Hello and welcome to this week's edition of RecChat. I am your host Bret Alarcon. So today, Zack is going to show you some Screen design. So this includes Screen design basics, Profile settings, Screen management for activities and Screen management for WebTrac. So if you have any questions during the presentation, there's that little q&a Button down at the bottom, just push that and ask your questions. And hopefully we can answer it either during the presentation or afterwards. We also have that little chat Button at the bottom or if you want to make comments during our presentation. Just go ahead and comment away. And I noticed I'm forgot to get my Vermont background and then the DeLorean right now. So anyway, how you doing Zack?
Zach Malloch 0:54
Not too bad. Maybe the DeLorean is in Vermont.
Bret Alarcon 0:56
So yeah, it could be a nice, nice day to cruise around in the DeLorean.
Zach Malloch 1:01
That's right. All right. Yeah. So we're gonna be talking about Screen design today. So thank you for that intro, Bret, and are getting some compliments on your background. So
Bret Alarcon 1:12
maybe I'll keep it there.
Zach Malloch 1:15
All right, well, let me share my Screen because I bet everybody would benefit from being able to see what I'm doing over here and RecTrac. And so I wanted to basically start with kind of this is a companion piece to the menu design basics that we did a few weeks ago, I think that was in earlier July. And so there's there's kind of three components to doing either menu design or Screen design, there's the Profile, there's the code, and then there's the Screen that you're trying to customize. And the code is what ties the Screen you're customizing to the Profile, of course, in the Profile ties it to who you want to have that experience of that customized Screen. So if we look at this, the Screen design code is going to be under system code management. And the Type of code is just a design code. Screen design was created before menu design was a thing. So it's just designed for Screen design. And if you're looking for menu design, it is specifically menu design. So just the design Type is what we're looking for here. And I'm going to call this virtual symposium. So vs. Alright, in so as long as we have those things, those three pieces done, that's all we need for the system code. And there's really nothing else to that, it's just a link that we're creating. So now, if I go to Profile assignments, I can look for, I can create a new Screen design Profile. And I'll call this vs Screen design. To capitalize things the right way. And now we're going to find Screen design here. So this is Screen design. And I'll go ahead and get this a little bit more.
Zach Malloch 3:10
All right. And so now when I save this, it opens up the Profile. So the Screen design Profile has a lot of similarities to the menu design Profile. The first one is basically you're just choosing what you want to actually display. So there's a virtual symposium design, the whole point of this is making it so that that is the design, I'll get to see. So I'm going to select that for each of these areas. Now, if you don't use touch, or tablets, like kiosk sort of stuff for iPads, or Galaxy tablets, or Microsoft Surface, or if you're not doing RecTrac on mobile devices, then you don't really have to worry about those. But the this is your default design up here, this is going to be your RecTrac your standard RecTrac experience. And actually, I added all did not mean to so I'm gonna put this back now. All right, the Screen design is, as I said, it's a bit different than menu design, in that I can have more than one Screen font design defined. With many design, it's all or nothing, I have this menu, that's all of my options that I've got with Screen design, I might have a custom Screen for activity section management, but not for activity management. Or I might have a custom Screen for the virtual symposium design for WebTrac search, but not for something else.
Zach Malloch 4:24
So I can kind of create a hierarchy. So if I have just a regular custom Screen design, if there is one of those available, it will display that unless there is a virtual symposium Screen design, it'll use that in preference of the custom Screen design. If there's no Screen designs with either of these codes, it'll default to using the Vermont systems default Screen design. So that's pretty handy right there. Although we don't have a ton of people. Time are coming down actually I see a question that just popped up in chat from Ashley near I'm seeing that this is not secure on my website. That's because I don't have a security Certificate, I'm just using my laptop, most remote systems, people in our staff will have RecTrac installed directly on their their laptops, we're not actually hitting a security Certificate. So that's why I have that good question. So this is the Profile, it's really just deciding which codes you're going to actually use, what custom designs you want. And there's also this ability to translate the database. So if you create language codes, you can assign them here, language comes as part of the Screen design Profile, we're not going to go into language at the moment. But just so you know that that's where that setting is, if you're interested in it, and there is some help that talks about the whole thing. So anyway, that's our Profile. I'll hit Save. And I'm going to tie that to my zero end user. So I'm going to remove the Screen design that I had there, go down to the new one that I just created for virtual symposium Screen design and link that. So now, if I log in as this is the OEM user, I'm going to be using any Custom screens that are tied to the vs Screen design code. Now, I don't have any of those yet. And so now the third part of that checklist is actually customizing some of the screens. And I'm going to show you how to we can customize RecTrac screens, we're going to use activity section management as the example that's a really common one for people to get in there and kind of customize, and then we're going to do a WebTrac search customization Screen, because those are also some of the almost guaranteed I don't think I've ever set anybody up where we didn't customize some of those WebTrac search screens.
