Note: Field names on the screen with red labels* are required by the RecTrac design you are using. Default VSI RecTrac mandatory fields are noted where appropriate in this Help File. Your Design, setup, and mandatory fields may vary. Regardless, they will appear with red labels* on screen.
The Staff Pay Rate Update screen allows you to add or change pay rates linked to the instructor/personal trainer you've selected. A Staff Member can be linked to multiple rates depending on the jobs performed and each rate can be tiered up to five (5) times to provide incentives, if desired.
For Example: Your base rate for Tiny Tots Swim might be $25.00/head. However, once an instructor has taught 100 tiny tots, you might provide a $2.50 raise, or pay the instructor $27.50 per head. After 300 tiny tots, you might give another $2.50 raise, so the instructor will earn $30.00 per head. To achieve this using one (1) pay rate, you would establish three (3) tiers using a Per Head Type (because it is a "per head" fee and earnings ceilings equivalent to the rate times (x) games worked as follows:
- Tier 1: - Rate of Pay = 25.00, Pay Type = Per Head, Earnings Ceiling = 2500.00 (or 100 heads x $25/heads)
- Tier 2: - Rate of Pay = 27.50, Pay Type = Per Head, Earnings Ceiling = 8000.00 (or 100 heads x $25/head + 200 heads x $27.50/game)
- Tier 3: - Rate of Pay = 30.00, Pay Type = Per Head, Earnings Ceiling = 999,999,999 (because $30/head is the maximum you will pay an instructor.)

If you are setting up a new Rate, click the Picklist icon to select the rate you want from the Staff Rate Table. This is a mandatory field for the default VSI RecTrac Design. Your Design and setup may vary.
If you are updating an existing Staff Member you will not visit this field.
Staff Rate Table Codes are maintained in System Code Maintenance. Code Type = Staff Rate Table and they must be created before you can establish pay rates for a Staff Member.
DeleteDescription (SASTAFFPAYRATE_Description)
Accept the default entry (the Rate Table description) or overwrite as needed. This field should provide a description for this rate.
DeleteRate Type (SAStaffPayRate_RecordType)
Expand the Drop-down list to select the type of Staff Member to whom this rate will apply. The selection you make here will make this rate available for selection in the appropriate module.
- Instructor - This rate is applicable for Activity Instructors.
- Trainer - This rate is applicable for Personal Trainers.

Enter the Rate of Pay for this Tier. This is the base rate of pay for this Tier. For Example: 25.00, 250.00, etc…

Expand the Drop-down list to select the Pay Type for this rate:
- Hourly - The Staff Member will be paid the Rate of Pay by the hour worked. For Example: $25.00/hour.
- Percent - The value in the Rate of Pay field is a percentage of the total fees collected for the function. For Example: This is an Instructor Rate. The Rate of Pay = 25.00. The instructor will receive 25% of the class fees. If class fees = 1,000, then the instructor would be paid $250.00.
- Per Head - The Staff Member will be paid the Rate of Pay for each person who registers for a class. Generally speaking, this is an Instructor Pay Type only. For Example: The Rate of Pay is 10.00. Twenty people register for the class. The instructor will be paid $200.00.
- Flat (Instructor Only) - The Staff Member will be paid the Rate of Pay for each function. For Example: This is an Instructor Rate. The Rate of Pay = 250.00. An Instructor will be paid $250.00 per program worked. This rate is applicable to Instructors Only. Personal Trainers cannot be paid on a flat rate.
- Per Head Percent of Section Fees - The Staff Member will be paid a specified percent of the Fees linked to the Activity that are flagged as Instructor Pay Fees, multiplied by the number of enrollees in the program. The amount charged/paid for each enrollee is irrelevant. Enter the desired percentage within the Rate of Pay field on this screen, and select Per Head Percent of Section Fees" from the Drop-down list. Configure activity/section fees as Include in Instructor Pay as applicable through the Advanced Fee Add screen. For Example: Enrollment in your Cardio Training Class costs patrons $125.00 but only $100.00 of that fee counts toward the instructor's pay calculation (i.e. you might have registration fees that are ineligible). Employees receive a $50 discount when registering for the class. The $125.00 figure paid by the patron is irrelevant as only $100.00 is considered when instructor pay is determined. The $75.00 paid by an employee is irrelevant as the instructor?s pay is still based on the $100 activity fee. The instructor's pay is based on 50% of that $100.00 of applicable fees multiplied by the class's enrollment count. So if five (5) patrons enrolled in Cardio the calculation would be $100.00 X 5 patrons = $250.00 paid to the instructor.
Earnings Ceiling (SASTAFFPAYRATE_EarningsCeiling1)
If you are tiering your rates, then enter the dollar value at which you will cap" this tier. Upon reaching this limit the system will change to the Rate of Pay for the next tier (i.e. the system will roll from Tier 1 to Tier 2 and from Tier 2 to Tier 3 and etc…).
If you are not tiering your rates OR if this is the final rate tier accept the default value of 999 999 999.00.
Tiered Rate Example
Your Tier 1 Rate of Pay is $15.00. Your Pay Type is Hourly and your Earnings Ceiling is $5 000.00. Your Tier 2 Rate of Pay is $17.50. Your Pay Type is Hourly and your Earnings Ceiling is $15 000.00. Your Tier 3 Rate of Pay is $20.00. Your Pay Type is Hourly and your Earnings Ceiling is $999 999 999.00.
- When processing pay for this Staff Member using this Rate Table the Staff Member will be paid at $15.00/hr for the first $5 000.00 earned.
- Upon reaching the $5 000.00 Earnings Ceiling the system will bump the Staff Member's Rate of Pay to $17.50 (Tier 2). The Staff Member will be paid at that rate until reaching the Earnings Ceiling for Tier 2 which is $15 000.00.
- When the Staff Member reaches the $15 000.00 Earnings Ceiling the system will bump the Rate of Pay to $20.00/hr and there it will remain as the Tier 3 Earnings Ceiling is unattainable.
Note: If opting to tier your rates then the Earnings Ceiling must flow from Tier 1 to whatever your final Tier is as shown in the example above else the tiered system will not work.
