Hello and welcome to this edition of RecChat. I'm your host Bret Alarcon. So Zach is here today to talk about the transaction simulator. So what is the transaction simulator? Well, it's a quick way to test out your system by throwing many different variables in to enter your sales to see what the results results are without actually making sales. So, you know, before some of those big registrations, you can throw a lot of weird variables at it, like I want to buy this, this, this, what the discount on this and see how everything turns out. So before we start, if you have any questions, please do use that little q&a Button down there, Click it, you'll get the question, pop up, ask your questions, and we'll give you answers. And also next to that is little chat Button, you can just make comments during the presentation if you'd like. So with that, I'm going to hand it over to you, Zach, and you can take it away.

Well, thank you very much, but appreciate that very much. So yeah, transaction simulator, it's, it's kind of a lesser known program. It's one of those little bit of catch 22 sort of areas, we don't have a ton of people that know about it. So we don't have a ton of people that teach about it. And they don't have a ton of people using it. And so we don't change the help about it. So like, for example, if I come in to transaction simulator, just to, you know, cover our bases, we go into it. Right from our menu, we search for it, there's our transaction simulator, right there. There's no help right now about this. And it's kind of sometimes when I get into one of these topics that kind of identifies Oh, hey, we need some stuff for this. So it's been queued up, and we will be getting to it. But for right now, we're going to have to kind of rely on this RecChat for what we're doing here. Now, the main place that we tend to use this is for activity enrollments, because those are some of the areas where we have most of our are kind of date related fields. So you can't register for this until the particular date. Based on when you register, it might be a different price, you might get an early bird discount, you might get a late registration fee. So the activity enrollment model is where I'm going to focus on here. So we basically have three or Bret, that I see something coming in here. You look like you're muted at the moment.

As far as I know, it's been here since the very beginning of 3.1. Now it is something that you get to via the menu. So if I do trans action, right there, I should get to transaction simulator from here. Now, if you are not seeing it, that could mean that you are using a custom menu design. And maybe it's been eliminated. Simple menu permissions would certainly hide this, the ZZZ user can't have any custom menu stuff. So you can certainly if you log in as the zzz user, you should be able to see everything. Now if we do go to menu management. And let's just say we don't have it in our menu. And I'll just use this guy right here.

So here's our transaction, there's transaction simulator. And then from here, we can drag it on to wherever we want to maybe we just put it as kind of a favorites. So now transaction simulator is just going to be right there. Normally, I believe it's hidden down under management and system management. And somewhere around these areas. That actually positive exactly where in here it would be. That would kind of make sense. But it's not hiding there. Yes, I don't actually know exactly where it's supposed to be. But if you don't see it, you can always go into your menu design, find it through this, and then bring it to whatever part of your menu that you want to work on. So hopefully that helps with those questions coming out. So yeah, it is just searching for transaction simulator. We only have a few things that start with transaction so it should be pretty quick to find it from your menu here. So once we launch it, then we're going to see these three main areas the second time Have is entirely dependent upon how the first tab is configured. So because this is set to activity enrollments, if I go to Module details, I see all of my activity sections here. If I change this to be a Facility Reservation, then it's going to show me all of my facilities that I have in the system. If I switch to pass, anybody want to guess what's going to happen there?

Absolutely, to everybody that answered, it's going to show you your pass codes in the system. So this determines what we are only processing transact test transactions, one at a time here. So one module at a time. So calculate fees and check rules. So you can choose to just do one or the other if you know, rules are working in the way that you want to because they're the same as they were last year or whatever, you can turn that off. And we're only going to look for fee calculation. Or you can reverse that we can chess test what types of transactions we're going to do. So maybe I'll just start purely with purchase. If we're coming up on a registration, that's the main thing I'm going to be concerned about. And we'll be able to see once we actually process this that the more things we have here, the more results we're actually going to see which can make it a little bit more difficult to actually like, translate or filter through and see what we're actually trying to identify. So we'll keep it fairly limited to begin with, and then we'll expand it to do a cancellation and a transfer also. And we can also check it for both WebTrac and RecTrac, or all interfaces or just RecTrac just WebTrac completely up to you once again, this affects the results that will come out after we process this.