Zach Malloch 4:46
So I've got two pieces of my checklist done, I've got my system code created, I've got my Profile defined and linked to the system code and applied to a user. And then I'm going to come in here and get to my management, Screen management. Actually, I'm just going to Type in Screen. Because this is going to show us all of my Screen management, I have the ability to access. So I'm going into activity section management, that's what I went to customize. So I'm going to go into management, Screen management. It's also one of our most redundantly named Screen menu items. But if you were trying to do something with global sales, that's daily processing, so that would be processing Screen management, or you could do inquiry Screen management. So it kind of depends on what part of the program you're going into. And usually you get a kind of a key based on the name of the program you're launching. So if your activity section management, that's management, if your household inquiry, that's inquiry. So hopefully that makes sense. So we're gonna go to management Screen management, I'm going to Click Add, and I'm going to choose my activity section. Update. So activity section management is actually just going to be the DataGrid that you get to before you open an activity section. And when you're updating an activity section, that's the Screen that I really want to start customizing. And I want to do this for that virtual symposium design code. So I hit continue. And then this brings me into a Screen that gives me access to all of the fields that are displayed. So just for comparison, I'm going to go into section management. And I'm going to now, so this is section management. If I wanted to customize what this Screen looks like, that's the management Screen.
Zach Malloch 8:19
This is the update Screen when I actually go into a section. So one of the things that is pretty common these days is for people not to use this advanced enrollment settings area. And there's a lot of fields here. If you have people that are confused by what this is, and you have to explain it over and over. An alternative to that would just be removing it if you're not using this functionality. So just real quick, advanced enrollments would let you say we can have this many residents and this many non residents. So you can have the entire thing fill up with residents, but only some of that could be reserved for non residents are allowed for non residents. So you want to give residents that priority used to be a lot more common nowadays, it's really more common just first come first serve. So let's say we want to get rid of this area. It's not come to management, Screen management or update. I look at this, this is the core tab. So there's my core tab. And then I have all the various groups. So site detail and not actually using sites but core settings, additional settings, WebTrac core settings, additional settings, WebTrac settings. So we kind of see the correlation between things here. And so then if I have this advanced enrollment settings, this has all of those fields for enrollment count one through three. And that's the part that I really want to get rid of. Now if I wanted to just get rid of one or two things, I could drag it and get rid of it by dropping it out here. If I want to get rid of the whole thing. I can grab the whole group and drop that and now that has saved it. So now if I log out as the ZZZ user and log in as the ZOM user realizing I did not double check to See if I save that I think that it automatically saved as I went. But let's find out if I go to actually it's section management can open up any section? Ideally, it will now no longer have those advanced enrollment settings, which it does not. So that's one of the main things that people use Screen designs for is to remove things from the Field. And I see, I see a couple of questions coming in to the chat. If you wouldn't mind putting those into q&a That just makes it a little bit easier, easier for us to track which ones we've asked or answered and which ones we haven't. But Brett, did you have a couple that you Yeah,
Bret Alarcon 10:44
we have a couple questions. The first one from Wilson, Will you post your email out to this group? A how to or is there a website? Or is it on our website, we can find? I can actually answer this question. There's actually a very good document and the little help Screen. So on the left sidebar of RecTrac, if you Click on that lifesaver, and you just Type in, I believe it's Screen management or Screen customization. In there, if you scroll down a little bit, you'll find our Screen customization doc, which has a it's a huge document on pretty much everything, plus more of what we're kind of going over today. So if you scroll down a little bit more, Zach, I think it's a world. That's one of them. But I was thinking more if we go down right there. Screen customization.
