And today I have with me, Luc LeBlanc, and Nick Salvatori, who will be talking to you today about scheduling reservations, for facilities during social distancing. So I also have Joe Ross and Cullen who are helping me moderate and going to be also answering some of your questions during this presentation. So today, like you said, this is a super, super busy RecChat. And that's because this topic has been coming up left and right for the last couple months here. So it's been really requested as a way to allow reservations into people's pools and fitness centers, and gyms, being able to kind of manage that in sort of a contactless online way. So we've seen a ton of this stuff come in. And that's what we're going to kind of go through today. And then one thing I wanted to kind of say, before we get into this is, with RecTrac, being kind of as flexible as it is, there might be more than one way to do this. Nick and I today are gonna go through the activity module and the trip module. And those are the two ways that we're kind of recommending, but we have had people have success with other things. So people have used tickets, people have used other modules to accomplish the same goal. The reason that we're using activity and trip is with activity, it's a module that most people are already licensed for. And most people have some familiarity there. And then trip actually nears activity, it's pretty similar to set it up and you can set up Trips in bulk. So you can make all of these time blocks and all of these entries relatively quickly.

I think we're gonna start with activity. So let's have Nick start us off here.

So I'm gonna share my Screen here

all right. So um, so I'm gonna go over setting up an activity and primarily setting up an activity. With you know, the reopening and social distancing. We have been, and we think that the best way of doing it is with activities but also doing an enrollment by day section. If you're not familiar with an enrollment by day section, all it is is a Toggle, but you can put in your date range. And essentially the enrollment by day. Toggle makes it a separate roster for every single day. So in my setup that you'll see here, I have multiple sections, but my sections are each kind of time block and I have I've set up two hour time blocks throughout the entire day. So multiple sections are my time blocks. Each section is an enrollment by day. section so essentially knows that it's every single day. So people can and register a spot for the pool or register for a spot at the fitness center, or whatever area that they may have. So, first things first to kind of want to start with the end in mind, just want to kind of show you how it will look on WebTrac. Just so you can see how it looks and feels, and then we'll get into the setup of it. So on my WebTrac page, I do have a COVID reopening link on my splash page probably make sense to do that, instead of you know, making your customers have to kind of do the normal search or whatever and trying to find things.

So when I Click on my link, I get to my activity search Screen. And here I'll just be concentrating on the COVID 19. But I also have a COVID-19 pool that mirrors the exact same thing. So you'll see I have my different times. So eight to 10,10 to 12,12 to two, and so on. So with an enrollment by day section, I don't have just the normal Add to Cart icon here, I have a calendar. So when I come in here, and I hit the calendar, say from 8am to 10am. I get my calendar. And so that now I see each day. And I'll be able to see what's available. And you see, you'll see the description, this zero slash 15. That means how many people are enrolled. And so I have 15 spots. So the nice thing here is if you allow it, I can multi select the individual dates, there is pattern information where I can create a pattern as well. So as I go through here, let's say I want to, you know, go tomorrow at 8am. So I Click on the 8am just like adding an item to your shopping cart in just regular activity search, you know, I get my selections down at the bottom here. So I hit Add to Cart, it's going to prompt me to log in again, just like I normally would

so I've set up where mine mine are free. You know, that doesn't mean you have to, you can certainly add fees to this. If you want just mine are set up for free to be free. So now if I proceed to checkout my information is already filled in. And now again, no fees so I don't put any credit card information I hit continue. And I'll get my confirmation receipt. I also have access ticket setup. So you can we won't get into detail about access tickets because that's a another beast among yourself. But access tickets would allow you to generate a ticket where the customer could come in and scan the ticket through visit processing or through regular there's access ticket check in program as well. So I have my receipt.

We have a question come in only a few but this probably good point our part to answer first question, can you limit how many days and times a patron can register for

so yeah, you know any the normal rule function that you would typically use for any activity or any facility or any other module throughout RecTrac You can absolutely use here and I will when I get into my setup. I do have a rule setup where I believe it limits where someone can only register for one section per day. So when I say per day, I wouldn't be able to go back and register for another spot for tomorrow. But rules rules work just like they normally would work and setting those up. So if I go back, if I go to RecTrac now, and I'm already in activity management. So if I go to my activity management not a whole lot in here, setting wise, there is the access ticket settings here. Again, not getting into that. So you look where those fields are. But we won't get into setting that up because we'll be here for the rest of the afternoon. And then at the rule level, I do have the rule for not allowing someone to register for more than one item per day. So if we look at this rule, it is an advanced criteria. So I have my rule option disallow transaction Type purchase. And then again, my advanced criteria in the advanced criteria of entity of family member, more than one item, activity list. And I'm I'm filtering by this activity category, and I have a COVID activity category that I've linked to all my activities,

so won't affect any other activities that aren't related. Excellent.

