The RecTrac RecConnect Results screen allows you to make selections regarding the output of your RecConnect program. From this screen, you may:
- Review and remove entries from the RecConnect Results DataGrid.
- Process RecConnect for All or Selected entries in the RecConnect Results DataGrid.
- Create RecConnect History records.
- Determine how you wish to process RecConnect and select subsequent options.
- Email - Send emails (and emails as text messages) to the names listed in the RecConnect Results DataGrid.
- Labels - Generate mailing labels for the names listed in the RecConnect Results DataGrid.
- Letters - Generate a printed letter for the names listed in the RecConnect Results DataGrid.
- SMS - Send SMS Text messages via a 3rd party API.

Buttons on the screen…
Remove Selected Results - Removes any records in the DataGrid that are highlighted/selected.
Click Process RecConnect Processes your selections. Click this button after you have made your Email, Labels, Letters, and/or SMS selections.
Click Close Exits the RecConnect Results screen.
To exit this program, click 'X' on the title bar. You will be returned to the Main Menu or the previous program.
RecConnectResults_Tab1
RecConnect Results (RecConnectResults_DataGrid)
The RecConnect Results DataGrid displays the results of your report. Scroll up/down to view the Family Members/Households or scroll left/right to view additional details.
Highlight/select records in the DataGrid and click Remove Selected Results as needed to strip those records from your output
OR
Highlight/select records in the DataGrid and choose Selected Records Only" from the Process Option field to include only those records in your output.
DataGrid column sort options allow you to customize the view as desired. Click here for a full description of RecTrac DataGrids.
To Export the list of names and email addresses in this DataGrid click the DataGrid Options button and select Export Comma Delimited.
Process Option (RecConnectResults_ResultsOption)
Select your Process Option:
- All Records - The output will consist of all the names/records listed in the RecConnect Results DataGrid.
- Selected Records Only - The output will include only the names/records you have highlighted/selected in the RecConnect Results DataGrid.
Create RecConnect History (RecConnectResults_CreateRecConnectHistory)
Select this option to generate a RecConnect History record for each household included in your output.

Select the RecConnect Category Code you wish to link.
RecConnect History is the process of tracking RecConnect records that have been sent to households. These can be viewed in Household Inquiry • RecConnect History.
RecConnect History Category Codes are maintained System Code Management. Type = RecConnect Category Code.

RecConnect History Category (RecConnectResults_RecConnectHistoryCategory)
This field is applicable only if you are opting to Create RecConnect History.
Select the RecConnect Category Code you wish to link to the households included in your output.

RecConnect History Category Codes are maintained System Code Management. Type = RecConnect Category Code.

Select this option if you wish to send an email and/or an email as a text message to the names in the RecConnect Results DataGrid.

- Process Emails Only - You will send an email.
- Process Text Only - You will send the email as a text message.
- Both - You will send an email and an email as a text message.

Include All Linked Emails (not just primary email) (RecConnectResults_LinkedEmailOption)
Accept the default entry (Primary Email Only) or select the email address(es) linked to households you wish to send to as a result of processing RecConnect.