So we can choose however many family members up to six that we want to include. I have kind of my general test household right here. But I also created primary adult resident and a primary adult non resident, excuse me non resident could also have a senior resident, a senior non resident, youth resident youth non resident. So depending on which family members you're selecting, it will process those controls or those test transactions against whoever is specified here. We can include up to six different transaction dates. So this would be well what happens if the customer is registering at this date and time for for these activities that I have specified in the second Screen. And then we have our item dates and times this is really for activity. This would only be if you're doing like the unroll by day types of things. For regular activities. This doesn't matter. If a reservation, we need our beginning dates and times for tee times, if we're doing a test there, we'd need those setup. But we shouldn't need it for activities. So just to leave it as it is. So we've got one transaction on April 22, one on April 26, one April 29, and one on May 2, and then I've got my times 5pm 9am 11pm and 5pm. And so the dates and times, you know what, let's actually just simplify this. So we'll just do 5pm For each one of these. So it's a little bit more consistent. All right, and then I'll hit process. And so this is going to send the results to the server. And then we'll get a little notification when they're done. Assuming that your scheduler is up and running that is important as a prerequisite for this. So if you haven't been able to run reports in a little while, this is not going to where it gets dependent on the same sort of back end server control. Yeah. Probably not. Don't that's a VIC. So let's see. Good education's out. There we go. Well, nope, that's just our VIC communication has been completed. See, this is still my results from nope, looks like this has actually updated now.

So what I have here is each of my different members defined in this first part. So here's my locker having girl or child, here's my locker having girl, here's my resident, and here's my non resident. So if we go to our results tab, we can look at them individually, we can expand them all. So if a non resident, we can see what their name is, we can see what household they're a part of, we can see whether this was a WebTrac test or a RecTrac test, we can see the beginning date and time of the activity. So this is where it's pulling from the the activity section in time and transaction or in time wasn't really specified for anything. So here's our transaction and our transaction time. So the transactions that were processed on 422, both of those had a good result, and the person would be charged $24. The one on the 26 was a good result, and they'll be charged $24 And on the 29th. And on the second, they're getting a deny in WebTrac. They're getting a warning in RecTrac. And we're seeing a little bit of an increase in fee. And the reason we're seeing this is because we Yeah, so on the module Detail tab I did select an activity sorry i probably did go past that you can select multiple activities here, you can select all of your activities at once. But it would take a lot longer to run, they would take a lot longer to look through all those results.

So with one activity selected, we can see that I tested out eight different transactions because I had four different dates and time specified. And I'm doing that for both RecTrac and WebTrac. So four times two equals eight results per person, or 16, results in total. And of course, you're going to get 16 per activity that you include in this module detail page. So I created this transaction simulation section one, if we look at that section, we can see that my fee structure is a little bit, I've got, I think, four different fees here specified. So yeah, non resident surcharge, an extra $20. For non residents, a senior discount of $10, base rate of $20, and late registration have an extra $10. So if we look at this, we can maybe decode what's happening. And actually, it's actually I don't think it was $10, I think it was maybe 10%, that was coming into this, which is why we're getting not necessarily a clean number on the side. But we can see what's happening with rules. And we can see how the fees are actually calculating for each of these situations. If I look at the rule tab, we can see that my resident registration allows me to register as long as there are two days before the item beginning date, Button i Sorry, non residents can register at least two days before the item beginning date, non residents can go zero days before the item beginning date. So they have a little bit larger Window that they can register. So that's where we're kind of getting our results built out from there. It seems like there are a couple other questions coming in.

my guess is that it's that second tab Oliver because I do think I went kind of quickly through that, or I don't even think I specified it when I ran it for this activity. I kind of mentioned that this changes based on what we have selected here, like going to facility and now it displays all your facility. But it would be that extra step of actually clicking on the items to decide what you're actually going to be processing the tests for.

Nerris has the question. So in order to see the reason behind the rule results on your simulator, you would need to go to activity management to find out why

I believe so. Although let's just look at this, I believe that this Yeah. So this is an extra tab down at the bottom. So it shows you what's happening here. Now I had my senior discount, basically applying for anybody over I think 30 years old, just because I didn't think that I had any actual seniors in my household. So the adults are getting this $12 off. But then they're also getting the $12 late registration fee. So it was kind of net out to $0. We're not I'm sorry, the base rate is 24. Then we have a discount of 12. And then we're applying an extra $12. Well, that doesn't necessarily, it looks like it's displaying 36. So might be something else going oh, you know what? I probably didn't tell the base rate that it was allowed to be discounted. So it's trying to apply the discount, but it's not actually doing it

It's the way that I set this sort of stuff up. So I created late registration fee of just a flat $10 if the transaction is after 428 So the registration the actual day that the class starts in this case. So let's take a look at the base rate. I just want to make sure that this is allowing the sounds that's that's says include an audit discount. And advance fee change on that real quick. But yeah, so to answer Neris this question, you might have to scroll down on the transaction simulator results results page. There is a little bit of extra space here. And so you have your Fetch Results. And then you have your fee and rule results detail. So just highlight any individual line, get those details and then it'll tell you what's kind of happening or what what it's being evaluated against.

