The Grade Bump/Reduction program allows you to:
- Grade Bump - Advance the school grade for each family member in your database for whom a grade level applies until those family members reach your Maximum Grade to Use.
- Grade Reduction - Reduce the grade entry of all of your household family members by 1. This program can be run to reverse the effects of running Grade Bump more than once in a given year.
Grade Bump Option
The Grade Bump program allows you to advance the school grade for each family member in your database for whom a grade level applies until those family members reach your Maximum Grade to Use. When a family member has reached the Maximum Grade to Use, that family member will "roll over" to Grade 0.00 the next time this program is run, thus signifying that the family member is no longer in school. The grade field is maintained on the Core screen of Family Member Management, in the standard VSI Design. Any Family Member with a value other than 0.00 in their Grade field will be updated when you run this program. Family members with 0.00 in the Grade field are exempt and will not be impacted by running this program.
For Example: When run at the default settings, "Toddlers" (Grade 0.1 in the Grade Field) advance to Pre-schoolers at a certain age, Pre-schoolers (Grade 0.25 in the Grade Field) advance to Kindergartners at a certain age, Kindergartners (Grade 0.50 in the Grade Field) advance to first grade, First graders (1.00 in the Grade Field) advance to second grade, Second graders (2.00 in the Grade Field) advance to third grade etc... through to 12th grade. Twelfth graders (12.00 in the Grade Field) roll over to grade 0.00, thus indicating they have graduated from high school and are no longer in school. Family members in your database with 0.00 in their Grade Field are not impacted by this program.
This program should be Scheduled to run once a year, on the same day, either in late Summer/early Fall before the school year starts (For Example: August 20) or in late Spring after the school year ends (For Example: June 20). VSI recommends running the program in late Summer/early Fall. If this program is run twice (or more) in a calendar year, then you can "undo" the second running by using the Grade Reduction option.
In the event a child does not advance to the next grade (i.e. if a child is held back a year by the school system), then you must readjust the grade for that child manually in Household Update. On the Standard VSI Design, the Grade field is maintained on the Core screen of Member Details.
Grade Reduction Option
The Grade Reduction program allows you to reduce the grade entry of all of your household family members by one (1). This program can be run to reverse the effects of running the Grade Bump option more than once in a given year.
From the bottom of the Household Management DataGrid…
Click Process to run the Grade Bump/Reduction program for the Process Option you have selected.
Click Schedule to have this process run at regular intervals. You will continue to the Schedule Generator screen.
Note: This program should be Scheduled to run once a year, on the same day, either in late Summer/early Fall before the school year starts (For Example: August 20) or in late Spring after the school year ends (For Example: June 20). VSI recommends running the program in late Summer/early Fall.

Process Option (GradeBumpReduction_ProcessOption)
Accept the default entry or expand the Drop-down list to select the program option you wish to run. The option you select determines the input fields that display onscreen. Your options are:
- Grade Bump - Advance the school grade for each family member in your database for whom a grade level applies until those family members reach your Maximum Grade to Use.
- Grade Reduction - Reduce the grade entry of all of your household family members by 1. This program can be run to reverse the effects of running Grade Bump more than once in a given year..

