All right. So as Zach mentioned, you want to show a few things related to waivers today, I think to start things off, we're planning to do a little bit of a review of some of the existing functionality that hopefully a lot of folks on the call are already familiar with, and then spend the bulk of our time on some, some new features that have recently been made available in the product. And without further ado, let's jump right in. We're thinking we'll hopefully finish in under half an hour today and leave plenty of time for questions. But we'll jump right into it. Cullen, if you want to kick us off with some of the current RecTrac functions?

Yeah, great. Thanks Patrick. Yeah, so as most of you that have been in inside of RecTrac, you've probably seen on many of the management records, there's an option for the waiver. And, you know, essentially, that's mainly been like a print and sign Type of situation over the years. And that's, that's one of the more popular options. So essentially, you've got a letter of text inside of a code in RecTrac. And as something is purchased, it can automatically print out with the receipt. And there's a signature area where somebody can actually scribble their, their signature right on that piece of paper, and you can save it for any legal purposes. For a while now, we've also been doing some electronic signatures inside of RecTrac. And they back in the 10, three, nearly three, one, we were doing a Topaz waiver, that Topaz is a device that you can plug into the PC. And we can send text to that device for a signature. In early on, we were trying to pass a full waiver and the signature in it. And we realized that was fairly problematic and had to go in to kind of go away from that. So now we're strictly offering the smaller Topaz unit, which is the signature only it's a one inch by five inch, and the model number is TL 462. So essentially, that allows the patron to physically sign the Topaz. And that signature, that image will be embedded inside the waiver that does printout from RecTrac. So that's a that's become a more popular option. So not sure what everybody out there, it's on the rec chat is using, but hopefully you're aware of some of these options. And then most modules have the opportunity to do a waiver. So everything from activities, facilities passes daily passes, even to locker management. So hopefully it's something that you found useful.