Zach Malloch 11:39
Yep. So then that has the walkthrough of all these various steps. Good, good. Call Bret. Good points there. And also, if you guys see this up here at the top, so the first part of my URL is going to be very different than yours. But after this client that ws see, I can paste this into chat, but excuse me, if you paste, no, I didn't copy, and guess i Ctrl V or Ctrl C Ctrl. C to copy. And I'll paste this into chat for everybody. So if you put that after your Ws C, and just put that snippet, it'll kind of jump you right directly to this to this document where you can do the same thing. Just search for basic Screen customization or the link bid column. Brett, there are a couple other questions, I think,
Bret Alarcon 12:31
yes. Let's see, can you customize colors for those that are red green colorblind.
Zach Malloch 12:37
So the colors are not currently accessible for customization there. They're kind of the built in style sheets. And that's unfortunately not part of Screen design. There is a little bit let's just, that's right, if I Type in Screen, that's a little bit better way to get to it. So then we go to management, Screen management. And I'll go to the activity section update for Vermont systems. That's when we were working on. So when we're looking at some of these fields, like there's a Button, and if I go to Advanced Field parameters. I mean, technically speaking, we could probably put some color or background color comments into this like this. That's kind of why we have some of these extra pieces. But that's going to be a little bit more than what I will cover right now. And unfortunately, there's no broad system wide setting to make that change. Although there's not very many places that red versus green is going to cause much of an issue with RecTrac. Especially in these days. It's all W CAG compliant. And I don't really I'm not coming up with any places that were really using red green, where that's the only distinction. Our global sales has a pink in green. It's interesting.
Bret Alarcon 14:03
Is that a text Field or a Button?
Zach Malloch 14:10
Text? Yeah. Just showing that you can put some HTML into two colors. Oh, yeah. So Well, I mean, that's, that's red, but the color doesn't change the function of it. Yeah, so I guess I'm not real sure. Exactly. If we go to payment, anything under there is processes Screen, but SuperGrid. Okay, so SuperGrid, you do have a lot of control over those colors. So SuperGrid is a separate separate thing than Screen design. So let me just go back here. And we'll look at the SuperGrid Alright, so like if I make a reservation right there, that's a green color and depending on what else I'm doing, so we're I'm just going to diverge very briefly, we're going to jump into profiles, Profile Management, I'm just going to get into SuperGrid Profile just to show because I mean it is it makes sense that that would be a question that comes up during talking about Screen design. So here's my fr SuperGrid, my Facility, Reservation SuperGrid and all the way at the bottom, we have our SuperGrid color display. And you can pick all of these colors. So whatever is compliant, whatever is useful for you, you can make those determinations and decisions and can completely ignore the red versus green. Just make it shades Gray, or anything, that's a better contrast for that situation. So, yeah, that that's a setting, you can absolutely customize that in the SuperGrid color display in the SuperGrid Profile. All right.
Bret Alarcon 15:47
Actually, one more question, if you got time.
Zach Malloch 15:50
Yes.
Bret Alarcon 15:51
Can you just hide the entire Field instead of removing them? In case you want to activate it later?
Zach Malloch 15:57
Yes. So what that question is referring to is right here. So like before, when I had the advanced enrollment settings, I just grabbed the whole group, and I dragged it off to get rid of it. But that means if I ever wanted to put it back, I would have to add a group, I'd have to find all of those line items and add them back in or I'd have to delete and then recreate the Screen design. I can also however, come in here in the Field status is going to be the thing that controls this and I can make my fields hidden if I want to. Now something to be aware of is I just hid this group, but I didn't hide the stuff in the group. So this would not give me a very good results. What that would do is basically just leave all of my buttons and stuff floating around without kind of a container for it. So if you want to do the hiding piece, you certainly can, but then it's going to be like each Field and the buttons aren't a good example for that. But like miscellaneous settings, if I don't want to see the receipt documents Field, then I can go to my Field status, and I can make that hidden, then I hit done. And because I'm in this design, if I cancel out and then come back in. So that was the miscellaneous settings, and it was the receipt document Field that I just hid. So if I go to miscellaneous settings, I now do not see a receipt document Field at all.