Yeah, so but you have all these other options, you know, activity category, current item, activity code list, and you can list all the activities together. activity code, current item. So all these different ways to filter and link things together, you can do, I just chose to activity category, list and then select the category that I wanted. My time units is is day. And my time unit start date is item begin date. So essentially, that is restricting me from being able to register for more than one section on a specific date. Now I could with this rule, it's not preventing me from registering for a spot tomorrow, Saturday, Sunday, Monday, Tuesday, Wednesday is saying I can't register for two sections on Monday, or on Friday.

So if I go back to my core, that's where I have my my activity category selected right there. Now if I go to sections

so once I'm in sections, this is where you're going to see my different sections. And if I scroll over, you'll see my my time, what I'll call time blocks, eight to 10,10 to 12,12, to two, and so on. So the nice thing is you could create one activity one section and then clone them to create all the other time blocks for you

so just like normal Activity Registration, we want to put in, you know, your overall max count. You want to put in your dates and your times what days of the weeks. And then over on the right here, that's where you're going to find your enrollment, allow enrollments by day. So that's the the Toggle that you want to turn on to basically make it so between, in my case, May 11 through August 30 every day of the week 8am to 10am I'm gonna have a separate roster for every single day. And when you run you know you can run roster reports for enrollment by day programs. There's a separate roster for that so you can get a roster for each day. When you go to an activity inquiry for an enrollment by day program, you'll have a drop down for every single date that you can Have a roster. So there's ways that you can kind of look and see what you have in there and who how many have enrolled. Obviously, my web settings display, yes. But that's really the only difference. You know, getting this in allow enrollments by day Toggle turned on is, is the most important part to get those to get those sections to have a roster for every day and really kind of limits, or it limits how much work you have to do. Instead of having to create a section for every single day, you can just do it. And RecTrac Turn that Toggle on or RecTrac knows that's the roster per day.

Actually. Good question come in about the enrollment by day registration. So if you're using the enrollment by day registration, when they come back to back to the same class will allow them to register again with additional dates or for additional dates on the same program number, or will it say that there is a duplicate enrollment?

You know, since that enrollment by day program or toggles turned on, it looks at each day as essentially, it's a separate program for each single day. So in WebTrac, I signed up for tomorrow, Friday. So I'm on Fridays roster. But I'm not on Saturday's roster. So I can go seeing activity numbers, same section, I can go and sign up for that 8am to 10am. slot for Saturday as well. And it's not a duplicate

So your normal activity, again, fees rules at the same procedures on how you're currently doing activities really apply here. Except, you know, make sure that that enrollment by day toggle was turned on some examples of rules that we've seen come in or with questions or, you know, members only, they want to just make sure that only members can sign up. So you can absolutely do that with a rule. That would be a pass prerequisite rule that you could do. Obviously, the one enrolling only one section per day, which I showed you.

And you use lottery settings with the enrollment by day?

Um, that's a great question. I mean, I would assume so. I've never I've never tested it or anything. I don't know. What do you think Luc?

I think yeah, muted. I same thing? I don't know. I don't know. I would think so too. But you definitely have to test that because I don't know if the enrollment day was was created with the the idea of a lottery in mind. So the way that Nick has it set up, obviously is the first 13 or so people they get to take the class? I'm not sure. I'm not sure it has to test it out.

You know the other the last kind of example I'll just touch on regarding rules but like how many days in advance so you can register for a certain section maybe it's a week in advance or three days in advance? You know, certainly you can do your transaction date Type rules as well. So everything's you know, you're not limited to anything rule wise. So I think that's it for me. I can turn it over to Luc so he can show you the trip side of things.

