And like, we have the little q&a portion down at the bottom. This is some brand new changes to facility pattern reservations. I'm sure there will be questions. But Dave, I think we'll just go ahead and hand it over to you and let you start showing us what she got.

yesterday, it was applied to hosted yesterday, right? Okay. Yes. So there's a new Toggle right here it says Next Gen facility pattern reservations, then you have to Click it on in order to see this new feature. And eventually, it will be the only way to do it. Pattern reservations. But until we get complete and 100% feature parity with the old way of doing things, it will remain an option. It's like 98% There, there's just like one thing missing. But that one thing is coming so soon, which Ben will tell you about. Okay, so I'm going to run you through some basic transactions and show you how it works. Okay. The first one is going to be pretty simple. It's gonna. And I'm gonna go. Okay, so you'll notice that the global sales Screen, I should start here, there's a global sales Screen is not really any different, you really won't see the changes until you hit Add to Cart, right, you still have to set up your patterns the same way. And so I'll just do a couple of dates here. I'll do a couple months. And I'll say I want you know, 5pm to 8pm. Mondays and Wednesdays that'll be great from 919 to 328 of the next year. And I added a headcount for these two rooms, I could do more than these two. I'll just do three. What the heck. We're living large here. Okay, so once I hit Add to cart is when you will see the new the new features. And I'd add to cart and what happens is the whole Screen is taken over and each one of those facilities that I selected gets their own card, we're calling them cards here. And each of these cards is processed individually and for each facility. There are different calls to the back end, if you will. And the reason the reason we split this up, is is is for each Huge reservations would ultimately take very, very long in RecTrac. And people could be sitting there for a while waiting for it to finish, because it was trying to do all of them at once, if you had, like, you know, doing four of them isn't a huge deal. But if you had like 35 different facilities, or something like that, then the process can take quite a while to sort everything out. I mean, I've got 55 reservations here, for just one facility. So you know, that's well over 200 for all four of them. And so what would happen is resources get chewed up, and whoever was running this facility pattern reservation couldn't really do anything else. While this was happening.

With the with the new way of doing things, you can actually, and I'll show you that. So now that I've got these four, I'm just going to cancel it. The first thing we're going to learn is how to cancel the pattern. It's this Button right here that says canceled pattern. And asked me Do I want to continue? Yes, I want to cancel it. So that will cancel things. And I'll I'll just select them again. Um, I think I need to set up my time again. Okay. Maybe my headcount, yeah, everything got set back. Okay, so now, but my dates are still the same. So I'm gonna hit Add to Cart and I'll show you what happens. As I'm waiting, right? So here, the Screen gets taken over, but I'm perfectly able to go into Profile assignments that management, facility location management, I can I can move around while that happens, and then come back, and boom, it's done. So that's good news. I think that's one major improvement here. Okay. So once you get to this result Screen, again, there is an individual card for each facility with the results of that facilities reservations, right. So this is the ballroom at the Essex Resort and Spa. And it tells me I have no conflicts, I have no fee prompts that I need to deal with. But I do need to answer the questions, still. And you can see that for each one of these facilities, I still need to answer questions, right? It does tell me the ultimate charge for each one of these facilities right here. And it's already calculated it because there are no fee prompted automatic fees on these particular facilities. A couple scenarios I'll go over soon will involve prompted fees, but these facilities have none. Okay, so, again, each card for one facility. And so then you can there's filters over here where you can actually say I just want to see salon, one salon two, and you know, the other cards will disappear.

This feature right here, well would make more sense if you had, you know, facilities where it was so many of them that they were down off the Screen, and you had to scroll to them. In this example, there's only four. So you know, there's no real reason to use that filter. But I just wanted to show you that it's there. And this, these filters here, I can show only with fee prompts, I can show only facilities that have conflicts I can show all with input required. And this is all of them currently, because I need, you know, three green checkmarks to continue on. But if I do show only conflicts, there's no conflicts here. And a future scenario, I'm going to show you how to deal with conflicts and what those look like. Okay, so once I get to this result Screen now I can start interacting with these cards, right? So in order to do that, you literally just Click anywhere on this card and it will bring up the details. The reservation details for this facility. Right. And this is the ballroom at the Essex Resort and Spa. And you can see it tells you right here, you know individually did I answer the questions for each date?