All right, that should work a little better. So as Cullen mentioned, you know, a lot of different waiver options and some different options available through RecTrac versus WebTrac. And what we wanted to do today was really focus on more on the WebTrac. side, because that's where we've got some new functionality, we do have some, some plans to enhance the way waivers can be captured in RecTrac, as well in the future, but one of the start with some, some new functionality has really been, you know, high in demand for a while now on the WebTrac side to give people some more robust options for for capturing waivers. But first, to just cover what's been available for a long time and what most of our customers are using today, you really you kind of have four options, and one of which is new for WebTrac. So the first being none, which is pretty straightforward. You're not doing waivers on WebTrac Not something that most of our customers use with the sort of popularity of signing up for programs online these days. You know, the expectation certainly is that you want to try to capture any waiver needs you have as well. So that it really can be a true Self Service functioning, you're not having to chase people down after the fact and, and collect those those waivers and make it part of the workflow when they're doing that self service registration. The same is really true for the second option, the printed option printed, meaning that you're expecting folks to print out the waiver, unsigned on agreed to and then bring it in, you know, signed with ink, maybe to the first day of class or whatever the case may be, again, something that we don't see many of our customers doing simply because it does add a little bit of hassle, a bit of a manual workload and some extra checks and balances to the to the WebTrac process. By far the most popular option that our customers using today is the E authorized. So we'll take a look in a second at where these options are selected. But yeah, authorize is probably what most of the folks on this call today are utilizing. And that's where you get the actual checkbox on the WebTrac Screen, asking you if you agree to the waiver text above. And as we engaged with a number of customers and one customer in particular, and with their legal department or with some other customers as well, you know, what we found is that someone is something a bit more robust, that aligned a little bit better with what their expectations were with how a waiver, you know, wave of liability was captured and what some of the sort of rules and expectations surrounding that were. And that's where we developed this new E signature option. So that was released in 3.1.10.07.04, which was released a couple months ago, and obviously is included in the current release as well, as folks probably know, we just released 3.1.10.09. Yesterday, essentially, it was applied to our hosted customers last night. And for any of our on premise customers, it's available now. So to jump right into that new functionality, and we'll sort of touch on what differentiates it a bit from the prior features. As we go through this. I did include in the PowerPoint here so that any folks who don't get an opportunity to watch today, but maybe have the PDF of this PowerPoint, did sort of put the quick hit steps here of what you go through what the new fields on the Screen are, but I want to actually walk through that live in a WebTrac environment as well. And basically, we'll circle back to this slide, take a look at what these three options are. But let's go ahead and show it in the actual product. So if we jump into WebTrac, and we are in this case already logged in as a customer, when we go to sign up for an activity in this case, but as Cullen said, there's many modules this could be applicable to when we search for our programs. I'm utilizing the Next Gen WebTrac UI, but this is certainly something that can be available in the classic UI as well. When I go to register for a program, the workflow is the same, I'm going to be prompted for a waiver as I would be normally when I add that waiver or that program to my cart, and choose who I'm registering. At this point in the workflow, we're going to get our waiver question. So I happen to have a tickler here which you may or may not be utilizing. And then we have the waiver portion of this page. All of the texts that you wish to include on the waiver is managed in the same way that it would have been for any of the other waiver options Here's what's really the most different thing here about this waiver is the box that I have on the bottom, it doesn't have to be at the bottom, but that's probably going to be typical for most of our customers. And you're going to be presented with three new fields that you wouldn't have seen before, if you're not utilizing this option. The first is to select your signing method. And one of the things that we talked with a few different legal counsel from some of the customers, we're engaging with, as well as some, you know, third parties that we engaged with, and one of the things that they felt was needed was to capture sort of what Type of a signature we're getting here are we signing as a parent or a guardian of a participant? Or is this an actual adult participant signing on their own behalf. And the key there being that with WebTrac, with it being a single Username and password for potentially a household, what they really wanted to ensure was that Cullen wasn't waiving rights on his wife's behalf, or vice versa. But if it was an adult participant, it really was them actually completing that waiver. So that's part of the distinction that you're able to capture here. And there's a couple extra checks that are occurring, depending on what option you select here. So if you're signing as an adult participant, you'll notice you're also then asked to Type the name of the adult society in addition to signing. And when we do this, if I do put in a name that doesn't match with the person who is actually enrolling into this program, but I'm signing as an adult participant, I'm gonna get an error here. That states that the name input must match the participant name. So in this case, Jack Abramo is enrolling. I said I was gonna sign as an adult participant, the name I typed in was not Jack Abramo, it needs to be if I'm signing as an adult participant, the expectation is that the name that I Type in in order to sign is the same person who's enrolling. Whereas if I'm signing as a parent, or guardian, the participant, that check in this case is is not invoked, because it could be Cullen signing on his child's behalf could be his wife could be, you know, a guardian, who isn't necessarily even in the RecTrac database, as long as they're stating here that they are a parent or guardian of the participant. So in this case, I'm gonna go ahead and Sam signings adult participant, I'm going to tape Type in the proper name that actually matches. And now we get to the actual signature Field. So whether I'm on a phone, a tablet, a computer, I'm actually able to sign here versus just clicking a box or typing in a name. So we're doing both the Type name as well as the signature. If you're on a touchscreen, obviously, you can use your finger. If you're on a computer, you can use your mouse, go ahead and sign your name. And I'm not going to sign my real name here, and then continue. Now, with these three new fields, we'll take a look here in a second at how the setup and configuration is done to invoke this, it's it's very straightforward. There are some options that you have sort of manipulate exactly what's displayed here. And we'll we'll take a look at those and in just a moment. So from this point forward, the functionality is the same as the waiver functionality you're accustomed to in the sense that if I complete the sale, I'm going to get my waiver associated with my receipt, depending on which options you have selected there, it's going to be separate document or better than the receipt depending upon the the option that you've chosen. So this new option isn't really impacting the way that the output of the waiver is in terms of the PDF that's created. It's really just about what we're invoking when they go through that waiver process on WebTrac. I'm gonna go ahead and say I'm paying VISA credit card here just to show the receipt, go through the full process. And if we take a look at this receipt, again, nothing really different from what you would expect are nothing really different from what you would see in the process Cullen described with RecTrac If you're using a Topaz device, the one difference being that, again, we want the waiver to truly reflect all the choices that were made on the WebTrac Screen. So you will see down at the bottom, the option they selected, the name that they typed, and then the signature that we captured all of that in line with wherever you had placed it based on the configuration of your waiver.