Zach Malloch 17:20
Now there's also like the, there's kind of like a hidden sort of column in this. So like there's three columns that we're working with, there a couple of fields that are a little bit specialized, like in this case, the days of the week, don't fall with the three column convention up here. But as you're going through and doing the design process, it's sometimes useful to just keep that a little bit in the back of your head that every three things you're kind of like coming to a new row. So if you're wanting to adjust this, taking out receipt documents means that setup, cleanup and expense all come up. And so now those are part of this row. And that means the expense budget is now not a part of this where Previously this was three rows of numeric Field areas. So you can just that might be something to be aware of is how you want the InDesign to lay out as well as just serving the function of hiding things for you that you don't want to see. Just one more thing real quick about this, that if there are things if there are fields that you always have set a particular way, you can also use the Screen design to affect that state. So let's say always, for all of my activities, it's just my standard policy, every single activity is going to have a five minute setup attached to it. So if I go to this Field value, and I put in a five, that means that whenever I open the Screen, it's going to start with a five in that Field. And if I wanted to make it so that is enforced, I could then make it so that this is a disabled Field. So that I can see that it's set to five, but I can't change it away from being five. So once again, if I close out of this and come back into it
Zach Malloch 19:11
then under the miscellaneous settings we have it didn't actually take the value. Maybe that wasn't the right Field, but it did disable the fields and I can't change it. Let's go back in and rather than Field value, maybe it is. Let's set that back to zero and it might be in the advanced parameters and default value. Field value, so it was might need to come back to that. I was pretty sure that that was the setting to define it. Come back. And actually, you know, I'm just going to say maybe it's not saving everything as it does. So hit done there. Although I don't think that was the Save buttons, I don't think that would change it. We'll see if this works. If not, maybe that will be part of our follow up.
Bret Alarcon 20:27
Craig is saying, you had Field label, and then there was Field minute.
Zach Malloch 20:40
set amount
Bret Alarcon 20:41
on the left hand side
Zach Malloch 20:44
on the left hand side?
Bret Alarcon 20:47
might have been under Advanced.
Zach Malloch 20:53
Field value persist, filter value. Field min. So I'll just mentioned this also, let's just change this configuration. So the Field label is what it's actually going to list it as on the Screen. So we'll adjust that to you Field value, let's change this to fight also. Screen titled Excellent. Yeah, but this gets a little bit more advanced. And we are going to be going the virtual symposium next week is going to get a little bit deeper into both Screen design and mini design, we're going to get a little bit more into these fields. But anyway, I've changed the description, I changed the filter, I don't think that's it. But we'll save this and then come back in just at least display that the description, that Field has changed, and then we'll go really quickly into WebTrac, since we're definitely kind of already towards the end, but there it says configuration minutes there, this is a disabled Field means you can't edit it, we can know that this option to set the values works for the toggles and the light. We can change the columns, we can change the order, we can change the descriptions, we can hide things, put them on different screens. But a couple of times I've had people that have marketing departments, and they want to give them access to a little bit of the core information and the comments. So they just put everything all into one Screen and hide fees, hide rules, hide questions, hide email features, so that you just have access to only the things you need to have access to when you go in there.
Zach Malloch 22:32
All right. I see there are some other questions, I'm just going to really quickly get to WebTrac. And then we'll come back to some of those questions. Here we go. And I've got my search activity search, I had called Class Search for my menu design class previously. My Screen is going down. So there we go. So I've got all of these various fields available for my search options. But what this means is when it initially loads, I have to scroll down before I can even find all of my filters here. And also when you have a lot of fields available, that can sometimes mean that people can very easily confused themselves and hide things from themselves and get a list of results where there's nothing there. Like if I just do one thing here, I don't think I have any classes that are just well, let's do locker, I have no classes that are both locker and for people who are three months years old. And that's not a really good option to give your customers zero search results necessarily. So by being judicious about what fields we give people, the ability to filter by a can sometimes make it a much better experience on WebTrac. So once again, going very quickly here, I'm going to go to Screen. And then I see WebTrac Management Screen management. So this is where all of our search screens live. I'm going to add an activity search Screen. There it is. And I'm going to choose the code that I want to use that for. So I'll use virtual symposium, I'll hit Continue, and then got my fields here.