First first ever trip back nice back in 2017. My three year anniversary is is tomorrow here. So let me share my Screen here. I think it gave me an error Nick. I think you have to stop sharing before I can start. Alright, cool and I'm gonna go to Screen three. So I'm assuming that this is going to be a question that pops up but somebody guys might be wondering, well, if we can set up an activity, why even bother taking a look at trip. And a real fundamental difference between the two is guests can can sign up for Trips, and guests can't really sign up for activities. So if you're using activity, someone would need to create a household with you in order to be able to sign up for the class. With that, there are a few more rule restrictions where it's harder to limit, you know, on a mountain per day for trip because you don't really know who is who's logging on if you allow guests. So if I pop over, I'll do the same thing as Nick did, I'll start in WebTrac here and kind of show you what it would end up looking like for your patrons. So kind of a front facing view here, I did mine a little bit different than Nick, I made a menu item up in the top right, but you guys could create a new menu item or create a splash page box or do a mixture of both whatever is easiest for you guys. And this is going to bring me to my trip records here. So a little bit different view I have a listing view. So online. So we'll see here that these are the entries instead of two hour blocks. Like Nick, I did one hour blocks here. So we can see my first block of the day is full. But the rest of my blocks are available. And then I did some different set of things that I can show you guys when I get into the RecTrac piece of it. But to purchase this online, I'm not logged in right now. So I'm a guest to purchase it online, I would just add it to my cart, kind of like anything else. Pick a headcount. So I defaulted my headcount here to be one. And I would assume that that's what most people will end up doing. And then it's gonna ask me for my information. So this is a completely optional Screen. If you guys want to track people's names and phones, you can add email in there as well, you can. That is a setting in the daily processing Profile on the right hand side, on what guests information you want to track.

So if you don't want to capture that from people, you don't have to I figured most of you guys would. So that's why I put that in here. And I will just go ahead and put my name. And then for phone number, I also tracked phone number just in case I wanted to put on like a roster or a report later on. So I could call somebody maybe if there are no show or, or get a little bit more information from them, you could also do email, if that's what you would prefer a real phone number. So if you guys try to call me, you won't be able to reach me at that number. But I'm going to put that in here and hit continue. And then that's going to drop it down to my shopping cart. So unlike Nick, I also put in a fee online. Because I would assume if a guest is coming in, you're going to want to charge them. On my record, I also put a member discount. So I'll show you guys that too. But if I go through and check out here, another really cool part of my WebTrac that I don't recommend you do, because I allow cash payments online, don't have to put in a credit card number. If I go ahead and continue this here, that's going to bring me to the checkout Screen. And like Nick, I also set up both a ticket and the regular receipt deck out here. So if you want to see that receipt, it's going to print just a regular RecTrac receipt. And then I also created an access ticket, which you would link there down in the bottom right, if you guys wanted to scan that, and pass was a processing or in access ticket check in. So I'm gonna go in and log in really quick and just show you guys the difference. So that was me logged out if I go in and log in here. So before it cost me Oh, it's asked me to change my password. Here's a little trick that you guys take back with you. bypass that by going straight to the splash page there. So if I go back to my RecTrac on here, I have an asset facility. So I enrolled myself into this, this first one here and continue, you can see that it doesn't charge me any money because I need that pass prerequisite. So, with Trips, you guys were able to both charge guests and allow members to come in for free. If you kind of want to have a best best of both worlds.

We actually have a real quick question about the fees. So do we need to set up any of these fees as a daily fee instead of a flat fee for these enrollments?

So for activity, you just set it up as a normal flat fee, and it will charge every day accordingly. For trip what I did on my fee is the Toggle under advanced fee to use headcount for quantity. And if I didn't have that on I think it would just charge me the one time so I can show you that Toggle really quick here. And I linked all of my fees to my category. So that Toggle with So open up is my gym traveling through here under Advanced V change and some maybe some of you guys have a little bit different Screen sign where it could be linked underneath your, your short fee Screen, but mine is undermined advance fee Screen here and this use visit count punches for quantity. I turned that on for the trip. But as far as I know for activity, you can just leave it as a flat, A flat fee. So hopefully, that's good, Brett.