Do I still need to deal with fees for each line item and some of the you get you get more different filters right here. For example, if you just wanted to look at Mondays, you know for some reason for whatever reason, you just want to see the Mondays. You can do that. You can do Mondays and Wednesdays now you got all of those and that's that filter. And same thing with months if you just wanted to look at a certain month or a couple of different months in case, you know, depending on how long your reservation is, it would make more sense. But you can Click those on and off, and things disappear. And up here as you do so. And you can look at, you know, items that are your conflicts, ones that have been denied ones that are a warning, and ones that are ready to reserve, all of these are ready to reserve. So this won't be a useful filter, right this section second. And then you know, whether or not it needs to be selection and missing answers, so those are the filters on the detail Screen. And then there's also methods to multi select items, this Check mark up here will select everything, right? For this month, if I Click this month, this only select September, you know, same thing with October, right. And then there's also if you would prefer to look at it, you know, more not in less detail, basically, you can Click and Click and expand months, so that you can see less or more depending on what you want. And it tells you you know how many reservations you have. Anyway, from there, so that's what you can do an individual and you can select certain days. And then when I do that, let's say I didn't really want, you know, these days, I could just select them and set remove dates. You can do that if I want to, I don't have to do that. And I'm not going to do that in this scenario. There's this Button down here that will remove the entire facility from the pattern in case you made a mistake. If I do that, they would just the whole all of these reservations would disappear. I'll deal with this facility conflict calendar in a minute.

Okay, I gotta get going here. So, okay. So now I don't need to all my fees are all set here, there's no prompted fees. And so it won't do me any good to hit this. So what I do need to do is answer questions, and I'll show you how questions and answers work. So I get to it's, I mean, it's the same, you get your questions, you need to answer them. And so these are just some sample questions. But once once I'm done with this, it will, there'll be more to show.

Okay, so those are some sample questions from actual customers. So I'm going to once I'm done answering the questions, I have this Button that says apply answers right. So you can couple things about this. The questions I'm currently answering ours, the 20th date, right, and it shows you what day you're on. It shows you what day you're on up here. And it shows you over here, and it can show you all the other reservations in this calendar. And the red means the questions have not been answered yet. The yellow means are currently working on it or the highlighted area. Once I'm done answering the questions for the 20th, I can just simply hit Apply answers. And it asks you Do you want to copy these answers to the other matching reservations? And it tells you it's going to do that for another 54 reservations and overriding any previously given answers. And I could say yes. And I think I said yes. Okay, there we go. And it just gives you a confirmation. And you can see all of these dates turned green, right? And then I could you know, if if the answer was different on like, November 8, specifically, I could come in here. And you know, I could change that answer. And I could say apply answers. And it asks me do I want to copy them over again? And I can just say no. And so it only applied to the eighth, right?

So you know, if I go, you know, November 1, I can see the purposes party, if I go to the eighth, the purpose is party three. So you can you can do that kind of thing, or you can just copy them all. And go back to details. So once I'm done with that, I can go back and all of my questions are answered here. You can see I've got green across the board. And I'll show you how this works. Okay, so this whole facility is ready to go but all the other facilities do still need their answers. Their questions answered. So I can get there a number of ways. I can Click this thing. If the answers are the same. For all the facilities and the questions are the same, I can just do this copy. And, and I'll show you how that works in a second. But let's say I forget to do this, I want to, I want to show you how this works. And I'm moving on to salon one. So this is, this is another feature right here, this is some breadcrumbs here where you can go and move between the facility details for each facility pretty easily. This little Button up here will always get you back to the main Screen, right so I can get to the see my main Screen. And here's the ballroom you can see, it's green, everything's ready to go for this one. And you can see all the questions aren't answered for this. I forgot to do that. Let me go back in here. Because I already answered these questions. And I can just say, copy these answers to the other facilities, right? And it asked me which facilities do I want to do that for? And it tells you it's going to be on a per date basis, so that that one date that I answered differently, would get copied over to the other facilities as well. And it does this, you know, it only offers to do this if the questions are the same for these facilities. And I could just Click Copy answers. And then, you know, it just tells you how many facilities it did and how many dates that it did it for. And so now again, I can I can Click this back to pattern Button, not again, this first time I'm telling you this, the back to pattern, or I can Click this, these two things do the same thing, right. And so when I get back here, well now I've answered all the questions. And once I've done this, once I've got green checkmarks across the board for all my cards, I can, this complete pattern has become active. So I'm going to complete this one because I got a lot more to get through. So I'm going to complete it and say yes

just gonna make a quick payment. Things, too many things to show you so many things. So exciting. Check. Okay, print, preview, do any of it. I'm not even going to preview it. Okay I need to get quickly to the conflicts. So show you that I'm going to look up my household again and do another reservation. So that went through that's great.