Zach Malloch 24:16
So here's all my search criteria. So if you're using the Next Gen WebTrac UI, we have everything on the side, if you're using the old UI, it's all going to be at the top. But the process of removing extra filters is the same thing. And you can either just hide something, we have that same Field status here, or we can just drag it off and get rid of it. So anything that you're not using, I personally don't really like doing keywords. Maybe we're not doing time blocks. Maybe people do want to do activity number but I don't have gendered classes. And I don't use subtypes perhaps, and I don't use grades. So then that narrows down the list of options that you have to process a search and you have this ability to do Wait for facility activity, etc. All of the web modules up here. So hopefully I know that's super, super brief. But I see that a couple of people had some questions about, like Screen size in touch Point Of Sale. So processing Screen design is a little bit of a more special case. Because global sales, Screen designs are made up of multiple areas. So there's up to five areas for any global sales Screen. And technically, global sales is global sales. But touch Point Of Sale is also global sales, as far as the logic and the background of the system goes.
Zach Malloch 25:38
So if you are creating a custom design, for touch Point Of Sale, you're going to get these five different areas and a main that get created. So the main is basically all of your container. So if I change the main, this is going to show me that I've got touchscreen, area one, I've got touchscreen, area three, and then I have a shopping cart defined. And this is going to be in column number two, I believe, if we go to Advanced here, are not really defining the width at this position. So this is the breakdown of the column widths in touch Point Of Sale. And so that means your touchscreen area where you have all your buttons on the left hand side, that's the 78%. And your shopping cart is the right hand side, that's the 22%. And when we add those together, we get 100% of the Screen space. So as long as these two equal 100%, you can adjust this range, if you want to, you could make your touch area 70% And your shopping cart 30%. Potentially, I'm not going to get into changing the layout of the processing side too much more, I will show you just very briefly, if we wanted to change like the buttons on the shopping cart area, go to my touchscreen, I believe that's going to be area three, sometimes I do need to come in here and just see what's in that. That's actually the scan piece. So if I'm in touch Screen, so this is area three. So maybe this is area five. Back to processing the Screen, done with that touch area. Nothing there. So that makes me eliminate it down to probably being touch area for No, doesn't like that one either.
Zach Malloch 27:47
Okay, yeah, so this is the shopping cart. So if I wanted to change the buttons that are available to me, close couple of these. So I can see everything on my same Tabs, close facility user, there's touchscreen. So these options, if I wanted to have these not in a drop down, I could split them up and just have each Button available. So I don't have to Click and then Click, I could change the title of these columns, I could change the text on the buttons. So I have seen similar things here. If I wanted to hide something, I could hide various things, data grids, the the way that you customize them is a little bit different. You can't just drag something off of a DataGrid. But you can hide. And basically that means that the column is going to be what you're hiding there. Where you could reveal it if you wanted to. So in touchscreen, it seems like that defaults to being hidden. We don't see the quantity in this case. So let's go through a couple of questions. Since we are at time, I'll go ahead and say thank you for everybody for attending. Hopefully, there was at least a couple of little snippets that you got from that. And I'll stick around, we'll go through these questions. But if anything, anybody has to leave now we will be posting the recording by the end of the business day tomorrow at the latest probably by the end of today, depending and you guys can catch up at any other point. So Bret, I'll let you start firing some over here.
Bret Alarcon 29:14
All right. Darla wants to know if you have customized Screen designs, but want to start fresh with everything offered incident Screen? Is there a way to do that? If someone has dragged off large portions of the original Screen? Is there a way to start fresh and have all available fields? Also, how do you know if you're seeing all available?
Zach Malloch 29:32
Well, so good questions, a couple of different pieces there. But you're available fields, as long as you don't have a filter here. It's pretty much what you have. The I don't think I've ever seen any place where you have to change the way you're looking at this to see things that you don't otherwise see. The easiest way to start again, with Screen design is just to delete the Screen design. So If I wanted to Undo those changes, I drag off all of those search options. I don't remember what the defaults are. But I want to start back at that point, I just delete that. And then when I create the design, again, it's starting with the base Screen, the VSI default. So it's always going to start from that new and default position when you create it from scratch. So definitely the easiest way to come back to it, see what new fields are available, or how it's all working together. Actually, global sales is a really great example, when we rolled out the new UI, we changed the arrangement. If you guys remember, or maybe some of you remember, it used to be across the top of the family member selection was down here on the left, the shopping cart was down here on the right, if you delete any custom Screen designs you have for global sales, and just go to the VSI default, or if you went to preview that are really great ways to do this, turn on the use VSI Screen design from your support menu, and then reopen any fields that you need to or any screens that you want to compare the way that you have it set up versus the way that you might want it to be or the way that our defaults would have. I think my mouse just died. So I'm looking for a USB cable real quick. I can use my trackpad if I need to do anything with the mouse. But yeah, so a good question, Darla there.