Primary Email Only - The system will send the email to the address listed on the Email 1field on the Member Details for the Primary Person.
- If both the Email 1 field on Member Details and the Email 1 field on the Primary Person are filled in, and if the two email addresses are different for some reason, then the system still will send the email to the address listed in the Email 1 field on the Member Details.
- If that field is blank, then the email gets sent to the email address listed in the Email 1 field on the Primary Person.
- If both fields are blank, then no email gets sent.
- All Primary Guardian Emails - The system will use all the Email Addresses linked to the Primary Person/Primary Guardian for the household. The system will send an email to each email address found. RecTrac allows for up to three (3) Email Address fields for the Primary Guardian, so a maximum of three (3) emails per household could be sent using this option, provided each field is populated.
- All Primary/Secondary Guardian Emails - The system will use all the Email Addresses linked to the Primary Person/Primary Guardian and the Secondary Guardian, if any, for the household. The system will send an email to each email address found. RecTrac allows for up to three (3) Email Address fields each for the Primary Guardian and the Secondary Guardian, so a maximum of six (6) emails per household could be sent using this option, provided each field is populated.
- All Emails Linked to Household - The system will use all the Email Addresses linked to every member of the household. The system will send an email to each email address found. RecTrac allows for up to three (3) Email Address fields each for the Primary Guardian and the Secondary Guardian and up to three (3) Email Address fields for each Additional Family Member, so a household could receive a large number of emails depending on its size and the number of email addresses entered.
Email From (RecConnectResults_EmailFrom)
Accept the default entry or overwrite with an alternate email address, if desired. The address listed in this field is the email address that will appear in the From" column of the recipient's email program.
The default entry in this field if any is the email address listed in the Report "From" Email Address field of the Email profile to which your User ID is linked.
Note:
This field is disabled in VSI Hosted databases. Contact the VSI Hosting Team for further information if needed.
Email From 'Friendly Name' Address Label (RecConnectResults_EmailFromFriendly)
Accept the default entry or overwrite with alternate text, if desired. The text entered here (i.e. The Name/Title/Phrase you enter) will be displayed as the From" email address (i.e. the Sender) when RecTrac generates an email for these RecConnect results. The text you enter in this field will appear in the "From" field on the email in lieu of the actual email address. The default entry here is pulled from the Report "From" Friendly Email Address Label field of the Email profile to which your User ID is linked.
For Example: The actual email address is administrator@bedfordfalls.com. You enter "The Parks at Bedford Falls" in this field. When the system generates an email the "From" column in your email program will display "The Parks at Bedford Falls" and the "From" line in the email header will read The Parks at Bedford Falls [administrator@bedfordfalls.com].
Note:
If this field is blank then the system will insert the text in the Report "From" Friendly Email Address Label field of the Email profile to which your User ID is linked if any.
Email Reply To (RecConnectResults_EmailReplyTo)
Accept the default entry in this field or overwrite it with an alternate email address, if desired.
This email address entered here will be used as the 'Reply To' email address for emails generated as a byproduct of this RecConnect. The email address you enter here will populate the 'To' field should someone choose to reply your email. The default entry here is pulled from the Report Reply To" Email Address field of the Email profile to which your User ID is linked.
For Example: The email address in your Report "From" field is account information@rectrac.com. You run an Activity Roster RecConnect and email it to everyone enrolled. One enrollee has a question that she would like to ask regarding this email. Rather than having a reply go to "account information@rectrac.com you could enter an alternate address here, such as your Program Coordinator (i.e. pennylane@rectrac.com). Doing this would help ensure that reply emails are sent to a more regularly used account.
Optionally, you can:
- Leave this field blank. If this field is blank, then the system will insert the email address in the Report Reply To" Email Address field of the Email profile to which your User ID is linked if any.
- Enter the following text: "<Email Address Defined in RecTrac User>" (without the quotes but WITH the < > chevrons). When this text is entered then the system uses the email address listed in the Email Address field in User Update for the current user as the 'Reply To' email in the event a patron chooses to reply.
Email Subject (RecConnectResults_EmailSubject)
Accept the default entry or overwrite with an alternate Subject, if desired. The text in this field is what appears in the Subject" column of the recipient's email program. The default entry in this field if any is the email address listed in the Default Subject (Other) field of the Email profile to which your User ID is linked.
Optionally you may leave this field blank. If left blank then the system will insert "Information" as the default Subject for emails sent from this RecConnect.
Add Tag (RecConnectResults_AddTextToSubjectLine)
This field is applicable only if you are opting to use a custom Email Subject and then only if you want to include a tag in the Subject line.
Database Value Codes allow you to automatically insert fields (such as First Name Last Name Address Phone Number Activity Number Pass Expiration Date Reservation Number Trip ID etc.) into the Subject field of your email.
Select the Database Value Code you wish to insert.
THEN
Click Add Tag to Email Subject to place the tag. Tags are always placed at the end of the field. You may have to copy/cut/paste them as needed afterward. Multiple selections can be inserted throughout the body of your letter but they must be added and placed individually.
CC Email Addresses (RecConnectResults_CCEmailAddresses)
Enter any additional email addresses for individuals you wish to Carbon Copy on this mailing, if any.
To include multiple recipients, separate email addresses with a comma and no space. For Example: john@rectrac.com,paul@rectrac.com,george@rectrac.com,ringo@rectrac.com
HTML Email Template (RecConnectResults_EmailTemplate)
Select the Email Template Comment Code you wish to use for this RecConnect program. Email Template Comments act as the body" of your email. They can support plain text or HTML and can be used with standard VSI Graphical Email Templates if desired.
Optionally you can leave this field blank. When left blank the email body will consist only of:
- Any text that you enter in the Email Body field on this screen.
OR
Whatever Email RecConnect Letter Body Code you are using. - The HTML Email Template Comment Code you have selected in the RecConnect HTML Email Template field of your Email profile.
Notes:
- If you have an Email Template Comment Code on the RecConnect Results screen and if you have an Email Template Comment Code selected on the Email profile then the system will use the Email Template Comment Code on the RecConnect Results screen.
- If you enter text in the Email Body field and you have an Email Template Comment Code selected (here or on the Email profile screen) then your free form email body text will appear along with the Comment Code in the email that gets sent.
- Email Template Comment Codes are maintained in Comment Code Management. Type=Email Template.