But I need to get to have some conflict resolutions for you to see. And then we're gonna move on to fees. Okay, facility. Okay, on one. So I'm just gonna, again, select a couple of facilities. I just happen to know that some of these have problems. So I've set it up in advance to fail. Hopefully, I did that.

Live and as I've got 720 to nine, eight weekly on I want Mondays and Wednesdays. Yeah, this is just basic setup. And when I hit Add to Cart, I'm hoping it all works out. I should get some conflicts here. Okay, good. I did. And so you can see. So I wanted this, I wanted this in particular to happen so that I could show you this. I can Click this but it tells me I can't do anything with this facility yet because I have to deal with this. So this is this, this little part right here is trying to be very smart for you it once you get hit. Once your number of reservations hits, like 20% of your reservations are conflicts. It wants to kind of stop and say are you sure you want to do this? So your options here are to remove the facility from the pattern or? Yes, go ahead and check for alternatives because I want to continue but you know, like if you get 100% conflicts, maybe you just made a mistake and need to start over so it's it's kind of stopping the process and you have to select through it. If you only have a couple of conflicts. You won't see this you'll you'll just see them up here. And okay, so I clicked to Yes, Continue And so it tells me I have 14 reservations and seven conflicts for each of these.

So now, you can see, this is, you know, interspersed are conflicts and so maybe I just want to see my conflicts, and I can do that. And there they are. And now I can also deal with the conflicts. And I don't need to select any of these, in order to deal with them. But I'll show you that what, what, what's happening here. So we have this thing right here, if you want to know more details about what the conflicts are, we have the facility conflict calendar. And you can Click it and you can see briefly here, there's, again, this is this calendar thing here, these are your individual dates for this facility. And it shows you you know, red, has a conflict and Green has successful. So I was I have conflicts on all on Mondays and my Wednesdays are good to go. So if I need more information on that, I can Click on each individual date. And you can see, this is the reservation I'm trying to make and this is the reservation that is conflicting with it. Okay. And you can do that for each date, you know, more you select,

you know, each one will show you problems. And I will say there's some major improvements coming to this. In particular, which we'll get to in a second. Okay. So, I've looked at my conflicts, and I still want to continue, I'm going to select my alternatives. Oh, good. There are some alternatives. That's excellent. So this process went through and found alternatives for me. And you can see it wants to offer me salon two, for all of these dates. But the way this works is, you know, if maybe I want to apply salon three to all of them, instead, I can do this set preferred alternatives. And I can, it gives me this whole list of items and how many reservations it would be successful for. So I could just take and Click and drag this up and say I want salon for now, I don't want to use lawn too at all. So I only want these as my alternatives. And this is the order I want them to go in. I can hit continue. And these all changed to to change them to salon four. instead. I could you know, for one date, if I wanted I could do that I could just change this one day to this particular facility. And that would be great. I'm not going to do that right now I am going to I'm going to say yes, salon four is what I want. And I want to apply the resolution. And when I hit continue, you'll see what happens is that all my reservations are still here for this facilities that were good all the Wednesdays. But if I do this, there's now a salon four card and I'll show you that. Now go back to the main Screen, there's now a salon four card that's been created, it has no conflicts and no prompts.

I still need to answer the questions. But you know, these are all the Monday's from that date. Okay, and so, I still need to do the conflicts on this one. And I'm going to do that. So I shouldn't see when I do the conflict resolution for this one. You'll notice line four isn't offered here anymore, because it actually was already taken. If I came into this one first it would have been offered. But I'm going to just apply this resolution to this one