Bret Alarcon 31:22
Craig wants to know, is it possible to move grade input from the additional member details to the main details page for the creation of a new household account?
Zach Malloch 31:32
So grade is a member specific thing. So I do want my mouse let me see if this is the right key? Nope, that's USB. See. One moment as I search for the USB cable appropriate size, there it is. It was not too far away. Back in business, okay, so the question was removing or moving the grade input. So let's go to Screen. And so this is going to be management Screen because household management makes sense. And let's go to secondary household update. Once again, we're opening it to get to it, just household management itself would be the DataGrid will do this for virtual symposium continue. And so this will be all of the different fields, it has the Button to get to member details. Actually, there's our additional family members, there's the Button to get to member details. So this is your DataGrid. So we could see if grade is available on the DataGrid here.
Zach Malloch 32:59
school grade is a column on the DataGrid. It says it's updatable. So if you're I guess this is another place because we've significantly changed the way the household management Screen looks between the old UI and the new UI also. So if I take a look at how this is configured at the moment, this is completely default, because I'm using the VSI Screen design. So we have our primary Guardian area, but our family members used to be, it would just be like a little snippet kind of this much information about the various family members and they'd be dropping down but then when you replace that with a DataGrid. So if we added a Click member here something is slowing me down at the moment. But the the grade would be in the member creation Screen. But then we could also see the grade actually, it's right there on that DataGrid. So if you're using the default VSI Screen design and using the D DataGrid. For your family members, that is a little bit more of what I would say is the way that we're like really going for it. I can't technically move this from this because I launched person update. So that's a different Screen, I can't technically take the person update school grade Field and put it into the household update Screen. So the whatever Screen it originates in, it is harder to take something from one place and put it onto another if it doesn't already exist there. So I guess another way of saying that is if it's not in the available fields here, and if it's not in any of the dropdowns here like these I can reposition pretty easily. Well that's a DataGrid I can't actually do it there. But if it's a standalone Field, I'm sorry that was getting confused. This is the one for the household. This is the DataGrid so I can't really move things off like that DataGrid air but I can change their order if I wanted grade to be more important. And I could put that right next to their first name. And then any of these fields, I could adjust, I could take this first name from the primary garden area, and for whatever reason, put it into emergency contact. So within one Screen, I can move things around, basically, wherever I want to, I just can't take it from another Screen and put it into one where it doesn't already exist. So we can't add things that don't exist here. We can't add things that don't exist here. So hopefully that answers the question. Unfortunately, it's not an answer to like, this is how you do it. But the DataGrid would be the way that I would lean into it. What else we have? Right.
Bret Alarcon 35:39
All right. Darla has another question on the web as someone who is registering for an activity, and they are missing a grade birthday or family member feature, is there a way to make them fix the missing information before they can register? I know it gives a message that says you can't register because it is a required Field. But is there a way in WebTrac Management Screen management to have a prompt or Field pop up telling them that their household needs to be updated in order to complete the registration? You can answer? You can answer this later. But I know this would be helpful to others just not not just me.