while it's been here, just behind not being talked about unfortunately. So Oh, it says include an audit discount. So I'm actually curious if I register somebody for this manual. So basically, this should be mirroring exactly what would happen if we did this registration manually. But of course, when we're doing the registrations because RecTrac is on a server, unless you're changing your server date, you can't make the system pretend to be a different date. So there's no way other than this program to really test against different registration dates effectively. I guess you could also set up your rules, use a temporary date for right, like, you know, the day that you're testing it, and then pretend that that's the day of, but you know, it gets a little bit more complicated when you're getting into that. So here's my locker haven't kid and I go down and I find transaction simulation, add that to the cart. So we're getting $10, if the registration is on for 21. And this is Oh, I did it for the child. So to get the exact same thing, there's 422. So at least in both of those cases, it's one day different than what I'm actually manually doing. But I am getting the $20 in the shopping cart. So that's validating what's happening there. So let's see, if we go to the next person looks like she's going to get the same results, they're going to get the same results, non-resident is going to get a little bit extra because they're getting the 20% surcharge on top of it. So if I go to my non resident household and do that transaction

as my non resident primary the same activity section. And this should theoretically be $24. Now, there's something else going on

base rate $24 with a discount, so the senior discount is applying so curious why that didn't actually display in the transaction simulator. So perhaps we're gonna getting into some of the advanced discount Type thing, because that is a 10% discount that's being applied. Expect it to have shown up here as that different price.

Yeah, that's like a 50% discount. Displaying there. So that's another piece, I guess that is a little bit more of a conversation about this module is without having the help on it, then, you know, we can't see exactly what it's attempting to do. Maybe it's not being able to apply the discount the right way, for whatever reason, although I did just look at it and looks like the activity section, or the fees have the discount allowed being turned on?

Let's see. Let's see Chris asking a question about golf track. And so, with golf, we get a green C, which is a Service Item past visit, which is part of passes in T times, which is also part of a Service Item. So unfortunately, there's no way to do all of that. Together, we could do a Service Item. And then we could make sure that we're selecting your greens fee and your tee time, or sorry, your whatever we say their Service Item for greens fee, and the tee time if that's a separate transaction, or if there's a cart Rental or something like that. So we can select multiple service items, if we want to just put another thing that actually has some fees attached to it, process those transactions. And those do have you know, it's basically the same configuration. So we can run it from multiple modules. And all we have to do is change what we're selecting in that module Details tab to get to there. I see another couple of question.

Yeah. So Liz is saying I had to enter a begin date and time nor the process, but none of the activities I selected activity by day.

Yeah, I looked. I think I noticed that before. And it doesn't necessarily give you an error right here. But when the results pop up, I think it might tell me that I need at least one. Yeah, must enter at least one begin date and time for this. So I don't believe it's using this for anything. But maybe it's just a hidden required Field. Like if I go to Facility Reservation, Nope, it's not actually. So it changes to end date and time. So this allows us to define that, you know, I want to make a reservation for one day. That's for X number of hours. So come in here we'll go back to April. And I think that was so yeah, April 21, we'll just change this to be the 22nd 5pm to let's do 8pm. So then this would make a three hour long reservation. That's why we're doing it. And I think I set up an hourly rate for this climbing wall. So we'll hit process on there. And of course, there's all changed the facilities, because I had the module selected and changed the facilities on this side. Like I said, we've already, let's see. Yeah, so I think that that answers Tiffany's question and Liz's question that we do kind of have those two requirements kind of hanging out. I see Gary's asking if it shows up in my events? I guess it would, while it's processing. I looked away from the Screen. Maybe I yeah, I'm to 19. Yeah. So that was just it finish? I don't know if that's the error message. So it doesn't seem like you're finished.

Yeah, I mean, it seems like this finished processing, because now I can see the Start Center that I don't, I didn't really recognize I didn't notice getting a notification about that, we'll do another one, we'll see if it pops up or not. But theoretically, here's our our fees. Once again, if I scroll all the way down to this bottom, I can look at my fee and rule results description. So I had a deposit of $20. And then I had $10 per hour, that calculates to $30. So 200 plus 30, equals to $230. I saw that Michael was saying that had a lot of rules for these seems to getting messed up in the fees aren't coming out correctly. So it seems like this, that part of it might be related mostly to the discount, not being applied properly in this, so I'm gonna, I'm gonna write that up, as well as the like I said, we've written up the need for help on these five on these screens. But theoretically, it should just use our global sales, business logic. And maybe it hasn't been updated to take advantage of some changes that have happened in global sales. So unfortunately, Michael, I don't know exactly why it's not displaying the exact results for the activity, the same stuff that we would get in global sales, because it certainly should be doing so. Just run that again, make sure it's all up to date.

And since I can't test for tomorrow, I'll put today's date just so it replicates exactly what we'd be seeing if we when we put something in the shopping cart. So we'll just say 30 PM. So the first result will be as though he did it right now. So once again, we'll scroll down and we'll hit process. Now I just hit this, let's go to my events and refresh it. So it doesn't look like it shows up in my events as it's running.

