Module Management Update allows you to determine how tax is charged at your Department (the Tax Options field) on a "by module" basis. Module Management is also the highest level of Fee/Rule/Question /Email Features hierarchy. Any Fees, Rules and/or Questions linked at the Module Level of hierarchy will apply to all items within the Module.
Buttons on the screen….
Click Save to save your changes. You will return to the Module Management DataGrid.
Click Cancel to return to the Module Management DataGrid without saving your changes.
Click Previous or Next to continue to the next tab on this screen. (i.e. If you are on the Core screen, click Next to continue to the Fees screen.)
To exit this program, click 'X' on the title bar. You will be returned to the Main Menu or the previous program.
Core Information
Module (SAModule_RecordCode)
You will not visit this field.
This field displays the Module Code.
DeleteDescription (SAModule_Description)
This field displays the Module Description. Accept the default entry or overwrite as needed. This field is used here in Module Management only. To change a Module's description within the program, itself (i.e. to change Pass Management to Pass Maintenance on the title bar of the main Pass DataGrid or on the shortcut buttons), &">Custom Screens and/or Custom Menus must be created.
DeleteTax Option (SAModule_TaxOption)
Select how you want RecTrac to calculate sales tax for this Module.
- Florida - Florida Tax Rules. See below.
- Gross - (Price x Quantity) x Tax
- Round/Gross - (Price x Tax x Quantity) round up to the nearest nickel.
- Round/Unit - (Price x Tax) round up to the nearest nickel x Quantity
- Unit - (Price x Tax) x Quantity
For example if a golf pro were buying 100 bags of tees at a price of $0.99 cents per bag with a tax of 6% the resulting charge would reflect the calculations below based on the Tax Option selected.

- Gross - (0.99 x 100) x 1.06 = 99.00 x 1.06 = $104.94
- Round/Gross - (0.99 x 1.06 x 100) = 104.94 (round up to nearest nickel) = $104.95
- Round/Unit - (0.99 x 1.05) = 1.0494 (round up to nearest nickel) = 1.05 x 100 = $105.00
- Unit - (0.99 x 1.05) x 100 = 1.0494 x 100 = $104.94
Florida Tax Rules
When using Florida tax rules the total tax rate on your Tax Table System Code must equal one of the following values below.
- 6.00%
- 6.50%
- 7.00%
- 7.50%
- 8.00%
- 8.50%*
How you choose to divide your tax percentages within a Tax Table System Code is up to your department's policy. What is important to know with regard to RecTrac is that when using Florida tax rules every Tax Table System Code you use must equal one of the percentages listed above.
For example your Florida tax rate is 6.50%. You might create a Sales Tax System Code with one (1) Tax Table with a 6.5000% Tax Percentage.
OR
You might create a Sales Tax System Code with two (2) Tax Tables one with a 5.0000% Tax Percentage and the other with a 1.5000% Tax Percentage.
OR
You might create a Sales Tax System Code with three (3) Tax Tables the first with a 4.0000% Tax Percentage the second with a 1.5000% Tax Percentage and the third with a 1.0000% Tax Percentage.
OR
You might do something completely different. The important thing to remember is that the total tax table percentage in each example above equals 6.5000% because the 6.5000% rate was chosen for the example.
The method RecTrac uses to charge tax with Florida tax rules is based on the Common Sales Tax Brackets DR-2x.pdf as listed on www.myflorida.com.
Notes: When using the Florida Sales Tax Rules you CANNOT use the Total Price Option on your Fees.
*In the event your total tax rate is greater than 8 5%RecTrac will default to Gross tax instead. Gross Tax: (Price x Quantity) x Tax

The Module Fees DataGrid allows you to see all applicable fees linked to this Module. Fees linked elsewhere within a Module item will NOT display here. For Example: A Fee linked to your Rock Climbing Activity will NOT display here.
By default, the Module Update Fees DataGrid displays where the Fee is linked, the Linked Description, the Fee Status, Amount, Order, Billing Amount, Default Quantity, Description, Fee Type, Transaction Type, (linked) Criteria Description, (linked) Tax Table, (linked) GL Code, (linked) Cost Center, Total Price Option, Fee Required option, Use Accrual option, (linked) and Fee Group Code, Your set up may vary.

Click Add and make a selection:
- Add Fee - You will continue to the Fee Detail screen where you may add or change a linked fee using basic options.
- Advanced Fee Add - You will continue to the Fee Update screen where you may add or change a linked fee using advanced options.
Note: Fee Default Record Permissions determine whether or not you receive a Default Record Add pop-up message upon clicking Add Fee and Default Fees by Module determine what default records populate the list.
If you receive the pop-up message asking whether you want to add a --New Blank Record-- you may opt to use them if desired.
- If you do not have default fees Vermont Systems recommends choosing --New Blank Record-- as it will create a new fee.
If you do not receive the pop-up you do not have Permissions to add default fee records to your database. You will be adding a new fee record only.

By default, the Module Update Questions DataGrid displays where the Question is linked, the Linked Description, the Parent Table and ID, the Question Text, Status, Interface Type, and Special Question Function, if any. Your set up may vary.
By default, the Module Update Rules DataGrid displays where the Rule is linked, the Linked Description, the Allow Option (check mark for allow, 'x' for disallow), the Rule Description, the Rule Status, the Transaction Type, the (linked) Rule Group, the Rule Override Option, the Parent Table and ID, the Clone ID, and the Record Type. Your set up may vary.

DeleteEmail Features
Email Features (SAModuleUpdate_EmailFeaturesDataGrid)
The Email Features DataGrid allows you to see all applicable email notification criteria linked to this item. Email features/criteria dictate when an email will be sent (upon a purchase, upon a cancellation/return, etc.) and to whom it will go.
By default, the Email Features DataGrid displays the Transaction Type that will result in an email being sent, the Status, (linked) Feature Type, (linked) Feature List, whether to CC a Coordinator option (as applicable), Free Form Contacts, Staff Contacts, Override Text, and Features. Your set up may vary