and hit close. Okay, so So that is how conflicts are currently resolved. And I am not actually going to continue with this reservation because I have too much to show you in too little time. Yeah, just too much to show. I'm so sorry. There's so much to show. So I'm going to quickly show you this with fees. At 4pm. And I will, I'm going to combine my two examples. And I'm going to do a Wednesday and a Saturday. And it's going to be weekly, and it's going to go for a couple of weeks. Add to Cart. Okay, so these, these examples should have fees. So yeah, these records have fees, so I see a red X there. And I'm just gonna go in there, and I don't have any conflicts, so I could just go in. And so fees and questions work the same exact way as far as copying, which is really great news. So when you get to the fees Screen, you will see all of your prompted fees, if the record is required, it will be, you know, checked on already, and you cannot Click it off. But you can still do all of the things that you you are allowed to do, if you're allowed to change the amount and discount one time, you can, if you can change those things, based on your permissions on the fees, you can still change them here. But, you know, if I want the catering fee, maybe I don't want it, maybe I need some chairs, I could, I could put in the count there, you know, however you want to do it. Table, you know, Dean, okay. And the if I want to select a premium, add from top most of the time, this would be required, but you know, the weekend premium, I can do that. And I can just hit Apply fees. And you can see it says copy fees, other matching reservations, and it says only six of them. And the reason there's only six is because of this weekend, hourly premium, this fee is not available on these days. So it doesn't want to copy them automatically to these days because they're different. So I say yes. And it applies to the six fees right here and they're all green. Now the other weekend fees, but now I need to deal with the weekday fees. Okay. So it brings up the next week day, it's already highlighted, tells you what day it is right here. You got hourly base fee, I want that. Maybe I don't want anything else, I can just say apply fees. And now it wants to copy to the other six fees, other six dates, sorry. And I'll say yes. And it is there. So I can go back to details here. And I can same thing with fees, I can hit copy fees to the other facilities. So if the fees are all set up the same, it will allow me to do that. Okay, so there and if I go back to pattern, and there's a couple of ways to get their diamond to come back here you can see all my fees are dealt with. And I think we should stop there for questions because we're running out of time. I'm perfectly willing to stay.

it's it's available in SuperGrid however, you know, with SuperGrid you you can't currently multi select however, I don't know if Ben wants to chime in here but there is going to be an improvement.

Where on this Screen you can simply add a new facility to the pattern that's coming very soon in case like if I had diamond one, diamond two and then I forgot diamond three for whatever reason there will be an option here to add a new facility to the pattern and it will just take on the pattern parameters and try to make those reservations and make a new card for you. Just like what we saw with conflicts.

I would think that would be lower on the priority list than, like, enroll by day in things that are done in global sales. If it makes sense, though, going forward, of course, we would do that. I haven't looked at that.

I am here. That's certainly something we're looking at on our roadmap is a better Facility, Reservation capability on the web. There are some performance challenges to this kind of an interface on WebTrac that we're trying to work through. But definitely say that the goal is to get well maybe not something quite as robust as this interface is, on the rec side, something much better for performing multi facility pattern reservations on the web.

It's a link to the archive. Which is exactly where this will be. Once we're done with these. This question and answer period of time. Jeanette just says thanks this, she says this is awesome. Judd is wondering if the net fees, update your adjusting counts.

I can jump in and answer Josef's question, because it kind of speaks to some of the additional changes. So justice question. In that conflict view, if you have a two hour block and only one hour is in conflict, he's asking, Could you effectively trim what you wanted to just one hour so that they would both fit? And I think that's really cool. I think we are working towards that. One of the big sets of work coming in this very next release is a whole bunch of stuff related to this conflict calendar, will you be able to drag and drop in this Screen and move things around? And so I think that's a great suggestion. And a lot of that is coming down soon, as well, as Dave spoke briefly, about which one did you mentioned, Dave, the ability to add the facility with a brand new card at the bottom. And the ability to change date, time and facility once you're in here. If it wasn't clear, we are hoping to add as much functionality once you've entered into the sort of this pattern flow. Because once you go out of it, you lose that processing that you did. So we want to minimize any need to go all the way back to global sales, instead making those changes while you're here and then continuing on.

Thank you very much, Ben. for that. We have three questions that are all related to how is it really finding the alternative? So let's see. Tara was asking about Field reservations. Somebody else was just asking purely about how do you find alternatives? And then Kathy was asking if you're reserving a football Field, and there's the conflict, how does the system know what to look for fields versus classrooms, etc?

Yeah, it matches by it currently the same way it works in the old reservation process. It matches by facility, Type, I believe, really Type and location. So those two things need to match.

speak to that a little bit. We've definitely been kind of ideating on some other concepts around, potentially providing some configuration there in the future where as an end user, you're able to kind of set up preferred alternatives for different facilities. For example, you may have a dozen facility classes and you may have or you may have a dozen fields that are within them. I love each other, but are at three different locations. Currently today, we would only offer the ones that are at the same location as an alternative. But we have been ideating on some processes that might allow you as an end user to configure, hey, you know, we'll take any Field within a two mile radius or five mile radius, that's an alternative. So let me go link those locations up so they can be used when I go to try to figure out alternatives and that kind of thing. So nothing there yet, but certainly some things we've been iterating on for the future to make that alternative checking even better.