So while we're in here, let's just kind of take a look around really quick, like I said, when we first got on is the reason that we kind of went with trip. Well, there's two reasons. But one of the big ones is the setup is really similar to activity, there's no parent record, but everything else is very, very similar. So you guys can link Type sub types and categories like you normally would, there's a max count in the main count, just like there is an activity sections. And then really the important thing here is the dates and time. So all of that is really, really similar. Just this will allow guest features. So our guest enrollments, excuse me. So the kind of trick with Trips is you guys got to make one good one and have everything kind of right on that. And then you can bulk clone Trips way out. So if I hit save here, you guys are going to notice that I've only made today's enrollments. So I only have six, four here. If I wanted to make this out a week or a month, we could either create another record for every single time block, which would be hundreds and hundreds of hundreds of time blocks for every hour that you guys offer this, or what we can do is we use this bulk create feature.

So this is a really, really cool tool. And while we're in here, we can set them out for however long we'd like. So if I want to set mine out another couple of days here, my bulk Create option is going to be an interval, my begin date. So I already have today, six, four. So I'll start with tomorrow, six, five, and I'll end with I'll end with Friday 612. I'll do a week here. So my do not start before time and start after time, this is looking at the begin times of your section. So if you're open from nine to five, you and you had our time blocks, then you would put nine here and you would put up excuse me, you would put orange here because it's an hour time lock, it's gonna go out to five for you anyway. So you'd want to do one time blocks before you close for the day. So I'm doing nine to five, actually think I did nine to four, my example. So I'm going to do nine to three year and then my time block is going to be 60 minutes. So what we have going on here is an interval. So this is creating one every interval time, which is 60 Minutes, from 9am to 3pm. So it's going to make one from nine to 10 to 1111 to 12, kind of so on and so forth. It's also going to make one every day that you put your date. And then I think I saw a question in there, where can you have different days and times for or different times for different days of the week, for trip, this is where you guys would handle that. So you would if I want it to be, you know, maybe Saturdays and Sundays, we're open different different times, I can uncheck Saturday and Sunday, just make the Monday through Friday and do this again with Saturday and Sunday time blocks.

But the very last thing that you guys are going to want to do in here is put in our new short description. So I don't know if you guys can see it's probably pretty grayed out now. But all of my all of my short descriptions are 1pm gym entry 2pm gym entry 3pm gym entry. So if I want that time to show, I would copy out this time here and put that in there. And that's just going to take whatever time the trip is going to start. So I'm gonna do gym entry. And then I'm gonna copy that into my lungs. And then we're all set. So we've put our interval in there and we put our days and times we've put how far between the blocks, we want them to be spread out, we can go ahead and continue here. And that's going to create 5060 records for us. So if I hit process, there are all of my gym entries. These are sorted right now by short description, but if I sort them by date, I can see all of my six fours and all of my six fives, six sixes six, seven and so on and so forth. And I would go to WebTrac but I don't know if they'll show them quite that fast. We'll take a peek on my rent chat. So this is six four if I ain't here to six, five, let's see. Not Yeah, so those will take a minute or two to pop up on there. And then to next point there's gonna be different The rules and stuff that you guys will allow. Like I said, with Trips, it's a little bit harder because there's guests. So it's tougher to put an age rule on there because you don't know how old the guest is going to be. It's tougher to put a maximum per day rule because you don't know the guests who, who is coming and who isn't. But one rule that I put on here is the maximum days out so you could only book. I think with mine, I set it up for three days out. So anything over three days you can't book. But that's, that's how trip is going to work for you guys.

So yeah, so we do have a couple questions. So is there an advantage of using Trips over tickets, tickets also allow us to purchase them as guests, and we can still require some basic info and print out a list. So can we do that with Trips as well?

Yeah, so purchasing tickets are very similar. And we've had people who have set it up with tickets. So far, that kind of the disadvantage to take is you have to create a lot of tickets, there's no bulk create, like there is for Trips. So I've seen people do it, where they'll make one ticket per day, and then have different time blocks be the different ticket blocks. And I've seen people do one ticket per hour. But there's a lot more entry with that. Whereas with trip, you could kind of make a whole month, within a few minutes.

Good to know, another question. Are you able to have multiple rates in the trip module?

