export/import process provides an easy way to move records between RecTrac databases if necessary.
Note: This program does not export linked tables so Fees/Rules/Questions do not get exported; this exports only the Management record itself.