Zach Malloch 36:14
Yeah. So I have a solution for you. One is that you would go into WebTrac management, Screen management, you get the household update, you would customize that Screen, you'd make whatever fields required that are required. And then in our WebTrac routes and profiles. In our WebTrac WebTrac parameters Profile, which is right here, I have the ability of forcing people to update their information every X number of days. So if you present the Screen, and it requires there has required fields that aren't filled in, they can't continue through without filling in those fields. Now, before I actually, before we say that, that's the best option, here's that require house of information to review every X days, consider the potential impact on this, especially if this is set to zero for your organization right now, you will not have or every single person now is going to have to update their information or at least see that Screen and go past it before you get to their ability to register for anything at all. So if you have any Type of registrations coming up, that would be a terrible, like mass registrations would be a terrible time to do it right before that, you know, maybe doing it a month or a couple of weeks before that, and having some sort of a campaign telling people hey, we're recording everybody update, you're requiring that everybody updates their information. You know, if you have kids without birthdays, they might not be able to register in this fall. So get in there and make sure all your information is up to date. And, you know, some sort of information campaign going along with that I would recommend being pretty important, but your Screen design, make whatever fields required that you need to have required. And then if you require if you make them update it, then it won't let them continue without filling in those fields. If you make the fields required, and people already have households, the next time they go in to update any of our add a family member, it will require that you put that information, but it won't force them to do it if they haven't already. And you're just now making it a required Field. So hopefully that answers that question as well.
Bret Alarcon 38:32
And real quick, Jamie wanted to add something to your starting fresh question is just a tip before deleting before deleting Clone it first in case you want to go back and review some of the old settings. So
Zach Malloch 38:46
that's a really good point, I think in talking about when you're doing in your customizing Screen design. So Darla, this question was like if I wanted to reset it or start from scratch, and I suggested well, you can just delete the Screen, and then recreate it and then you have all of your default settings. Jamie's suggestion is cloning it. So you can have like a placeholder design code or something like that, where you're copying all the settings as they exist. The other thing I would recommend is go into the Screen that you're looking to change and take a couple of screenshots so that you know what your starting point was if you are then going to go in and edit stuff. So if you need to revert you have a couple of different ways cloning would do as Jamie mentioned, having a screenshot so you can refer back would be another thing that I would recommend that that case.
Bret Alarcon 39:32
Alright, Jut says or asks came in late. So maybe this was discussed. But is there a document that outlines what the different fields in the advance Field design of a Screen design Field? Questions again, sorry, I'm sorry. The in app help doesn't give any icons also, is there a document of different dynamic fields I days from today? One minus for a max date of yesterday. etcetera.
Zach Malloch 40:01
Yeah, so, actually,
Bret Alarcon 40:03
yeah, I can answer the first part, actually in the in app help again, if you go to the little Lifesaver icon, if you search for I think it's called advanced Field params, I can actually link that in the chat. So if you go all the way to your WASD, and then copy what I put in the chat, it should bring you to advanced Field params. And it gives you every single advanced Field params that we have in the system, so not just that single Screen. Yeah, there we go. So alphabetical order. As for the second part, Zack, do you happen to know that answer?
Zach Malloch 40:44
Yeah, so that there's a knowledge base about that, that's where I was going to go. But I was gonna kind of be surprised if it's not in here.
Bret Alarcon 40:54
It's possible, I didn't really get a chance to check too thoroughly
Zach Malloch 41:09
I guess it doesn't show the values there. There is a knowledge base article. days from today. Dynamic dates. I found the actual article yesterday, so I'm sure I'll be able to find it again. Let's go to support and do our search here.
Zach Malloch 41:35
are actually probably today. Gonna go to the chat, we're actually faced with that. It's always exciting to have people just watch me for something.
Bret Alarcon 42:37
They'll joke about that.
Zach Malloch 42:39
Yeah.
Bret Alarcon 42:41
My joke list is on my other computer and having problems with right now. But off the top of my head, I hear about the guy whose left side fell off. I didn't. He's all right now.
Zach Malloch 42:54
Glad to hear that. This is the knowledgebase article 3415. I just posted it into the chat. So these are all the parameters that you can put in for a date Field. This is most commonly used when you're doing WebTrac searches. So if you want to have somebody default to next week or next month, because your facility rules don't allow people to book less than a week in advance, this is a very useful thing to do. Or if you have your ticketed events, and you want to show people everything coming up in the next two months rather than just in the next day and a half or whatever. Some useful things for that. And then these are four time fields in in Screen design stuff. So there we go. Good questions.