See, I mean, this is these are my updated results once again. And it seems like it is working the way it is supposed to be working the aalnc. And it doesn't really look like it's showing the discount coming out when we're running it for today. So maybe that is a limitation with this right now that it's not accurately showing the discount applied. So let's start off with that part.

Thanks. They're getting the higher rate, but they're not getting the senior discount applied to it in line. So that's what it's feeling like at the moment is that the fee deal or the discount? Not working. And actually, let me just make sure that I have the discount fee set up properly, because that's possibly the issue.

I mean, the fact that it worked when I went in global sales would indicate that it is set up properly. But maybe I will, instead of doing a discount percentage, maybe I'll do a fee reduction percentage just to see if that is at all related to it.

So it's based on age older than 30. And younger than 999. Okay. And actually to go with that. Karen's wondering, do you need to set up a test household in order to use this simulator?

No, you can use it on any household in your system. I mean, you definitely want to know what the details are about the household that you're testing, like, are they set up as a resident? What's their age, because all of those settings on the individual person are going to affect the way that the transactions actually run. Oh, and it looks like changing it to fee reduction did make it more accurate. So it seems like it is specifically a discount that's not being addressed necessarily properly in this process.

Kevin did some testing to he said, I tried this with a section that is flat surcharge and a percentage surcharge. It does not seem to be calculating the percentage surcharge but it does include the flat surcharge

interest because this was a percentage fee reduction. And that works. And I do have a fee increase but I don't know if it's flat or if it is percentage forgot to check that fee increase. So in this case, I do the fee increase is working for me.

I didn't actually apply a discount code. So let's just go to my advanced change on this guy. We'll try setting it up back up to a percentage discount. And once again, I kind of keep coming back to the point that it did work in global sales. So I think that I had the setup, proper discount percent again, no discount category so it should apply to anything that can have a discount applied to it. base rate advance fee change

Cool. All right. Neris. wondering, is it possible to simulate with this with a facility that has charged pending fees?

Interesting. I? That's a good question. There's only one Field to show what the fee total is. And I believe that that would be the the amount for the transaction at the time you're doing it and of course, you know, optional fees, things that have to pop up and have the clerk interact with it. I don't think that those would work. All that well. So there are certainly some limitations to it. I would need to set up a facility with pending fees to see what it does, but my estimation is that it wouldn't be super great in that case.

Yeah. And then does the test transaction will affect the end of shift report?

No. So there's no actual transaction that's occurring here. This is basically like running a report in journal mode or running, like installment billing and journal only it will show you what would happen but it's not actually doing any of those things.

And that kind of goes along with Karen's questions. Do the simulator tests show up on the household purchase history?

Not at all, I'm just going to run a GL distribution report for today. I don't think I've done any transactions themselves. But, you know, I've done probably hundreds of sample transactions. I need my gl distribution report to run. But while we're looking at that, but what was another

what Pass Management be able to tell you why a visit was denied when they swiped in, or what depend on how the visit Profile is configured.

I believe that in that extra piece where you can see what the fee and rule detail is. So like there's a warning so I Click fee and rule results details. And we can see what the rules actually are. Now it doesn't say necessarily which one of these were running against the warning for. So, you know, it would show you the rules in place, but it might not show you exactly which one we're talking about there. Which one but it's specifically failed.

Is there a way with the simulator to show the GL effect of the fees when a transaction is simulated? For example, if I complete a transaction for an activity section that takes place months from now, a way to see the revenue hit a deferred account is an accrual, then I am able to simulate an accrual processing to see the revenue move on to the true revenue account.

So you can do the second part, which is simulating the accrual posting, by running accrual processing as journal only, but there's no way to right now the transaction simulator does not include GL information on the fees themselves. You know, that could be an enhancement that we write up about this also, hopefully the fix for applying discounts or showing the discounts applied, we'll get into this fairly quickly, because I've kind of a defect in it. Whereas it might take longer to get some GL distribution information. Even if we got gl distribution information attached to it, we wouldn't be able to then run the test accrual against these test transactions. Because once again, these aren't actually making any postings it was just so you what would happen. Now, if it's showing that it's hitting on our end, and you know that you've got your accrual setup, then you would you know that it's doing the right thing. It's hitting the unearned income rather than the income. But once again, that's going to be something that we'd have to write an enhancement request to get that GL information included. But as we said, we can do this.

Yeah, unfortunately, not yet.

Yeah. And actually, just to Chris's thing here, just to mention that you can definitely test accrual processing. So you do all your accrual processing exactly as normal, but you don't turn on this Toggle. As long as this Toggle is not turned on, then you're only running accrual as a report. You can do it as CSV, comma delimited as Excel or just as a PDF. But it won't do any postings as long as this Toggle is not turned on.
