The UPC Update screen allows you to link Universal Price Codes (UPCs) and their descriptions for a POS Inventory Item, POS Service Item, Rental Item, or MainTrac Materials.
For RecTrac, scanning a UPC is a way of quickly entering item data onto the screen for processing. At the time of sale, you can scan the item's UPC and RecTrac will find the item linked to it and display the information for selection into the Shopping Cart.
Other benefits of using UPCs are that you do not have to attach additional bar code price labels to items - the UPC is all that RecTrac needs to find the item and price, and UPCs can also be used to update inventory numbers.
For example, you have an inventory item called 'CAN-SODA' and you want that item to include different types of soda, such as Coke, Diet Coke, Sprite, A&W Root Beer, etc. You would enter or scan (with a bar code reader) the UPCs right from the cans of different brands of soda. Having all these UPCs linked to the one inventory item will enable you to deduct amounts sold from your CAN-SODA inventory by simply scanning each can as it is sold. When receiving inventory, you can scan the UPC again and update your numbers accordingly.
Notes: Using the example above, if you were to set up each type of soda as its own inventory item (i.e. if you have separate inventory items for Coke, Diet Coke, Sprite, Root Beer, etc.), then you would enter one (1) UPC per inventory item only.
In order to enter multiple UPCs under one inventory item/service item/rental item, all the UPC items must cost the same amount and must deduct from the same single inventory item/service item/rental item regardless of different brands/types.
In the event an inventory item and service item share the same UPC, the system will give priority to the inventory item, meaning the system will find the inventory item when a UPC is scanned.
Note: Field names on the screen with red labels* are required by the screen design you are using. Mandatory fields in the default Vermont Systems design are noted where appropriate. Your design and mandatory fields may vary.

UPC Code (SAUPC_UPCCode)
If you are creating a new UPC, enter or scan the code into this field. Codes may be alpha and/or numeric. This is a mandatory field for the default Vermont Systems design. Your design and setup may vary.
If you are updating an existing UPC you will not visit this field. If you are updating a UPC and if you have a Location Prefix then the UPC will contain the prefix when you view this record.

Location Profile UPC Prefix (SAUPCUpdate_UPCPrefix)
You will not visit this field.
This field contains a location prefix and is designed to be used to identify the location to which a RecTrac inventory or rental item or a MainTrac material belongs. This is a good option if you sell the same inventory items or process the same types of rental items or link the same materials from multiple physical locations in your department.
The prefix that displays in this field if any is maintained on the Location profile to which your User ID is linked. If the field is blank there is no UPC Prefix on your Location profile. UPC prefixes can be alpha or numeric such as SPORTSCEN- or POOL1701-. When adding inventory at a particular location the prefix will be assigned automatically to your inventory items as you enter them.
For example you have a sports complex and a pool. Each location maintains a snack bar. When entering and selling inventory from each location you want to track which location received and sold inventory. On the Location profile for each facility you would enter a unique UPC Prefix.
Note: This field is populated only when you are adding a new UPC and only when a prefix is listed on your Location profile as mentioned above. In the event you look at/change an existing UPC this field will be blank as the prefix (if any) is already part of the Code.
ParentID (SAUPC_ParentID)
You will not visit this field.
This field displays the system-generated parent ID for this UPC.
DeleteParentTable (SAUPC_ParentTable)
You will not visit this field.
This field displays the parent table to which this UPC belongs.
Delete