Yeah, so that's something else that that I've actually we've run into so far, too. So I'm assuming you guys are talking about like an adult child and or adult child infant or adult child Sr, maybe something like that. You can you can prompt fees and try to make those quantities. So if I go back here, and I were to prompt my fees. Actually, let me log out Oh, no, I can log in here. So if I put three in here, and I did it for me, the proxy would then come up and say you need to have at least three themes. And it would kind of give you the list of properties that you have to fix them. So yep, people have done it. And and it's pretty common with the different ages. Now if you're talking about different times of the day, or different days of the week, I mean different fees, that would just be like a normal fee set up with criteria. We charge more for Saturday and Sunday, the rest of the week, you can set that up to

awesome. With the interval and Trips, is there a way to put in a break in between the intervals for cleaning the facility? So the facility setup time and cleanup time?

That isn't good question. I don't think so. Let me take a peek here. I don't think that there is a way to my knowledge and last snicker Joe have something to pop in there, I think it is just kind of one after another. You could, you could break it out. So like I could run it from 8am to 9am. And run that for the whole time range and then run the next one from 930 to so instead of running the bulk create once or six times, but I don't think with one shot, you can do it

You could potentially use rules or you know, you can create a bunch of the Trips, but then maybe go and delete the ones you don't need or inactivate the ones that you want to use for the for the cleaning portion of them.

So I know we're starting to go over our time so before everyone leaves, Cullen I'm not sure if you are able to Talk a little bit more about the people that may not have Trips or activity or what we can do with that for them.

Yeah, I can touch on that real quick. I know you'll sales has kind of given us the green light to turn on a module, if somebody does not have that, so they can try it out, see if setting this up in the configuration will work for them. And then circle back with sales and see see if there's a potential price point that would work for them. So example may go and try it out for 30 days, whatever it is, they're happy to work with you on that. You know, as far as if you need, you know, VSI is kind of dedicated attention to it, there could be some phone training costs associated to it. If you tried to call into the help desk, last few days, your notice has been pretty busy. We've been trying to give people some pointers on things like this and other issues. But most of our training, we're scheduling out, you know, five to seven business days out right now. So we have to kind of plan on a little bit of time between some requests. So that's kind of where things stand at this point. But certainly the sales folks are trying to work with people on getting the modules, you know, in their system turned on and let you try it out and see if it's something that you can use.

Sorry if you answered this, but can you put a limit on the headcount?

Yeah, so I don't know if you're asking per person or per, like facility entry Type thing. But your standard min and max counts will not allow people to over show online, I set mine to 15. So for this time slot, it won't allow more than 15 people to enter from 10 to 11. Same with activity, you can set your max count there, and it won't allow more than that many registrations, at least online anyways. Now, if you're talking about an individual person, and how many times they can register for a day, I think Nick had answered that and you can, you can put an advanced rule to kind of limit that if you're doing activity and you know who the person that is signing up is if you're doing trip, that's a little bit tougher, because it could be a guest and you can't really limit guests.

Thank you. So another one going back to the activity fee. When you say a flat fee, are you saying that we set up the fee as a flat daily fee? Or, for example, one visit is $6? And is that the fee?

Correct. So when you create your fee on the activity, it's just a flat fee. You don't have to get into any of the time, you know, a daily fee or anything like that just straight up flat fee and RecTrac knows that it's $6 for every single consensually time slot.

Cool, thank you. Another one, it looks like another real question. If we want to limit users to one visit per week, for example, what would the setting be for floating days? So that way it's a fluid week versus the standard week option?

I guess Chad, could you clarify a little bit more? So if multiple times per week or only one visit per week? You would want it so it reset after a week and then someone can make another reservation after that? Yeah, he said one visit per patron per week, would you be able to set that up?

I think so I think you're on you kind of hit the nail on the head there where I think that would be a floating date criteria or yeah, floating days time unit because I know you can do it for a day. So I think you would do seven floating days but to your point that would be that would be a week. The day that they purchased it. I don't think that would be a calendar. And then maybe if I got that wrong, Joe Ross you guys already that you guys can correct me but I think he would use the floating days there. And that would be a week from the last purchase.

Yeah, that's a great question. Nick. And I actually talked about that before the training today to see if we have any time. So trip rosters? Yes, definitely. So if I pull up my database, here, my trip reports. You can run a trip, oh, I don't want that one. So there we go. You can run a trip roster. And since each timeslot is its own roster, you guys can see it per time. Trip. Default one includes fees, but you guys can customize this just like other dynamic reports. So by default, this is going to show you per trip code and time. So for Trips. You know, this one is set up to be 10am to 2:11am, on June 6, that will show that roster if I ran if I ran the standard one.
