Reverse Receipts Payments- This option can be used to:

Reverse - To make a Payment Reversal to correct a transaction made in error for such circumstances as applying a payment to the wrong household, reversing a payment record for a household because the payment method failed (For Example: A bounced check), etc….
Note: This option can also be used to Reverse Refund Nows/Refund Voids given to households and in effect turn the Refund Now/Void into a Refund Apply.
- Reverse & Payment - To make a Payment Reversal and subsequent Payment to the same household for such circumstances as selecting the wrong Payment Code at the time of purchase (For Example: Using Cash Payment Code when the patron actually remitted with a Check) etc….

- Update Receipt - This option can be used update User ID Cash Drawer Number Payment Type Payment Date and Payment Reference information on receipts for such circumstances as entering a payment on the wrong date entering a payment when logged in as the wrong User ID etc…. When this option is selected Cash/GL Transaction History and Refund Records (if applicable) are updated to reflect the new information for purposes of reporting and transaction history. The system will always store the original Posting Date for the receipt.
Note: If you do not know the Receipt Number you can search for it using the fields below (Household # Date User Drawer).
- Set your ranges.
- Click Search
- The Receipt Records DataGrid will populate with receipts that meet your criteria.
- Highlight/select a receipt to populate this field.
Delete
Household # (TransactionUpdate_HouseholdNumber)
This field is applicable only if you need to Search for a Receipt Number.
Enter a Household Number in this field

Click the Picklist icon and Lookup and Select the Household for whom you want to update a transaction.

Note: This field and subsequent Household Lookup Screen searches by Household only. You cannot lookup individual Family Members.
Begin Date (TransactionUpdate_BeginDate)
This field is applicable only if you need to Search for a Receipt Number.
Click the Calendar icon to select a Beginning and Ending Date Range to search for receipts by their original Posting Date.

Note: The system always uses the original Posting Date linked to a receipt when performing the search for this program. In the event this program was used to update a receipt and the Date was changed during that update and you are now updating the receipt again the system will use the Original Posting Date when performing the search.
End Date (TransactionUpdate_EndDate)
This field is applicable only if you need to Search for a Receipt Number.

This field is applicable only if opting to Search for Receipts.
This DataGrid displays all receipts that meet your Search parameters above. Highlight/select a Receipt. The receipt you select will populate the Receipt Number field.

Previous Payments (TransactionUpdate_PaymentsDataGrid)
This field is applicable only if opting to Reverse Receipt Payments.
The Previous Payments DataGrid displays all line items linked to the Receipt you selected.
Highlight/select the relevant line items make changes and/or selections in the fields on the Settings group and then click Reverse or Reverse & Payment as needed.

This field is applicable only if opting to Update Receipt.

Note: The ability to update this field is determined by your Payment User - Allow Override Permissions (Permissions profile • Button/Misc Permissions tab • Miscellaneous Settings group.)
Reversal Cash Drawer (TransactionUpdate_PaymentDrawer)
This field is applicable only if opting to Reverse Receipt Payments.
This field displays your Cash Drawer Number. The Drawer Number listed here is the Drawer Number that will be linked to the receipt that gets generated as a result of this process. Accept this entry or overwrite with an alternate Drawer Number if needed.
Note: The ability to update this field is determined by your Payment Drawer - Allow Override Permissions (Permissions profile • Button/Misc Permissions tab • Miscellaneous Settings group.)
Reversal Date (TransactionUpdate_PaymentDate)
This field is applicable only if opting to Reverse Receipt Payments.
This field displays "today's" date. The Date listed here is the Date that will be linked to the receipt that gets generated as a result of this process. Accept this entry or click the Calendar icon to select an alternate Date if needed.
Note: The ability to update this field is determined by your Payment Date - Allow Override Permissions (Permissions profile • Button/Misc Permissions tab • Miscellaneous Settings group.)
Reversal Reference 1 (TransactionUpdate_TransactionReference1)
Enter free form comments as applicable. The text you enter in these fields will print on the receipt generated from the process. You might use these fields to explain why the reversal is being processed.
DeleteReversal Reference 2 (TransactionUpdate_TransactionReference2)
Enter free form comments as applicable. The text you enter in these fields will print on the receipt generated from the process. You might use these fields to explain why the reversal is being processed.
DeletePrint Receipt (TransactionUpdate_PrintReceipt)
This field is applicable only if opting to Reverse Receipt Payments.
Select this option to queue the receipt to a printer and have a hard copy created.

Accept the default printer or expand the Drop-down list to select another printer as needed. The printers listed will be those that have been added to your workstation in Windows.
Default options for Print Preview and Email are defined on your Daily Processing profile • Receipting Default Options group.
Note: To print a receipt from RecTrac VIC must be installed and running on the workstation.

Log As Bad Payment On Household (TransactionUpdate_LogAsBadPayment)
Select this option if this reversal is a result of a bad form of payment for the tender type in the Rev Code field and you wish to record this as a Bad Payment" for the household linked to the receipt. Typically you will do this for checks only but other situations may arise.
De-select this option to skip the updating of the "Bad Payment" fields for the Household linked to the receipt.
If you select this option the system will:
- Update the Last Bad Payment Date field on the Household's Financial Info tab in Household Update.
- Increase the number on the Bad Check Count field on the on the Household's Financial Info tab in Household Update by a value of one (1) provided you enter a Check Payment Code.
Preview Receipt (TransactionUpdate_PreviewReceipt)
This field is applicable only if opting to Reverse Receipt Payments.
Select this option to have the receipt open in Preview Mode upon completion. From the preview you can print or save the receipt as needed.
Default options for Print Preview and Email are defined on your Daily Processing profile • Receipt Default Options group.
DeleteRestrict Household From Using Pay Code (TransactionUpdate_RestrictPaycodeOnHousehold)
Select this option to place a Payment Restriction on the Household for the Payment Code linked to the receipt being reversed.
De-select this option to skip placing the Payment Restriction on the Household.
When this option is selected, the Household will not be allowed to remit with Payment Code linked to the receipt until the restriction is removed. The Payment Restriction field is located on the Household's Financial Info tab in Household Update.
DeleteEmail Receipt (TransactionUpdate_EmailReceipt)
This field is applicable only if opting to Reverse Receipt Payments.
Select this option to email the receipt upon completion. The receipt will be sent to the address listed in the Email Address field.
Default options for Print Preview and Email are defined on your Daily Processing profile • Receipt Default Options group.
DeletePrinter (TransactionUpdate_Printer)
This field is applicable only if opting to Reverse Receipt Payments.
Select this option to queue the receipt to a printer and have a hard copy created.

Email Address (TransactionUpdate_ReceiptEmailAddress)
This field is applicable only if opting to Reverse Receipt Payments.
Accept the default entry in this field or overwrite with an alternate Email Address(es) if desired. When selecting Email Receipt as an option the receipt you generate will be sent as an email attachment.
The default address is the primary email address linked to the household for whom you are processing the reversal. Optionally you can expand the Drop-down list to select an alternate email address from the Household

Select Enter a freeform email address and then enter a new email address in the Email Address field that appears.
Email Address (TransactionUpdate_ReceiptFreeFormEmailAddress)
This field is applicable only if opting to Reverse Receipt Payments and if you are opting to email the receipt to a free form address.
Enter the email address(es) to which you wish to email the receipt which gets generated as a result of the reversal.
To include multiple recipients separate email addresses with a comma and no space. For Example: john@rectrac.com paul@rectrac.com george@rectrac.com ringo@rectrac.com
