RecTrac 3.1 Visit Processing - OK to Pickup Logic
Problem
In 10.3, you could configure RecTrac to display Family Members 1 & 2 and Emergency Contacts as 'OK to Pickup' when swiping children out of a center. Has this been added for 3.1?
Solution
Yes. This functionality is available in RecTrac 3.1.06.15 and later.
'OK to Pickup' functionality is designed to provide facial recognition by means of photographs as 'OK to pickup' when a child is swiping out of your Facility. When using this logic, Emergency Contacts and Primary/Secondary Guardians will appear on a Pickup Screen in Visit Processing when a child is swiping out of your Facility. to complete the swipe-out, click the Picking Up button that corresponds with the person who is taking the child from the Facility.
The basic Setup Steps are as follows:
1. Set up your applicale Pass Codes to track visit sign-outs (Pass Update > Core Continued screen, in the Standard VSI Design).
2. On the Visit profile, enable the toggle option for Display Pick-Up Photos on Member Sign-outs. This is what makes the process work. This option Is available on the Attended group and the Background/Access Control group. Be sure to enable the toggle option that corresponds with your Processing Mode.
Note: If running in Background Visit Processing Mode, then the OK to Pickup logic will result in an Incomplete Visit upon swipe out.
3. (Optional) On the Visit profile > Attended group: Enable the option to Display Pickup Photos for Primary and Secondary Guardians. This option ensures the Primary Guardian/FM 1 displays as well, regardless of Relationship Code. If there is a Secondary Guardian in the household , based on Relationship Code, that member will display, too.
Note: If you only want to display Primary and Secondary Guardians, then you still need to enable the Display Pick-Up Photos on Member Sign-outs option from #2 above.
4. In Household Update Emergency Contacts tab: Add Emergency Contacts as needed and enable the Allow Child Pickup? option as applicable.
5. (Optional) In Emergency Contact Update: Click View Photo to take the Emergency Contact's picture. You do not need photos for this to work, but if the idea is facial recognition at pickup, then it is a good idea to have one.
6. If you want to list Family Members - other than Primary and Secondary Guardians - as 'OK to PIckup,' then you have to list them as Emergency Contacts and enable the Allow Child Pickup option.
Note: On your Daily Processing profile: Ensure the Visit Processing Lookup Option is set to Guest/Daily Household. Attempting to run OK to Pickup with a Lookup Option of No Household results in a SAHousehold Not Found error upon Swipe out. This is a known bug in 3.1.06.15 only and will be corrected for build 3.1.06.16 and later.