Bret Alarcon 43:38
Awesome. All right. Bethany wants to know, is there a way to change what items can be edited by using the pencil icon in the section management instead of having to go into each section or into the section
Zach Malloch 43:53
Interesting, So what you're saying is let's close some of these. Let's go to section management. So if you turn on this Edit Toggle, which columns actually are editable? I, I don't know that that is something that we have control over in Screen design. See? So this is a DataGrid and I'm just curious if there's going to be I guess maybe we can make it a disabled Field. So there's first name, I will make it disabled as the Field it might need to be a disabled column
Zach Malloch 44:51
disable them. Okay, so that's first name and household management. So I need to turn off my VSI Screen design so I'm not Getting overwritten by that. Management
Zach Malloch 45:11
there's all my family members. Okay, so disabling the column hides the column, I would definitely make it so you can edit it. But I'm sure that's not exactly what the goal is. So let's enable the column. But disable the Field and see what happens.
Zach Malloch 45:48
Sorry, go. So if you disable the Field, in any DataGrid, so that would be activity section management, you could disable a Field and everything in that column would no longer be editable when you turn on that stylus, pencil icon. Good question, though. I learned something myself.
Bret Alarcon 46:07
And then last, Gary just had a comment back when you're trying to find the minimum value or the static value, and advanced Field changes or Field labels, you said that maybe the change the Field min value below the Field label that you just changed?
Zach Malloch 46:25
Yeah, so I, those pieces, I believe are ways of defining what our range can be for those items. Configuration, and it's how I was looking for setup, I forgot I renamed it. So let's just switch that back to setup. And so I disabled it, I set the Field value to five and the filter value to five.
Zach Malloch 47:08
Think Field Max Field min, try that. Just put it in the max also. So theoretically, I would expect that means that if I go into section management that I wouldn't be able to save it. If that value is anything other than five, oh, maybe it needs to be a new
Zach Malloch 47:34
maybe it needs to be a new section because that value is possibly already set.
Zach Malloch 47:44
That's what it is. So it was the right setting the the Field value I believe is the right thing, you know, I need to do it. But the the sections are already created already had that value hit at zero. And then when we saved it set the value to zero, what we're doing is telling it what to set the default value if it is if there's nothing else there. So I just needed to create add for that to happen. So I'm pretty sure once again that if we get rid of this and get rid of this, and only leave that Field value at five. So Field value five and get rid of the filter value also. So now it's default as to what it was except for the Field value being set to five and for the status being changed disabled. So I'll hit done there. And theoretically now if I Click Add, it will still have that starting value set. When I create a new record, and it does and I can't change it. So you could leave it updatable if you wanted to and just leave the five in there and then somebody could change it. But if they didn't just leave it at five, you could manually set it to zero if you wanted to. But yeah, that's basically what we've got there. And I see Jut asked another question.
Bret Alarcon 49:07
Yeah, so he popped in with a new one, is there a way to set permissions to edit a specific Field like a manager slash supervisor override,
Zach Malloch 49:17
not, not within, like not as a prompting Type of thing. You could certainly set up a like I would probably have two different Screen designs. And then you'd have access to different fields depending on who you were when you logged in. But you can't have a lower access user, make a request during their session like link with PAY CODE sometimes or refund options, you can override it and a manager can just come in and give that or grant that right. But with the Screen design fields, we don't have that capability.
Bret Alarcon 49:52
Okay, questions.
Zach Malloch 49:53
So definitely a valuable extra 20 minutes for everybody that was willing to stick around with us so appreciate that. I miss anything Bret? there's so much!
Bret Alarcon 50:06
I was actually thinking of two things to say. But questions came in from both Darla and Jut pretty much asking questions that what I wanted to say.
Zach Malloch 50:15
that's alright, I think that just cutting this off at 50 minutes is okay for everybody.
Bret Alarcon 50:21
I guess great minds think alike!
Zach Malloch 50:23
Well, I hope everybody has a great rest of their Thursday and rest of their week if I don't see them. And like I said, Next, Next Thursday is going to be virtual symposium where we're going to go into a little bit more depth, and use a little bit more of the time it might actually might actually make just make it Screen design since that's one that has more depth in it. And we could obviously have gone a lot further into a lot of things today. If anybody's not subscribed to virtual symposium, and they would like to be you can contact sales and just participate for that one session that will be next Thursday, or you can subscribe for the entire year and then you get access to all of the previous virtual symposiums as well. And as I said, sales at Fremont systems.com can help with any of that. I will see everybody soon. Thank you very much, Bret. And then we will end the sub. See everybody later