All right. So the first question by Susan is they have a need for multiple separately signed waivers per activity. Is that currently a possibility?
Patrick Hayden 14:56
Yep. So that should be a possibility. You know, with WebTrac as well as with RecTrac, we're going to sort of invoke the number of waivers that are associated with that letter code. So I think they will take a look here in a second at some of the pieces that go into this. But that shouldn't be a problem to do that. Now, I guess, it depends potentially on whether they're, you know, how they can figure out whether they're trying to capture multiple signatures, or one signature that covers all of them. But you should be able to sort of get the aggregate waivers that you configured for that particular activity in my case, even if it is multiple.

And then Jerry was asking about adults with disabilities who don't normally sign on their own. To me, theoretically, anybody that's able to sign on behalf of somebody else would be considered a guardian, probably, although I don't know if that's,
Patrick Hayden 15:52
that's it's good question. That's one of the reasons why we had talked with with some different experts that we engaged on this with potentially putting in some some checks for age and sort of having some different paths that we took, depending on the age of the enrollee. But you know, that was one of the reasons why we didn't do that. Because there were a number of situations where we really needed to sort of provide the control to make the decision based on the particular registration that was occurring. So you can be signing as a parent or guardian of a participant. Without that participant, the participant does not need to be under 18 In order to do that. So that's why we left that selection, sort of without any logic in terms of age based logic, it's automatically applying anything there. So the signing as a parent or guardian of a participant can be selected, regardless of the participants age to accommodate those sorts of situations.

And the last one that's open right now, Laurie is asking if we can make the signature Field longer on the page so that there's more space to potentially write a less compressed signature?

Yeah, we can certainly take a look at that. I don't know offhand. It's one of those things that I think it actually you you sort of get more space when you're on like a mobile device. To some extent, I obviously have a pretty high resolution here. But that's definitely something I can I can take a look at and see what the what the parameters are there and what kind of ability we have to to impact that.

Right. And we had one last question come in, is this limited to the WebTrac Next Gen UI? Or does it apply to the old version of WebTrac? If you're on the right version of RecTrac?

The latter so this should be available, regardless of whether you're on the Next Gen or the kind of classic version of WebTrac UI.

Well, actually talking about configuring RecTrac, or WebTrac, I think there is another component here for a segue.

So when we were going to walk through, again, we wanted to not just show what this was, but also show how to get it set up today and try to really complete the circle here. So the good news is the setup is pretty straightforward. Like I said, most of the configuration surrounding waivers is sort of independent of which signing option you're using, obviously, with the topaz, Cullen mentioned earlier in RecTrac, there are some special sort of pieces of information that you need to make sure you have in the in the waiver body. But in terms of general configuration, how you're set up when the waivers invoked, what programs and modules it's associated with, that's all the same, regardless of which of these options are utilizing. So if you were currently utilizing waivers on WebTrac, and you just wanted to shift from the sort of checkbox option to this option, really what it comes down to is two things. One is making sure that your waivers have that signature capture block, and I'll take a look at that in a second. And the other is in your WebTrac parameters Profile, there's a setting that you need to change in order to invoke this new logic. So if we jump into RecTrac for a second, just to take a look at sort of the full setup. The class that I just registered for was this orienteering and and MAP program. And this has a waiver code on it has to actually waiver and waiver web. If we take a look at that waiver, Web option, that waiver code that is associated with the class we just registered for. There's really two things that are important here. One is that the waiver letter, this is the actual content that was displayed is the sports waiver web. And the other important thing here is the interface Type. Now these other settings come into play as well. You know if my print options were all off, I would not get a waiver because when I went to do an enrollment, it wouldn't invoke that See, if my print frequency depending on what this was set to, if I had recently completed the same waiver, I may not have it in both. So those things do come into play but not differently for this E signature option than they do for the other options. But the key is one that this is obviously a code that set to display for the WebTrac interface, which if you're already using waivers that it would be. But then on the actual waiver letter itself. If we take a look at that sports waiver web, I have some other database fields being inserted here, which are not necessarily required, I have the date, the name, the enrollee name, we would recommend that if you're utilizing this new option that you do include the enrollee first name and last name, so that when they do that, I'm signing as an adult participant, they have right there on the Screen, what the expectation is, obviously, there's always the risk that maybe their name was misspelled, and it was entered into the system, or you have Jonathan, and they typically go by John and things of that nature. So you want to make it apparent, what enrollee name you're expecting. So I would plan to incorporate that into your waiver, if you're going to utilize this option so that it's again, available right there on the Screen, so they know what you're expecting for data. But in terms of requirements, really the only thing needed here is this signature capture. So signature capture is one of the options in the database value codes, you select it, hit Add Text, typically, you're going to want that at the bottom, it doesn't necessarily have to be at the bottom, there can be text down below it. But in my example, it's right at the bottom here. So with a waiver letter that has signature capture included on it, the only other required setting is under WebTrac parameters Profile, which is probably a Profile that's linked to your your web user, most customers will only have one, www or web and have a WebTrac parameters Profile link to that. There's this waiver options group. And in the waiver options group. Again, if you're on 3.1.10.07.04 or higher, you're going to see a fourth option in here of E signature. Again, the majority of our customers today are probably set to E authorize, which is the Check box or Click rap you'll hear it referred to sometimes. And this E signature option is what's going to invoke that new logic that we just demonstrated. So E signature is a waiver option. A letter that has signature capture, those two things will make it such that when you go through a waiver on WebTrac, you're gonna get those three new fields for the signing method, the Type signing name, and then the actual signature Field. Jump back to that.