Email Body Option (RecConnectResults_EmailBodyOption)
Select your Email Body Option.
- Use Free Form Email Body - You will proceed to the Email Body field where you can enter the text for your email.
- Use RecConnect Letter - You will proceed to the Email RecConnect Letter Body Code field where you will select the RecConnect Letter Code you wish to use as the body of your email.
Email Body (RecConnectResults_EmailBody)
This field is applicable only if you are opting to Use Free Form Email Body
Enter the text of your email in this field. The field will accept to 30 000 alpha-numeric characters. There is a character counter on the lower right-hand corner of the screen.
Use the Formatting Icons across the top of the Text Field to manipulate your text as desired. Mouse-hover over the icons for definitions of their purpose. The Text Field is WYSIWYG (What You See Is What You Get) formatted.
Note:
Formatting icons as displayed below are available only if your Email profile is set to Use HTML Email Body.
This field always displays plain text when entering this screen. The Source < > icon can be used to toggle between plain text and HTML code if desired.
Note:
If opting to "Copy Cut and Paste" text from a pre-generated document then Vermont Systems highly recommends using .txt or .rtf file documents as the source. Using programs such as Microsoft Word and .pdfs as your source is not recommended because they insert thousands of extra - often unseen - HTML characters into the code that result in problems ranging from unexpected formatting issues in RecTrac to exceeding the character count in this field.
If you wish to use text from a MS Word doc or .pdf then Vermont Systems recommends the following "best practice:"
- Open your document in MS Word.
- Save the document as a plain text (.txt) file using Unicode UTF-8 as the file type.
- Use Save As.
- From the Save as type Drop-down down list select "Plain Text (.txt)."
- From the File Conversion dialog select the Other Encoding Radio Set Button and choose "Unicode (UTF-8)."
- Save the .txt file to your workstation.
- Open the newly saved .txt file in Notepad or Notepad ++.
- Copy the text to your clipboard and paste it into the RecTrac field.
- Proof-read again for accuracy and ensure all special characters copied correctly.
- Format text as needed using the Formatting icons at the top of the text box field.
Email RecConnect Letter Body Code (RecConnectResults_EmailLetterCode)
This field is applicable only if you are opting to Use RecConnect Letter
Select your Letter Code from the Letter Management - RecConnect DataGrid. The Letter Code you select will be used as the body of your email.
Note: If opting to send Emails and Letters you can use the same Letter Code for both or different ones for each.
Add Tag (RecConnectResults_AddText)
This field is applicable only if you are opting to Use Free Form Email Body.
Database Value Codes allow you to automatically insert fields (such as First Name Last Name Address Phone Number Activity Number Pass Expiration Date Reservation Number Trip ID etc.) into the body of your email.
Select the Database Value Code you wish to insert.

Strip HTML From Email Body (RecConnectResults_EmailStripHTML)
Select this option to strip any Hypertext Markup Language (HTML) tags from your email. When this option is selected, your email body will be sent as plain text.
HTML tags can include, but are not limited to, font effects, such as bold type; italicized type; alternate colors; superscript; subscript; etc… and hyperlinks to website URLs; email addresses; and etc….
Note: This option strips HTML from your Free Form Email body only. HTML included on your Email profile is not affected.
Text Body Option (RecConnectResults_TextBodyOption)
Select your Text Body Option.
- Use Email Body - Your text message will be the same as your email.
- Use Specific Text Body - You will proceed to the Text Body field where you will enter the message you want to send as a text.
Note: If opting to send email as text messages additional setup may be required. Refer to Topic Doc - RecConnect Reports.
Text Body (RecConnectResults_TextBody)
This field is applicable only if you are opting to Use Specific Text Body
Enter your text message content in this field. The Text Field will accept to 30 000 alpha-numeric characters. There is a character counter on the lower right-hand corner of the screen. Be mindful that standard text messages consist of 160 or fewer characters.
Note: If opting to send email as text messages additional setup may be required. Refer to Topic Doc - RecConnect Reports.
Add Tag (RecConnectResults_AddText2)
This field is applicable only if you are opting to Use Specific Text Body.
Select the Database Value Code you wish to insert into your text.