Good stuff. Very good stuff. I actually on the good stuff bandwagon, John is saying that the new Screen looks amazing, really nice work on the detail features, especially the user interface. Also, Lori's asking what the cat's name is, that is Barrel, one of the three Halloween cats. And let's see, Joey and Nikki had questions about turning this on. So there was another question about recording, we are recording this whole thing. So you can review the entirety of it, but it's in your daily processing Profile. So you don't have to relink anything unless you want only certain people testing the new Facility Reservation, you could put a new daily processing Profile just on them. And there's a Toggle that Dave is going to show you right at the very top Next Gen facility pattern reservations, you turn that on, and then anybody linked to that daily processing Profile will be using the new facility pattern reservation options. You've got a couple more questions about how it would work with activity reservations and once again to up or that call, or that case is coming, but it's a little bit lower priority at the moment. Yeah, I think to speak to what Dave's talking about there. I think our future concept behind Facility Reservation in general is that at some point here, in the very near future, all facility reservations will flow through this interface, regardless of whether or not they're a pattern, and all facility updates. So changes to existing reservations will potentially flow through this same interface. So being able to make those bulk changes to a pattern reservation after the fact. And leveraging this more intuitive interface to do that is certainly something that's coming soon.

Real quick, I just wanted to Ferb, you know, to Ben's point, these are some conflicts. And you can see like, you know, the reservation is, you know, five, and then this one goes to five, and this one starts at four. When you get this scenario, you will be able to drag and eventually just drag this thing down to five, so that it is no longer in conflict. Or and then I don't know, if you want to take over here you can but please do but you're going to be able to, you're gonna be able to select an entirely different facility in here as well. You can your will be able to take this thing and Click and drag it over to a whole different day. Right here. And I will say this about the calendar. Currently this calendar, I go back and this is important. This currently this calendar says facility conflict calendar. With the new stuff we're working on right now it's going to just say facility calendar. And this view will be right now it only includes the reservation you're trying to do and the reservations that are in conflict with it. Eventually, like you will also see the other reservations for the day for this facility so that you can get a 100% clear view of what is available on that day. You know, like currently you don't see anything on these days. Well, maybe there are reservations but they're not conflicts. So you, you would want to know confidently that you could Click and drag it into there. say that the next logical place, you're likely to see a similar interface to this pop up in the RecTrac UI. And again, for WebTrac consideration as well, is enrolled by day pattern enrollments for before and after school programs and things of that nature are trying to leverage a similar interface for folks to be able to go out, create those patterns, adjust them, etc. In a more intuitive manner, that's a little more performant, by doing things asynchronously, like we're doing here with the patterns.

Right, and I guess the last one, we're starting to clear out this list, it's a little bit of a curveball. morpher and other features related to facilities, but maybe it integrates here to some degree? Previously, you could clone previous year facility rentals to current year, is that still an option in the updated version? And I don't have this at the top of my head. No, I can take this one day. Okay. So prior versions, we added the ability for you to take a for a particular household based on a reservation number, be able to take that reservation number from a prior year and clone it forward to a current year. It's not something we've added to this pattern process yet. But I think the this certainly opens the door for us to do that. And then a more performant manner where we could open the door to selecting a reservation from purchase history and cloning to the the new year and having that just feed you into this pattern workflow where you can then address conflicts fees, etc, for that new pattern. So certainly something that's on our radar, but not there, currently. But this does open the door for us to add that back into the application.

Awesome. And Dave, I think that you talked about this a little bit is kind of a I don't know, this might be in between the the upcoming features. You mentioned, like some upcoming improvements to the calendar, but I kind of feel like this might be something you could do now, is there a Copy and Paste option after you've already entered in upon reservation but need to add another date later? So effectively, it would copy all the fees Facility, Reservation time, setup notes, etc, to whatever new date you add to that pattern?

Not yet. No? Yeah, in fact, I mean, currently even with that new stuff, but that's something to maybe consider because it's not done yet. When we when we do add that add facility. It's going to just make the rest. It's going to go through the registration process here. And just add it in here. But it would try it would currently try to do all of the dates and times. There's no current way to add a single date. If that I think that was the question could not I can't you?

I would just like to maybe point out that I think the the activity reservation topic is Well heard and maybe be on the lookout, we may look to reach out to some folks that participated in this rec chat to dig a little deeper on the activity reservation side of things and see what we can do here to help make that process easier for for you all going forward in the future and how this new functionality maybe plays a role in that. So certainly something we'll be looking to engage with folks on here in the future.