While you're doing that, Patrick Aurora had a really great question, kind of, I don't know if we have it somewhere, I didn't see any way to attach a language to the waiver so that you could potentially pull a Spanish language waiver if that's what's assigned to the household versus an English waiver. So what they're doing right now is just doing all of the Spanish blocks immediately below the English and it can make the waiver really long. Is there a way to currently distinguish between those?

That's a great question. And I am tempted to answer it. But I think I'd rather go and double check first, before I give an answer just to make sure I'm giving an accurate one. You certainly can utilize language codes on portion of it. But I'm trying to recall if we have the ability to pull from the household language, like we do for receipts for the for the waiver. And let me let me double check on that. I'm not sure offhand.

Right, so speaking of language codes, I guess just briefly, again, included in the PowerPoint, a couple of optional things. So there's really just the two that must be done. And that's having the signature capture, tag in your your waiver letter. And then having a waiver option set the E signature and web parameters. In addition, there's two kinds of optional or as needed setup things. One is updating the language code, which could potentially be for a secondary or tertiary language, but also can just be if you don't like the wording that we utilize. So if you wanted this to be something other than select your signing method, or if you wanted the options to be something other than these two, if you wanted to alter those, same with Type name, same with sign here, if your legal counsel, let's say wants that worded differently, through language code management, you can update all of those to whatever they seek that both the labels as well as the options within the drop down for the signing method. And that's the standard language code. capabilities as you would utilize with anything else. And then the last piece just to mention is if you have a custom Screen for processing prompts, so processing prompts is kind of all of those options that may came come up between clicking Add to Cart and getting to the cart, whether it be you know, ticklers or optional fees, rules, etc. As well as the waiver, you can have a processing prompts custom Screen, and if you do have a custom Screen that was built in the past, and you go to, 07.04 or later, turn this on, it's potentially not going to display because there may be some fields that need to just manually be dragged into that through custom screens. And I put a last slide here, just to kind of show what those exact fields were. But that's certainly something that people want to want to keep in mind. There's basically three waivers signed a waiver signed the name and waiver signature Field, that you just need to drag into that processing prompts waiver group, in order to make sure this displays again, only if you already have a custom Screen for processing prompts.

Oh, just Maureen says it looks easy. So that's great. Thank you, Maureen, for that. mod is asking what if we make the same wave or use for both interfaces? And we switch the web parameter to E signature? So I think this goes to whether or not the signature capture is already in that letter or not? And if it is not, presumably it's not if you're not using the topaz, then you would want to create a separate letter, one specifically for web and link it to the right. Or to the separate time.