This field is applicable only if your Process Option is Both (both Email and Text Message)
Select this option to skip the sending of email as a text message to the names in the RecConnect Results DataGrid that have a valid email address. The assumption with this option is that you do not need to send a text message to someone you're sending the same information to in an email.
Note: The system looks only to see whether the household has data in the email field. The system does not check the validity of an email address so a text will not be sent for any patron with a bogus/invalid email address in the Email Address field on their record.
Print Report For Records With Invalid/No Email (RecConnectResults_ProduceNoEmailReport)
Select this option to have the system print a byproduct report of names on the RecConnect Results DataGrid that have no email address or that have an invalid email address on their record.
When you Process the RecConnect, you will be given the standard report print/preview/email options for the resulting Invalid Email Addresses byproduct report. When the process completes, a copy of this report will available in the Document Center.
Notes:
- Selecting this option will NOT produce a report listing undeliverable/returned emails. Emails are sent from your email server. RecTrac has no way of knowing whether the emails it generates are delivered or returned. It knows only whether an email address is properly formatted.
- In order for the Invalid Email Addresses Report to be generated the list of potential recipients of your RecConnect must include at least one (1) invalid email address as outlined above. The system will not generate a blank report so if no report is generated then there were no improperly formatted email addresses in your RecConnect.
- Once you've run the mailing your email administrator should be able to provide a report of "valid" email addresses that were returned as undeliverable.
Skip Households That Have Opted Out Of Email (RecConnectResults_SkipHHIfOptOut)
Select this option to exclude from your email blast any households listed in the RecConnect Results DataGrid who have opted out of email.
A household's decision to opt out of email is maintained in Web Details (Authorize Contact via Email field) and is accessed in RecTrac via Household Update.
Standard Document Attachments (RecConnectResults_EmailUploadFile)
Select the Standard Document(s) you wish to attach to this email, if desired. Multiple selection is allowed.
Standard Documents are maintained in Document Header Management
File Attachment (RecConnectResults_EmailUploadFile2)
Browse to the external file you wish to attach to this email, if desired. Allowed File Types are: .bmp, .csv, .doc, .docx, .jpg, .pdf, .png, .rtf, .txt, .xls, and .xlsx
The system provides three (3) attachment fields by default, but there is no limit to the number of files you can attach, unless you are opting to Schedule the RecConnect. If you require more than three (3) attachments, then click the Add Additional Attachment button to add a fourth, fifth, sixth, and so on.
Notes:
- File names cannot include special characters. File names containing special characters will be stripped from the email during the send process from your email server. In the event your file name contains special characters you must rename the file before attaching it.
- If opting to Schedule a RecConnect report then you are limited to the default three (3) file attachment options.