Maximum Grade To Bump (GradeBumpReduction_MaxBump)
Enter a value in this field. VSI recommends 13.00." The value you enter represents the maximum school grade to which family members can be advanced when the program is run.
When set to a value other than 13.00 the system "caps" school grades (i.e. it stops advancing them) at the value you use. For Example: you enter "9.00" in this field. Family Members currently in 9th grade will remain in 9th grade when this program is run. They will NOT advance further than 9th grade. Family members in 8th grade or lower will advance as they normally would through to 9th grade. Upon reaching 9th grade grade advance will stop.
Unless you have a reason for "capping" school grades at a certain level VSI recommends leaving this field at its default setting.
Note: When using "13.00" in this field and "12.00" in the Maximum Grade to Use field family members who are currently in grade 12.00 will "roll over" to grade 0.00 when this program is run. Grade 0.00 effectively makes family members "out of school."
Maximum Grade To Use (GradeBumpReduction_MaxGrade)
If Using the Grade Bump Option
Enter a value in this field. VSI recommends 12.00." The value you enter represents the maximum school grade to which the program will bump/advance a family member when the program is run VSI recommends "12.00 as that it the typical grade number for a Senior in high school. You can set it higher or lower as needed.
Unless you have a reason for maximum grades other than a Senior in high school, VSI recommends leaving this field at 12.00."
Note: When using "12.00" in this field and "13.00" in the Maximum Grade to Bump field family members who are currently in grade 12.00 will "roll over" to grade 0.00 when this program is run. Grade 0.00 effectively makes family members "out of school."
If Using the Grade Reduction Option
Enter a value in this field. VSI recommends "12.00." The value you enter represents the highest grade number for which you wish to reduce grades. Children of that grade or lower will have their school grade reduced by one (1).
For Example: You enter "12.00" in this field. Every Family Member with "12.00" as a Grade will have the grade reduced to "11.00." Children currently in 11th grade will be reduced to 10th grade and so on.
Note: Family Members with a grade of "0.00" are considered "out of school." Their grade will not be reduced due to running this program. Any Family Members who went from Grade 12.00 to Grade "0.00" due to the Grade Bump option being run inadvertently (i.e. more than once in a calendar year) will have to have their grades reduced "back" to 12.00 manually.
Bump grade 0.1 to 0.25 (GradeBumpReduction_Grade1)
Select this option to bump children whose Grade is .1" to ".25" when this program is run.

Enter a When Child is 'x' years old or older and As of date.
These field allow you to associate "school grades" with infants/toddlers pre-schoolers and kindergartners if desired.
For Example: Children three (3) years old on or after September 1st are considered Pre-Schoolers in your organization. You would select this option and then enter "3.00" in the Age field and 09/01/20xx in the On/After field.
As a general rule VSI recommends using the following "fractional grades." Your age ranges may vary.
- Grade 0.1 = Infant to Toddler (ages newborn - 2.99)
- Grade 0.25 = Pre-School/Pre-K (ages 3.00 - 4.99)
- Grade 0.5 = Kindergarten (age 5.00 - 5.99)
Note: If you do not use this option or if a child's grade is below 0.5 but is not .1 or .25 then the program will bump the child's grade to 0.5.Once a child's grade is .5 the system will bump that child's grade to 1.00 the next time this program is run (i.e the child will move from Kindergarten (.5) to 1st Grade (1.00).
Reduce grade 0.25 to 0.1 (GradeBumpReduction_Grade1Red)
Select this option to reduce children whose Grade is .25" to ".10" when this program is run.

Enter a When Child is 'x' years old or younger and As of date.
These fields allow you to associate "school grades" with infants/toddlers pre-schoolers and kindergartners if desired.
For Example: Children three (3) years old on or after September 1st are considered Pre-Schoolers in your organization. If you ran the Grade Bump in error and now need to reduce grades then you would select this option and then enter "3.00" in the Age field and 09/01/20xx in the On/After field.
As a general rule VSI recommends using the following "fractional grades." Your age ranges may vary.
- Grade 0.1 = Infant to Toddler (ages newborn - 2.99)
- Grade 0.25 = Pre-School/Pre-K (ages 3.00 - 4.99)

When child is 'x' years old or older (GradeBumpReduction_Age1)
If opting to bump fractional grades enter the age a child must be in order to be bumped from grade 0.1 (Infant/Toddler) to grade 0.25 (Pre-schooler) in this field.
For Example: Children three (3) years old on or after September 1st are considered Pre-Schoolers in your organization. You would select the option to bump grades, enter 3.00" in this field and 09/01/20xx in the On/After field.
DeleteWhen child is 'x' years old or younger (GradeBumpReduction_Age1Red)
If opting to reduce fractional grades enter the age a child must be in order to be reduced from grade .025 (Pre-schooler) to grade 0.1 (Infant/Toddler) in this field.
For Example: Children three (3) years old on or after September 1st are considered Pre-Schoolers in your organization. Assuming you ran the Grade Bump in error and are now correcting it by running a Grade Reduction, you would select the option to reduce grades, enter 3.00" in this field and 09/01/20xx in the On/After field.

If opting to bump fractional grades then expand the Drop-down list and select your As of date option for the Grade Bump.

- If you are running this program manually then it is always safe to use Actual Date for this field and your date will be whatever your cutoff date is as outlined in the examle above.
- If you are Scheduling this program then VSI recommends selecting Today and 0. Then when making the schedule enter the specific day of the year on which you wish to run the program annually. For Example: September 1.