Yep. And I think if the language of your letter, kind of, let's say you're already using a topaz, so you have that signature capture block in there. And the language of your waiver sort of accommodates both web e signatures as well as the in person waivers, that's certainly fine to use the same waiver for both. But for anybody who's sort of new to invoking a waiver and WebTrac. I think in general, our recommendation has typically been to have two different waiver codes, one that is WebTrac. Only one that's RecTrac only, because oftentimes there is that need for slightly different language to ensure that it makes sense. And the classic example of that, in the past, before we had this, the signature option would be something like in the paper version, you wanted it to say sign below and then have a line. But you don't want it to say sign below and have a line if someone's going to be checking a box. Whereas now, you know, you might have the opportunity to actually utilize the same letter code for both.

Thank you for that. And Dana is, I think this one goes possibly to the processing prompt Screen. Patrick, do you remember what the error message is? If you don't have your processing prompt Screen stain is saying that they've been trying it however, their patrons getting a prohibited error of some Type. But actually, she's saying that they are getting that after they sign and hit continue. So maybe we'll have to look into your ticket there, Dana. And find that out. If it's not anything you recognize off the top of your head, Patrick,

Not off the top of my head. Yeah, if they're if they're getting the Field to sign, then they I think they probably have the fields on the Screen. I guess it's possible. Maybe they're missing one of the three or something like that. I'm not sure what error message that would produce offhand. But certainly, it's something that they assuming they have those three fields certainly should be able to do and we do have customers using this live. One thing to note, we did encounter an issue where one customer was having some problems with getting the waiver invoked as needed, they were set to get one waiver per receipt and using the same waiver across programs. And they were having issues with customers adding something to the cart and circling back and adding another thing to their cart. And Deb is working on addressing that right now. And that was unique to this this new waiver options. So that's certainly something for folks to keep in mind if they're immediately implementing this, that the print frequency of every time or every X days, I think is going to be there's potentially a problem that at least one customer encountered with the once per receipt. They were trying to just invoke this sort of a single time, but had the same waiver on all of their programs.

See, yeah, I think that is all we've got out right now. So we'll check in on Dana's case and see what's going on with that one. Yeah, that's the rest of the, the the open questions at the moment. Patrick, did you have any final thoughts you're thinking of here?

No, I think that that really covers it. I know the the documentation associated with this is going to become We're now kind of the next release, we wanted to get this out and didn't have the documentation completed. But given how simple it is to set up, we wanted to get it out there and get folks able to use it. And certainly, if anybody has feedback, don't hesitate to send it in. And I'll follow up on some of those unanswered questions that we had, as usual in the follow up documentation.

And see, okay, so we did get one last question right there, just under the wire here. So if we're doing e signature live, is there a way to print to PDF after they sign, as well as handy hardcopy to them? I mean, I think that that's basically just going to be dealing with the, like, when the receipt prints, it can go straight to PDF, and then go to your printer, but it also saves a copy. If you preview it, I think that's probably the way that we'd go here. So when you preview it, you can send it directly to your printer, or you can tell it to save to your desktop, if that's what you're looking for Wendy.

Or, again, I guess, depending on what the use case was there, like you said, it's, it, we're saving the waivers that they've completed automatically on the household. It sounds like we're talking more about in person here. So like you said, it's gonna print out with the receipt. So assuming that you're printing the receipt, they're gonna get a hard copy there. If there's sort of a need for an additional copy, I guess, like you said, Zach, there's some some different options there. If you're trying to get sort of another copy beyond the one that comes out with the with the receipt anyway, your seat copies options out there, you might already be getting a couple with you wanted a couple, but there's certainly, you know, depending on the specifics of what they're trying to make happen there, I would think, is something we can accommodate. But we are always saving all of those waivers plus the receipt they're associated with on the household. And again, I'm just in the household, we were just using here, under household update, and then that documents and waiver History tab, we've got all their waiver history here, which includes in my case, because I have it as a one document, the receipt, plus the waiver that's associated with the receipt. And in my case, the signature because I'm doing the signature option. And if it were the Topaz in person, you'd see that same thing of the actual signature being embedded in the PDF.

Yeah. And that's why I tried to include kind of some of these extra steps that I didn't want to belabor things with talking through here. But this was certainly so show someone who's maybe has that custom Screen and is trying to understand what they need to do to adjust it kind of the details of what they need to drag over to get to where they want to be.

should work with all of the labor. All of the waiver logic is, you know, as Cullen said, there's a lot of different ways that waivers can be invoked. But you know, this will be a capability with all of them.