Select this option if you wish to have all text on your labels appear in CAPITAL LETTERS.
Skip Label If Household Has A Valid Email (RecConnectResults_LabelSkipIfValidEmail)
Select this option to skip the printing of a label for names in the RecConnect Results DataGrid that have a valid email address. The assumption with this option is that you do not need to send a hard copy letter to someone you're sending the same information to in an email.
Note: The system looks only to see whether the household has data in the email field. The system does not check the validity of an email address so a label will not be printed for any patron with a bogus/invalid email address in the Email Address field on their record.
Additional Label Information Print Options (RecConnectResults_LabelCurrentRes)
Accept the default value (Nothing), or select the additional information you wish to have printed on your label, if any.
- Nothing - The recipient's name and mailing address only.
- Add 'or Current Resident' -or Current Resident" will be appended to the recipient's name.
- Add 'To Parents Of:' - "To Parents Of:" will appear prior to the recipient's name.
- Add Team Name and League Name - The recipient's Team and League Name will appear on the first line of the Label. The recipient's name will appear on the second line.
- Add Team/Organization Name - The recipient's Team or Organization Name will appear on the second line of the label.
- Add Source Detail - Data in the Source Description column of the RecConnect Results DataGrid will appear on the second line of the label.
Starting Label (RecConnectResults_LabelStartingLabel)
Accept the default value (0)
OR
Enter the starting label on your label stock, if necessary. If you are starting with a new sheet of labels, accept the default (0) value.
This field should be updated only if you are using stock from which labels have already been printed (i.e. your sheet holds 30 labels and the first 10 have been used).
The value in this field is determined by counting down each column, starting with the left-most one. Therefore if you enter '3' in this field, the labels would begin printing at the 3rd label down in the first column of labels on the left of the page. If all of the labels are already gone from the first column, you must count all of the way down the first column, into the second column, etc… until you get to the first available label on the page. You will enter that number in this field.
For Example, Your sheet of labels is three (3) columns across and 10 rows down, and you want to start with the middle label of Row 4; you would enter '14.'
Label Template (RecConnectResults_LabelTemplate)
Select a Label Template. This is required if you are printing labels from this program.
Label Templates are maintained in Mailing/Inventory Label Template Management..
Label Sort (RecConnectResults_LabelSort)
Expand the Drop-down list to select your Label Sort option.
- Name - The labels will be printed alphabetically by Last Name.
- ZipCode/Name - The labels will be printed numerically by Zip Code and alphabetically by Last Name within the Zip Code.
LetterCode (RecConnectResults_LetterCode)
Select your Letter Code from the Letter Management - RecConnect DataGrid. The Letter Code you select will print when you process your results.
Note: If opting to send Emails and Letters you can use the same Letter Code for both or different ones for each.
Skip Letter If Household Has A Valid Email (RecConnectResults_LetterSkipIfValidEmail)
Select this option to skip the printing of a letter for names in the RecConnect Results DataGrid that have a valid email address. The assumption with this option is that you do not need to send a hard copy letter to someone you're sending the same information to in an email.
Note: The system looks only to see whether the household has data in the email field. The system does not check the validity of an email address so a letter will not be printed for any patron with a bogus/invalid email address in the Email Address field on their record.
SMS Template (RecConnectResults_SMSTemplate)
Select the SMS Template Comment Code you wish to use for this RecConnect program. SMS Template Comments act as the body" of your text message.
Optionally you can leave this field blank. When left blank the text message will consist only of whatever text you enter in the SMS Body field.
SMS Template Comment Codes are maintained in Comment Code Management. Type=SMS Template.
SMS Body (RecConnectResults_SMSBody)
Enter your text message content in this field. The Text Field will accept to 800 alpha-numeric characters. There is a character counter on the lower right-hand corner of the screen. Be mindful that standard SMS text messages consist of 160 or fewer characters, however, most phones and networks support concatenation and segment and rebuild messages to a greater character limit.
Add Tag (RecConnectResults_AddTextToSMSBody)
Select the Database Value Code you wish to insert into your text.

Click Add Tag to SMS Body to insert the tag into your text message. Tags are always placed at the end of the field. You may have to copy/cut/paste them as needed afterward. Multiple selections can be inserted throughout the body of your letter, but they must be added and placed individually.
Database Value Codes allow you to automatically insert fields (such as First Name, Last Name, Address, Phone Number, Activity Number, Pass Expiration Date, Reservation Number, Trip ID, etc.) into the body of your text message.
In the Example below, all fields in Brackets are Database Value Codes:
Print Report For Records With Invalid/No Phone Number (RecConnectResults_ProduceNoSMSReport)
Select this option to have the system print a byproduct report of names on the RecConnect Results DataGrid that have no phone number or that have an invalid phone number on their record.
When you Process the RecConnect, you will be given the standard report print/preview/email options for the resulting Invalid Phone Numbers byproduct report. When the process completes, a copy of this report will available in the Document Center.

Notes:
- Selecting this option will NOT produce a report listing undeliverable SMS messages. "Invalid" phone numbers in this process are those with more or fewer than 10-digits. SMS text messages are sent through a 3rd party API. RecTrac has no way of knowing whether the text messages it generates are delivered or not. It knows only whether the phone number is properly formatted.
- In order for the Invalid Phone Numbers Report to be generated the list of potential recipients of your RecConnect must include at least one (1) invalid phone number as outlined above. The system will not generate a blank report so if no report is generated then there were no improperly formatted phone numbers in your RecConnect.
